4 INSTRUCTIONS 1. The tenderer should be a manufacturer or an authorized dealer of the company. 2. Preferences will be given to those bidders who have Service centre of their own or of the company at local level of which the product is offered under the tender. 3. In case of authorised dealer the tenderer should produce a Certificate of the manufacturer in this regard. 4. The tenderer should have a provision of after sale service to undertake repair of the equipments within 24 Hrs of its getting the order. 5. The Tenderer should quote the amount for the item as per the terms and conditions laid down. The rates must be quoted both in figures as well as in words. 6. Technical bid (as per the terms & conditions in ANNEXURES A) as well as financial bid should be put in separate sealed envelopes. Both these envelops must be sent in a sealed envelope super scribing the following Supply, Installation and Commissioning of LCD projectors at IITTM campus, Gwalior. 7. The Tender should be addressed to the Director, IITTM, Govindpuri, Gwalior. 8. The bidder should sign all the pages of the Tender document. 9. The corrections made in the document must be initialed by the Tenderer. 10. Copy of PAN card or the latest IT returns should be attached with tender. 11. Copy of Sales Tax Registration/VAT certificate or TIN No. should be attached. 12. Copy of shop and establishment registration certificate should be attached. 13. No over-writing in the tender document will be allowed. 14. Incomplete Tenders are likely to be rejected. 15. In exceptional circumstances, when the requirement is of an emergent nature, the purchaser reserves the right to place repeat order at the same rate up to 25% of the tendered amount of the running tender / contract within a period of SIX months of the date of signing of contract 16. 5 TERMS AND CONDITIONS OF THE TENDER 1. Sealed tenders are invited from the branded and popular manufacturers or their authorised dealer s to quote rate for the items as mentioned in the ANNEXURES-A, at Page No. 6 of the Tender form. 2. Sealed Tenders should be addressed to the Director, IITTM, Govindpuri, Gwalior. The Tender should be dropped in Tender Box available at the Reception counter, Administrative block, of the institute upto 15:00 Hrs. on 31/12/2014. The Tender will be opened on the same day at 15:30Hrs. in the presence of the Tenderers or their representatives present in the Conference room,. The Tenders received after closing date and time will not be accepted. 3. The cost of tender of Rs.500/- (Rupees Five Hundred Only) and earnest money deposit of Rs.15000/- (Rupees Fifteen Thousand only) in the form of D.D. drawn in favour of, payable at PNB, Chetakpuri, Gwalior, should be enclosed with the Tender form. In the absence of tender cost and EMD the Tender Document will be summarily rejected. The EMD of the unsuccessful tenderers shall be refunded after final acceptance of Tender. The EMD will carry no interest and will be forfeited if the Tenderer withdraws his offer before finalization of the Tender or later on, after being declared successful. 4. The Tenderer shall be required to submit the Security Deposit of 10% of the contract value within 7 Days of being declared successful, in the form of D.D. drawn in favour of IITTM, payable at Gwalior for a period of ONE YEAR from the date of Agreement for all the items as mentioned in work order. Security deposit will carry no interest. 5. The quantity to be procured may vary. 6. The evaluation and comparison of bids shall be made on the all inclusive total cost of the tendered items (goods) offered inclusive of all taxes and/ or any other charges. 7. The supply, installation and commissioning of the equipments as per annexure-i and II should be made within 7 Days after executing the Agreement failing which the Security Deposit shall stand forfeited. 8. Payment will be made after the supply of material and proper installation and commissioning of the equipments as per annexure-i at site satisfactorily and inspection by a committee. 9. The Director, shall have absolute right to reject or cancel the tender without assigning any reason. 10. The decision of the Director, shall be the final and binding in case of any dispute arising out of Tender process. 11. The Comprehensive Warranty on the site of the equipments as listed in ANNEXURE- A will be valid for ONE Year from the date of Installation and Commissioning inclusive of all the parts. 12.
