1 Dear Gordon Food Service Suppliers, Automated data collection through bar coding is well established and an integral part of doing business today. The evolution of the bar code through the guidance of GS1 US (formerly the Uniform Code Council) has resulted in a powerful and universally accepted method for encoding product information (Global Trade Item Number or GTIN ) GS1 has established the EAN/UPC for consumer level units scanned at a retail point of sale (POS), the ITF-14 for cases of product, and the GS1-128 for placing variable product information like expiration dates, lot numbers and weights on the case. The advantages of these codes extend from production and manufacturing, through inventory and warehouse management, to distribution and on to our customers. Gordon Food Service has taken care to follow the guidelines set forth by GS1 so that our requirements are not unique in the industry; rather, they are in line with the accepted practices worldwide. This document specifies the minimum requirements that Gordon Food Service can accept based on the GS1 guidelines. It is designed to be used only in conjunction with, not a substitute for, the specification manuals available through GS1. The requirements in this document apply to all products supplied to Gordon Food Service. The GS1 General Specification v9.0 is the standard we use for these requirements. Gordon Food Service recommends obtaining this document from GS1. The GS1 General Specification contains principles of the GS1 system, definitions of the application identifiers, their format, application rules, information on the various data carriers, symbol placement guidelines, as well as a glossary of terms. 1

2 Obtaining a GS1 Company Prefix Gordon Food Service Private Brand Suppliers: For vendors that supply Gordon Food Service with any of our Gordon Food Service private branded products we will supply the vendor with our 6 digit GS1 company prefix along with the appropriate 5 digit item reference number and check digit to use. National/Regional Brand Products: (All non-gordon Food Service private branded products) For vendors that currently do not have a GS1 company prefix, it will be the vendor s responsibility to join GS1 and be assigned a number to use. If your company is based in the United States, contact GS1 US If your company is based outside of the United States, contact the appropriate GS1 Member Organization Office 2

3 Gordon Food Service Bar Code Requirements Global Trade Item Number (GTIN) on outer case Gordon Food Service requires all products to have a GTIN-14 on each outer case using either an ITF-14 or GS1-128 symbol. Random weight products are required to use the GS1-128 symbol. If any additional information such as production dates, lot numbers, etc, are to be barcoded, they must use the GS1-128 symbol. The vendor or the vendor s packaging supplier will need to print this bar code on the case exterior in accordance with size, location, and printing specifications set forth by GS1 in the GS1 General Specification document. Note: All Gordon Food Service private branded items require the 6 or 7 digit Gordon Food Service item code be clearly marked on the exterior of the case in addition to the GTIN. Global Trade Identification Number (GTIN) on inner packages Gordon Food Service requires all products have a GTIN appear on all individual selling units or inner packages that are labeled for retail sale. This should be an EAN/UPC bar code using the UPC-A or EAN-13 symbology. It is the vendor responsibility along with the vendor s label printer to print the EAN/UPC for each product on the inner pack in accordance with size, location, and printing specifications set forth by GS1 in the GS1 General Specification document. Note: For Gordon Food Service private branded products, Gordon Food Service will supply you with our 6-digit GS1 company prefix along with the appropriate 5-digit item code and check digit to use. Human Readable Interpretation A human readable interpretation should be printed below the main symbol and should be clearly legible. The height of the digits should be at least 2.75 millimeters. (Section of the GS1 General Specification) 3

4 Gordon Food Service Random Weight Requirements Data Requirements The actual label that the bar code is printed upon may vary in size and arrangement depending on what other information is needed on the random weight label (Some suppliers may include product name, description, & etc.). However, the bar code must meet the following data requirements: The information encoded in the bar code must contain the following application identifiers (AI): AI Full Title Format Data Title 01 Global Trade Item n2+n14 GTIN Number 11 Production date n2+n6 Prod Date (YYMMDD) 320(n) Net Weight n4+n6 Net Weight (lb) An alternate date AI may be substituted for the production date (AI 11) above from the table below: AI Full Title Format Data Title 13 Packaging date n2+n6 Pack Date (YYMMDD) 15 Best before date (YYMMDD) n2+n6 Best Before or Sell By 17 Expiration date n2+n6 Use By or Expiry Weight may also be encoded using AI 310 as a substitute for the net weight in pounds (AI 320): AI Full Title Format Data Title 310(n) Net Weight n4+n6 Net Weight (kg) Random Weight Example For an item that has a GTIN of , a production date of August 26, 2014 and a net weight in pounds of lbs the human readable should be displayed as: (01) (11)140826(3202) The data should be encoded in the bar code symbol as follows: The format for each data element in the bar code follows (n4+n6), where n4 represents that the application identifier is numeric and four in length, followed by numeric data that is 6 in length. For weight fields the last digit of the AI represents the number of decimals of precision. 4

5 Common Pitfalls to Avoid: Red or orange ink is unacceptable. Laser scanners emit red light and bar codes printed using red or orange ink can not be read. Packing tape is not allowed over any area of the bar code. The location where the barcode is placed must be free of packing tape or any other labels. If the bar code is printed on a label, and the label wraps from one side of a case to another, sufficient space must be provided pre & post bar code so that the barcode would not appear on the seam of the package. The GTIN on inner packs (final selling units), may not be used on the shipping container (master case). Inner pack labels will not be allowed for case identification. The bar code must appear on a minimum of one side and preferably on two adjacent sides of the case. For Gordon Food Service private branded products, it is a requirement for the barcode to appear on two adjacent sides of the case. If barcode is applied via ink jet directly to the corrugate the bars on the code must be straight, clear and readable. If using a GS-128 symbology, the order of the AI placement can vary, but Gordon Food Service recommends that GTIN be encoded first, followed by the date information and finally the weight information. The human readable interpretation of the data in the bar code symbol must be shown below the symbol. Application identifiers should be clearly recognizable to facilitate key entry. This is achieved by putting parentheses around application identifiers in the human readable interpretation. The parentheses are not a part of the data and are not encoded in the bar code symbol. (Section of the GS1 General Specification) If using a GS-128 symbology, additional application identifiers other than the ones Gordon Food Service requires, such as batch, lot or serial # s, may be used as long as the total symbol length does not exceed 48 characters and 6.5 inches.(section of the GS1 General Specification) If using a GS-128 symbology, any variable length application identifiers such as batch numbers must be encoded last (after the Gordon Food Service required application identifiers). (Section of the GS1 General Specification) If using a GS-128 symbology pay close attention that if follows the GS1 specification for format, such as: length of the data fields with fixed length AIs, correct formatting of data in all AI fields, absence of encoded parentheses around AI s. (Section of the GS1 General Specification) 5

6 Barcode Examples ITF-14 The ITF-14 is the GS1 System implementation of an Interleaved 2 of 5 bar code that encodes the Global Trade Item Number (GTIN) used for standard logistic units such as cartons, cases, and pallets. Trade items marked with ITF-14 symbols are not intended to pass through retail point-of-sale (POS). Examples of the bar codes are shown below. ITF symbol with bearer bars on the top and bottom of the symbol, commonly used for general purpose ink jet and thermal transfer printing. ITF-14 symbol with bearer bars on all four sides of the symbol, commonly used for printing utilizing a printing plate. 6

7 UPC-A The UPC-A is used to encode GTIN-12 for retail packaging for use at a retail point of sale (POS) GS1-128 The GS1-128 symbology is used to encode the Serial Shipping Container Code (SSCC) It is also used for encoding unique Global Trade Item Numbers on cartons, cases, and pallets that are not intended to pass through a retail point of sale (POS). 7
