1 Customizing PowerPoint Templates For Use With MBS Branding Fonts Changing the font on the master Open the Slide Master from the View menu. Select the text box and choose the font from the toolbar. The fonts used in our MBS branding system are News Gothic (also known as NewsGoth) and Granjon. 1

2 Changing the default font Changing the fonts on the Slide Master does not change the default font, which is used for all new objects (i.e. text boxes, AutoShapes, WordArt). To change the default font, select Font from the Format menu and change the font. If you did not select any text area on the slide, PowerPoint will use these settings for all new text objects. If you have selected any text, you will need to select the Default for new objects box. Replacing fonts If you are working with an existing presentation, you do not need to highlight the text and change it on each slide. From the Format menu, choose Replace Fonts. Select the font that is currently being used and replace it with one of the branded fonts. Embedding the fonts for sharing the presentation Opening your presentation on a computer that does not have these fonts installed may generate an error and PowerPoint will replace the fonts in your presentation. Likewise, if you need to share this file for review and revisions, others will be unable to maintain your fonts while editing the document. To save the fonts with your presentation, choose Save As from the File menu. Next, choose Save Options from the Tools menu of the Save dialogue window. 2

3 Enable font embedding and select whether to embed all characters of the fonts or only those characters in use. To save the font for viewing, embed only those characters in use. If your presentation is being sent for review and editing, choose to embed all fonts. When ready for presenting, you can reduce the file size by changing your embedding options to only those characters in use. Customizing the color scheme Changing the colors on individual items is tedious and time-consuming. Changing the color scheme not only changes the colors of all items presently in your presentation (i.e. text, background, graph elements), it sets to colors for new items in your presentation. 3

4 Color schemes are found on the Design Layout task pane. To set your custom color scheme, which will be attached to your presentation, select Edit Color Schemes at the bottom of the color scheme pane. Choose an element and click change color. On the Custom tab, enter the Red/Green/Blue (RGB) numbers according to the Color Palette. 4

5 Repeat for each element in the Color Scheme. Your colors are now available so you can easily change the color of any object or text. 5

6 Using the brand mark Download the brand mark files from the Strategy Toolkit. The GIF files have transparent backgrounds and are designed for use on a colored background. Be sure to place the brand mark on the Slide and Title Masters, rather than on each individual slide. You may resize the brand marks but not distort them. To change the size, either choose Format Object and change the size on the Size tab, or hold the Shift key while dragging the corner of the brand mark (the Shift key constrains proportions on the resizing of any object). Colors of Objects and Printing Dark backgrounds are recommended for on-screen presentations because they cause less eye strain, however, they can be a challenge to work with. While PowerPoint understands that you do not want to print your dark background and the white text should be converted to black to print on white paper, the colors of all graphical objects will remain and be interpreted in grayscale. Embedded charts and tables created in Word and Excel, equations created with Equation Editor and clip art are just a few examples of objects PowerPoint views as graphical. Changing Colors of Equations If you enter an equation on a dark background, it will show in black type even if you have the text set as white in your color scheme. 6

7 To change the color of the equation to match your text, choose Format Object from the Format menu then Recolor from the Picture tab. Change the black to your text color. Your equation will now look like the rest of your text. Printing Your Handouts To see how your presentation will print, without wasting paper, switch to grayscale view through the View menu. 7

8 Once in grayscale view, you will notice that our equation disappears. What has happened is PowerPoint does not change the colors of graphics so it is printing white on white. Select the object and choose black from the Grayscale Setting menu. Notice on the slide thumbnail on the left that this setting does not change the color presentation, only the printing. Hiding objects when printing Objects on a slide may look great on the screen, but many cause problems when printing. The Soaring template is a perfect example. Open the Slide and Title Masters, and then switch to grayscale view. Select the object and choose Don t Show in the Setting menu. 8

9 Saving the custom template It is easy to save the presentation as a template. Choose Save As from the File menu. Choose Design Template as the file type, give the template a name and click Save. Your template will be saved in the default template location. You will then be able to choose it with a new or existing presentation. 9
