5 Abut Cntent Manager DcAve Cntent Manager fr SharePint 2010/SharePint 2013 prvides administratrs with the ability t cmprehensively mve, cpy, and restructure SharePint sites, Apps fr SharePint, cntent, and tplgy within r acrss SharePint n-premises envirnments and SharePint Online envirnments. Thrugh a centralized, highly intuitive management cnsle, featuring familiar ribbn-based cntrls and wizard-based, step-by-step guidance, administratrs can seamlessly manage and restructure SharePint cntent with minimal interruptin t business prcesses in rder t quickly respnd t evlving infrmatin gvernance requirements. *Nte: AvePint is nt respnsible fr any circumventin f a SharePint app s license that may ccur frm mving an app frm ne site cllectin t anther r ne farm t anther. It is the custmer s respnsibility t ensure that all licenses fr the app have been purchased and deplyed prperly. 5

8 Befre Yu Begin Refer t the sectins t review the system requirements fr DcAve Cntent Manager. Cnfiguratin In rder t use Cntent Manager, the DcAve 6 platfrm must be installed and cnfigured prperly n yur farm. Cntent Manager will nt functin withut DcAve 6 present n the farm. Fr instructins n installing the DcAve Platfrm, DcAve Manager, and DcAve Agents, refer t the DcAve 6 Installatin Guide. Required Permissins T install and use Cntent Manager prperly, ensure that the Agent accunt has the fllwing permissins: 1. Lcal System Permissins: These permissins are autmatically cnfigured by DcAve during installatin. Refer t Lcal System Permissins fr a list f the permissins autmatically cnfigured upn installatin. If there are n strict limitatins n the permissins, yu can simply add the DcAve Agent accunt t the lcal Administratrs grup t apply all f the required permissins. 2. SharePint Permissins: These permissins must be manually cnfigured prir t using DcAve 6 Cntent Manager; they are nt autmatically cnfigured. User is a member f the Farm Administratrs grup. Since administratr wrks acrss farms and n all SharePint settings and cnfiguratins, this accunt is needed in rder t prvide the best and mst cmplete quality f service. Full Cntrl t all znes f all Web applicatins via User Plicy fr Web Applicatins Full Cntrl t the User Prfile Service *Nte: This permissin is required t cpy r mve My Sites t a destinatin. Hwever, t ensure a successful cpy r mve actin n My Site, grant the User Prfile Service that is assciated with the destinatin Web applicatin Full Cntrl and Administratr with Full Cntrl permissins t the Applicatin pl accunt f the destinatin Web applicatin. Required Permissins fr the User Used t Registering the Site Cllectin The permissin requirements fr the user specified when adding the site cllectins t SharePint Sites Grup are as fllws: *Nte: The user must have the fllwing permissins t each site cllectin added t the SharePint Sites Grup. 11 Use Tags and Ntes Managed Metadata Service: Term Stre Administratr The Read permissin t the Apps fr SharePint library in the App Catalg Site Cllectin Health Analyzer AvePint recmmends using Health Analyzer t check the prerequisites yu need t crrectly use DcAve Cntent Manager. *Nte: Only the users in the DcAve Administratrs grup can use Health Analyzer. *Nte: Fr the rule Agent Accunt Cannt be SharePint System Accunt, yu can ignre the result f this rule if yu are nt ging t deply apps n the specific Web applicatins. 12 Getting Started Refer t the sectins belw fr imprtant infrmatin n getting started with Cntent Manager. *Nte: When lgging int DcAve Manager and perating the Cntent Manager mdule using the users in the System grups, the users can nly perate the: Farms t which it has permissin. Functins t which it has permissin. DcAve bjects (such as, plans, jbs, registered SharePint sites, and s n) t which it has permissin. Administratrs r the users in the System grups can grant different permissin levels t different farms f a System grup. Launching Cntent Manager T launch Cntent Manager and access its functinality, cmplete the fllwing steps: 1. Click the DcAve tab t display all prduct suites fr DcAve Click Administratin t access the Administratin mdules. 12

14 Cntent Manager Interface The Cntent Manager user interface is made up f the fllwing fur main areas: 1. Tabs Navigate between the different tabs f Cntent Manager. 2. Ribbn Tlbar where yu can perfrm actins, cnfigure settings, and access Jb Mnitr fr Cntent Manager jbs. 3. Surce pane Access the SharePint bjects at different levels f yur SharePint farms with SharePint cntent that yu want t cpy r mve. 4. Destinatin pane Access the SharePint bjects at different levels f yur SharePint farms with SharePint cntent that yu want t cpy r mve. Figure 2: Cntent Manager Interface. 14

15 Basic Cntent Management Functins While Cntent Manager allws yu t create plans s that yu can repeat cpy and/r mve jbs withut having t recnfigure the settings each time, yu can als perfrm these simple tasks withut having t create an entire plan. Cpy When Cntent Manager runs a cpy jb, SharePint cntent and securities are cpied frm the surce ndes t the destinatin nde based n the settings yu cnfigured in Default Cpy Settings. Mve When Cntent Manager runs a mve jb, SharePint cntent and securities are first cpied frm the surce ndes t the destinatin nde based n the settings yu cnfigured in Default Mve Settings. The surce nde cntent and securities are then deleted. The deletin f the surce cntent and securities can be cnfigured t ccur autmatically after the cpying part f the Mve jb is cmplete, r yu may chse t manually delete the cntent after the Mve jb is cmplete. *Nte: Only the items within lists are deleted in the surce nde cntent. The securities f the cntainer level bjects are nt deleted in the surce nde, including Web applicatin, site cllectin, site, list, and flder. Create Cntainer Cntent Manager allws yu t create cntainers within SharePint withut having t leave the DcAve interface. The Create Cntainer feature is useful in cases where yu want t cpy r mve cntent frm the surce ndes t a new destinatin nde withut having t pre-create the destinatin nde within SharePint. *Nte: If yu select the Include New checkbx in the Surce pane, cntent created after the plan is saved will be included when the plan is executed. *Nte: Yu can dwnlad the jb details and jb related lgs in Jb Mnitr. Fr mre infrmatin, refer t DcAve 6 Jb Mnitr Reference Guide. Cpying Cntent The fllwing tw sectins explain hw t cnfigure Default Cpy Settings and hw t perfrm a simple cpy f cntent. Use the Default Cpy Settings t custmize a template fr yur cpy settings. These settings will be applied t any new cpy jbs yu create. Yu will be able t edit these settings befre running the cpy jb. T cnfigure default cpy settings, cmplete the fllwing steps: 1. In the Hme tab f the Cntent Manager interface, click Cpy n the ribbn. 2. Select Default Cpy Settings frm the drp-dwn menu. The Default Cpy Settings tab appears. 15

16 Alternatively, yu can als edit the cnfigured default cpy settings t mdify the cpy settings befre running a cpy jb. T d s, cmplete the fllwing steps: 1. In the Hme tab f the Cntent Manager interface, click Cpy n the ribbn. 2. Select Cpy frm the drp-dwn menu. The Cpy tab appears. 3. Click Edit n the ribbn t edit the default cpy settings. The Edit Cpy Settings interface appears. *Nte: Befre running a cpy jb yu can nly mdify the settings supprted by the selected surce and destinatin ndes in the Edit Cpy Settings interface. Cnfiguring Default Cpy Settings In the Default Cpy Settings tab r the Edit Cpy Settings interface under the Cpy tab, make yur settings selectins in the fllwing fields: 1. Actin Select Attach t transfer the surce nde as a child nde underneath the destinatin nde, r select Merge t add the cntent, securities, and cnfiguratins f the surce nde t the destinatin nde. 2. Prmte Methd Chse t prmte nly the tp-level site t site cllectin r prmte all f the selected sites t site cllectins. This sectin nly appears when satisfying all f the fllwing cnditins: Select site cllectin level r site level ndes in the surce tree and select the Web applicatin nde in the destinatin tree. *Nte: When yu select site cllectin level ndes as the surce, nly the Prmte all sites t site cllectins ptin is available. Select Merge as the Actin ptin. 3. Which managed path wuld yu like t use in the destinatin? Changes the managed path in destinatin. Select the Change the managed path in destinatin checkbx t cnfigure the managed path yu are abut t use in destinatin by entering the desired value in the Enter an existing Wildcard Inclusin Managed Path text bx. This sectin nly appears when satisfying all f the fllwing cnditins: Select site cllectin level r site level ndes in the surce tree and select the Web applicatin nde in the destinatin tree. Select Merge as the Actin ptin. 4. Filter Plicy Select a filter plicy yu previusly created frm the drp-dwn list, r click New Filter Plicy frm the drp-dwn list. Filter plicies allw yu t select specific bjects r data within each SharePint level frm Web applicatin dwn t the item level. Fr infrmatin n creating a filter plicy, see the DcAve 6 Cntrl Panel Reference Guide. 16

17 *Nte: When using the filter plicy in SharePint Online, the Created By rule is nt supprted. Exceptins will be recrded in the jb reprt. 5. Cnfiguratin Chse whether r nt t migrate cnfiguratin t the destinatin: Select the Cpy cnfiguratin checkbx t cpy the prperties, descriptins, titles, settings, and features frm the surce nde t the destinatin nde. If yu want t keep the lk and feel f the surce site including the quick launch, tp link bar, tree view, site theme, and master page, select the Keep lk and feel checkbx. *Nte: This functin will nly take effect if the surce nde is a site, the destinatin nde is a tp-level site r a site cllectin, and if yu chse Merge as the actin in the Actin field. Leave the Cpy cnfiguratin checkbx deselected if yu d nt want t migrate cnfiguratin t the destinatin. Then, chse frm the fllwing ptins: Select Cpy the item-dependent clumns and cntent types t maintain item integrity. Then, select a cnflict reslutin methd fr these items clumns and cntent types frm the drp-dwn list: D nt cpy the clumns and cntent types, r the crrespnding items Ignres the cnflicting clumns, cntent types, and the crrespnding items, and d nthing n the surce and destinatin nde. Overwrite the clumns and cntent types Overwrites the destinatin clumns and cntent types with the surce nde. Append the clumns and cntent types t destinatin Keeps the destinatin clumns and cntent types when there is a cnflict. In additin, cpy the surce clumns and cntent types t the destinatin nde with a numerical suffix added (fr example, ClumnName_1, ClumnName_2, etc.). Select D nt cpy the item-dependent clumns r cntent types. Reprt the items if the crrespnding clumn r cntent type is nt fund in destinatin. The crrespnding items are nt cpied t the destinatin. The jb reprt will shw items if the crrespnding clumn r cntent type is nt fund in the destinatin nde. 6. Security Select the Cpy security checkbx if yu want t cpy the user and/r grup permissins frm the surce nde t the destinatin nde, including SharePint permissin level and permissin inheritance f SharePint bjects. Additinally, select the Exclude user/grup withut permissin checkbx if yu want t exclude users and/r grups that have n permissins t the destinatin. *Nte: A user/grup withut permissin refers t a user/grup that exists in the surce nde, but des nt have any permissin. Yu cannt view this kind f user/grup in the Peple and Grups > SiteName Members page f a site, but yu can view it in the Peple and Grups > All Peple page. 18 in the URL f the Peple and Grups > SiteName Members page t MembershipGrupId=0, then yu are brught t the Peple and Grups > All Peple page. 7. Cntent Select the Cpy cntent checkbx if yu want t cpy cntent in libraries, flders, and items frm the surce nde t the destinatin nde. Additinally, select the Include list attachment if yu want t als cpy attached cntent in lists frm the surce nde t the destinatin nde. 8. User Prfile Select the Cpy user prfile checkbx if yu want t cpy user prfiles frm the surce nde t the destinatin nde. *Nte: This functin will nly take effect when the surce nde level is equal t r higher than the site cllectin level because users are saved in the tp-level site. 9. Wrkflw Select the Include wrkflw definitin checkbx t cpy the definitin f existing wrkflws fr the selected cntent frm the surce nde t the destinatin nde, and/r select the Include wrkflw instance t cpy the state, histry, and tasks f existing wrkflws fr the selected cntent frm the surce nde t the destinatin nde. By default, the Include cmpleted instance checkbx is selected t cpy the cmpleted instance frm the surce nde t the destinatin nde. Yu can select the Include running instance checkbx if yu want t cpy the currently running instance in the surce nde t the destinatin nde, and then select ne f the fllwing radi buttns: Cancel wrkflws Cancel the cpied r mved running wrkflw in the destinatin nde after the Cntent Manager jbs. Restart wrkflws Restart the cpied r mved running wrkflw in the destinatin nde after the Cntent Manger jbs. *Nte: Cntent Manager des nt supprt the wrkflw instances assciated with the checkedut files. 10. Managed Metadata Service Setting Select the Cpy Managed Metadata Service checkbx if yu want t cpy the related managed metadata services frm the surce nde t the destinatin nde, and then select ne f the fllwing radi buttns: Term Cpy terms that are used in the surce, their parent terms, the term sets where the used terms reside, and the names f the grups where the used terms reside t the destinatin. Term set Cpy the whle term sets where the used terms reside in the surce (regardless f whether r nt the terms in the term sets are used by the surce nde r nt) t the destinatin. Managed Metadata Service Cpy the whle Managed Metadata Services that are related t the surce nde t the destinatin. 11. Preserve the Null Clumn Values Select Yes t preserve the null values f item clumns (such as newly created clumns), r select N t replace null values with default values in the destinatin nde. 18

19 12. Flder Structure Management Chse whether r nt t cllapse the flder structure f the cpied r mved cntent. Select the Cllapse Flder Structure checkbx t enable this feature. Select the Add a clumn t display the surce flder name checkbx, and then enter a clumn name in the text bx t add a Single Line f Text clumn t display the surce flder name. 13. Data Cmpressin Select the Cmpressin checkbx if yu want t cmpress the data when it is cpied. If yu chse t cmpress the data, use the slider t select the cmpressin rate. Fastest cmpressin rate results in a larger data set. Best cmpressin rate results in a smaller, better quality data set, but the cmpressin takes mre time t perfrm. *Nte: Smaller data sets take lnger t backup and recver. 14. Data Encryptin Select the Encryptin checkbx if yu want t encrypt the data. Then select the default security prfile r a previusly cnfigured security prfile frm the drp-dwn list t prtect yur backup data using the security keys generated by the specified encryptin methd, r click New Security Prfile t create a new ne. Fr details n creating a security prfile, refer t the DcAve 6 Cntrl Panel Reference Guide. *Nte: Encrypted data takes lnger t backup and recver. 15. Clumn Mapping Maps surce clumns t the specified clumns in the destinatin, r change the clumn name t anther ne, accrding t the cnditin that yu set up. The specified surce clumns will be mapped accrding t the selected clumn type, and the clumn values will be mapped accrding t the added value mappings. Accrding t clumn type, the surce clumn and the destinatin clumn can be the same r different. The clumn can als be changed t Managed Metadata r Lkup. Select a clumn mapping yu previusly created frm the drp-dwn list, r click New Clumn Mapping frm the drp-dwn list. Fr infrmatin n creating a clumn mapping, see the DcAve 6 Cntrl Panel Reference Guide. *Nte: If yu select the clumn type Change t Lkup while setting up yur clumn mapping, make sure that the Lkup clumn can nly be assciated with the list r list clumn that exists in the destinatin. 16. Cntent Type Mapping Maps surce cntent types t the specified cntent types in the destinatin, r change the cntent type name t anther ne, accrding t the cnditin that yu set up. Select a cntent type mapping yu previusly created frm the drp-dwn list, r click New Cntent Type Mapping frm the drp-dwn list. Fr infrmatin n creating a cntent type mapping, see the DcAve 6 Cntrl Panel Reference Guide. *Nte: Make sure that the surce cntent type and the destinatin cntent type are the same. 17. Template Mapping Replaces site and list templates. By inputting r selecting a template ID, the surce template is changed t the destinatin template. Select a template mapping yu previusly created frm the drp-dwn list, r click New Template Mapping frm the drpdwn list. Fr infrmatin n creating a template mapping, see the DcAve 6 Cntrl Panel Reference Guide. 18. User Mapping Maps a surce user t a target user. If the same user has a different username in Dmain A than in Dmain B, r if yu want t cpy an individual user s cntent, permissins, and metadata in Dmain A t anther user in Dmain B, the user s permissins and metadata will nt be lst when cntent is mved. Select a user mapping yu previusly created frm the 19

Dmain Mapping Maps a surce dmain t a destinatin dmain. The destinatin dmain name will be replaced by the cnfigured surce dmain name, and the user in the surce dmain will be mapped t the destinatin user with the same lgin name. Select a dmain mapping yu previusly created frm the drp-dwn list, r click New Dmain Mapping frm the drp-dwn list. Language Mapping Displays the destinatin nde in a different language than surce nde after the plan has been executed. Select a language mapping yu previusly created frm the drp-dwn list, r click New Language Mapping frm the drp-dwn list. List Name Mapping Changes the existing surce lists f the cpied r mved bjects t yur designated lists in the destinatin. Select a list name mapping yu previusly created frm the drp-dwn list, r click New List Name Mapping frm the drp-dwn list. Backup Envirnment Befre Running Plan Select the Backup the destinatin envirnment checkbx if yu want t create a cpy f the destinatin nde prir t perfrming the cpy (allws yu t und the cpy). Overwrite the clumns and cntent types Overwrites the destinatin clumns and cntent types with the surce nde. Append the clumns and cntent types t destinatin Keeps the destinatin clumns and cntent types when there is a cnflict. In additin, cpy the surce clumns and cntent types t the destinatin nde with a numerical suffix added (fr example, ClumnName_1, ClumnName_2, etc.). Select D nt mve the item-dependent clumns r cntent types. Reprt the items if the crrespnding clumn r cntent type is nt fund in destinatin. The crrespnding items are nt mved t the destinatin. DcAve will reprt the items if the crrespnding clumn r cntent type is nt fund in the destinatin nde. 6. Security Select the Mve security checkbx t mve the user and/r grup permissins frm the surce nde t the destinatin nde, including SharePint permissin level and permissin inheritance f SharePint bjects. Select the Exclude user/grup withut permissin checkbx t nt cpy users and/r grups that have n permissins t the destinatin. The user/grup withut permissin refers t the user/grup that exists in the surce nde, but des nt have any permissin. Yu cannt view this kind f user/grup in the Peple and Grups > SiteName Members page f a site, but yu can view it in the Peple and Grups > All Peple page. Managed Metadata Service Cpy the whle Managed Metadata Services that are related t the surce nde t the destinatin. 11. Preserve the Null Clumn Values Select Yes t preserve the null values f item clumns (such as newly created clumns), r select N t replace null values with default values in the destinatin nde. 12. Flder Structure Management Chse whether r nt t cllapse the flder structure f the cpied r mved cntent. Select the Cllapse Flder Structure checkbx t enable this feature. Select the Add a clumn t display the surce flder name checkbx, and then enter a clumn name in the text bx t add a Single Line f Text clumn t display the surce flder name. 13. Data Cmpressin Select the Cmpressin checkbx if yu want t cmpress the data when it is mved. If yu chse t cmpress the data, use the slider t select the cmpressin rate. Fastest cmpressin rate results in a larger data set. Best cmpressin rate results in a smaller, better quality data set, but the cmpressin takes mre time t perfrm. 25
