1 Taming the Desktop Deploying effective virtual desktop environments in the organization Written by Dell cloud client-computing Abstract IT departments no longer have the luxury of simply managing a set of desktop PCs running the same version of Windows. Instead, they must manage and secure a wide range of devices and operating systems, including PCs and laptops running various versions of Windows or Linux, ios and Android tablets, and a variety of smartphones. This paper explores this management challenge and offers a solution: using desktop virtualization to balance IT control with user flexibility by moving control of the organization desktop back to the data center. Introduction Since the arrival of the desktop PC in the 1980s, organizations have been moving toward a distributed model of computing. Instead of running applications and holding data on centralized systems such as mainframes or minicomputers, enterprises now rely on the PC as the business workhorse. This distributed model has given organizations increased flexibility, and new applications have improved employee efficiency. However, managing the distributed environment has become significantly more complex. Instead of a fleet of PCs running the same version of Windows, organizations today rely on a wide variety of devices and operating systems, including PCs and laptops running various versions of Windows, as well as ios and Android tablets, Linux devices, and smartphones. In addition, more users require remote access to data and applications. Organizations need to control the resulting complexity and find effective ways to manage security and privacy for all supported devices and operating systems. This paper discusses these challenges and offers a solution: desktop virtualization.

2 In addition, some organizations would like to give their staff wider access to data or applications, but VPN remote access technology might not provide the security, compatibility and degree of centralized control that company policies require. The challenges of distributed computing today For the last 20 years, the trend in personal computing has been toward greater diversity in both hardware and operating systems. In addition to desktop PCs, there are laptops, netbooks, a growing range of specialized devices, and the emerging market of tablets. Several versions of Microsoft Windows are now in widespread business use, and there is a growing market for devices running Linux and other operating systems such as Apple s OS X, and ios. There are also tablets running the Android operating system, and tablets are being developed for Windows 8. Smartphones, with their own range of operating systems and browsers, are increasingly important to organizations, and it is likely that other devices, such as Internet-connected TVs, will also find their way into business use. Another complication is the growth of cloud computing. Until recently, data and applications primarily resided in two places: on the end-user s device (such as a PC or a USB thumb drive) or on a corporate server. Now, cloud computing offers another possibility: critical data and applications may be hosted by a third party but accessed by the user from almost any device, anywhere. This increasing diversity of devices and operating systems benefits organizations by enhancing the productivity of knowledge workers, who are able to choose the device they want for their task and location. For example, users may choose rugged PCs optimized for medical environments, or an intelligent TV in a hotel room or airport lounge. But it is becoming increasingly difficult for organizations to offer all users one single, stable version of their corporate desktop. Need for wider access to data and applications In addition, some organizations would like to give their staff wider access to data or applications, but VPN remote access technology might not provide the security, compatibility and degree of centralized control that company policies require. For this reason, they cannot allow access from outside the corporate network. Supporting multiple versions of Windows The need to move to newer versions of Microsoft Windows is forcing organizations to rethink their desktop IT infrastructure, particularly those using legacy or bespoke applications that run on earlier versions of the operating system. Now that new PCs are no longer available with Windows XP, and the operating system itself is approaching end of support, companies may find they need to support multiple versions of Windows on the desktop alone. Microsoft provides a number of ways to support older applications on newer computers, including its XP compatibility mode in Windows 7 and 8. Microsoft offers App-V for applications, or Windows XP Mode or MED-V for virtualizing the whole OS, with the latter two options based on its virtual PC technology. For many organizations, MED-V is the more suitable option because it offers better manageability and integration with the Windows 7 user interface. However, these solutions fall short of providing a seamless way to manage applications, because the end user ends up running two desktop operating systems. 2

3 Connecting legacy devices and applications Developments in computer technology continue to provide new and powerful applications for intuitive devices. These developments, however, can create islands of older or legacy applications that organizations still need, but are not easy or economical to transfer to new operating system environments. For most organizations, the problem can be split into two areas: running legacy applications developed prior to Windows Vista or Windows 7 on newer PCs, and extending the useful life of older PCs. Organizations face the cost and disruption of replacing fleets of older PC devices so they can run newer operating systems or run applications designed for newer platforms, such as the more recent versions of Windows. In the current economic climate, many businesses and public sector organizations may find it difficult to justify the hardware spending necessary to replace older PCs. Consequently, some will inevitably be forced to operate a mixed IT environment in which both older and newer PCs need to run both legacy and new applications. An answer: virtualization In order to solve the problems created by increasing IT complexity, organizations have turned to virtualization in both the data center and server room. But now, applying virtualization technology beyond the server room or data center to the desktop is emerging as one of the most practical ways to tame the growing diversity of computing devices and operating systems. Desktop virtualization enables organizations to maintain just a few corporate desktop images, or even a single image. Tasks such as applying software patches and upgrades are completed within the data center, which streamlines desktop and PC management and improves reliability and security. Desktop virtualization also breathes new life into older machines that cannot support the heavy demands of new operating systems such as Windows 7 and 8. Moving the processing load away from the PC and into the data center through virtualization can give those computers the look and feel of the new operating system without the need for upgrades or additional hardware. Implementation options Desktop virtualization can be implemented in various ways: users might work entirely in a virtualized desktop environment, or run some applications locally and others through virtualization. In highly secure environments, a virtual desktop can ensure that none of the data from a user s session remains on the PC after use. The user s entire desktop session can be brought into the data center and run on dedicated hardware, typically a server blade. Such environments are being used in areas such as aerospace, defense and finance, where users require workstation-class performance but the organization needs very high levels of security and control. In environments where security is less critical, organizations can select certain applications to run in the data center rather than on a local PC. Only sensitive applications might be virtualized; users may be able to run day-to-day productivity applications locally. A sandbox for sensitive applications can provide greater security and easier management, particularly in areas where it is important that no customer or other data remains on the client PC at the end of a session or task, or where a PC might be shared between users. Such nonpersistent desktops are being used in fields ranging from hotels and airlines to government and law enforcement. These developments, however, can create islands of older or legacy applications that organizations still need, but are not easy or economical to transfer to new operating system environments. 3

4 Because authentication takes place in the data center, users no longer need to log into several different applications using different passwords, and security is maintained. A number of organizations have also used virtualization to simplify authentication across multiple applications. However, the cost of SAN storage can be a consideration with centralized data center virtualization. One option is local desktop virtualization: the virtual desktop environment resides on the user s local PC or laptop. It promises lower costs because laptop hard disks are much cheaper than data center SAN, but without proper management tools it risks becoming just another environment to be supported. This is a new approach, with some promising solutions available, but deployment has been limited. Top 10 advantages of desktop virtualization Centralizes management of company desktops Uses a single desktop image Improves the security of non-company or remote PCs Enables the use of thin client or low-power devices Logically separates sensitive applications from other software Improves software license management and compliance Extends the use of older hardware Improves compatibility for applications with newer hardware Improves business continuity Provides user access to desktops from any suitable device Organizations are also using lightweight virtualization environments, such as Microsoft s Terminal Server/Remote Desktop Session Host (TS/RDSH), to provide remote access to applications such as , as well as to older applications and programs that run best on a server environment but still need to retain the local desktop look and feel. A blended approach The key to a successful virtual desktop deployment is to not rely on a single implementation of the technology. Rather, organizations that have rolled out virtual desktops at scale are finding that a combination of technologies provides the best mix of economy, performance, management, security and end-user experience. Some organizations may want to virtualize all their desktop environments. Most, however, will adopt a mix of local processing, virtual desktops and intermediate technologies. Local processing For some applications, the best platform is still the PC or workstation; these include tasks that are processor intensive or that need a dedicated graphics processor (GPU), special peripherals or a lot of IO. Although it is possible to consolidate the relevant machines and manage them through a centralized platform, running high-end workstations or IO-intensive applications under virtualization can mean that a small number of computers take up a disproportionate amount of processing capacity on the virtualization servers. Local/offline virtual desktop infrastructure (VDI) Some applications might require either lower latency or more bandwidth than the organization can buy for a wide area network (WAN) at a cost that it can justify. For instance, bandwidth and latency are often constraints for organizations that are in more remote areas or that have large numbers of branch offices. In those situations, it might not be feasible to virtualize all applications across the WAN. A less costly and easier approach can be a combination of locally run applications and local processing in a virtualized environment where just the data itself is stored centrally. 4

5 Terminal Server/Remote Desktop Session Host (TS/RDSH) For a lightweight approach to delivering applications to the desktop from the data center, organizations should consider TS/RDSH. This allows companies to continue using applications they have already bought, customized or developed, including on newer PCs, without the need to install those applications locally. This brings the advantages of centralized management, but with low technology and licensing overheads. Hosted VDI A virtual desktop environment provides the greatest degree of control and the most seamless user experience on the desktop. Although they can make significant demands on both servers and network connections, the latest generation of VDI tools can achieve loads of around 50 to 60 sessions on a six-core server, and cope with latency levels of 160ms in the network sufficient to allow sessions to be hosted over international connections or to run over commercial DSL lines. Bandwidth itself is less of an issue today than latency. Choosing the best mix for your organization The best mix of technologies will vary from organization to organization, based on the number of users and workloads. VDI, for example, is often the best option for knowledge workers who need a high degree of control over their applications and data. TS/RDSH can be the more economical option for task workers who do not need such a degree of control. A mix of full VDI and TS/RDSH usually gives the right balance in terms of cost and performance, since the number of TS/RDSH sessions per server can be 40 times that of a similarly configured machine using VDI. The higher ratio of users to servers for tools such as TS/RDSH also makes it a much more attractive option for applications that can operate within its limitations. To decide what mix of virtualization technologies is best for your organization, start by assessing your users needs, the applications they run, and the demands those applications place on their PCs. This will help you draw up a list of cases where virtualization could offer an advantage. The next step is to run a pilot project for desktop virtualization in order to obtain real-world data on workloads and usage. Your IT department will then be in the best position to design the right virtualized environment, with the right mix of tools, processing, and local and shared storage. Finally, remember to choose management tools that support a mixed approach to the virtualized desktop. Having to manage multiple technologies from multiple platforms will drive up costs and complexity. Conclusion Over the last few years, desktop virtualization has transformed from a niche application to a practical solution for improving the security, reliability, and consistency of organizational computing. The scale and scope of desktop virtualization has increased rapidly: production deployments of 25,000 seats are being reported as organizations see the benefit of more control and lower costs. As tight control over IT budgets continues, desktop virtualization provides an economical route to extend the life of both older PCs and older applications, while reducing many of the management burdens that come with operating mixed PC environments. This includes companies that are currently making the transition from legacy to current versions of Windows, those that need to support remote or mobile workers, and those exploring the organization s use of tablet devices. To decide what mix of virtualization technologies is best for your organization, start by assessing your users needs, the applications they run, and the demands those applications place on their PCs. This will help you draw up a list of cases where virtualization could offer an advantage. 5

6 Most organizations will achieve both a quicker deployment and a swifter return on investment by mixing desktop virtualization technologies and choosing a single tool to manage the infrastructure. However, it is rare that a single approach to desktop virtualization will provide the right combination of performance, enduser experience, manageability and costs. Although virtual desktop deployments can pay for themselves in reduced support costs alone, most organizations will achieve both a quicker deployment and a swifter return on investment by mixing desktop virtualization technologies and choosing a single tool to manage the infrastructure.
