If yu are a beginner, ITS have prduced a beginners guide t PwerPint, available frm Preparing images Befre inserting images int a PwerPint presentatin, yu need t make sure that they are the right size and in the right image frmat. Image size Ensure images are f a suitable size: fr full screen display the image shuld be apprximately 1024 x 768 pixels, with prprtinally smaller pixel dimensins if the image is nly t fill half r quarter f the screen. If yur images are much bigger than this, yu will be needlessly making yur PwerPint file size t big, as the screen will nly display 1024 x 768 pixels. Althugh images can be scaled dwn in PwerPint, the riginal full size image is still saved within the presentatin s yu dn't save disk space by resizing in PwerPint. If yur images are smaller than this, yu will have t accept that they will nt fill up a whle screen as making images larger will result in them becming pixelated and lsing quality. See 'Understanding Images' t find ut mre abut image sizes. Image frmat Ensure that yu are using JPEG images in yur presentatins: TIFF files are generally t large and will make the resulting verall file size f yur presentatin unmanageable. See 'Image Frmats' fr further infrmatin. Inserting images 1. Select a slide layut, either: Default layut - shwn when yu first pen PwerPint (there is n need t delete the placehlder bxes as they will nt shw up when yu run yur slide shw) Blank layut select the Blank layut frm the Slide Layut sectin f the Task Pane (pen the University f Reading 2008 Wednesday 23 July 2008 Page 1

2 Frmat menu frm the tlbar and select Slide Layut t pen this layut template windw). Cntent layut als in the Slide Layut sectin are templates that are designed t display ne r mre images (r ther multimedia cntent), with r withut text. The advantage f a cntent layut is that it will autmatically resize a picture t fit within it if the image is t large, saving yu the bther f manually resizing large images. 2. Insert an image there are several ways f ding this: Open the Insert menu, pint at Picture, click Frm File, and then navigate t the required image. The image will appear in the centre f yur slide. If using a preset template, click n the Insert Picture icn in the centre f the placehlder bx and navigate t the required image file. Cpy an image frm anther slide in the current presentatin, r frm anther presentatin. Simply use Cpy and Paste frm the Edit menu. Hwever, be careful abut reusing small images that yu intend t enlarge as they may nt have enugh pixels t give a gd quality image. It is als pssible t cut and paste r drag an image frm the Internet directly int yur presentatin. Hwever, if yu are wrking n a Mac, dn t drag images straight frm the Internet. Yu shuld save images t yur hard drive, and then use Insert, Picture frm the menu bar, r yu may find that yur pictures wn t display when yu run a slide shw. Tip: If yu find that yur inserted image appears much smaller than yu were expecting, it is because PwerPint has used embedded image reslutin infrmatin t determine its display size. When such an image is inserted int PwerPint, it will be displayed accrding t this setting, and may therefre appear smaller than anticipated. If yu knw the pixel size f the image, it is easy t wrk ut rughly hw large it can be displayed withut lsing image quality, but as a general rule, if an image lks satisfactry at 100% size n yur cmputer screen, it will lk fine when prjected. Inserting multiple images If yu have a number f images that yu want t insert int PwerPint (ne image per slide), yu can d this easily using Micrsft Office Picture Manager, a prgram that cmes free with Micrsft Office 2003 and later. (Find it by clicking n the Start menu, pinting yur cursr at All Prgrams, then at Micrsft Office, Micrsft Office Tls, and finally, select Micrsft Office Picture Manager.) 1. Open Picture Manager and select the images that yu want t insert int PwerPint, using the Shift r Cntrl key t select multiple images. 2. On the File menu, pint t Send T and select Micrsft Office frm the menu (r use the Send pictures t Micrsft Office shrtcut twards the bttm f the Getting Started Task Pane). 3. In the Send Pictures dialgue bx, chse whether yu want t insert the images int a presentatin that is already pen r a new ne, and then click Send. By default, yur images will be resized t fit within a screen f 1024 x 768 pixels, but yu can chse ther sizes by clicking n Optins befre cnfirming yur chice. 4. Yur ppulated presentatin will pen. 3 the right rder, yu can use the Slide Srter view in PwerPint t mve individual slides arund. 5. Text can then be added t slides in the usual way. Later versins f PwerPint have a Pht Album ptin n the Insert Picture menu fr the creatin f presentatins. Hwever, this methd is mre suited t making a quick slide shw frm a set f hliday phts than fr using t create a lecture presentatin because it has sme disadvantages, such as: images can t be crpped nce they have been inserted any text added t the slides will be lst if yu later imprt further images using this methd. Psitining images T mve an image, click n it t select it (white dts, r resizing handles will appear arund its edges), and place yur cursr ver the picture. The cursr will turn int a fur headed arrw and yu can drag the image t where yu want it. Yu can als use the arrw keys n yur keybard t mve an image arund the slide. Tip: If yur inserted image is t large fr the layut screen and yu can t see the resizing handles withut having t scrll up and dwn, yu can zm ut (by using the buttn n the Standard tlbar (see picture), r select Zm frm the View menu) s that yu can see the whle image and can resize it mre easily. Resizing images T reduce the size f yur image, click n ne f the resizing handles at the crner f the image and drag it twards the centre: using the crner handles will reduce the image s size whilst still maintaining its aspect rati, but dn t use the handles at the sides f an image r yu will distrt it by squashing it. Use crner handles t resize a picture while maintaining its aspect rati. The effects f using the side handles T make an image larger, drag ne f the resizing handles at the crner f the image utwards. Again, dn t use the side handles r yu will distrt the image by stretching it. Hwever, make sure that yu dn t make it larger than the number f pixels it cntains if the image starts t lse visual quality, yu have made it t big. Knwing the pixel dimensins f yur image can help yu t wrk ut hw large yu can make it, but as a general rule, as lng as the image lks gd n yur cmputer screen when displayed at 100% (select Zm frm the View menu), it shuld lk fine when prjected. 4 Crpping images If yu want t shw a detail f ne f yur images, yu can d this using the crpping tl frm the Picture tlbar. Tip: The Picture tlbar is usually visible if a picture is selected: if nt, yu can make it visible by selecting it frm the Tlbar sectin f the View menu. 1. Click n the image yu wish t crp. 2. Click n the Crp icn n the Picture tlbar. Thick black bars will appear arund the crners and at the side f the image. 3. Pint yur cursr at ne f these bars it will change t a black line and yu can then click and drag the bar t the right place. 4. Cntinue ding this until yu have yur final image as lng as yu dn t click utside the image, yu will remain in crpping mde. Hwever, if yu click utside the image, simply click n image again and select Crp frm the tlbar t get back int crpping mde. Image adjustments Yu can als make sme ther basic editing adjustments t an image by using the Picture tlbar. Insert picture Clur Cntrast Brightness Rtate Brder style Reset picture Cmpress picture Frm here yu can make adjustments t the clur, cntrast and brightness f an image, crp it t make it smaller, rtate it, and add a brder. Yu can als reset the picture back t its riginal size by clicking the icn at the right hand end f the tlbar useful if yu change yur mind abut crpping an image. If yu need t make a lt f adjustments t an image, it may be better t use an image editing package instead. Details abut suitable sftware are given in Editing Images. 5 Reducing PwerPint file sizes Putting images int a PwerPint presentatin can ften make it very large, but there are several ways t ensure that it isn t any bigger than it needs t be while still maintaining gd quality images. Ensure that yur images are in JPEG r GIF frmat (see sectin n Image Frmats ). Make sure that yur images d nt have mre pixels that yu need (see sectin n Understanding Digital Images ). If yu have dne a lt f image resizing within PwerPint, yu can use the Cmpress Pictures facility t reduce their reslutin (unfrtunately, this ptin is nt available t Mac users). If yu chse the right ptins, yu can d this withut affecting the picture quality: 1. Click n an image t select it 2. Chse Cmpress Pictures frm the Picture tlbar 3. Enter the fllwing ptins in the dialgue bx: Apply t: All pictures in dcument Change reslutin: Web/Screen Optins: un-tick Cmpress pictures and Delete crpped areas f pictures. Tip: any areas f a picture that yu crp in PwerPint are hidden rather than deleted, in case yu want t un-crp them again. This makes yur file size larger than is necessary, but yu can delete this unwanted data permanently by ticking 'Delete crpped areas f pictures'. Hwever, this will mean that yu can't restre the image t its full size later. Images can als be cmpressed using the Cmpress pictures ptin in this dialgue bx, but this will reduce their quality and may nt give acceptable results. Images used mre than nce in PwerPint d nt add t the file size, s there is nthing t be gained by deleting duplicate pictures. Occasinally, when putting tgether a presentatin, an image r ther bject gets mved ff the visible area f yur screen and althugh it wn t appear in yur slide shw, it will be taking up memry. Set the Zm ptin n the View menu t the smallest figure (25 r 33%) and lk thrugh yur presentatin t ensure that are n hidden images.
