5 SOME KIND OF BANNER 1 GETTIING STARTED CHAPTER 1 IINTRODUCTIION The Georgia Virtual Technical College Learning Object Repository (GVTC LOR) is available for educators of Georgia s technical colleges. 6 Getting Started Using the Learning Object Repository WHAT IIS THE GVTC LEARNIING OBJECT REPOSIITORY? The Georgia Virtual Technical College Learning Object Repository (GVTC LOR) is an initiative of Georgia Virtual Technical College to create a sharing community of reusable electronic learning resources. The GVTC LOR is a free and open resource. The GVTC LOR is also a community of educators who are involved in technical adult education. Community members may become contributors to help the GVTC LOR grow by contributing learning objects. The A sharing community of reusable electronic learning resources learning objects are then available for the GVTC LOR community s use. GVTC is an initiative of the Georgia Department of Technical and Adult Education (DTAE). Georgia Virtual Technical College went online in the fall of 1998 and brings together the resources of thirtyfour accredited technical colleges to expand program offerings and to give students more technical educational options than ever before. GVTC has opened a world of opportunities and rewards for students seeking an alternative to the traditional classroom experience. The GVTC LOR is one of many innovations that GVTC continues to provide for students and educators. WHAT IIS A LEARNIING OBJECT? A learning object is a small, self contained, and reusable piece of electronic instruction. Within the GVTC LOR, the object may be a simple diagram or a complex simulation. Regardless of form, the learning object is based on a clear instructional strategy that provides the student with an opportunity to learn an independent concept, procedure or choke point. Viewed as fundamental building blocks, learning objects can be grouped to create larger course structures DTAE Georgia Virtual Technical College
7 Using the Learning Object Repository Getting Started Choke points are concepts or procedures within a subject area that are known to cause difficulties for learners. Choke points are frequently the primary objective for a learning object. GVTC LOR community members, who have a unique way of overcoming a particular learning object, are encouraged to share their knowledge by designing a reusable learning object to help learners to get past that choke point. USIING THE GVTC--LOR WEBSIITE This section will familiarize you with the GVTC LOR website and contains a brief description of each web page within the GVTC LOR website. If viewing this document online, you may click on the underlined headings to go to that section within this document. HOME The Home page is the base for the GVTC LOR. You may access it by the following URL. The Home page displays a basic title search, a list of recent additions, and the featured learning object. BROWSE The Browse page allows you to look for existing learning objects within the GVTC LOR community. ADVANCED SEARCH The Advanced Search page allows you to perform a detailed search for specific items. You have many search options available, such as Keyword, Author, Subject Area, Format, and Resource Type. BUILD YOUR OWN The Build Your Own page supplies you with the resources to add, create, and track your learning objects. In addition, you may also submit a proposal for a learning object to be created by the GVTC team. You must log in before you can see the available tools. The latest copy of this User Guide is available from this page. ABOUT US The About Us page displays the GVTC LOR purpose as well as links to other web pages, such as GVTC, the Georgia Department of Technical and Adult Education, and the State of Georgia. CONTACT INFO The Contact Info page displays the information required to contact support from GVTC. Included on this page are the address, phone number, and e mail addresses. ADMIN The Admin page allows GVTC LOR members with administrative permission to review, approve, and return learning objects submitted by contributors DTAE Georgia Virtual Technical College
9 Using the Learning Object Repository Getting Started REGIISTERIING AND LOGGIING--IIN REGISTERING In order to become a GVTC LOR contributor or administrator, you must first register. Follow the directions below to register. You may begin registering by clicking on one of the following three links: A) the Home page, B) the Build Your Own page, or C) the Admin page. 1. To access registration from the Home page: click on Login, which is located in the top banner of the web page (see A of figure 1.1). To access registration through the Build Your Own page, click on the build your own tab, which is located on the top banner of the Home webpage (See B of figure 1.1). To access registration through the Admin page, click on the admin tab, which is located on the far right of the top banner (see C of figure 1.1). Click on Register in the If you are a new user, Register here statement located under the login fields as seen in figure 1.2. The Registration page displays (see figure 1.3). Fig Registration page 3. Using table 1.1 as a reference, complete the registration fields. You can move from field to field by either clicking in the field with your mouse cursor, or pressing the [Tab] button on your keyboard. 11 Using the Learning Object Repository Getting Started Table 1.1 Field Description First Name* Last Name* ID* Type your first name. Type your last (family) name. Type in your complete address. This is how the GVTC-LOR will contact you. This will also be your login ID. Example: Password* Type an alphanumeric password 6-12 characters long. Retype Password* College/Institution* Re-type the same password. If you do not type the password exactly as you typed it before, you will not be able to register Select your college or institution from the drop-down box. If you college or institution isn t listed, see the section, Adding your College, in this chapter. Are You* Select Contributor or Administrator from the drop-down box. You must wait for approval from GVTC until your account is activated. You will receive an notification. 4. When you have entered all of the required data, click on the Sign Up button to complete the registration. Clicking Reset will erase all data from the fields. NOTE: If any of the required fields are blank, you will receive a warning box indicating which field needs to be completed. Enter the correct information in the field and click on the Sign Up button. Save your ID and password in a safe location for future reference. 13 Using the Learning Object Repository Getting Started ADDING YOUR COLLEGE / INSTITUTION If your college is not listed in the College/Institution drop down box, you may add your college by performing the following steps. The college that you have added must first be approved by the LOR SuperAdmin to be included in the list for all users. If you have successfully completed registration, you do not need to complete this section. 1. From the registration page, click on the here in the statement, Click here to submit for inclusion in our list as shown in figure 1.4. Type the name of the college or institution in the College* field. 3. Click Add. The window closes and the college that you added displays in the College/Institution field. 4. 15 Using the Learning Object Repository Getting Started LOGGING-IN AS A CONTRIBUTOR After you have completed the steps for registering, or if you are a returning user, you may log in to the GVTC LOR. Perform the following steps to log in. 1. If you have finished the steps for registration and you have received your e mail confirmation, then you may log in to the GVTC LOR. 2. To log in from the Home page: click on Login, which is located in the top banner of the web page (see A of figure 1.6.). To Login through the Build Your Own page, click on the build your own tab, which is located on the top banner of the Home webpage (see B of figure 1.6.). When you have clicked either the Login button or the build your own tab, the Build Your Own page s login page displays as shown in figure 1.7. 17 Using the Learning Object Repository Getting Started LOGGING IN AS AN ADMINISTRATOR After you have completed registration and you have received an e mail notification indicating that your account has been activated, you may log in to the GVTC LOR as an administrator. Perform the following steps to log in. 1. To login as an administrator from the Home page: click on the admin tab, which is located in the top banner of the web page (see figure 1.9). 19 Using the Learning Object Repository Getting Started CHANGIING YOUR PASSWORD The Change Password feature is available in the event that you require a password change. In order to change your password, you must be logged in to the GVTC LOR website. Follow the directions below to change your GVTC LOR password. 1. Click on Change Password, which is located in the top banner of any GVTC LOR webpage (see figure 1. 12). Type your new password in the New Password field. 4. Re Type your new password in the Confirm Password field. Georgia Virtual Technical College 2004 DTAE 1-15
20 Getting Started Using the Learning Object Repository 5. Click the Change button to activate the changed password. The page displays a confirmation statement that your password has been changed. 6. Save your new password in a safe location for future reference. 7. 21 Using the Learning Object Repository Getting Started TROUBLESHOOTIING LOGIIN RETRIEVING FORGOTTEN PASSWORD If you receive an error when logging in to the Contributor or Administrator page, follow the steps below to retrieve your forgotten password. NOTE: You must know your ID as your password will be e mailed to you. 1. To retrieve your password, click on the here in the phrase Please click here to try again (see figure 1. 15). Type your ID (i.e., in the ID field and click Submit. A window displays stating that your password has been e mailed to you. NOTE: It may take several minutes to receive your password. 5. Using your e mail software, open the e mail with the subject: Your login information as requested. 6. Save your password and log in information in a safe location for future reference. 7. 23 SOME KIND OF BANNER 2 USIING EXIISTIING LEARNIING OBJECTS CHAPTER 2 IINTRODUCTIION Through the GVTC, you may use other contributors learning objects and link the learning objects to your course. TOPICS This chapter contains the information needed to use learning objects that have already been created by contributors for the GVTC LOR. The following topics are covered in this chapter. 24 Using Existing Learning Objects Using the Learning Object Repository BROWSIING FOR AN OBJECT Follow the directions below to browse and view learning objects. 1. From the GVTC LOR Home page: click on the browse objects tab, which is located on the top banner of the Home webpage (see figure 2.1). Found Objects panel Browse Objects tree Fig Browse Object page The Browse Object page is divided into two sections and is described in table 2.1. Table 2.1. Browse Objects page descriptions Section Browse Object tree Description The Browse Object tree is organized by Primary Subject Area and Secondary Subject Area. You can view the Secondary Subject Area by clicking on the + next to the subject title. Following the Primary and Secondary Subject Areas titles are numbers within parentheses, which indicate the number of learning objects within that subject. Found Objects panel The Found Objects panel will display the objects found within a Primary or Secondary Subject Area. The learning objects will not display until you click on the subject title. NOTE: When you first open the Georgia Virtual Technical College 2004 DTAE 2-3
26 Using Existing Learning Objects Using the Learning Object Repository Section Description Browse Objects page, this panel will be blank as seen in figure Click on the + next to the Subject title to expand the Primary Subject Area and list the Secondary Subject Areas. 3. Click on the underlined Object Title to view the learning object (i.e., PowerPoint Tip #1). The learning object displays in a separate web browser. NOTE: Depending on the file size of the learning object and your network/computer capability, it may take several minutes to download a learning object. 5. 27 Using the Learning Object Repository Using Existing Learning Objects USIING ADVANCED SEARCH Follow the directions below to use the GVTC LOR Advanced Search features. 1. From the GVTC LOR Home page: click on the A) advanced search tab, which is located on the top banner of the Home webpage, or click on B) the Advanced search link (see figure 2.4). You can click your mouse cursor to move from field to field, or you can press the [Tab] key on your keyboard. 29 Using the Learning Object Repository Using Existing Learning Objects Table 2.2. Advanced Search field descriptions. Field Description Title To perform a title search, enter any part of the title. For instance, if the learning object s title is PowerPoint Tip #1, you can enter PowerPoint, Tip, #, Power, Point, or 1. However, be as specific as possible to return the fewest number of learning objects. Description Search Keywords Enter keywords in the description field in order to search for learning objects by their descriptions. Enter Search Keywords to find a learning object. The keywords search looks for words within the learning object s title, and description. For instance, if the learning object s title is PowerPoint Tip #1, you can enter PowerPoint, Tip, #, Power, Point, or 1. However, be as specific as possible to return the fewest number of learning objects. Primary Subject Area Secondary Subject Area Select the Primary Subject Area from the drop-down box. Select the Secondary Subject Area form the drop-down NOTE: You must first select a Primary Subject Area in order for this drop-down box to become populated. Author Technical Format Learning Resource Type Enter the name of the Author for whom you are searching. Select the Technical Format from the drop-down box. Examples of technical format include text, video, Flash, etc. Select the Learning Resource Type from the dropdown box. The returned items will display on your web browser as shown in figure 2.6. Fig Advanced Search page learning objects found 4. Click on the Object Title to view the learning object. The learning object displays in your web browser. NOTE: Depending on the file size of the learning object and your network/computer capability, it may take several minutes to view a learning object. 5. 31 Using the Learning Object Repository Using Existing Learning Objects SAVIING A LEARNIING OBJECT TO YOUR PC You may save a learning object to your PC from the Browse Objects page or the Advanced Search page once you have found learning objects. NOTE: Not all file types will be able to display outside of the web browser. Follow the directions below to save a learning object to your PC. 1. Right click on the Object Title of the learning object that you wish to save to your PC. A pop up menu displays as shown in figure 2.7. Fig Pop-up menu NOTE: The pop up menu displayed in this document is the Windows XP version pop up menu. 32 Using Existing Learning Objects Using the Learning Object Repository 2. Select Save Target As from the pop up menu. The Save As dialog box displays as shown in figure 2.8. Fig Save As dialog box 3. Navigate to the file location where you wish to save the learning object and click Save. When the download is complete, the following window displays. 33 Using the Learning Object Repository Using Existing Learning Objects 4. To view the learning object, click on the Open button. To close the Download Complete dialog box, click Close. LIINKIING THE LEARNIING OBJECT TO YOUR COURSE Learning objects that are used within your courses should be linked to the GVTC LOR. Linking the item saves essential file space on the Blackboard server. Follow the directions below to link a learning object to your course. 1. Once you have found a learning object, either through browse or advanced search, right click on the Object Title of the learning object that you wish to link to your Blackboard course. A pop up menu displays as shown in figure Fig Copy shortcut 2. Select Copy Shortcut from the pop up menu. 3. In the web browser, navigate to the Blackboard website: The Blackboard website displays. 4. Click Login. The Blackboard Login page displays. Georgia Virtual Technical College 2004 DTAE 2-11
34 Using Existing Learning Objects Using the Learning Object Repository 5. Enter your USERNAME and PASSWORD in the appropriate fields. 6. Click Login. Your GVTC Blackboard page displays. 7. Click on the Control Panel, which is located on the lower lefthand side of your web browser as shown in figure Fig Blackboard control panel referencing content area 9. Click on External Link from the Add menu bar as shown in figure The Add External Link page displays as shown in figure Fig Add External Link page 11. Type in the Name of the link. 12. 36 Using Existing Learning Objects Using the Learning Object Repository 13. Press [CTRL] + [V] on your keyboard. The URL address from the learning object displays in the URL field. 14. Type a description in the description field and scroll down to step 3 on the Blackboard website as seen in figure Fig Add External Link options 15. Ensure that the following items are set to YES (see figure 2.15). Do you want to make the External Link visible? Launch item in external window. The other settings are optional. 16. Proper citations add credibility to the on line course. In addition, others may use your works cited as a reference for further learning. If using another s learning object in your course, you should include the following information in your citation. 40 Creating your Own Learning Objects Using the Learning Object Repository USIING THE GVTC--LOR FOR PRIIVATE USE The GVTC LOR may be used as a holding place for your personal learning objects. However, GVTC strongly encourages all GVTC LOR contributors to share their learning objects with the community. To use the GVTC LOR as a holding place for your personal learning objects, see the section entitled, Uploading an Existing Learning Object. (You can click on the underlined link to go directly to that section.) PUBLIISHIING PUBLIIC LEARNIING OBJECTS GVTC strongly encourages all GVTC LOR contributors to publish their learning objects for all GVTC LOR community members. The GVTC LOR is a community of educators who are involved in technical adult education. Community members may become contributors to help the GVTC LOR grow by contributing learning objects. The greater number learning objects that get contributed, the stronger the GVTC LOR community becomes. UNDERSTANDING THE GVTC-LOR PUBLICATION PROCESS GVTC has a process by which your learning objects are published on the GVTC LOR website. Follow this process to publish your learning objects. (You can click on the underlined link to go directly to that section.) 1. Create a Contributor Account. 2. Upload the learning object to the GVTC LOR. 3. Track the learning object and Send it for approval. 4. The learning object goes to the GVTC SuperAdmin who then forwards the learning object link to the appropriate Subject Matter Experts (SMEs) for review DTAE Georgia Virtual Technical College
41 Using the Learning Object Repository Creating your Own Learning Objects 5. The SMEs review the learning object for Usability, Accuracy, Appeal, and Quality Assurance. 6. If the learning object meets the SMEs standards, it is approved and notification is sent to the GVTC SuperAdmin. The SuperAdmin publishes the learning object to the GVTC LOR website. 7. If the learning object does not meet the SMEs standards, it is returned to you for corrections. The return notice is placed in your Tracked Objects page and you may read the comments to determine why the object had been returned. Make changes to the Learning Object based on the SMEs reviews. 42 Creating your Own Learning Objects Using the Learning Object Repository USIING THE GVTC--LOR LEARNIING OBJECT TEMPLATES The GVTC LOR has Flash templates available for you to create your own learning objects. Please keep in mind that the learning object should include the following guidelines. Only one learning topic or objective Title page with your name and contact information Objectives page Activity or interaction for the user (e.g., link to quiz, written exercise, asynchronous chat) Credits page so that others may see your sources For more information regarding the requirements for learning objects, see Appendix A. CREATING A LEARNING OBJECT FROM A TEMPLATE Follow the instructions below to use the GVTC LOR templates. 1. From the Home page: click on the build your own tab. If you haven t already logged in to this session, the log in window displays. 2. Log in using your ID and password. Using table 3.1 as a reference, enter in the information required to complete the title page. Table 3.1. Template field and button descriptions Field / Button Enter the Title Enter the Page Title Enter the Content Add Picture Description The title will display on each page of the learning object as seen in A of figure 3.2. The page title is a subtitle that will display on each page of the learning object as seen in B of figure 3.2. Enter the content that will display on the page. The title page should include author s name, the date that the learning object was created, or a description of the learning object Click on the Add Picture button to add a JPEG format picture. The picture will display as seen in C of DTAE Georgia Virtual Technical College

Del Picture Add Page Del Page Save Save & Quit Click on the Del Picture button to remove any picture that has been added to the current page. Click on the Add Page button to add a new page to the learning object. Click on the Del Page button to delete the page that you are currently viewing. Click the Save button to save your learning object. Click Save & Quit to save your learning object and exit from the application. If you need to, you can save your learning object and return later to make changes. See Editing Your Flash Template section of this chapter. Quit Home Click Quit to exit from the learning object without saving your changes. Click Home to return to the title page in the learning object. 5. Once you have completed the title page, click on Add Page to add a new page to the learning object. The page template displays (see figure 3.3). Georgia Virtual Technical College 2004 DTAE 3-7

Once you have completed all of the pages for your learning object, click Save & Quit. An information box displays asking if you would like to add your learning object to the repository. 8. Click OK to add the learning object. NOTE: If you click Cancel, the learning object will not be added to the repository and you will lose your work. Upon click OK, the learning object s properties page displays. 9. Using table 3.2 below as a reference, complete the fields according to your specifications. Enter a complete description of the learning object s purpose and the objective the learning object will help the learners accomplish. Enter search keywords to help GVTC-LOR users find your learning object during Advanced Search. Use a comma between search keywords. Primary Subject Area Secondary Subject Area Technical Format Learning Resource Type Select the Primary Subject Area of the learning object from the dropdown list. Select the Secondary Subject Area of the learning object from the dropdown list. Select Flash from the Technical Format drop-down list. Select the Learning Resource Type of the learning object from the dropdown list. 10. Once you have completed the information, click Update to add your learning object to the GVTC LOR. EDITING YOUR FLASH TEMPLATE After you have created your own learning object from the templates available on the GVTC LOR website, you can edit the Flash to make changes. Follow the instructions below to edit your Flash learning object. 1. From the Build Your Own page, click on the Track Your Objects link as seen in figure 3.5. To open and edit your learning object, click on the Tracking ID of the Learning Object that you created using the GVTC LOR Flash template as shown in figure 3.7. 51 Using the Learning Object Repository Creating your Own Learning Objects SUBMIITTIING A LEARNIING OBJECT PROPOSAL The Learning Object proposal page is a storyboarding tool for learning objects to be created by the staff at GVTC. Once you submit a Learning Object idea, the GVTC staff will evaluate the storyboard that you create and contact you for further information. Before you use this tool, you should have completed the needs analysis and the design phases. For more information regarding the needs analysis and design phases of instruction, see Appendix A. (You may click on the underlined link to go directly to that section.) 1. From the Home page: click on the build your own tab. If you haven t already logged in to this session, the log in window displays. 2. Log in using your ID and password. The Build Your Own page displays as shown in figure 3.9. Using table 3.3 below as a reference, complete the fields according to your specifications. You can use your mouse cursor to move from field to field, or you can press the [Tab] key on your keyboard. Enter a complete description of the learning object s purpose and the objective the learning object will help your learners accomplish. Enter a description of the screen. Include the following information. What will the screen look like? What actions will be performed by the user or automatically? Text to be shown to the User File 1 (2, 3) Enter the text that the user will view on the screen. Click the Browse button to load a file for the developers. You can input up to 3 files. 7. To add more storyboard screens, click on the Add Screen button and follow the directions above to complete the fields. 8. To save your proposal and exit the proposal form, click Save & Exit. An information box displays stating that your object was successfully submitted (see figure 3.11). 55 Using the Learning Object Repository Creating your Own Learning Objects UPLOADIING AN EXIISTIING LEARNIING OBJECT If you have created your own learning objects without the use of the GVTC LOR Flash templates, you will need to upload them onto the GVTC LOR website. Follow the instructions below to upload your learning object to the GVTC LOR website. 1. From the Home page: click on the build your own tab. If you haven t already logged in to this session, the log in window displays. 2. Log in using your ID and password. You can use your mouse cursor to move from field to field, or you can press the [Tab] key on your keyboard. Table 3.5. Learning object field descriptions. Field Description Title Description Author Enter the Title of the learning object that you are uploading. Enter a Description of the learning object. Be as specific as possible as this will be a feature used for searching. Enter the name of the Author or Authors. Use and between the Authors names. Example: Jane Smith and Tom Jones. Search Keywords Enter Search Keywords to help GVTC-LOR users find your learning object during Advanced Search. Use a comma between the keywords. Primary Subject Area Secondary Subject Area Select the Primary Subject Area from the drop-down box. Select the Secondary Subject Area form the drop-down If you don t see an appropriate Secondary Subject Area, you may click on here in the phrase, Click here to submit for inclusion in our list. NOTE: You must first select a Primary Subject Area in order for this drop-down box to become populated. Technical Format Select the Technical Format from the drop-down box. Examples of resource type include questionnaire, exercise, simulation, etc. 5. Once you have entered the appropriate information, click the Submit button. 6. 58 Creating your Own Learning Objects Using the Learning Object Repository TRACKIING YOUR LEARNIING OBJECTS After you have created, submitted for proposal, or uploaded your learning objects to the GVTC LOR, you can use the Tracking page to track your learning objects. Follow the directions below to access the Tracking page. 1. From the Home page: click on the build your own tab. If you haven t already logged in to this session, the log in window displays. 2. Click on the title, Track Your Objects as shown in figure The Track Your Objects window displays as shown in figure Fig TrackYour Objects page 4. NOTE: Once your learning object has been published, you cannot modify its properties. Follow the directions below to modify an unpublished learning object. 1. NOTE: You can only delete learning objects that are not published. 1. Click OK to delete the object, or click Cancel if you do not wish to delete the object. A page displays stating that the learning object has been successfully deleted. The approval process consists of peer reviews and quality assurance reviews. To understand the approval process, go to the section, Understanding the GVTC-LOR Publication Process, located at the front of this chapter. (You can click on the underlined link to go directly to that section.) 1. Click the Send for Approval button. An information box displays confirming that you wish to send the learning object for approval. 4. Click OK to send the learning object, or click Cancel to return to the Send objects for approval page. Upon clicking OK, a confirmation page displays (see figure 3.28).
