2 Overview Interior Health (IH) provides the Secure Data File Upload Portal (Portal) to enable the upload of a file over a secure connection ( from an external site to the IH internal network. The Portal is a secure site to protect personal information about clients. The Portal is accessed via the WEB. A login username and password is required in order to access the Portal. The file is transferred from the user site s PC or network to a folder on the IH network. The file is later processed by IH for the Ministry of Health reporting. User Setup New User Setup A site-specific login user name and password will be provided to you during the rollout. Your site administrator will have provided a four digit personal ID that is required when requesting changes to the login such as re-setting the password. If you require initial user setup then please contact the IH Service Desk at to initiate the New User Setup process for the Secure Data File Upload Portal. Your site administrator will be contacted to complete access forms and provide a four digit personal ID. User Name The site is assigned a specific login user name for the Portal. It is in the form of Health Service Area code + Ministry assigned Provider Number (e.g. OK12345). Password Maintenance The following scenarios may occur that require password maintenance. 1) Site Administrator requires password change to maintain security. 2) Site Administrator wants to choose a different personal password. 3) Site Administrator forgets the password and requires a new password. For password maintenance the Site Administrator must contact the IH Service Desk at and provide their Portal login user name and four-digit Personal ID. Password Maintenance in Keeping with Best Practice The password is case sensitive. The password must have at least 6 characters with mixed case letters and numbers. 3 Accessing and Sign In Access Access to the Portal is from the Internet with any supported browser (see screen shot below). To launch your browser and go to the Portal landing page hold down the <Ctrl> Key and then click on the following hyperlink If the above hyperlink fails, then enter (or use copy/paste) into the browser address and press <Enter>. Supported Browsers: Interior Health only supports the Microsoft Windows Internet Explorer browser (i.e. Version 6 and up). Users may experience issues with unsupported browsers (i.e. Firefox or Safari). Once presented with the Landing Page shown below, you can select to Login or use Need Help to view the documentation by clicking on the appropriate link on the web page. 4 To proceed to the login page, click the Login to Secure Data File Upload Portal or click the monitor Icon. You may want to save/bookmark the Portal to your Favorites for easier recall later. Do this after you have been presented with the Login page as follows: 1) Click on Favorites tab (top left hand corner of browser screen) 2) Click on Add to Favorites 3) Change the Name to Portal or something else that makes sense to you 4) Click the <OK> button 5) The next time you want to access the Portal from your browser just click on Favorites tab and then click on the entry for the Portal in the list of your Favorites. Sign In Upon accessing the Portal you are presented with the Login page (see screen shot below), you must: Enter your Portal specific Username. Then press <Tab> key (or click in the Password: box) and enter your password. Then press the <Enter> key (or click the Sign In button) to gain access. Please note that the password is case sensitive. 5 File Upload File Types The Portal Upload will interrogate the file to determine if it meets the following requirements: 1) The file must be an Excel spreadsheet with extension of.xls or.xlsx. You will be given a message if this check fails and the file will not be uploaded. You must provide a valid Excel file spreadsheet with the proper extension. 2) The file must not exceed the maximum size of 512 KB. You will be given a message if this check fails, and the file will not be uploaded. If this occurs please verify the file contains the data for this submission only, if so contact the IH Service Desk at for assistance. 3) The spreadsheet must match one of the known spreadsheet templates. If not you will be given a message and provided a file name to reference. The file will be uploaded but placed in an unknown format folder, so an analyst can assist in determining what is wrong. If you can t identify and correct the issue then call the IH Service Desk at for further assistance. Please reference the file name displayed in message. Upload Upon successful sign in you are presented with the Upload page (see screen shot below). Click on the Browse button to open the choose File dialog box and locate the file you wish to upload. You can browse your PC or network to find the file, select the file (click on file name to highlight) and then press the <Return> key (or click on Open button). You will then be returned to the Upload page with the File Name populated and ready to upload. Press the <Return> key (or click the Upload button) to begin the file transmission. A message indicating the file was uploaded successfully or an issue occurred will be displayed. If you receive an upload Error message, please review the File Types section above for further assistance. If you wish to upload another file, click the Browse button to continue with another file upload. If you have finished uploading your file(s), click the Sign Out button (top right of the Upload page). You will then be returned to the Login page and can close the browser if you wish. 6 Sign Out Click the Sign Out button (top right of the Upload page). You will then be returned to the Login page and you can close the browser if you wish. Session Time Out For security reasons your session will automatically time out after approximately 15 minutes of inactivity. The next keystroke made after this will force the Upload page to close and you will be returned to the Login page. You will need to re-enter your login information to proceed.
