6 Magazines and Memories Photo Keepsakes For the third year in a row, whether ordering online at the QSP/Nut Online Program or in person via the order form, friends and family can order photo keepsakes in the form of photo books, cards, posters, calendars and more! Just like placing a magazine order online or on the order form, friends and family simply order a certificate for redemption from the Girl Scouts. Troops earn proceeds of $2.00 for every photo keepsake ordered ( just like magazines). So many great photo keepsakes to choose from! Reach Out Booklets Magazine Sales Girls obtain magazine sales in person (paper magazine order forms) and online (through the QSP/Nut Online Program). For each magazine subscription the girl sells to a friend or family member, she earns $2.00 in troop proceeds. As the Fall Product Community Liaison, you ll want to collect all paper magazine order forms from your troops and submit them to Council. Please separate white, yellow, and if applicable, pink copies. Return pink copies to the troop. Bundle white and yellow copies separately. Label each bundle with your Community number and the total number of magazines ordered. Submit bundles of magazine order forms to Harrisburg office by the deadline, Tuesday, November 29, Please note: Any late or missing submissions will result in a delay in shipment. Each girl will receive one Reach Out Booklet inside the packet they receive. Each girl who completes this booklet (with 9 unique addresses) (one per girl) will earn $3.00 in proceeds for her troop. As the Fall Product Community Liaison, please collect all completed Reach Out Booklets from your troops and submit them to Harrisburg office by the deadline of Tuesday, November 29, 2016, along with with the paper magazine order forms. 6
7 QSP/Nut Online Program The QSP/Nut Online Program includes online nut sales! As part of the QSP/Nut Online Program, s to friends and family include the option for them to order, pay for and have nuts delivered to their home/ business. All 25 Girl Scout nut, candy and chocolate items will be available as well as 5 gift items. Troops earn proceeds for every item sold online with all sales being reported on the Girl Dashboard and transmitted nighlty to Nut-E. The QSP/Nut Online Program is a fun and easy way for girls to reach their goals faster. Each girl can set a financial goal and send s to friends and family asking them to support their favorite Girl Scout with a magazine subscription, photo keepsake, or nut order. NEW for Fall 2016! Online sales will continue until Tuesday, November 29, Girls and troops can continue to participate online past the paper order deadline (nut order card, paper magazineorders and ReachOut bookles) of November 13, This will give greater opportunity for troops to earn proceeds and girls to earn recognitions. All these orders get tracked back to Nut-E and uploaded to Nut-E automatically on a nightly basis. There are many exciting ways to participate in the QSP/Nut Online Program that will help each troop grow their sale! 8 Share Program The Share Program is another great opportunity for customers to participate in the Fall Product Program! Customers may donate nut products and/or give the gift of reading to soldiers overseas. Last year, Council partnered with the USO to send over 2,500 total cans of honey roasted peanuts and magazine vouchers to our military troops! We are expecting to partner with the USO again this year. How does the Share Program work? Donations are accepted in $6 increments. Along with the option to donate honey roasted peanuts, customers also have the ability to donate magazines to our military troops. QSP will accept the donations and send vouchers to the military troops for them to pick magazines to subscribe to. There will be a special column on the girl order cards to track these donations. Some basics about the Share Program: Customers do not select products to be donated. With the Share donations, MONEY IS COLLECTED AT THE TIME OF THE ORDER. Troop Fall Product Liaisons will enter the number of donations collected by girl in Nut-E under the appropriate columns. There will be a separate column for nuts and a separate column for magazines: Thank You Nuts and Thank You Vouchers. Both Thank You Nuts and Thank You Vouchers will count as one nut item in terms of girl recognitions. Girls earn $1.00 in troop proceeds from each nut and magazine item donated. And, girls who collect FIVE donations will earn the Share patch! Council and Ashdon Farms will calculate the number of donations for nuts and magazines. Ashdon Farms will provide shipping for the nut items and the magazine vouchers out to the military troops. 8
9 Girl Recognitions Girls will have the opportunity to earn recognitions for the 2016 Fall Program based on the combined TOTAL DOLLAR amount sold of nuts/candy, Share donations, magazines, and Photo Keepsakes. A list of all girl recognitions can be found on the back of the girl order card. All girl recognitions are cumulative. Here are the recognition levels that the girl can reach for the 2016 Fall Sale: $100 Level: Scented Erasers OR "be brilliant" Necklace OR $5 GO! Dough $175: Bracelets OR Elastic Shoe Laces OR $5 GO! Dough Online sales of $175 or more: MyPatchCreation Rent a Recognition Kit Girl Recognition Kits are available first-come/firstserved on a rental basis to take to your training if you wish. Simply complete the online form (found under the Forms section at to reserve your kit for a 3-day loan period. At the time you pick up the kit, you ll need to provide a $25 refundable deposit. Kits can be picked up from your nearest Service Center. 9
10 MyPatchCreation Any girl who sells $175 in ONLINE sales (nut/candy or magazine subscriptions/memory books) will have an opportunity to customize her very own unique giraffe patch on the QSP/Nut Online Program website! The girl can customize her giraffe with her own unique style by selecting the giraffe s eye style, mouth style, background style, etc. This patch can be edited as often as the girl wishes before committing to a finalized giraffe style. Once the girl reaches $175 in online sales an will be sent to the registered that is on file through GSHPA. This will contain the link for the girl to begin customizing her patch creation. The patch will contain the girl s name and the theme year. Kala s Goal Getter Club Girls who work hard to reach their goals reap the benefits! All girls who sell $800 or more through a combination of nut/candy items and/or magazine subscriptions/memory books will become members of the Kala s Goal Getter Club! As part of the Kala s Goal Getter Club, these girls will receive: Two Tickets to the Franklin Institute or Four Movie Passes A koala collector s charm A special patch Special recognition on the GSHPA website And $50 in GO! Dough Once the girl has finalized her patch, the parent will provide their shipping address at the time of submission. The patch design and shipping address will be sent to the vendor for print. The patch will take 4-6 weeks to be created and shipped to the girl. 10 NEW for Fall 2016! The TFPL has an opportunity to earn their own MyPatchCreation if the troop has $300 in total online nut and magazines sales. The TFPL must be registered as the troop volunteer at gshpa.org on the QSP/Nut Online Program. If your troop reaches $300 in total online sales, the TFPL will receive a link to receive their koala patch just like the girls process outlined above.
11 Fall Product Program Basics All registered Daisies, Brownies, Juniors, Cadettes, Seniors, Ambassadors, and Juliette Girl Scouts may participate in the Fall Product Program. Both troops and Juliettes can participate at anytime throughout the sale period. Are troops required to sell both magazines and nuts/candy? No. Troops have the freedom to choose which aspect of the program they d like to participate in. The more the troop participates in, the more the troop will benefit from earning more proceeds. Can girls earn extra proceeds? Troops at the Junior, Cadette, Senior and Ambassador levels may opt out of the girl recognitions to earn the extra proceeds. Girls will still earn patches, so troops will still need to submit their recognition orders at the end of the sale. What is the breakdown of troop proceeds? Troop Proceeds (with girl recognitions and patches): $1.00 per each nut and candy item $1.00 per each Share item (nut or magazine) $2.00 per each magazine subscription order $2.00 per each photo keepsake sold $3.00 per each completed Reach Out Booklet (one per girl) Troop Proceeds (without girl recognitions, with patches): $1.05 per each nut and candy item $1.05 per each Share item (nut or magazine) $2.05 per each magazine subscription order $2.05 per each photo keepsake sold $3.00 per each completed Reach Out Booklet (one per girl) Can girls hold booth sales to sell Fall Products? The Fall Product Program is a Friends and Family Sale, meaning troops and girls should approach friends and family to sell products and magazine subscriptions. Due to our partnership and commitment to the United Way, we are unable to permit booth sales and door-to-door sales during our Fall Product Program. When do the girls collect the money? Girls should collect money for the nut and candy items when they deliver the products. Money from the magazine orders, photo keepsake orders, and the Share program are collected at the time of order. We recommend collecting cash only. 11
12 Can any unsold product be returned? No. Once ordered from Ashdon Farms, products cannot be returned. When can our customers expect the magazines to arrive? Customers can expect the magazines to arrive 8-10 weeks after payment is received and processed by QSP. What if there is an issue with the subscription? If a customer experiences an issue with their magazine subscription, please instruct the customer to contact the QSP customer care line directly at Be sure to submit all paper magazine orders to Council by Tuesday, November 29, 2016 to avoid potential delays in customers receiving their subscriptions. Please note: QSP may notify customers if publications have been discontinued. Should this occur, customers will be provided with an alternative selection. Delivery Information As the Fall Product Community Liaison, you are responsible to secure a delivery site and accept delivery of products for your community. Please make arrangements and enter the delivery information into Nut-E by Friday, October 28, Consider the following when selecting a delivery site: The truck that delivers your products could be as large as a tractor-trailer (60 x 14 ) so the location should be accessible to large vehicles. Avoid streets with obstacles like construction, low-hanging tree branches or utility wires. Make sure the street, driveway and/or sidewalk can handle the weight of the truck. If you are expecting a large product delivery, community buildings like fire stations or churches generally make better delivery stations than personal residences. The nut/candy products will be delivered to your community sometime within the dates of Monday, December 5 through Wednesday, December 7, Please be sure to enter your preferred delivery date, time (AM or PM), and any special instructions in the DS DESCRIPTION box in Nut-E by Friday, October 28, If your delivery location requires a Certificate of Insurance, you can obtain one by visiting the GSHPA website. The delivery agents will make every attempt to accommodate your delivery preferences. The delivery agents will contact you to confirm your scheduled delivery at least 24 hours in advance of the delivery. The delivery agents may not be able to provide you with an exact delivery time due to traffic and weather delays. Please be patient if there is inclement weather. The delivery agent will make every effort to meet all delivery schedules. 12
13 Delivery Information, continued Unloading the Fall Product: On the day of your delivery, schedule volunteers to help you at the delivery station. The delivery agent will unload the product from the truck. Volunteers may assist, but SHOULD NOT step onto the truck. Please do not separate product into troop orders until the entire truck is unloaded. We recommend stacking the products by variety and then counting and re-counting to make sure you have the correct number of products. Any damaged items should not be accepted and can be replaced by the delivery agent, or by Council. Sign the delivery ticket for the community only after the entire order is unloaded, and the quantities by variety are verified. You are responsible for all products that are delivered and signed for. Please be sure the count you are expecting is what you receive! Sorting and Troop Pickup: You may begin sorting the product for the troops after the delivery agent leaves the site. Volunteers may be needed to assist with sorting at the delivery location. The Troop Fall Product Liaison (or person picking up the products/accepting responsibility for the products) must sign a receipt (the T-2 report Nuts/Candy & Mags, which can be printed from Nut-E, works best) acknowledging all products that they pick up when accepting the order for the troop. Keep these receipts for future reference. Have troops count and recount before the receipt is signed! Troops are responsible for the quantities of product that they ordered and accepted with the signed receipt. Dealing with damages or issues (after delivery): Your Product Sales Associate should be able to exchange/replace unsatisfactory product immediately if a customer is dissatisfied because of damaged or missing products, an unsealed package, lack of freshness, etc. Troops should return the unsatisfactory product to Council for tracking purposes. 13
14 Training the Troops As the Fall Product Community Liaison, it is your responsibility to make sure that each troop participating in the Fall Product Program has at least one registered adult member who receives training as the Troop Fall Product Liaison. The Troop Fall Product Liaison must complete all volunteer forms, must be a registered member of GSHPA for the 2017 troop year, have an up-to-date background check completed, and must sign a Troop Fall Product Liaison Agreement before a troop may receive the Fall Product Program materials, and gain access to Nut-E. Troop Fall Product Liaisons (TFPLs) must attend a training session that you conduct in order for the troop to participate in the Fall Product Program. At your training session, you ll want to provide the TFPLs with the forms they will need to complete and make sure they understand the responsibilities of their role and what you expect from them. Please distribute the necessary forms to each Troop Fall Product Liaison. Make sure you collect a signed TFPL Agreement Form from each Troop Fall Product Liaison. (Note: if there are two Troop Fall Product Liaisons for one troop, each Troop Fall Product Liaison must sign a separate agreement form.) If a troop changes liaisons during the sale, a new Troop Fall Product Liaison Agreement must be signed by the replacement TFPL. All Troop Fall Product Liaison Agreement Forms must be submitted to Council by the deadline, Monday, October 3, Troop Fall Product Liaisons should NOT receive ANY materials or access to Nut-E until the signed form is received. All forms for the Fall Product Program are available on the GSHPA website. 14
15 Training the Troops Materials: Present and review the materials and information about the Fall Product Program to all Troop Fall Product Liaisons. Communicate all dates and deadlines given to you by Council. Nut-E: Give each Troop Fall Product Liaison access to Nut-E once a signed TFPL Agreement Form is received. As the Fall Product Community Liaison, you will have access to all the data in Nut-E for the troops in your community. You can see each screen that your troops can see in Nut-E, and you should be able to help your Troop Fall Product Liaisons in Nut-E if they need assistance. Delivery: Your community s Fall products will be delivered during the week of December 5-7, Be sure to let your troops know what you expect of them on the day of delivery. Inform each troop of the delivery date, delivery location and other important delivery details. Point of Contact: As the Fall Product Community Liaison, you are the troops first point of contact for their questions related to the Fall Product Program. If you can t answer a question related to the Fall Product Program, you can reach out to your Membership Coordinator for help. Make sure your troops have your contact information so they know how to reach you! Kickoff Rallies: Did you know that there is a Kickoff Rally Guide to help you with planning a Community Kickoff Rally? Download it for free at Review the Kickoff Rally Guide and discuss with your troops how your Community will be participating. If your community is planning a Fall Product Kickoff Rally, you can get free product samples to have at the event. Ask your Membership Coordinator for details. Have Troop Fall Product Liaisons who still need more information? We have a TFPL Reference Guide outlining all the new updates to the program available online that you can share with your Troop Fall Product Liaisons. 15
16 What to Distribute to Troops: Once the Troop Fall Product Liaison Agreement form is signed by the Troop Fall Product Liaison, the following program materials should be distributed to each Troop Fall Product Liaison at your training: One (1) Girl Packet for each girl in the troop, which includes: One (1) Nut/Candy Order Card One (1) Reach Out Booklet QSP Online Activity Sheet Paper Magazine order forms One (1) Money Envelope for each girl in the troop One (1) Parent/Guardian Permission form for each girl in the troop Checklist Attend Fall Product Community Liaison Training. Obtain a list of troops from your Membership Coordinator. Confirm with your Membership Coordinator that all Troop Fall Product Liaisons are registered members of Girl Scouts for the membership year. Schedule and enter delivery information in Nut-E. Separate training materials and supplies. Prepare for training your troops. Send collected Troop Fall Product Liaison Agreement Forms to Council. Review troops contact information and troop settings in Nut-E. Monitor troops who are entering orders and recognitions in Nut-E and provide assistance as needed. Review nut/candy orders and girl recognition orders for your community and submit the community s order by the deadline. Submit Reach Out Booklets and paper magazine order forms to Harrisburg office. Accept delivery of nut/candy items for the troops in your community. Print troops T-2 - Nuts/Candy & Mags report from Nut-E. Have troops sign printed T-2 - Nuts/Candy & Mags report as a receipt for troop pickup at delivery. Inform troops about the ACH Banking Method and review the importance of the Parent Debt Form. Accept delivery of girl recognitions for the troops in your community. Promptly distribute girl recognitions once they are received. Please have all recognitions distributed to the troops within 4 weeks of receiving. 16
17 Banking Information - ACH All troops are required to be enrolled in the ACH program to participate in the 2016 Fall Product Program. Troops that are not in compliance will not be permitted to sell fall product. If a troop does take fall product orders without first enrolling in ACH, they will not be permitted to submit their orders with Council. The ACH Program allows troops to submit their payment for the Fall Product Program electronically. Troops may use any bank, as long it holds their troop account. GSHPA s financial institution (PNC Bank) will do a withdrawal from the approved troop account on the withdrawal date, January 6, Troops are required to have all monies collected from the 2016 Fall Product Program deposited into the troop account prior to the withdrawal date. This includes money collected up front for magazine orders, memory book orders, fall product orders, and the Share donations. NO MONEY (checks, cash, etc) should be sent to Council! It will be returned to the troop.in the event of insufficient funds, troops will be charged a service fee through GSHPA s financial institution. Troops will no longer enter their deposits into Nut-E. The Finance department will log all deposits based on what the troop is showing as the balance owed to Council in Nut-E as ACH Deposit. As the Troop Fall Product Liaison, you will set a deadline to collect all monies from the parents for fall product, and deposit all funds into the troop account. IF a parent misses your collection deadline, it is very important to fill out the Parent Debt form for the unpaid balance, and submit the form to Council. The Parent Debt Form is used to relieve the troop of parent debt that was not collected by the troop due date in order to comply with the Council ACH s withdrawal date of January 6, The Parent Debt Form can be located on the GSHPA Forms page. All Parent Debt Forms are due to the Finance department by Wednesday, December 28, Please note: this deadline is very important. Failure to meet this deadline could cause issues with your troop s ACH withdrawal. Upon receipt of this form, the finance department will adjust the amount to be withdrawn from the troop account. Failure to submit this form by the deadline could result in an overdraft to the troop account, including insufficient fund fees. Please mail any Parent Debt forms to: Girl Scouts in the Heart of Pennsylvania Attn: Finance Department 350 Hale Avenue Harrisburg, PA If you have any questions about ACH or the banking procedures for the Fall Product Program, please reach out to your Membership Coordinator or a member of the finance department at GSHPA. 17
18 Juliettes Juliettes (independently registered girls) in your community participating in the 2016 Fall Product Program will work with your Membership Coordinator at Council on most aspects of the Fall Program. Your Membership Coordinator will manage the Juliette s participation in the program, including: Collecting a signed Parent/Guardian Permission Form and a signed Juliette Manager Agreement form. Distributing the program materials. Explaining the program to the parent/guardian. Working with the Parent/Guardian to enter orders/girl recognitions into Nut-E by the deadlines. Your Membership Coordinator will provide the Juliette s parent/guardian with access to Nut-E. The parent/guardian will act in the same capacity as a Troop Leader/Troop Fall Product Liaison. Once the Parent/Guardian Permission Form and Juliette Manager Agreement form is signed and collected by the Membership Coordinator, the following program materials will be distributed to the Juliette: One (1) Girl Packet One (1) Money Envelope One (1) Order Card for the Nut/Candy Sale Magazine Subscription Order Forms One (1) Reach Out Booklet QSP Online Activity Sheet Juliette Resource Sheet Juliettes follow the same calendar and deadlines as troops for sale start and end dates. Juliette proceeds are due to Council by Thursday, December 22, The parent/guardian MUST submit the full amount owed to Council as noted in Nut-E. The Juliette will then receive her proceeds as GO! Dough. This will be mailed direct to the Juliette from Council. As an FPCL, you will still need to contact and coordinate delivery information and fall recognitions to Juliettes in your community. Your Membership Coordinator will be able to provide you a contact list of the Juliette parents for your reference. 18
19 Nut-E Nut-E is the online computer system that is used to record all girl orders, including online orders for nuts/ candy, magazines/memories, and Share donations, as well as recognition selections. You will be set up with a login name and a password to access Nut-E at the community level. Once you have access to Nut-E, you will be able to see all your troops in your community, set up your delivery preferences, update your contact information, view the girl orders and recognition selections for your troops, and access community level reports for your troops. Please have your delivery preferences entered/updated in Nut-E under the DS Description field by Friday, October 28, Your Troop Fall Product Liaisons (TFPLs) will have Nut-E access at the troop level. They will be able to update their personal information, manage their girl orders and recognition selections, and access their troop level reports. TFPLs will not be able to enter bank deposits into the Deposit field. This will be handled by the Finance department in order to manage the ACH process. Council will be managing the input of all registered girl names and ID numbers for the 2017 troop year into Nut-e via imports from Personify. We will be conducting several imports before and during the sale period. FPCLs and TFPLs will not be able to manually enter girl names. In addition, FPCLs will not be able to enter new troops, nor update troop information. TFPLs are now responsible for entering/editing/updating their personal information under the troop field in Nut-E. Please have this information be complete by Friday, October 28, All ONLINE sales by girls will be automatically uploaded into Nut-E, as well as onto the Girl Online Sales Report. TFPLs will not need to update this data in Nut-E. 19
20 Nut-E, continued Tips and tricks for Nut-E will be provided during in-person FPCL training. A Nut-E user manual is available on the GSHPA website. A hard copy of the Nut-E user manual will be made available at your request simply ask your Product Sales Associate to provide this for you. Are you a brand new FPCL and brand new to Nut-E? Your password to access Nut-E for the first time will be Kala16. After your first log in, you will be able to change your password. If you are a returning FPCL, you will be using the same password as you did for the 2015 Fall sale. All TFPL user names and passwords will be reset for the 2016 Fall sale. The passwords troops will be using will be Kala16. 20
