6 Abut DcAve Strage Manager As SharePint 2010 becmes the central repsitry fr enterprise cntent within rganizatins, increasing user adptin and integratin frm data surces can cause unstructured data, called Binary Large Objects (BLOBs), t cnsume up t 95 percent f SharePint SQL Server space. If ignred, BLOBs can lead t database perfrmance and user experience degradatin. 7 Befre Yu Begin Refer t the sectins fr system and farm requirements that must be in place prir t installing and using DcAve Strage Manager. Cnfiguratin In rder t use DcAve Strage Manager, the DcAve 6 platfrm must be installed and cnfigured prperly n yur farm. Strage Manager will nt functin withut DcAve 6 present n the farm. Agents DcAve Agents are respnsible fr running DcAve jbs and interacting with the SharePint bject mdel. Agents enable DcAve Manager t cmmunicate with the respective servers, allwing fr Strage Manager t functin prperly. *Nte: The use f system resurces n a server increases when the installed agent is perfrming actins. This may affect server perfrmance. Hwever, if the agent installed n a server is nt being used, the use f system resurces is very lw and, therefre, the effect n server perfrmance is negligible. Fr instructins n installing the DcAve Platfrm (DcAve Manager and DcAve Agents), refer t the DcAve 6 Installatin Guide. Required Permissins The fllwing permissins are required fr the Strage Manager agent accunt; they ensure prper functinality f Strage Manager. 1. Lcal System Permissins: These permissins are autmatically cnfigured by DcAve during installatin. Refer t Lcal System Permissins fr a list f the permissins autmatically cnfigured upn installatin. If there are n strict limitatins within yur rganizatin n the permissins that can be applied, yu can simply add the DcAve Agent Accunt t the lcal Administratrs grup t apply all f the required permissins. 2. SharePint Permissins: User is a member f the Farm Administratrs grup. Since Administratr wrks acrss farms and n all SharePint settings and cnfiguratins, this accunt is needed in rder t prvide the best and mst cmplete quality f service. 9 Getting Started Refer t the sectins belw fr imprtant infrmatin n getting started with Strage Manager. Launching Strage Manager T launch Strage Manager and access its functinality, fllw the instructins belw: 1. Lg int DcAve. If yu are already in the sftware, click the DcAve tab. The DcAve tab displays all mdules n the left side f the windw. 2. Click Strage Optimizatin t view the Strage Optimizatin mdules. 3. 10 User Interface Overview After selecting Real-Time Strage Manager r Scheduled Strage Manager, the Strage Optimizatin suite user interface launches with the apprpriate Strage Manager tab active. This tab displays yur farm envirnment and allws fr quick access t a list f Strage Manager features. Figure 2: Real-Time Strage Manager user interface. 1. The SharePint tree (Scpe panel) displays all cntent within yur farms. Use this panel t select the cntent that yu wish t perfrm actins n. Selecting cntent ften reveals new tabs and functinality n the ribbn. 2. The ribbn shws the available actins and wizards fr the selected ndes. This cntent is dynamic; it will ften change depending n what is selected n the SharePint tree and in the wrkspace area. 3. The wrkspace shws all frm-based cntent that is used during the cnfiguratin f actins perfrmed in DcAve prducts. 10

11 Selecting Farms and Ndes T select farms and ndes, cmplete the fllwing steps: 1. Frm the Scpe panel n the left, click the farm that cntains the relevant SharePint cntent. 2. Select the relevant cntent n which yu want t perfrm further peratins by clicking the radi buttns t the left f the cntent. 3. After selecting cntent, yu will be able t perfrm the prcedures described thrughut this guide. 11

12 Basic Steps t Cnfiguring and Using Strage Manager The fllwing basic steps are required in rder t prperly use Strage Manager. 13 Cnfiguring the BLOB Prvider In rder t use DcAve Strage Manager, the BLOB Prvider must be enabled. A binary large bject (BLOB) is unstructured data (files, attachments, etc.) stred in SQL cntent databases. By default, any file r attachment that is upladed int SharePint is stred as a BLOB in the cntent database. By cnfiguring the BLOB Prvider, yu are able t externalize BLOBs frm a cntent database t a userspecified external strage. The BLOB Prvider feature intercepts SharePint database traffic and redirects all f the BLOB traffic t external BLOB strage; what remains in SharePint is a stub f the data. The BLOB Prvider als creates a stub database and enables the prvider n the specified farm r nde. In rder t prvide transparency t SharePint users and applicatins, Remte BLOB Strage (RBS) r External BLOB Strage (EBS) is used t expse the file share cntents thrugh the SharePint interface. EBS is an interface prvided by Micrsft SharePint Server 2007 and 2010, while RBS is a set f standardized Advanced Prgramming Interfaces (APIs) that are incrprated as an add-n feature pack fr Micrsft SQL Server. *Nte: Uplading a dcument that meets the criteria fr Real-Time Strage Manager externalizatin t a BLOB strage device that has insufficient space results in a failed uplad. *Nte: Since the DcAve RBS Prvider is a third-party prvider, SQL 2012 Enterprise Editin r SQL Server 2008 R2 Enterprise Editin is required. *Nte: RBS can be enabled at the cntent database level in a SharePint 2013 farm. EBS is nt supprted in a SharePint 2013 envirnment. BLOB stre scpe Feature Number f prviders Interface Migrating BLOBs frm SQL Server stres t BLOB stres and vice versa RBS (fr SharePint 2010 and SharePint 2013) RBS can be enabled at cntent database level and Web applicatin level. Each cntent database can have its wn BLOB stre. RBS is mre flexible. Multiple RBS prviders can be in the same SharePint farm. Managed. RBS is a purely.net-based slutin. Frm a technlgy perspective, RBS fits in t.net quite nicely. Windws PwerShell EBS (nt supprted in SharePint 2013) EBS can be enabled nly at the farm level. Only ne EBS prvider per SharePint farm. Unmanaged. EBS relies n a legacy COM interface. Custm 13

14 Feature SharePint interface RBS (fr SharePint 2010 and SharePint 2013) SharePint 2010 and SharePint 2013 ship with many Windws PwerShell cmmand lets that can be used t manage RBS installatin and cnfiguratin. EBS (nt supprted in SharePint 2013) Nne BLOB Prvider Recmmendatins Befre enabling yur BLOB Prvider, be sure t reference the fllwing ds and dn ts t BLOB Prvider cnfiguratins. Yu shuld: Yu shuld avid: Start the wizard verify RBS binaries (DcAve Agents) have been installed and enabled n all SharePint servers that are running Web services in yur farms. This als includes all applicatin and index servers. *IMPORTANT: All servers must have RBS binaries installed r else access t external cntent (utside the database) will fail. Fr best perfrmance, chse a database server within the farm fr yur stub database. Chse t manage all stubs (pinters) fr EBS and RBS at the farm level ne stub database per farm. Only when item cunts f ne millin bjects r greater are expected per cntainer shuld yu apply lwer-level settings. Cnsider inheritance if cnfiguring stub databases at a lwer level. See Appendix C Stub Database Inheritance fr additinal infrmatin n stub database inheritance. Cnfigure a schedule fr enabling RBS t ensure that yu have planned fr a grwing farm. Missing servers when installing the Agents. Failing t install RBS/EBS n a Web frnt-end (either user-facing r applicatin-facing). Getting bgged dwn by yur chice f EBS ver RBS: pick what s right fr yur SQL Server versin. We prvide yu the ability t upgrade frm EBS t RBS at a later time as necessary. Refer t the DcAve 6 Cntrl Panel Reference Guide fr infrmatin n upgrading frm EBS t RBS. Making these cnfiguratins mre granular than necessary. The gal is simplicity in management: since this database will be included in yur disaster recvery plans fr yur farm, t many databases can make yur failver mre cmplicated than it needs t be. 14

15 Skipping the schedule cnfiguratin. Even as yu grw yur farm, new cntent databases will be added and need t be enabled fr use with the rest f the strage ptimizatin prducts. Fr mre infrmatin related t BLOB externalizatin best practices, refer t AvePint s Optimize SharePint Strage with BLOB Externalizatin whitepaper. Enabling the BLOB Prvider T enable the BLOB Prvider n yur servers, cmplete the fllwing steps: *Nte: When nly the RBS prvider is enabled, a Real-Time Strage Manager rule is nly available at the Web applicatin (cntent database) level. When nly the EBS prvider is enabled, a Real-Time Strage Manager rule is available at the Web applicatin level and site cllectin level. When bth the RBS prvider and the EBS prvider are enabled, RBS is used. *Nte: In the event that yu want t enable the RBS/EBS prvider n Web frnt-ends that have imprperly-installed Agents, yu must use the standalne Agent tls. Refer t Appendix E Enabling the BLOB Prvider Using the Agent Tls fr infrmatin n enabling the BLOB Prvider using these tls. 1. T access the BLOB Prvider, click either the Real-Time Strage Manager r Scheduled Strage Manager tab > BLOB Prvider. The BLOB Prvider page appears in the wrkspace. 2. Install BLOB Prvider Binaries n the specified servers. This page displays the infrmatin fr all f the servers in the specified farm. By default, the BLOB Prvider binaries are installed with the Agent installatin. If sme BLOB Prvider binaries are nt installed, Nt Installed displays in the BLOB Prvider Binaries clumn. If necessary, click Install t install the required BLOB Prvider binaries. 3. Click Next when finished. The Cnfigure Stub Database page appears. 4. Cnfigure Stub Database Specify where t stre all f the Strage Manager stub infrmatin. Click the farm name t expand the tree and t select the farm level, Web applicatin level, and/r the cntent database level. Fr ease f use, it is recmmended t cnfigure ne stub database fr the entire farm. In sme cases (recrds management, fr example, where there may be millins f files), it may be necessary t cnfigure different stub databases dwn t the Web applicatin r cntent database level. Fr mre infrmatin n this prcess, see Appendix C Stub Database Inheritance. *Nte: Ensure that all stub databases are prperly backed up. Shuld a database becme crrupt, backed-up stub data is required t fully restre all data. 15

16 5. After selecting which ndes t link t a stub database, click Cnfigure in the Manage grup n the ribbn. Yu can als click the Cnfigure buttn beside each tree nde t cnfigure the stub database fr the selected nde: Cnfigure Stub Database Specify the Database Server (where the stub database resides) and Database Name fr the stub database. See Appendix C Stub Database Inheritance fr additinal infrmatin n stub database inheritance. *Nte: Once the stub database f a cntent database is cnfigured and saved, the cnfiguratin cannt be changed. By default, the database server used by the farm is laded autmatically. Cnsidering the management and maintenance f the stub databases, it is recmmended t use the default database server. Yu must specify ther database servers if any ne f the fllwing cnditins is applicable: The accunt des nt have the necessary permissins t cnnect t the default SQL Server. The accunt des nt have the necessary permissins t create the stub database n the default SQL Server. The default SQL Server is lcated n a machine in anther lcatin and the netwrk status is pr. Authenticatin Select the authenticatin methd used t access the database. Windws authenticatin (recmmended; the default ptin) Use this methd t cnfirm the user identity using Windws. SQL authenticatin SQL Server cnfirms the user identity accrding t the specified accunt and passwrd. Cnnectin String Use this feature t create and cnfigure stub databases using cmmand lines. Click Advanced t expand the advanced cnfiguratin. Select Edit Cnnectin String Directly t use Cnnectin String methd t create and cnnect the Stub Database using Windws authenticatin r SQL authenticatin. *Nte: If yu select Edit Cnnectin String Directly, the Cnfigure Stub Database field and the Authenticatin field abve will be unavailable. T create a stub database using Windws authenticatin, input the fllwing infrmatin: Server Enter the name f a SQL Server instance. The value must be either the server s name n the netwrk, an IP address, r the name f a Cnfiguratin Manager alias. T cnnect t the default instance n the lcal server, refer t the fllwing examples: Server=.; Server= IP Address; 16

17 Server=lcalhst; Server=lcalDatabase\instancename; Database Enter the database name. If a database is nt specified, the default database defined fr the lgin is used. T cnnect t the database, refer t the fllwing example: Database=Database s name. Trusted_Cnnectin Select the true value t use Windws Authenticatin Mde fr lgin validatin. DataSurce Enter the instance s name, the Hstname, r the IP address f a SQL Server. If this field is nt specified, a cnnectin is made t the default instance n the lcal cmputer. Failver Partner Enter the name f the failver server used fr database mirrring. Initial Catalg Enter the stub database s name. Integrated Security Select the true value t accept the value SSPI fr Windws Authenticatin. T create a stub database using SQL authenticatin, input the fllwing infrmatin: *Nte: Each instructin s key and value must be cnnected with =. The instructins are separated using ;. Server Enter the name f a SQL Server instance. The value must be either the server s name n the netwrk, an IP address, r the name f a Cnfiguratin Manager alias. T cnnect t the default instance n the lcal server, refer t the fllwing examples: Server=.; Server=IP Address; Server=lcalhst; Server= lcaldatabase\instancename; Database Enter the database name. If a database is nt specified, the default database defined fr the lgin is used. T cnnect t the database, refer t the fllwing example: Database=Database s name. Trusted_Cnnectin Select the False value t nt use Windws Authenticatin Mde fr lgin validatin. Yu can specify the credentials that will be used t cnnect t the database. User ID Enter the lgin name. Passwrd Enter the passwrd. DataSurce Enter the instance s name, the Hstname, r the IP address f a SQL server. If nt specified, a cnnectin is made t the default instance n the lcal cmputer. 17

18 Failver Partner Enter the name f the failver server used fr database mirrring. Initial Catalg Enter the stub database s name. 6. When finished, click OK t prceed t the Enable BLOB Prvider page. 7. Enable BLOB Prvider Shws the BLOB Prvider Status f the farms that have DcAve Agents installed. Enable r disable the BLOB Prvider n the selected farm in this step. Click Cnfigure in the Actin clumn; the fllwing ptins appear. Enable RBS fr Farm (farm name) Displays the cmpnent f the farm and the schedule used t enable RBS. Tree Structure Click the farm name t expand the tree; yu can view the RBS status and enable the RBS n the selected cntent database by selecting the checkbx in the Enable clumn, if necessary. The RBS can be enabled at the Web applicatin level and cntent database level. If enabling RBS at the Web applicatin level, RBS fr bth the existing and newly-added cntent databases under the specified Web applicatin is enabled. Include New Cntent Databases Selecting the Enable checkbx at this level enables RBS fr all newly-added cntent databases; RBS will be autmatically enabled by the scheduled jbs. In rder t use this functin, a schedule must be cnfigured in the Schedule field. Schedule (available when Enable RBS fr Farm is selected) This schedule checks fr newly-added cntent databases; the purpse is t enable RBS. Chse whether t enable RBS based n a schedule. Strage Manager runs a search n yur farm fr new cntent databases accrding t yur specified schedule. If any new cntent databases are fund, Strage Manager enables the RBS fr them. N schedule Enables the RBS immediately. Cnfigure the schedule myself Cnfigure a schedule and enable RBS accrding t the schedule. Select a Start time and Interval value. Enable EBS fr Farm (farm name) Shws the EBS status f the farm and allws yu t enable EBS. Select Enable t enable EBS and select Disable t disable it. If using a SharePint 2010 envirnment, it is recmmended that yu enable RBS fr the farm. EBS cannt be enabled if using a SharePint 2013 envirnment. *Nte: If bth EBS and RBS are enabled fr a SharePint bject, RBS will be used first. 8. Overview Displays all infrmatin fr the farms. If desired, click Edit t edit the cnfiguratin. Click Finish t enable/disable the EBS Prvider immediately (if selecting EBS) r save the RBS prvider cnfiguratin withut enabling/disabling it (if selecting RBS). Click Finish and Run Nw t save the cnfiguratin and then enable/disable the crrespnding BLOB Prvider immediately. 18

19 *Nte: If enabling the RBS prvider withut using a schedule, yu must click Finish and Run Nw t enable it immediately. Clicking Finish nly saves the cnfiguratin f the RBS prvider, and des nt enable RBS. 19

20 Cnfiguring Lgical Devices Because Strage Manager stres the upladed BLOB cntent t an external device (leaving nly a stub f the data in SharePint), it is necessary t first cnfigure ne r mre physical devices and then set up a lgical device. Strage Manager can write t any Net Share, EMC Centera, Clud Strage, Drpbx, DELL DX Strage, Caring Strage, HDS Hitachi Cntent Platfrm, r SkyDrive device, depending upn the external lcatin where the BLOB cntent is stred. In additin, DcAve has the ability t treat multiple strage devices (physical devices) as a single lgical unit (knwn as a lgical device) when saving backup data. This is especially useful fr very large Strage Manager scpes, as many small drives can be cmbined. A lgical device must be defined befre creating an archive Strage Manager plan. *Nte: Instead f using a Strage Plicy, DcAve Strage Manager uses the lgical device t ensure that the stubs can be accessed prperly frm SharePint, regardless f the DcAve Manager service status. 21 Cnfiguring Strage Manager General Settings Befre creating Real-Time r Scheduled Strage Manager rules, yu shuld first define hw t clean up rphan BLOBs (ptinal but recmmended) and cnfigure the prcessing pl (mandatry fr Scheduled Strage Manager). Cnfiguring Orphan BLOB Cleanup If Strage Manager stubs are remved frm SharePint, the BLOB cntent remains in the external strage by default. Cnfigure the Clean Up Orphan BLOBs functin t have DcAve remve rphan BLOB cntent in external strage after the crrespnding stubs are remved frm SharePint. Thugh this setting is ptinal, it is recmmended that yu use this functin t better ptimize external strage space. *Nte: If uplading a dcument that meets the criteria fr Real-Time Strage Manager externalizatin t a BLOB strage device that has insufficient space, the uplad fails. T cnfigure rphan BLOB cleanup rules, cmplete the fllwing steps: 1. Click the Real-Time Strage Manager tab r Scheduled Strage Manager tab. 2. In the General Settings grup, click Clean Up Orphan BLOBs. 3. Click the farm name t expand the tree and select the Web applicatins r the databases where yu want t cnfigure the BLOB cleanup rules. After expanding the tree, yu can select the farm nde t select all the displayed bjects n the tree. 4. Click Cnfigure. The Enable Clean Up Orphan BLOBs ptin appears. Selecting N disables the Clean Up Orphan BLOBs functin fr the selected scpe. Selecting Yes displays the fllwing ptins: Scpe Definitin Select the Include new cntent databases checkbx t als apply the cnfigured BLOB cleanup plicy t newly-added cntent databases in the selected Web applicatins. Prcessing Pl Select a prcessing pl frm the drp-dwn list t manage the Clean Up Orphan BLOBs jb f threads fr the cnfiguratin applied n the selected ndes. Schedule Cnfigure a schedule fr cleaning up rphan BLOBs. Start Time The scheduled BLOB cleanup jb starts n the time specified. T change the time zne, click the time zne under the Start time field. Interval Set an interval fr recurring rules based n a schedule using the ptin f Day(s), Week(s) r Mnth(s). Click Calendar View t view all scheduled BLOB cleanup jbs in the pp-up calendar by Day, Week, r Mnth. 21

22 Advanced Settings Specify a time t delay the deletin f cntent; the deletin can be delayed using the ptins Day(s), Week(s) r Mnth(s). Use this ptin t prevent the deletin f rphan BLOB cntent if Strage Manager stubs are accidentally deleted. After a stub is remved frm SharePint by an end-user, the rphan BLOB cntent is retained in the external device fr the time perid specified here. During this time perid, a deleted Strage Manager stub can be restred back t SharePint and, after a successful restre, still be accessed nrmally. When the specified time elapses, the rphan BLOB cntent is deleted. *Nte: It is nt recmmended that yu use the SQL Server RBS Maintainer tl t delay the deletin time manually because rphan BLOB cntent might be deleted unexpectedly. If this ccurs, backed-up stubs that are restred t SharePint becme rphan stubs with n related BLOB cntent. Cnflict Reslutin Select which actin t perfrm when a selected nde already has BLOB cleanup settings cnfigured. Overwrite When a cnflict ccurs, Overwrite replaces the previuslycnfigured settings with the currently-saved settings, and applies the currentlysaved settings t the selected ndes. Nt verwrite When a cnflict ccurs, Nt verwrite will keep the previuslycnfigured settings. The newly-cnfigured settings will nt replace the previusly-cnfigured settings and will nt be applied n ndes that have applied settings. Fr ndes that d nt have previusly-cnfigured settings, the newly-cnfigured settings will be applied t them. Click View Cnflict Items t view ndes with previusly-cnfigured schedules and delayed deletin settings. 5. Click OK t save the cnfiguratin r click Cancel t cancel the peratin. 6. After saving the BLOB cleanup rule, the cnfigured rule settings fr the applicable ndes display in the Schedule and Delay Deletin clumns. Cnfiguring the Prcessing Pl (Scheduled Strage Manager Only) The Prcessing Pl feature allws yu t cntrl the maximum number f Scheduled Strage Manager jbs that can be run at the same time. Nrmally, a Scheduled Strage Manager jb is fairly resurceintensive, s running multiple Strage Manager jbs simultaneusly may affect the perfrmance f the server. T avid this cnditin, use the Prcessing Pl feature. Scheduled Strage Manager jbs that are added int the Prcessing Pl are run accrding t prcessing pl settings. The number f jbs yu allw in the prcessing pl is the maximum number f Scheduled Strage Manager jbs that can be run simultaneusly. The remaining jbs are placed in a queue. 22

23 Each SharePint farm has a default prcessing pl named Default_Farm(FarmName). The number f jbs set in the default prcessing pl is 5. T create a new Prcessing Pl, cmplete the fllwing steps: 1. Click Scheduled Strage Manger tab > Prcessing Pl in the General Settings grup. 2. Click Create in Manage grup n the Prcessing Pl tab. The Prcessing Pl page appears. 3. Enter a Prcessing Pl Name and an ptinal Descriptin used t distinguish the new prcessing pl. 4. Select the Farm frm the drp-dwn list. The prcessing pl can nly be used fr Scheduled Strage Manager rules cnfigured fr this farm. 5. Select an Agent Grup frm the drp-dwn list. The Agents in the specified Agent grup are used by this prcessing pl t perfrm Scheduled Strage Manager jbs. Fr mre infrmatin abut creating Agent grups, refer t the DcAve 6 Cntrl Panel Reference Guide. 6. Specify the Maximum Number f Jbs that will be used fr Scheduled Strage Manager jbs. Fr example, if yu enter 8 in this field, then 8 Scheduled Strage Manager jbs can be run at the same time. 23

24 Cnfiguring Real-Time Strage Manager Rules Real-Time Strage Manager takes BLOB cntent being upladed int SharePint SQL Server and redirects that cntent t a specified external device. This is dne in real time, that is, the BLOB cntent is never actually upladed int SQL. As a result, dcument size is the nly criteria yu can use t specify which cntent gets mved t the external device. T use Real-Time Strage Manager, at least ne rule must be created and applied t a selected nde. Creating Real-Time Strage Manager Rules *Nte: When nly the RBS prvider is enabled, the Real-Time Strage Manager rule is nly available at the Web applicatin (cntent database) level. When nly the EBS prvider is enabled, the Real-Time Strage Manager rule is available at the Web applicatin level and site cllectin level. If bth the RBS prvider and the EBS prvider are enabled, the RBS prvider will be used. *Nte: Insufficient space n the BLOB strage device results in a failed uplad f cntent. T create Real-Time Strage Manager rules: 1. Click the Real-Time Strage Manager tab and select the cntent frm the Scpe panel. *Nte: If newly-created SharePint bjects are nt displayed n the tree, right-click the crrespnding nde and click the refresh buttn ( ) t refresh the tree. *Nte: When multiple rules are cnfigured n the same level, the rules are autmatically rdered accrding t their criteria; that is, rules with larger file size criteria are checked first. Upladed BLOB cntent is mved t the external device as lng as any ne f the Strage Manager rules is triggered. 2. Chse t Reuse an existing rule, Cpy frm an existing rule, r Create a new rule. Reuse an existing rule Uses all settings in the Strage Manager rule selected frm the drp-dwn list. Select this ptin t use the same Strage Manager rule in a different lcatin, thereby expanding the scpe f the rule. Cpy frm an existing rule Cpies the settings frm the Strage Manager rule selected frm the drp-dwn list. Update the rule (if necessary) and save this rule with a new name. Select this ptin t quickly create a new rule frm an existing rule. Create a new rule Creates a new Strage Manager rule. Enter a name and ptinal Descriptin fr the new rule. *Nte: It is recmmended that yu create a cmmn rule that can be directly reused r that can be used after sme minr mdificatins. This can help yu make the mst use f a created rule. 24

Database Selectin (shwn nly when RBS is enabled) Chse the scpe f the rule by selecting the cntent database. *Nte: The ptins in this field are grayed ut if the crrespnding database des nt have a stub database r des nt have RBS enabled. Include new cntent databases Applies the rule n any newly-added cntent databases. Select this ptin t enable the same rule n newly-added cntent databases autmatically, withut having t manually cnfigure them. In rder t enable this selectin, yu must have a stub database cnfigured at the Web applicatin level, and yu must select Include new cntent databases when cnfiguring the BLOB Prvider. *Nte: If yu d nt select this ptin, the selected web applicatin s cntent databases that nly have the EBS prvider enabled will nt inherit the newly-created rule. Select all Selects all existing cntent databases. 4. Criteria Specify the size trigger n the BLOB cntent t be upladed t the external device using the ptin f KB r MB. If the size f the file is greater than r equal t the threshld specified here, the BLOB cntent is upladed t the external device. *Nte: If applying shred settings n a specified Web applicatin in SharePint 2013, make sure the threshld specified here is less than the specified shred size. 5. Strage Specify a lgical device in the drp-dwn list t which the data will be stred. If desired, click New Lgical Device t create a new lgical device. Fr the infrmatin abut creating the strage, refer t Cnfiguring Lgical Devices. 6. Select an ptinal Data Cmpressin setting. Select the Cmpressin checkbx t enable data cmpressin, and then chse a cmpressin level using the slider. A lw cmpressin level results in a faster cmpressin rate but a larger data set, while a high cmpressin level results in a slwer cmpressin rate but a smaller, better quality data set. *Nte: Small data sets ccupy mre system resurces and cause slwer jb times. The cmpressin is perfrmed n the SharePint Server (SharePint Agent). 7. Select an ptinal Data Encryptin setting. Select the Encryptin checkbx (ptinal) t enable data encryptin. Encryptin prtects sensitive materials; hwever, encrypting data causes slwer archive times. The encryptin is perfrmed n the SharePint Server (SharePint Agent). Then select a security prfile t be used in the encryptin frm the Security prfile drp-dwn list, r click the New Security Prfile link t create a new security prfile. Fr mre infrmatin n security prfiles, refer t the DcAve 6 Cntrl Panel Reference Guide. 8. After saving the Real-Time Strage Manager rule, it is autmatically enabled n the selected nde. View it in the Rules and Settings field n the right side f the wrkspace. 25

26 Cnfiguring and Running Scheduled Strage Manager Jbs In rder t run a Scheduled Strage Manager jb, a nde must have ne r mre Scheduled Strage Manager rules applied t it, as well as cnfigured settings. Scheduled Strage Manager rules and settings define which cntent in the selected nde gets ff-laded, where this cntent is saved, prcessing pl infrmatin, ntificatin settings, and jb schedule. Scheduled Strage Manager jbs can be cnfigured via tw methds. The first methd invlves creating a Scheduled Strage Manager prfile and applying it t a selected nde. A Scheduled Strage Manager prfile integrates rules and settings cnfiguratins int ne saved prfile. If yu ve created a Scheduled Strage Manager prfile, yu can apply the prfile t ne r mre ndes withut having t re-apply the same rules and settings repeatedly. This methd shuld be used if multiple ndes in yur farm require the same cnfiguratins and/r BLOB ff-lad criteria. The secnd methd invlves cnfiguring rules n a selected nde and manually cnfiguring the settings fr that nde, then applying bth the rules and the settings. This methd shuld be used n ndes that require uncmmn cnfiguratins r criteria; that is, cnfiguratins r criteria that are nt likely t be re-used elsewhere in the farm. Regardless f the methd yu chse, yu will need t create, save, and apply at least ne Scheduled Strage Manager rule t a nde in rder t run a jb. See the infrmatin belw fr instructins n creating and cnfiguring prfiles and rules. Creating a Scheduled Strage Manager Prfile Using Prfile Manager The Prfile Manager is where yu cnfigure a Strage Manager prfile, which integrates rules and settings cnfiguratins int ne saved prfile. This allws yu t instantly apply the same set f rules and settings t multiple ndes withut having t repeatedly cnfigure the same settings fr each nde. T create and cnfigure a Scheduled Strage Manager Prfile: 1. Click Prfile Manager in the Prfile Management grup. 2. In the Prfile Manager page, click Create in the Manage grup n the ribbn. The Create Prfile cnfiguratin page appears. 3. Cnfigure the fllwing settings: Prfile Name Enter the prfile Name, fllwed by an ptinal Descriptin. Farm Select the farm frm the drp-dwn list t create the prfile n the selected SharePint farm. 26

27 Categry Enter an ptinal categry name (such as DcAve r NetApp) fr this prfile t be easily recgnized by users. 4. When finished, click Next in the Cmmit grup r n the bttm-right crner f the page. The Rules page appears. 5. Click Create in the Rule Management grup t create a Scheduled Strage Manager rule. Fr detailed infrmatin n creating Scheduled Strage Manager rules, refer t Creating and Cnfiguring Scheduled Strage Manager Rules. *Nte: Multiple rules can be created and included in a prfile. 6. When finished, click Next in the Cmmit grup r n the bttm-right crner f the page. The Settings cnfiguratin page appears. 7. Cnfigure basic settings fr the rule. Fr detailed infrmatin n cnfiguring settings, refer t Cnfiguring Settings. 8. When finished, click Next in the Cmmit grup r n the bttm-right crner f the page. The Overview page appears. 9. The settings cnfigured abve are displayed in the Overview page. T make changes t the cnfigured rules r settings, click Edit in the rw next t the particular page yu want t edit. 10. When satisfied with the cnfiguratins, click Finish in the Cmmit grup r n the bttm-right crner f the page. The Prfile Manager pane appears. 11. The created prfile is displayed in the Prfile Manager pane. T view, edit, r delete an existing prfile, select the checkbx t the left f the prfile name and click View Details, Edit, r Delete in the Manage grup. Click Clse t leave this page and return t the Scheduled Strage Manager tab. 12. Creating and Cnfiguring Scheduled Strage Manager Rules Use Scheduled Strage Manager t set mre refined criteria as t what BLOB cntent gets upladed t the external device, as well as decide when such cntent is ff-laded. The Scheduled Strage Manager ffers mre diverse criteria selectin. In additin, as ppsed t Real-Time Strage Manager rules, the scpe f Scheduled Strage Manager rules is nt restricted by the BLOB Prvider being used. 1. Click the Scheduled Strage Manager tab and select the cntent frm the Scpe panel. 2. Click Create in the Cntribute grup. 3. Chse t Reuse an existing rule, Cpy frm an existing rule, r Create a new rule. Reuse an existing rule Uses the settings frm the Strage Manager rule selected frm the drp-dwn list. This ptin expands the scpe f the riginal rule. Select this ptin t re-use an existing Strage Manager rule in a different lcatin. 27

28 Cpy frm an existing rule Cpies the settings frm the Strage Manager rule selected frm the drp-dwn list. Update the rule if necessary, and save this rule with a new name. Create a new rule Creates a new Strage Manager rule. Enter a name fr the new rule and an ptinal Descriptin. *Nte: It is recmmended that yu create a cmmn rule that can be reused directly r that can be used after sme minr mdificatins. This can help yu make the mst use f a created rule. 4. Criteria Select specific bjects r data within the dcument, dcument versin, and attachment SharePint levels t be extended t the external device. Each level has a unique set f criteria filters that enhance cnfiguratins. Refer t Appendix A Criteria Filter Cnditins fr mre infrmatin. Under the Basic Filter Cnditins field, view the rules lgical relatinship. Fr example, if the lgical relatinship is ((1 And 2) Or 3) in the Basic Filter Cnditin field, the cntents which meet bth the filter rule 1 and filter rule 2, r meet the filter rule 3 is upladed t the external device. 5. Strage Specify a lgical device in the drp-dwn list t stre the data. If desired, click New Lgical Device t create a new lgical device. Cnfiguring Settings Once a Scheduled Strage Manager rule is created and saved, additinal ptins can be cnfigured frm the Rules and Settings field in the wrkspace. Cnfigure the fllwing ptins: 1. Specify the rder f the rules using the Order drp-dwn list. When multiple Scheduled Strage Manager rules are cnfigured fr a particular SharePint bject, the cntent that meets any ne f the applied rules is upladed t an external device. Yu can specify which rule will be checked first by changing their rder. 2. Include Cnnectr Data Select this ptin t extend any data within the scpe f a Scheduled Strage Manager rule that has been upladed t Cnnectr Strage. 3. Prcessing Pl Specify a prcessing pl t be used by the Scheduled Strage Manager rules. Click New Prcessing Pl t create a new pl. Refer t Cnfiguring the Prcessing Pl (Scheduled Strage Manager Only) fr mre infrmatin. 4. Ntificatin Cnfigure ntificatin settings. Select a previusly-cnfigured ntificatin prfile frm the Select a ntificatin prfile address and settings drp-dwn list, r create a new ntificatin prfile by clicking the New Ntificatin link. Click View t view detailed infrmatin fr selected ntificatin prfile. *Nte: The Send Settings must be cnfigured in Cntrl Panel in rder t send ntificatins using DcAve. Fr mre infrmatin, refer t the DcAve 6 Cntrl Panel Reference Guide. 5. Schedule Select when t stre the BLOB cntent t the external strage. After the Scheduled Strage Manager rules and jb settings are applied t the selected ndes, the Run Nw buttn becmes enabled. Or, click Apply and Run Nw t save the Scheduled Strage Manager rules and jb settings and run the Scheduled Strage Manager jb immediately (this buttn cmbines the functins f Apply and Run Nw). 7. After applying the Scheduled Strage Manager rules and jb settings t the selected nde, click Run Nw t run the Scheduled Strage Manager jb immediately. Applying a Scheduled Strage Manager Prfile t a Selected Nde and Running a Jb T apply a created prfile t a selected nde and run the jb, refer t the fllwing steps: *Nte: T run nly a particular rule r rules under a selected nde, disable the unneeded rules first. Fr mre infrmatin, refer t Disabling an Existing Rule. 1. Select a nde frm the Scpe panel. 2. In the Cnfigure Rules and Settings pane n the right, select an ptin t apply a prfile t the nde selected in the farm tree. T create new rules and settings based n an existing prfile, select Create new rules and settings based n an existing prfile and select a prfile frm the drp-dwn list. The rules and settings cnfigured fr the selected prfile are displayed in the Rules and Settings wrkspace and can be edited as needed. *Nte: Any mdified rules are als applied t the rules in the selected prfile; hwever, mdified settings d nt affect the riginal settings cnfigured in the selected prfile. If yu have nt created a prfile, click the New Prfile link in the drp-dwn list t create a new prfile. Fr mre infrmatin, refer t Creating a Scheduled Strage Manager Prfile Using Prfile Manager. T reuse an existing prfile, select Reuse an existing prfile and select a prfile frm the drp-dwn list. The existing prfile cannt be mdified frm this screen. If yu have nt created a prfile, click the New Prfile link in the drp-dwn list t create a new prfile. Fr mre infrmatin, refer t Creating a Scheduled Strage Manager Prfile Using Prfile Manager. 3. Click Apply in the Cmmit grup t apply the selected prfile. The selected prfile is applied t the selected nde, and all ndes belw the selected nde inherit the prfile rules and settings. If desired, create mre Scheduled Strage Manager rules r specify which rule will run first by changing the number in the Order field. Ensure a rule is checked first by changing its rder. T re-rder rules, mdify the value in the Order clumn. 3. Click Apply in the Cmmit grup t apply all cnfigured rules and crrespnding settings. The cnfigured rules and settings are applied t the selected nde and all ndes belw it. Fr mre infrmatin n inheritance, see Inheriting and Stp Inheriting. 4. Click Run Nw t run the applied rules and settings immediately. The running jbs can be checked in the Jb Mnitr. Alternatively, click Apply and Run Nw t bth apply the rule and run the jb with ne click. 32

33 Managing Created Rules Once created and applied, Strage Manager rules can be edited, remved, disabled (enabled), and deleted. In additin, inheritance can be applied r stpped. See the sectins belw fr infrmatin n managing Strage Manager rules. Inheriting and Stp Inheriting After creating a Strage Manager rule n the selected nde, the sub-ndes autmatically inherit the rule that is applied t their parent nde. Stp Inheriting lgically separates the rule in the lwer level-nde frm the upper-level nde; this is useful, fr example, in ensuring that ften-used data is nt upladed t an external device accidentally. When cnfiguring rules fr the first time, yu can cnfigure rules directly at any level that the Real- Time/Scheduled Strage Manager allws. After ne rule has been cnfigured fr a particular level (Level A), yu can still cnfigure rules directly t levels that are higher than Level A. Hwever, if yu want t cnfigure rules at levels that are lwer than Level A, yu must first break the rule inheritance. T break this inheritance, click Stp Inheriting in the Cntribute grup. T manually apply a Strage Manager rule inheritance t a nde: 1. Select the nde that will inherit the parent nde s Strage Manager rule. 2. Click Inherit in the Cntribute grup t inherit the rule. After clicking Inherit, this buttn changes t Stp Inheriting. Helpful Ntes n Using Inherit By default, the Strage Manager rule cnfigured fr a higher level is inherited by the lwer levels. Yu cannt create a new rule n a nde if it inherits the Strage Manager rules f the higher level. Inheritance must first be brken. The inherited Strage Manager rule cannt be edited r remved; it can nly be viewed. Once yu have brken the rule inheritance n a nde, if yu chse t inherit the rules f the higher level again, all f the rules that are added after breaking the inheritance n this nde will be remved frm the fllwing ndes: The nde that inherits the higher level rules again. The ndes that inherit the rules frm the nde abve. *Nte: The newly-added rules in the specified levels are nt deleted. They still exist in the Strage Manager Rule list fr re-applying if necessary. 33

34 The Cnditins f Stp Inheriting When breaking the rule s inheritance at a specified level, the inheritance is nly brken at this level. The rule s inheritance f the lwer levels is nt brken. After the rule s inheritance is brken, yu can apply new rules and edit the crrespnding rule settings at the lwer level. If yu break the rule inheritance n a nde and then disable the inherited rule, this rule can still be used by the upper level. If yu break the rule inheritance n a nde and then edit the inherited rule, the changes will affect all f the SharePint bjects which used this rule. If yu run a Scheduled Strage Manager jb at a higher level after breaking the rule s inheritance n a specified nde, this nde will nt be included in the scpe f the specified jb, even if it still uses this rule. Editing r Remving Strage Manager Rules Existing Strage Manager rules can be edited r remved frm ndes. See the infrmatin belw. Editing Existing Strage Manager Rules Certain created Strage Manager rule settings can be mdified using the Edit feature. The Rule Name Descriptin, Criteria, Strage Plicy, Data Cmpressin, and Data Encryptin settings can all be edited. The Rule Name is fixed and cannt be changed using the Edit feature. T edit an existing Strage Manager rule, cmplete the fllwing steps: 1. Select the nde in the Scpe panel that cntains the rule r rules yu wuld like t edit. 2. Select a rule frm the Rules and Settings wrkspace by selecting the checkbx t the left f the rule. 3. Click Edit in the Manage grup. If the current rule yu are editing is assciated with several SharePint bjects, yu can view assciated bjects fr this rule in the pp up windw. 4. If necessary, click Cntinue in the Cmmit grup t cntinue the editing. The Strage Manager Rule page appears; yu can view the settings fr this rule. 34

35 Remving Existing Rules frm Ndes When a created rule is n lnger useful fr the ndes in the farm tree, yu can remve this rule frm the nde. Use the Remve feature t simplify rules management and lessen unnecessary created rules in the ndes. T remve an existing Strage Manager rule, cmplete the fllwing steps: 1. Select the nde in the Scpe panel that cntains the rule r rules yu wuld like t remve. 2. Select ne r mre rules frm the Rules and Settings wrkspace by selecting the checkbxes t the left f the rule. 3. Click Remve in the Manage grup. 4. The rule r rules are remved frm the selected nde and sub-ndes that inherit this rule in the tree. *Nte: The remved rule r rules still exist in the Strage Manager Rule list fr re-applying if necessary. Enabling and Disabling Rules Once rules are created and applied t a nde, they can be enabled (t be included in a run) and disabled (t be mitted frm a run) as desired. Disabling is useful, fr example, when sme f the rules d nt need t be run in a particular jb. As ppsed t deleting the rule, which remves it frm the Strage Manager Rule list entirely, disabling the rule mits it frm that particular run but saves it in the Strage Manager Rule list fr future use. Fr infrmatin n disabling and enabling rules, refer t the fllwing sectins. Disabling an Existing Rule After creating and applying the rule, the Status f rule in the Rules and Settings pane reads Enabled by default. In sme situatins, it may be desired t disable a rule fr a particular jb. T disable an enabled Strage Manager rule, cmplete the fllwing steps: 1. Select the nde in the Scpe panel that cntains the rule r rules yu wuld like t disable. 2. Select a rule r rules frm the Rules and Settings wrkspace by selecting the checkbxes t the left f the rule. 3. Click Disable frm the Manage grup t disable the selected rules. Using Rule Viewer Use the Rule Viewer t search fr and manage created Strage Manager rules. The basic peratins described belw are: Viewing and searching fr rules using a Rule Based view Viewing and searching fr rules using a Scpe Based view Viewing rule details using View Details Deleting rules that are useless t the whle farm tree Remving rules frm the selected scpes T launch the Rule Viewer, click Rules in the View Rule grup. Rule-Based Viewing The Rule Based table view initially displays all rules srted alphabetically in the first (Rule Name) clumn and includes several ther clumns: Rule Name, Scpe, Prfile Name (Scheduled Strage Manager rules nly), and Mdule. T create and cnfigure a Strage Reprt prfile, cmplete the fllwing steps: 1. Click Strage Reprt in the Reprt grup. 2. In the Strage Reprt page, click Reprt Prfile Manager in the View grup n the ribbn. Cnfigure the schedule myself Cnfigure a schedule yurself and run the jb f the created strage reprt prfile accrding t the specified start time and interval. 4. Click Save n the ribbn; a drp-dwn list appears. Click Save frm the drp-dwn list t save the cnfiguratins f the strage reprt prfile n the selected ndes f the farm tree, r click OK and Run Nw t save and run the jb f the created strage reprt prfile. Viewing Cllected Data Infrmatin fr the Strage Reprt Prfiles After the jbs f the crrespnding strage reprt prfile cmplete running, the data infrmatin cllected fr the selected ndes cnfigured in the saved prfiles will be displayed in the Strage Reprt page. The cllected data infrmatin in this page is displayed in three sectins (SQL and Optimized Data Cmparisn, Orphan Stub Details and Orphan BLOB Details) accrding t the strage prfiles cnfiguratin and the Data Cllectin Time in Reprt Settings. The strage reprt recrds the ccupatin percentage f each data blck and gives a basic view f the ptimized strage in the SQL databases. 41

43 Managing Stubs Once a Strage Manager jb is run and BLOB cntent is ff-laded nt external strage, what remains in SharePint are stubs f the actual data. Cnverting Stubs t Cntent Use the Cnvert Stub t Cntent functin t cnvert stubs back t real data n SharePint s SQL Server. Refer t Hw t Determine if the Data is Stub r Real Cntent fr infrmatin n identifying stubs and cntent. 1. Click Real-Time r Scheduled Strage Manager tab > Cnvert Stub t Cntent in the Restre grup. A pp-up windw appears. 2. In the pp-up windw, select the scpe where yu want t perfrm the stub restre. After expanding the tree, yu can enter the criteria in the textbx and click the magnifier t search fr the specified bject. Press Enter; nly the bject that yu specified in the textbx will be displayed n the expanded tree. 3. The tree can be expanded dwn t the item level. Click Items and all stubs f the items stred in the external strage are displayed in the Stub Brwser area. The name f the stub, the type f the stub, and the size f the stub s real data are displayed. 4. Chse t cnvert the stubs immediately r n a specified time in the Schedule field; cnfigure the fllwing settings. Cnvert nw Chse this ptin if yu want t cnvert the stubs immediately. Cnfigure the schedule myself Chse this ptin t cnvert the stubs based n a schedule. If this ptin is selected, the fllwing ptin appears: Schedule Settings Specify the start time f the cnverting jb. 5. 44 Hw t Determine if the Data is Stub r Real Cntent There are n identifying markers fr Strage Manager stubs in SharePint. Refer t the methds belw t determine if the data is a stub r real cntent. If EBS Prvider is used, navigate t the cntent database f the site cllectin in Micrsft SQL Server Management Studi. In the AllDcs table, if the value f the specified item in the dcflags clumn is larger than 65535, this item is stub. Otherwise, it is real cntent. If RBS Prvider is used, navigate t the cntent database f the site cllectin in Micrsft SQL Server Management Studi. In the AllDcStreams table, if the value f the specified item in the Rbsld clumn is nt Null, the item is a stub; if the value f the specified item in the Cntent clumn is nt null, the item is real cntent. Upgrading DcAve 5 Stubs and BLOB Data t DcAve 6 Frmat DcAve 6 enables yu t upgrade Strage Manager stubs and BLOB data that were generated in frmer DcAve versins t the current DcAve frmat. Yu must upgrade the frmer versin DcAve t DcAve 5.7 befre the stub and BLOB data upgrade can be perfrmed. These peratins are perfrmed in Cntrl Panel; refer t the DcAve 6 Cntrl Panel Reference Guide fr mre infrmatin. 44

47 DcAve Strage Manager Use Cases The fllwing use cases apply the prcedures described in this guide t several real-wrld situatins. These use cases are intended t give the user an idea f when and why ne wuld use cmmn DcAve Strage Manager functinality. These situatins assume that the DcAve platfrm and applicable mdules have been installed successfully, and that the prerequisite cnditins are met (apprpriate permissins fr the Agent accunt, creatin f lgical devices, etc.). DcAve Strage Optimizatin Suite in Cnjunctin with Tiered Strage The DcAve Strage Optimizatin Suite enables SharePint administratrs t better manage data strage using hierarchal strage management (HSM). Mving data t an apprpriate tier f strage lwers strage csts and imprves SQL Server perfrmance. With DcAve Strage Manager, the data can be extended t an apprpriate tier, depending upn hw frequently data is accessed r mdified in SharePint. An example f a tiered strage structure as it relates t extended SharePint cntent is belw: Cntent mdified r accessed frequently is extended t Tier 1 strage (mst expensive, exceptinal system perfrmance). Cntent that has nt been mdified fr 6 mnths r mre is extended t Tier 2 strage (less expensive than Tier 1, mderate system perfrmance). Cntent that has nt been mdified fr ver 2 years is extended t Tier 3 strage (the cheapest f the three tiers). When there is n lnger an immediate need fr cntent t be accessible, use DcAve Archiver t mve the data t NAS r Clud strage. T set up this tiered strage structure, Je (the SharePint administratr) must first determine the threshld size f data t leave in SQL. As DcAve s whitepaper explains, BLOBs greater than 512 KB r 1 MB shuld be externalized. Ding s imprves perfrmance fr bth reads and writes (given similar perfrmance characteristics f the underlying strage platfrm), whereas access t a dcument smaller than 256 KB is faster with the BLOB stred in the SQL Server cntent database. Given this infrmatin, Je selects the target Web applicatin and sets up the fllwing Real-Time Strage Manager rule. *Nte: Je can als apply Strage Manager rules t cntent that was cnnected with DcAve Cnnectr. 47
