1 To all Band Parents and Students We are working on our schedule for our trip to the Florida State Marching Assessment to be held at Tropicana Field in Tampa on Saturday 11/20/2010. The information contained in this document is to provide you and your student with as much information about this overnight trip as possible. Information included in this document: Must have check lists for Guard, Winds and Percussion General Information Event Schedule Tentative Please understand that this is a School Event. Students will be expected to behave as they would if they were at Park Vista High School. This trip is a privilege for our students. They will be held to the same high standard that we have come to expect from our band students at any event. Any negative behavior will be dealt with by Mr. Snipes. Students are subject to the same disciplinary guidelines set down by Mr. Snipes, our Principal Mr. Myers, Park Vista High School and Palm Beach County School District. We are excited to announce that Assistant Principal, Mrs. Linda Carr will be traveling will us for this event. We are also taking approximately 35 Chaperones and Band Staff. Our Chaperones will be assigned a specific number of students for the trip and will be responsible for those students for its duration. These Chaperones are giving up their time to support our students and should be respected at all times. Insubordination towards a Chaperone will not be tolerated and will be reported to Mr. Snipes immediately. Your student will be provided with the name and cell phone number of their assigned chaperone prior to our trip. This information is for both you and your student. We are traveling directly to the stadium from PVHS. The students should be mindful that the buses will be the only location available for changing and preparing for the performance. We will not go to the housing site until after our Semi-Finals performance. Once we are at Tropicana field, we will designate specific buses for changing. 3 The "Must Haves" GUARD Practice: Attire for practice Pocahontas T-Shirt These are the following items that are a must have in order to be prepared to PERFORM. Be sure you have everything! Uniform Tights The proper undergarments Shoes All of your makeup (liquid foundation, black eyeliner, black mascara, blush, eye shadow, & lipstick) Earrings Necessities for your hair (bobby pins, hair ties that MATCH your hair color, gel/mousse, & hairspray) Feathers Orange Ribbons Wash Cloth or Small Towel NO nail polish Gloves Turquoise Necklace All of your equipment Props Flag bags Band bags 3 Last Updated: 11/5/2010
4 The "Must Haves" WINDS/PERCUSSION PRACTICE: Black Shorts white t-shirt socks gym shoes PERFORMANCE: Black Shorts Pocahontas Show T-shirt Black socks (Remember you WILL be performing twice Prelims and Finals) Bandos (look at your show shoes do they need to be polished??? Do this before we leave!) Band Bags Black Gloves (Winds only) Sticks and Drumming Pads (Percussion) Stick Tape (Percussion) Hair stuff anything you need to secure your hair for under your Shako Horn Polish and Rags (This is the show you want to look perfect for) NO nail polish NOTE: All uniforms will be transported on the equipment trucks. 5 The "Must Haves" EVERYONE Personal Toiletries (tooth brush, tooth paste, deodorant (please), shampoo, soap (coordinate with your roommates can you share) Sleeping Clothes (1 nights worth) Play Clothes (for Islands of Adventure think about comfort and plan for cool weather) Food Money (you will need to have money for food on Sunday at Islands of Adventure Lunch and Dinner) Spending Money (your choice on how much remember we are staying in a hotel and there isn t room in your uniform for anything Chaperones will NOT be holding money for anyone) Comfortable Shoes (we are at Islands of Adventure for roughly 8 hours) Pillow/Blanket (for bus ride up and back) Snacks (we will provide snack for the kids throughout the entire event but if they want something special for bus/room Don t go crazy) Medications (If you are on Medication please prepare a note to Mrs. Woody with the following information: Dose, Time to be taken, Name of Medication). 6 General Information Schedule We are leaving Park Vista High School early Saturday morning 11/20/2010. Please make sure that when your students come that morning with everything they need for the trip. Bus Ride To Tampa Since we are leaving in the wee morning hours, students will be expected to sleep or be respectful of those sleeping on the bus ride to Tropicana Field. This is approximately 4 ½ hour trip (with stops). This is a very long day and the students will need as much rest as possible. Please remember the purpose of this trip is to perform your best at this State Assessment This is where all the hard works pays off. Personal Items (jewelry, money, phones, ipods, gaming systems, etc.) please remember that we have approximately 185 people going on this trip. While we all believe that every one of our students is upstanding and honest things do go missing. This is a very structured, action packed trip. The kids will NOT have much down time (please see schedule at the end of this document). Please consider what you are bringing carefully can I live without it if it goes missing? It is impossible for the chaperones attending this event to hold the kid s important items. Chaperones will NOT be responsible for personal items please do not ask. Park Vista Marching Band will NOT be responsible for any missing/lost/stolen items. Our recommendation is to leave these items home. Luggage This is a 2 Day and 1 night trip. We have 185 individuals that will be riding the bus. Please limit the luggage you bring to: your band bag and one additional bag per student. We will be packing our equipment, food, and personal items under the bus PLEASE BE CONSIDERATE OF YOUR FELLOW TRAVELERS. Special Note about Luggage: For the safety and well-being of our students, the Palm Beach County School Police Department will have a Police Sniff Dog go over ALL student and chaperone luggage prior to loading on the bus. Again, we do not anticipate that any issues will arise from this activity and our first concern is first and foremost the student s safety and well-being. 6 Last Updated: 11/5/2010
7 Ground Rules Rooms will be assigned in advance. There will be 3 to 4 students per room and each room will be assigned to a specific chaperone. There will be a VERY STRICT lights out time. Students will NOT be allowed to wander the hotel halls or grounds. No student should leave their room without first consulting their assigned Chaperone. We are staying at a location that is very close to our competition venue. We are unfamiliar with the area and will not tolerate ANY WANDERING. Mr. Snipes will decide any disciplinary action for any violation of these rules. REMEMBER THIS IS A SCHOOL EVENT, you will be held to the same rules/standards and subject to the same discipline that we expect if you were on the PVHS campus. The following information is directly from the PVHS Band Handbook that every student and parent signed. Please review as a reminder: TRAVEL The mode of travel will be provided or approved by the school. Students must travel to the performance by the means provided. Exceptions, in the case of emergency, must be approved by the Band Director and Principal. Students may not return by any means of transportation other than that provided with one exception. Students may RETURN from a band trip with their parent or legal guardian only, provided that written request is submitted to the Director a minimum of 24 hours prior to the departure from school, AND the parent or legal guardian must personally take custody from the Director. DO NOT ASK THE DIRECTOR TO MAKE AN EXCEPTION WHILE ON A BAND TRIP. Each student is responsible for loading his or her own equipment prior to departure and for securing all equipment prior to dismissal. Those returning from a band trip with your parents must take your instrument or other equipment with you! Students may not change buses once assignments are made. Sign-up for the bus you wish to ride and stay there. Do not ask the Director to make an exception to this rule. Students are advised to leave expensive personal items at home while on band 7 Last Updated: 11/5/2010
8 trips. Personal stereos, or ipods are NEVER to be played except through headphones. These items are to be turned off when asked to do so. Failure to abide by these rules will result in the confiscation of that item. Obey staff, chaperones, and drivers. No chaperone or parent may give you permission to change PVCHS Band rules. Movies (on charter buses so equipped) must be approved by the Director. Additional Reminders: Use of vulgarity and/or profane language will not be tolerated in this band AT ANY TIME! There will be no public displays of affection between members at any band function. There will be no smoking or use of tobacco products at any time or as a representative of the Park Vista Community Band. Use of alcohol, drugs, and/or mood altering substances will result in IMMEDIATE DISMISSAL FROM BAND AND SUSPENSION AND/OR EXPULSION FROM SCHOOL! SPECIAL NOTE FOR CHAPERONES 1. You will be asked to provide your cell phone number for your assigned students and their parents. Please provide your information to Michelle Lamb as soon as possible. 2. For our performances, we ask that you wear black pants or shorts with your PVHS Band Chaperone polo. If you do not have a band polo, please wear a nice polo or dress shirt (blue or black if possible) we want to present a professional, clean look for our band kids. You will be asked to wear this for both prelims and finals performances. 3.
