1 Job Title: Charity Shop Manager Salary and Pay Band: Band B, Level 1 Hours: 30 Job Holder: Vacant Team (Directorate/ Nation): Location: Littleham Exmouth Devon Manager: Direct Reports: Volunteers Part 1: JOB PROFILE 1 MAIN PURPOSE OF JOB: Responsible for the day to day management of the shop and for maximising revenue to support the activities of the branch. 2 POSITION IN ORGANISATION: The Shop Manager will work with volunteers and cultivate external relationships to promote branch activities within the local community. 2 3 SCOPE OF JOB: 1) Overall management of the Shop. 2) Oversee and manage volunteers. 3) Oversee management of day to day finances 4) Management of health and safety policies and procedures 5) Reports to the Branch Chairman and Treasurer 4 DECISION MAKING AUTHORITY: Able to make decisions relating to the shop s activities and to volunteers. Decisions relating to finance and expenditure with the prior knowledge and agreement of the branch committee. 5 QUALIFICATIONS & SKILLS LEVEL: Person Specification Qualifications Educated to GCSE level or equivalent Willingness to undertake a health and safety and other training courses Experience Experience of working in retail management Working within a diverse group of people Strong experience of leading, motivating and managing volunteers or staff Track record of managing budgets or working with basic bookkeeping/accountancy Experience of working in and/or leading a team Knowledge and Skills Good interpersonal skills Excellent communication skills Able to use own initiative Ability to effectively organise and plan Good written and numeric skills Ability to use IT packages to a good standard HR\Recruitment & Retention\Jobs and Structure\Branches\Ryedale - 2 -

4 Part 2: MAIN DUTIES & KEY RESPONSIBILITIES Management of the Shop 50% Provide a courteous and helpful service to the public Ensure volunteers sort donations on a daily basis Oversee a pricing policy for the shop Oversee the recycling and arranging of collections Responsible for purchasing shop essentials Ensure shop is clean & tidy at all times Deal with demanding customers, complaints and queries. Oversee best possible presentation and display of goods for sale and special promotions. Implement and maintain Government Gift Aid Scheme. Maintain contact with other MS Society Charity Shops attending meetings as necessary Ensure that the advertised trading hours of the opening and closing of the shop are adhered to Oversee/Management of volunteers 25% Oversee and manage the work of staff/volunteers and the attendance rota Set up and manage standards relating to customer service Set targets for volunteers, and encourage them to work as a team. Encourage their commitment and value their new ideas Train of volunteers and ensure all new recruits receive appropriate training and support before they are allowed on the shop floor. Ensure all new recruits receive an induction and are made aware of the aims and objectives of the branch. Management of finances 20% To follow Society s policies for the control, reconciliation and banking of shop takings and weekly returns to the branch To indentify opportunities to increase and maximise sales. Responsible for the authorisation and administration of Petty Cash To keep under review shop equipment and stationery requirements. 5 Management of policies and procedures 5% To be aware of and comply with all Health & Safety Legislation relating to the welfare and safety of volunteers and the operation of the shop and all items sold. o Ensure all volunteers are given the shop Health & Safety Handbook o Instruct volunteers to handle the equipment in the shop, i.e. fire extinguishers, ladders, shop shutters, alarms and tagging guns. o To ensure a fire drill is activated periodically in line with MSNC guidelines for different shifts. o To ensure that the shop premises are clean and tidy To ensure volunteers adhere to the MS Society s policies and procedures as instructed by the Society s Head of Health & Safety or Health a& Safety Officer for branches To promote equality and diversity best practices. Liaise with outside services/ P.A.T testing, fire equipment and pest control etc. To be aware of and comply with Trading Standards Legislation. Other Duties The post holder should be prepared to attend MS Society meetings at the request of their line manager. Some meetings may be during evenings or weekends. The post holder will be working in a developing environment and he/she will therefore be expected to undertake other appropriate duties as required for the effective operation of the MS Society.
