Article Length and Focus The body text of your article should be approximately 4000 words long with section overview articles up to 8000 words. Tables, figures, Bibliography and Further Reading (if applicable) are additional to this word count. The length of each article is specified in the contributor agreement from the Developmental Editor. When considering the information to be included in your article, please bear in mind that the aim of the Work is to provide the largest comprehensive reference source of current knowledge available in the field of Education. You should aim to review critically the current state of knowledge of the topic in question in a clear and concise way, including as much factual information as possible. You are encouraged to submit as many tables and figures as are necessary for your article. Your article should not be a research paper on the topic. The anticipated readership level of this work is indicated in the Aims & Scope document, which forms part of your Contributor Agreement and which should be read in conjunction with these Instructions. You are encouraged to write your article with this readership in mind. Every manuscript will be edited for grammar, syntax, and clarity, and any queries from the Publisher regarding these matters will be addressed to you at proof stage. Queries relating to content may be addressed to you during the review process and/or at the proof stage. III. Article Structure In order to create a consistent editorial style for this book, we ask that the content be arranged in a specific way and submitted as follows: Page 4 of 10

5 In writing your manuscript, and preparing it for submission you should ensure that it contains the following elements, arranged in the following order: 1. A cover page including the title (as supplied by the Section Editor), and the name and contact information for each author. 2. The name and affiliation of each author as you wish it to appear in the finished work. You are also asked to provide full addresses these will appear in the proofs for checking, but not in the final work. We ask for full addresses to ensure that we have the most current details for future reference when sending materials to contributors by post. Please provide this in the following format: Full Name, Affiliation, City, State/County (if applicable), Country keywords, which will be used for indexing purposes only. These should be listed alphabetically. 4. Glossary entries with brief, dictionary-style definitions for any technical or unfamiliar terms used in the article. These should be listed alphabetically. 5. A 100-word abstract of the article, which will be used to summarise the work when presented online. 6. Body of the article, divided into appropriate sections, covering the contents as agreed with the Editors. 7. A Bibliography (10-15 entries) and a Further Reading list (10-15 entries) with books, chapters, reviews or seminal articles to which the reader can be directed for further information on the topic. 8. A list of websites of use to the reader in regard of the topic. See important notes in Section IV.D. 9. Any Illustrations, Tables or (if applicable) Multimedia, to the required specifications. 10. Permissions for both print and electronic formats for any copyrighted Illustrations, Tables or (if applicable) Multimedia content you wish to reproduce in the Work. See section VII and Annex 3 of your contract, for guidance. 11. Suggestions for cross-references to other articles within the Work. 12. A brief biography (a maximum of 200 words) plus a colour photograph of yourself (likewise any co-authors). See Section VI for instruction on submitting photographs. IV. Preparing the Text IV. A. Spelling American spelling should be used. Merriam-Webster s Collegiate Dictionary will be followed for spelling and hyphenation. Please note that, after acceptance, minor changes may be made to your manuscript to reflect this. If you wish to include unusual or non-keyboard characters, please include a list of these with an example of a page number where they appear. IV. B. Emphasis Please note that it is our house style not to use italics, bold or underlining to emphasize text. Similarly, neither quotation marks nor italics are used to define terms. IV. C. Headings All text must be prefaced by a heading. Page 5 of 10

Bibliography/Further Reading Bibliography All sources referred to in the text should be put into a Bibliography at the end of an article. The bibliography should include no more than entries. Note that NO REFERENCES SHOULD BE CITED IN THE TEXT. Further Reading This list is intended to be the next step for the interested reader, and as such should include chapters in books, major review articles, or seminal journal articles. The Further Reading list should include no more than references and these, regardless of source, should be arranged alphabetically by author s last name. Titles of journals should be given in full. Multi-authored articles should list all authors if there are up to five of them, or the first three, followed by et al if there are more than five. Important notes i) Website citations. It is important to note that only websites of a particular kind, and in a particular format may be submitted. This is because, as reference works are expected to be a valid reference source for a long time, only website addresses that are expected to remain valid should be used. To aid in this, only the top level of any address should be used. Website addresses may be edited to conform to this stylistic requirement. Websites should not be cited in the text, rather at the end of an article, as with paper format Further Reading. It is valid to use web addresses in tables in the text, but it must be noted that the links in these will not be active in the online environment. In this work authors are encouraged to provide as many websites that are of use to the reader in regard of the topic as is possible / up to N websites of use to the reader in regard of the topic. These will be set in a section at the end of the article separate to the Bibliography. ii) Extensive reliance on earlier sources. We prefer that your contribution be prepared drawing on your broad knowledge of the available literature on the subject. However, should you rely on a particular seminal work in the preparation of your manuscript, please be absolutely sure to include this in the bibliography. For any verbatim quote(s), please ensure that it is fully attributed and that it is for illustrative purposes only. In no way should it be presented as your own original work. If in any doubt seek permission. For more information on copyright permissions and obtaining them, see section VII. IV. E. Positioning of figures and tables Each figure and table should be cited within the text in numerical order, indicating their position in the text as follows: <Figure 6 near here> Or, if the position must be fixed <Figure 6 here> If there are problems with the typesetting of any given element, this will be addressed in the galley proofs. Please supply all artwork and tables separately from the text (as specified below, in sections V and VI). IV. G. Electronic Text Be sure that the electronic versions and hard copy match each other exactly, ie, do not print the paper copy and then later make textual changes on the electronic copy, or, conversely, make pen or pencil Page 7 of 10

8 changes on the paper copy that are not reflected in the electronic copy. On the label of the electronic media your files are on, please write your name, the MS number and the name of the software that you have used. For the article text, please use an editable word-processing application, e.g., Microsoft Word. Please do not submit your text files in PDF-format. Do not format your article to look like the sample article. V. Preparing Tables In addition to an electronic version you should supply a hard copy of each table, and a brief title should appear above each. Ensure that all units are clearly stated, preferably in the column headings. Any explanatory material essential to the understanding of the table should be placed in footnotes to the table. Footnotes should be identified by lowercase letters and not by numbers or symbols. The column headings and the body of the table should be as simple as possible. Please submit tables separately, at the end of the manuscript, along with any figures and their captions. VI. Preparing Artwork Full details of our requirements for the preparation of artwork and multimedia are given on the Author Gateway website: The main points to bear in mind, in brief, are: If you do want your artwork returned you should indicate this at the time of your submission. DO NOT SEND US UNIQUE OR PRECIOUS ARTWORK. WE CANNOT GUARANTEE RETURN OF IT. We strongly recommend that you do not supply artwork embedded in Microsoft Office applications. This can lead to problems later in the publication process. Please prepare electronic art files separately from your manuscript file. We will require two hard copies of each photograph, slide, halftone or professional line drawing in a form that is suitable for reproduction without retouching or redrawing. We are happy to receive slides, glossy prints and autoradiographs without supporting electronic copies if original versions are sent. Please label clearly the reverse of each figure with your manuscript number, your figure number, the orientation of the figure and any other points that may be a useful guide for the artist. All line art, other than complex professional drawings are redrawn to meet house style. Please supply a neat version of the figure as you wish it to appear in the final version. A clear sketch and hand labeling are acceptable but please also supply an unmarked original for complex labeled figures. We strongly recommend that you provide electronic copies of your illustrations and figures in addition to hard copies. Line art must be scanned at a minimum of 1000 dpi and photographs/ halftones at a minimum of 300 dpi. To allow calculation of appropriate dpi and as an upper limit for sizing please note that the pages in our works have a print area of 6.5 x 9 inches (165 x 230 mm). Preferred formats for electronic files of illustrations are TIF and EPS. We can use JPEG files but Authors must be sure to prepare these at the highest possible resolution. If you have questions or concerns about your artwork, please direct them to the Developmental Editor, Fiona Pattison before preparing it. VI. A. Colour artwork Page 8 of 10

9 You may submit all figures in colour; however, colour reproduction for any given image cannot be guaranteed, and conversion to black and white may be necessary in some instances. As some colour artwork may be reproduced in black and white or in a project-specific colour scheme, you should avoid references to colour in both the article text and figure legends, wherever possible. VI.B. Multimedia annexes It is hoped that submissions will include multimedia annexes. Multimedia files offer you additional possibilities to publish supporting applications, application-specific material, movies, animation sequences, high-resolution images (in addition to those in the print version), background data sets (such as commadelimited text files and other data sources), sound clips and archives. Approved multimedia files will be published online alongside the electronic version of your article on ScienceDirect. In order to ensure that your submitted material is directly usable, please ensure that data are provided in one of our recommended file formats. These are listed on the above Author Gateway Website. Please cite each multimedia component in the text. Please do this in such a way that the reference can be removed without reorganisation of the text, for the print-only version (e.g., This will be apparent to the practitioner in the field (See Video Clip 3) NOT as can be heard in the following file (Video Clip 3). Please note that any multimedia material supplied is subject to the same review process as the articles. VII. Permissions VII. A. Obtaining permission Since the advent of electronic publishing, permission to reproduce previously published material must be obtained for both print and electronic formats. Permission is needed also for use in the online version of the Work. The onus is on Authors to secure necessary permissions. You should consider carefully whether the inclusion of a particular image or table, if copyrighted, adds unique value to the article. If you still wish to reproduce illustrations, charts, tables, or other material from previously published sources you must obtain written permission from the copyright owner (this is usually the publisher, NOT the author of the article). Please use the permission form included as an Annex to your contract, for this purpose. When applying for permission you should supply the original publisher with photocopies of the material to be reproduced wherever possible. Note that if the copyright owner requires the credit line to be in a specific form you must follow this exactly. The letter from the original publisher granting permission, the permission form, and the photocopied material should be sent to Elsevier with your manuscript package. If permissions are in progress, provide a photocopy of your request, and then forward the actual permission as soon as it is received. See Clause 1 of your contract with respect to payment of fees due for permission to reproduce. If you have questions or concerns about how you should go about securing permissions, please direct them to the Developmental Editor, Fiona Pattison Note especially that permission from the copyright owner IS required for the following: 1. Any substantive verbatim quotations of text matter. Note that all verbatim quotes must be fully attributed. 2. Use of material from your own published work unless you have a prior agreement with the publisher allowing you to reuse your own artwork in future writings without requesting permission. 10 3. A modified figure from a previously published work that is recognizably similar to the original source. (The figure legend should indicate that the figure is adapted. For example: Adapted from with permission.) 4. A table reproduced from a previously published work. 5. Use of material previously published by Elsevier or its subsidiary imprints. Note that permission from the copyright owner IS NOT required for the following: 1. A table compiled from several data sources. Note that all data sources must be cited in the footnote to a table, however (See VII.B. below) 2. Discussions of the data from copyrighted figures and tables, where the figures and tables themselves are not reproduced. VII. B. Citing other works The sources of all data must always be cited in full, whether or not you need permission from the original publisher. For example, you may use a footnote to a table or parenthetical information in a figure legend. Please bear in mind that our format does NOT allow citation endnote, parenthetical citation, or other within the main text of the article. An encyclopedia typically presents core knowledge that is generally accepted within the field and time-tested. Reference to specific papers and books should be limited to the general bibliography section that concludes the article. VIII. Submitting Your Article Your manuscript package MUST be complete when you submit it for acceptance. Please complete and submit the Manuscript Submission Form included with this document along with your manuscript package. IX. Proofs Please consider the revised manuscript you submit after the review process to be the final version. You will have an opportunity to correct the proof, but changes should be limited to corrections of errors introduced by the typesetter. We will send you detailed information about the proof stage, as the International Encyclopedia of Education, 3 rd Edition gets closer to publication. Note that because of the way in which we schedule these large reference works there may be a significant time interval between submission of final revised manuscript and receipt of your page proofs.
