1 Smart Sympodium User Guide - PC What is it? The SMART Sympodium is an interactive electronic lectern available in a number of classrooms at the University of Tennessee. The Sympodium console surface contains an interactive screen and an electromagnetic tethered stylus. Used for lectures, presentations, and more, the SMART Sympodium s interactive screen can display your computer s image and project to an auditorium screen for large audience viewing. With the electromagnetic stylus, you can create annotations and draw over computer applications while you remain facing your audience. With the SMART Software, the annotations can be saved directly to the computer. 2 BEFORE USING THE SMART SYMPODIUM Computer Requirements: (For Version 10.0) A PC laptop with the following: (For Windows 98 and higher operating systems) System requirements: Pentium III 750 MHz or higher processor 512 MB of RAM (1 GB recommended) 250 MB of free hard disk space for minimum installation (1 GB for full installation with Gallery collections) Windows XP or Windows Vista operating system Internet Explorer internet browser 6.0 or later Adobe Flash player version 8 Microsoft DirectX technology 8.1 or later (required for SMART Video Player) SMART Board Software Download the latest free SMART Board software from this website: To download the Smart Notebook software: Select Smart Notebook software Windows Operating System or Smart Notebook Software Mac Operating System appropriate to your computer. Ignore the Current customers and New customers text and scroll to the bottom of the page. Click the Download button. This will download, but not install the software. To install the Smart Notebook software: You should be near a Smartboard or Smart Sympodium when you install but DO NOT plug in the USB cable until prompted to do so at the end of the installation process. First, UNINSTALL any previous versions of the Smart Notebook software. Double click the installer icon, and install the software according to the instructions (most people neither want nor need the Galleries - those are mostly K-12 activities and lesson plans.) Use NB-AEAAG-DAIJR-HYRVY-DEDAK when asked for your product key. At the end of installation, the software will notify you that it is unable to find a functioning Smartboard product, and ask if you want it to search for one. Click Yes, then connect the USB cable from the Smartboard port to your laptop. When the Smartboard (or Sympodium) is detected, the installation will finish, and you will be ready to use the software. Make sure you have the latest version and update periodically. If you experience trouble installing the software, contact the Help Desk at help.utk.edu or , Office of Information Technology 2

3 CONNECTING TO THE SYSTEM 1. Place your laptop near the SMART Sympodium. 2. Connect your laptop to the Sympodium using two cables: VGA and Serial/USB cable. Connect one end to the computer and the other end to the Connection Panel on the side of the Sympodium. 4 Using the Projector to Display a Laptop s Screen The projector will display within 30 seconds after starting the system. Note, if the system is turned off, it cannot be turned back on until it has cooled down this takes approx 2 minutes. There are three video output display modes: 1. Video display output on laptop screen only (projection screen is blank) 2. Display on both laptop and projection screens 3. Video display output on projection screen only (laptop screen is blank) The default mode is laptop only. In order to toggle between the three display modes: 1. On a Dell, hold down the function key and press F8 2. On a Gateway, hold down the function key and press F3 3. On other PCs, look for a button that says "LCD." Connecting a Laptop to the Built-In Speaker System If you want to output audio from your laptop to the speaker system: 1. Locate the thin, audio cable in the bottom drawer of the podium. 2. Plug one end of the audio cable into the headphone jack on the side of the laptop; connect the other end to the "Audio" jack in the Laptop section of the connection plate directly below where you connect the laptop VGA cable. Note: Do not use the Audio jack in the AUX 1 section. Connecting a Laptop to the Internet In order for you to connect to the Internet either with a wireless card or an Ethernet card, your computer must be registered with the university. You may register online at If you are not using a wireless card, locate the Ethernet cable in the bottom drawer of the podium. Connect one end to the Ethernet port on your laptop; connect the other end to the Network port in the laptop section on the connection plate. 2009, Office of Information Technology 4

5 Turn the projection system on at the small AMX control panel (tap to wake up). When the system is warmed up, press Laptop on the menu screen and turn on your computer. Press the Power button from the Sympodium located on the top right side of the screen. If all connections are intact and the laptop button is selected, but there is a blue No Signal Source screen or the image on the Sympodium is not the same as your desktop, press Function F8 on a Dell or Function F3 on a Gateway to get a picture. On other PCs, look for a button that says LCD. THE FIRST TIME YOU USE THE SMART SYMPODIUM Launching the SMART Software If the SMART software icon is not visible in the system tray (the bottom right hand corner of the taskbar), double-click the SMART software icon located on the desktop to launch the software or browse for it in the Program Files. A small SMART software icon will then appear in the system tray. Click on this icon to display the SMART software menu. 2009, Office of Information Technology 5

6 You may need to open the Welcome Center/Control Panel to access some features. Detecting the SMART Sympodium: When you connect to the SMART Sympodium, if you see the SMART Software icon located in the system tray, the SMART Sympodium is ready to use. If there is a detection problem, open the Control Panel. You will see an X on the SMART software icon and a red circle with an X on the Control Panel. 2009, Office of Information Technology 6

7 Check the connections. If you still have a problem, select Tasks/Connection Wizard in the Control Panel. The SMART Board Settings window will appear and automatically detect the SMART product. If the SMART Sympodium detection process is successful, you will see the red circle and X is changed to a green circle and check mark in the Control Panel window. Click OK, and close the SMART Board Control Panel window to continue using your computer with SMART Sympodium applications. If it does not work, check your connections, and restart your laptop. Then, try the detection process from the beginning. 2009, Office of Information Technology 7

8 Orienting the SMART Sympodium The first time you use your laptop with the SMART Sympodium, and subsequently if the Sympodium does not appear to be working correctly, you may need to orient the Sympodium. Click on the Orient from the menu or from the Control Panel. The standard orientation pattern will appear on the SMART Sympodium screen. Use the pen stylus to touch the center of the 9 points as shown below. Note: This process can be further customized through the SMART Control Panel/SMART Hardware Settings/ Pen and Button Settings/(drop-down arrow) Orientation/Alignment Settings. 2009, Office of Information Technology 8

9 TEACHING WITH THE SMART SYMPODIUM Displaying Images on the SMART Sympodium Anything you can display on your computer monitor will be projected onto the SMART Sympodium when you are connected to the system. For example, you could display: Word Documents Images Pages on the Internet PowerPoint Presentations Statistical or Design Programs Touching the SMART Sympodium screen with the pen stylus is equivalent to clicking on your computer screen using your mouse. Tap once on the Sympodium for a single mouse click; tap twice on the Sympodium for a double click. 2009, Office of Information Technology 9

10 Drawing on the Sympodium Screen Use the stylus attached to the SMART Sympodium to draw on the screen. Do not write on the SMART Sympodium screen with dry-erase markers or pens. Note that the stylus pen color is changeable. It will write in the color you select by pen color selection buttons located at the top of the Sympodium screen. Also note that the pen and mouse are interchangeable. However if you lay the pen on the screen, the mouse will not function properly. Always rest the pen near the inside bottom of the screen when not in use. Note the buttons at the bottom of the Sympodium panel.these are shortcuts to some of the Sympodium tools. 2009, Office of Information Technology 10

11 To customize the appearance of your tools: Click on the Gear icon at the bottom of the Floating Toolbar. Drag the desired tool onto the bar; likewise, drag the undesired tool away. Using the Floating Tools The Floating Tools can be hidden completely from the screen with the Hide Floating Tools button on the SMART Board menu. This feature is interchangeable with the wrench symbol on the bottom buttons on the Sympodium panel. The Floating Tools can be hidden partially by clicking on the double arrows on the handle. 2009, Office of Information Technology 11

12 Customizing Floating Tools To customize the Floating Tools in color, size, and more, open the Control Panel and select SMART Hardware Settings. You can change the color, transparency, thickness, and line style. You can change the eraser thickness, and with mouse/keyboard buttons, you can assign other actions to SMART Board mouse/keyboard buttons. Your customized settings will be kept on your computer until you hit the Defaults button. The Floating Toolbar allows you access to a variety of one-touch controls.to launch the Floating Tools, select Show Floating Tools from SMART Board Tools menu. This will launch the default Floating Tools. To use Floating Tools, your computer needs to be connected to the SMART Sympodium. If you wish to move the Floating Tools around, grab by the bar located on the top of the Floating Tools, and drag to a desired position. Default options on the Floating Tools are: Capture an Area - when you click this tool the mouse will change; then drag your stylus diagonally across the area of the screen you want to capture to the SMART Notebook. Use Mouse Cursor this is the default tool Pen tool use stylus to create annotations on screen Highlighter use your stylus to highlight in yellow Restore Cleared Page (Undo) Eraser erase with the stylus 2009, Office of Information Technology 12

13 Right-click of the mouse your next touch on the screen will be a right-click More use to reach options like customizing or closing the Floating Tools Using the SMART Notebook There are three ways to get information into the Notebook. You can use the Screen Capture Tools while working with other programs such as Word or PowerPoint. The captured information will be transferred to the SMART Notebook. You can import image and Flash files to the SMART Notebook by using the SMART Notebook s Insert menu. You can create annotations while working with the SMART Notebook. Using the Screen Capture Tools One of the screen capture tools is on the default Floating Tools. If you would like to have other screen capturing options, you can customize your Floating Tools and add other options (please refer to Customizing Floating Tools above). Another option to capture screen images is to use the Screen Capture Toolbar. To launch the Screen Capture Toolbar: Start the SMART Notebook. From the View menu, select Screen Capture Toolbar. Capture an Area when you click this tool the mouse will change; then drag your stylus diagonally across the area of the screen you want to capture to the SMART Notebook. Window Capture when you click this tool, select the window you want to capture to the SMART Notebook, and the active window will be shaded. Screen Capture when you click this tool, the whole screen will be captured to SMART Notebook. 2009, Office of Information Technology 13

14 Freehand Capture when you select this tool, the area you have defined will be captured to SMART Notebook. If Save to new page is checked, the captured images will be located in a new page of SMART Notebook. Creating Annotations in the SMART Notebook If it is not started, start the SMART Notebook. Draw or write in the Notebook with the stylus. After use, select the mouse arrow from the Floating Tools or use the pen color buttons again. If you want to convert the handwriting to text, touch the object with the stylus to select it. If you select it, a border around the object and arrow will appear. Tap on the arrow button, and select one of the options to convert it to text. If none of them is appropriate, delete the object and try to write clearly. Note: You may also use the SMART Keyboard to write on a SMART Notebook page. Select the keyboard by pressing the SMART Sympodium buttons with a picture of a keyboard next to it (or choose Keyboard from the Start menu). The image of a keyboard will appear on the screen. You may choose your option for data entry from the dropdown menu (see the following image). First, tap at the desired location on the SMART Notebook page. Then, enter your information in the SMART Keyboard. The information will be displayed as typed characters at the desired location on the SMART Notebook page. Saving or Exporting Notebook Files 2009, Office of Information Technology 14

15 You can save or export SMART Notebook files in several formats: Notebook files, Image files, HTML files, or PDF files. To save the annotations as SMART Notebook file, from File menu select Save. To export as a Web page, an image file, a PDF file, or a PowerPoint file, from File menu select Export and the Export window will appear. Select the desired format, and enter a file name; then click the Export button. Using the Notebook with PowerPoint Launch PowerPoint and open your presentation. From the View menu, select Slide Show to begin your presentation. When you enter Slide Show mode, the presentation floating toolbar will appear. By default, a double-click will advance the presentation. To move backward and forward between slides, you may: Click on the left and right arrow buttons on the toolbar above or Tap on the screen once, and then tap again to the right of your initial tap to move forward; tap on the screen once, and then tap again to the left of your initial tap to move backward. Clicking on the menu button in the center of the presentation floating tools, and choosing Settings will enable you to turn off the double-click feature. Note the choices in the drop-down list: Saving ink notes, Insert Drawing as Image, Clear Drawing, Add Blank Slide, PowerPoint Commands, Settings, SMART Floating Tools and End Show. 2009, Office of Information Technology 15

16 You can copy a picture of the slide with your notations on it to the SMART Notebook, leaving your PowerPoint file unchanged. From the presentation floating toolbar menu, select Saving ink notes. You have the option to save drawings or notations made on the SMART Sympodium in the PowerPoint presentation itself so that when you next open the presentation, your notations will be there. To automatically insert the drawing or annotation into the presentation, choose Insert Drawing as Image. In addition, if you leave the presentation without inserting the image, you will be given the option at this point. Under Settings, choosing Double-Press to Advance will enable you to click on a URL rather than advance to the next slide. You will have to click twice to advance. If you have active URLs in the presentation, choosing the double click is recommended; otherwise, you will not be able to follow the URL. To move backward and forward between slides, you may: a. Click on the left or right arrow buttons on the presentation floating toolbar or 2009, Office of Information Technology 16

To move forward, tap on the screen once, and then tap again to the right of your initial tap to move forward; to move backward, tap on the screen once, and then tap again to the left of your initial tap. Recorder The Recorder allows you to simultaneously record your voice and video of the screen as you draw and change the display on the screen, effectively creating a narrated video. Note: If you are running Windows 2000 or XP, the first time you use the recorder it will recommend that you set your Hardware Acceleration to none. To do so, select Control Panel > Display > Settings > Advanced > Troubleshoot and move the slides to none. To record, you will need a microphone either built-in or connected to your laptop. Make sure the volume is not muted. To open the Recorder: From the SMART Board menu, select Recorder. The Recorder controls will appear: Press the Record button to start recording, press Stop when you are finished. Your voice will be saved along with everything that is displayed or written on the board while you record. By default, the file saved will be in movie format (.avi) and can be viewed using Windows Media Player, Real Player, Quicktime, or similar software. From Menu, you can change your preferences and have the file saved as a SMART Recorder file that can be viewed with Smart Media Player. NOTE: Files tend to be about 10MB per minute, so if you record an entire lecture, your file will be very, very large. You will need special storage space on a server for files this size if you want to put them on the web. 18 USING OTHER EQUIPMENT Select the DVD or VHS on the Sympodium AMX Control Panel. HOME AMX Control Panel Insert the media. Use the controls on the AMX Control Panel to operate the DVD (or CD) or VHS. Remove your media when you are finished. Press Home to return to the main screen.
