1 General Guide THE LIBRARY EndNote Online EndNote Online is a bibliographic management tool that allows you to save references for books, journal articles, websites and other sources into a personal account as you carry out your research. Because it is on the web you can access it anywhere you have internet access. You can then use EndNote to insert citations into your text, and create a bibliography (list of references) at the end of your assignment or dissertation, which will be automatically and correctly formatted in the APA 6th style required for most courses at Salford or any other style you want. Registering for EndNote Online EndNote Basic is freely available to anyone, but as a member of the University of Salford you are entitled to the enhanced EndNote Online version, which gives you extra PDF storage space and more referencing styles to choose from. You will need to create your account in one of the following ways, depending on where you do your work: mainly at home, or mainly at university. o If you work mainly (or always) at home If you do most of your written work at home, or you are a distance learner and never (or very rarely) use a University PC, you will need to register through Web of Science to get the full benefits of EndNote Online. o o o o Go to the Library s Resources page at: Click the letter W, then click the Web of Science link. Click the red Link to database link. You may be asked to log in. If so, log in with your network (Blackboard) username and password. Click the Sign In link, then click Register. 1

2 At the next screen you will be asked to enter an address; this can be a personal one or your University one. Click the Continue button, then follow the onscreen instructions to make yourself an account. o If you do most of your work at university If you do most of your writing on the University s PCs, but occasionally like to work at home, you may benefit from using the full EndNote X7 software. You can synchronise this with your EndNote Online account, so all your references are waiting for you when you get home. The Introduction to EndNote X7 workbook has instructions about making an End Note Library and saving references into it. You can find it here: or contact your Academic Support Librarian for help. You can find their details from the subject menu here: Once you have made your EndNote X7 Library click the Sync Library button. Click the Sign Up button, then enter your address (as above) and follow the on-screen instructions to create your account. 2 [Dec15 Anne Sherwin]

3 When you have finished registering click the Sync button. You may be prompted to make a back-up of your library you can say yes or no to this. From now on your references will be updated whenever you open or close either of your EndNote libraries. Accessing EndNote Online Once you have created your account you can access EndNote Online by going to and clicking the LOGIN link at the top of the page. You may need to click Hide Getting Started Guide (top right-hand corner) to see your EndNote library. Saving references from SOLAR As you search SOLAR for books, journal articles and other information you can save the records you find directly into EndNote Online. Go to the Library homepage: Click the Search SOLAR for books & more link. Type your keywords, author and/or title here. Use these tabs to limit your search either to Books, Journal Articles, or Everything. Use Advanced Search if you would like more search options. 4 When you have found the item you want, click on its title link. Click the Actions link. Select EndNote Web. A new window will open, asking you to log into your EndNote account. An Import Results screen will be displayed. Click the My References to see the reference you have just imported. Records, especially for books, that you import from SOLAR may need some editing. 5 The place of publication (e.g. London) has been entered twice, so you will need to delete it, and the colon, from the Publisher field. The ampersand also needs to be reformatted. Click in the field to edit it. When you have finished editing the record click the Save button. This will ensure a correctly-formatted reference. Collecting references from other databases A few databases, such as Web of Science and the EBSCO databases, allow to save records directly into EndNote Online. Look for an export option called EndNote Web or EndNote Online. 5 [Dec15 Anne Sherwin]

6 For most databases, saving records into EndNote Online is a two-step process: you save a temporary file from the database, then import that file into your EndNote Online library. For example, in Scopus: Mark the records you want, then click Export. Look for an option for either RIS or EndNote. Choose the information you want to save, e.g. Citations and Abstracts. Click the Export button. Click the Save button, select Save as, and save the file somewhere you will be able to find it, e.g. the Desktop. 6 [Dec15 Anne Sherwin]

7 The references will be imported into your EndNote Library. Click the link or the My References tab to see them. 8 Creating references manually There may be times when you need to create references manually, for example, for webpages, blog entries, and reports you have found online. Click the Collect tab, then the New Reference link. Select the type of information source you from the Reference Type menu. Click Save when you have finished. Type the information into the fields you need to click into the field before you can type in to it. Note the advice about typing authors names. If the work is written by an organisation rather than a person you need to type a comma after it, e.g. National Health Service, Organising your references If you are researching several assignments or working on a big project such as your dissertation you might find it useful to create folders (called Groups) to help you organise your references. Click the Organize tab, then click the New Group button. Type in a name for your Group then click OK. 8 [Dec15 Anne Sherwin]

9 To file your references click the My References tab, tick the boxes for the ones you wish to file, then select the Group you wish to use from the Add to group menu. Your Groups are listed here. Click on the title link to see the references which are listed within it. At university: accessing the toolbar in Word To access the Cite While You Write tools on a University PC, open Word and click the EndNote X7 tab. Click Preferences. Click the Application tab, select EndNote online from the menu, then click OK. 9 [Dec15 Anne Sherwin]

10 At home: installing the toolbar in Word Scroll down to the bottom of any screen in EndNote Online and click the Download Installers link. You will be offered the choice of Windows or Mac. Select the one you need and follow the on-screen instructions. Inserting citations and references 1. Log into EndNote Online. 2. Open your Word document. Click the EndNote tab. Place your cursor where you wish to insert the citation, then click the Insert Citations button. At this stage you may be asked to log into your EndNote account. 10 [Dec15 Anne Sherwin]

11 Type in a keyword or name to search for the item you wish to cite, then click Find. Matching references will be displayed here, with previews of the records here. Highlight the one you want and click the Insert button. The citation will be inserted into your document. If it looks like this (curly brackets & title) click Update Citations and Bibliography. Select APA 6th from the Style menu. You will now have a correctly formatted citation, and its corresponding reference at the end of your document. 11 [Dec15 Anne Sherwin]

12 Changing the citation format In your writing you will often integrate the authors names into your text, for example: Anderson and Hughes (2012) described the In this case, you do not repeat their names in a citation at the end of the sentence. 1. Insert your citation as described on pp Type the authors names before the brackets. Remember to use the word and between their names (not an ampersand). 3. Click on the citation so that it is highlighted, then click the Edit Citation(s) icon. 4. Tick the Exclude author box, then click OK. Your citation will now be correct. 12 [Dec15 Anne Sherwin]

13 Editing and deleting citations To add a page number for a direct quotation, first insert your citation (see pp ). Click on it so that it is highlighted, then click the Edit Citation(s) icon. Type in your page number, then click the OK button. Use the Edit Citation icon if you need to delete a citation. Go to the Edit Reference menu next to the one you want to delete and click Remove Citation, then OK. 13 [Dec15 Anne Sherwin]
