1 ACH Manager Reference Guide

2 Welcome to ACH Manager This guide is intended to provide you with clear and concise instructions on how to process, import and review ACH transaction through our online ACH origination solution found within Business Online Banking. Log on 1. Log on to Enterprise Banks website EnterpriseBanking.com. 2. Under the Account Login menu on the left-hand side, select Log In under Business Banking. 3. Enter your Access ID and select Log In 4. If applicable, answer your Security Challenge question and select Submit. You may choose to register the PC you are on so that you are not challenged in the future. However, if you are logging in from a previously registered PC then you will not be challenged. Skip to step Enter your Password and select Log In Enable your security token (For first time token users only) 1. Hover over the Account Services menu tab and choose Enable Your Token. 2. Create a 4 digit PIN to lock/unlock your token. Confirm the PIN. 3. At the APPLI - screen press 1 on your token. An 8 digit number should appear. 4. Enter only the 8 digit number from your token into the One Time Password box on the online banking website. 5. Enter your 4 digit PIN that you chose for your token. 6. Enter a valid Address should you have to reset your password. 7. Create a Secret Question and Answer that the bank can use to identify you when you call the bank for assistance. 8. Select Submit. The enablement process is complete. (This is a one-time process.) ACH Manager Main Menu 2

3 Note: Depending on your user rights the menu may be more or less than what appears in the above image. Inquire ACH Transfer Allows you to search up to 45 days of ACH history to view the details of previously processed batch or file. Change ACH Transfer Allows you to change or complete a previously saved batch that was started but never processed or change a batch in a pending origination status. New ACH Transfer Allows you to create a new batch with either outgoing credits or debits. New ACH Transfer Using Existing Transfer Allows you to re-use the ACH details of a previously submitted batch or file. Only batches or files submitted within the past 45 days may be re-used. Delete ACH Transfer Allows you to delete a previously saved batch that was started but never processed or delete a batch that is in a pending origination status. Reverse ACH Transfer Allows you to reverse an ACH transaction or entire batch, if within the NACHA regulated timeframe. ACH Transfer Template Allows you to create a template with ACH entries that can be re-used at a later date. Templates are available for use anytime and are not affected by the 45 day history parameter. ACH File Import Template Allows you to build a file layout template to read a non-nacha formatted file that you wish to import such as a comma delimited file (.csv). Import ACH Transfer NACHA Allows you to import a previously created NACHA formatted file. Import ACH Transfer Non NACHA Allows you to import a previously created Non NACHA formatted file.). Incoming ACH Allows you to view 10 days worth of incoming ACH s. Submit an ACH 1. Hover over Management Tools and choose ACH Manager. Select an option below: Process a new ACH Transfer 1. Select New ACH Transfer. 3

4 2. Select the Standard Entry Class Code for the ACH transfer from ACH Type and submit. 3. To create an ACH batch with one or more ACH entries, provide a description for the batch and then select the settlement date for the batch. 4. Choose the Enterprise Bank account that will be the offset in the batch. 5. Enter the appropriate information for the individuals/vendors that you are crediting/debiting. 6. Select the Description link to add a manual description that will appear on the recipient s bank account statement. (This is optional) Please Note: Select the Prenote box if this is the first time that you are attempting to send an ACH entry to this recipient. This will test the account information and send the recipient a $0.00 entry. If you do not receive a return notice or notice of change within 6 business days then it is okay to send a live dollar entry to the recipient. Please Note: Only select "Hold" if you wish to eliminate a specific transaction or transactions from the batch. 7. Select Process to process the batch immediately or select Save to save the data for later user. (If you saved the batch, it can then be viewed or submitted by choosing Change ACH Transfer from the main ACH Manager menu.) 8. When prompted to use your token: Turn your token on by pressing on your token. Unlock your token by entering your 4 digit PIN. At the APPLI - screen press 2 on your token. Enter the 8 digit Challenge Value from the website into your token. A return value should appear. Enter the returned value from your token into the Response Value box. 4

5 9. Select Submit. (The system will then edit check and limit check the file. Ensure the file successfully processes and then select Done.) Import an ACH transfer (NACHA formatted) 1. Select Import ACH Transfer NACHA 2. To input your file, browse to locate your ACH file. 3. Select the Standard Entry Class Code for the ACH transfer from Transfer Type. 4. Verify the data that the system detected from your file and then select Process to complete the import. 5. When prompted to use your token: Turn your token on by pressing on your token. Unlock your token by entering your 4 digit PIN. At the APPLI - screen press 2 on your token. Enter the 8 digit Challenge Value from the website into your token. A return value should appear. 5

6 Enter the returned value from your token into the Response Value box. Select Submit. (The system will then edit check and limit check the file. Ensure the file successfully processes and then select Done.) Establish an new ACH Transfer Template 1. Select ACH Transfer Template and submit. 2. Select the new icon in the upper right-hand corner to create a new ACH transfer template. 3. Select the Standard Entry Class Code for the ACH transfer from ACH Type and submit. 4. Establish all required template information and save. Create an ACH Transfer using an exisiting Template 1. Select ACH Transfer Template and submit. 2. Select the existing ACH transfer template from the list of templates. 3. Select New Transfer to initiate a new ACH through this template. 4. Verify the data that the system retrieved from your template, enter any required information such as amount, transfer date, users etc. and then select Process. 5. When prompted to use your token: Turn your token on by pressing on your token. Unlock your token by entering your 4 digit PIN. At the APPLI - screen press 2 on your token. Enter the 8 digit Challenge Value from the website into your token. A return value should appear. 6. Enter the returned value from your token into the Response Value box. Select Submit. (The system will then edit check and limit check the file. Ensure the file successfully processes and then select Done.) Process an ACH Reversal (Standard access rights may not apply to this feature) 1. Select Reverse ACH Transfer. 2. To search by confirmation number, enter the Confirmation Number of the ACH transaction or leave blank to view all ACH transfer files submitted. 6

7 3. Select the Submit button. The transactions that meet the search criteria display in the ACH List section of the page. 4. Select the Transfer Description link of the specific ACH Transfer you wish to reverse. 5. Select the Reversal check box. 6. Select the Next button. (The Reversal page displays with the Status Activity.) 7. Select the Account to receive the ACH reversal. 8. Enter the Amount. 9. Select the Process button to begin the reversal request. The Processing Status page displays with the Status Activity. 10. Verify the data that the system detected from your file and then select Process to complete the import. 11. When prompted to use your token: Turn your token on by pressing on your token. Unlock your token by entering your 4 digit PIN. At the APPLI - screen press 2 on your token. Enter the 8 digit Challenge Value from the website into your token. A return value should appear. Enter the returned value from your token into the Response Value box. Select Submit. (The system will then edit check and limit check the file. Ensure the file successfully processes and then select Done.) 7

8 Delete an ACH transfer (you can only delete an ACH transfer in a pending origination status) 1. Select Delete ACH Transfer. 2. To search by reference number, enter the Reference Number of the ACH transaction or leave blank to view all ACH transfer files submitted. 3. Click the hyper link aka file name and once in the file, click next to delete file. Please Note: You can only delete an ACH transfer in a pending origination status. You cannot delete an ACH transfer that has already been scheduled or processed. Tips & Reminders All ACH batches and files must be balanced; meaning, the total amount of the credits and the total amount of the debits must be equal else, the file will reject during the edit process. All ACH batches and files must contain an offsetting entry that is an Enterprise Bank account. By default, Massachusetts tax payment types are enabled for ACH Credit originators. If other states or tax types are required please contact Electronic Servicing at or at to enable this tax type. confirmations, warnings and file with errors are generated after each ACH submission. Please address s accordingly; if necessary. Refer to the ACH Information Package for details on rules, regulations and processing of ACH. All ACH batches and files will be processed during one of the following ACH processing windows: 11:00 AM EST 1:30 PM EST 5:00 PM EST. Please Note: Batches and files submitted after 5:00 PM EST will be processed the next business day. 8 Updated October 21, 2016
