1 TITLE: Project Coordinator for Maintenance REPORTS TO: Associate Director for Maintenance SUPERVISES: Drafting Staff, Stock Clerks, Office Secretary and Data Clerk JOB FUNCTION: Provides a safe, comfortable educational environment by supervising internal design of upgrades and/or modifications to buildings and building systems. Assists in the management of capital improvement and renovation contracts. Primary coordinator for required/upgrade training for all maintenance staff. Assists, as required in areas of energy management, indoor air quality and other areas, as required by administration or other staff members. Acts as Associate Director for Maintenance in absence of Associate Director. DUTIES AND RESPONSIBILITIES: Manages using the principles of Total Quality Management/Service (TQM & TQS). Identifies current and future maintenance project requirements by establishing rapport with administrators, engineers, local/state/federal staffs, tradesmen, vendors and other persons in a position to understand maintenance requirements. Achieves financial objectives by adhering to an annual maintenance budget, provides recommendations for capital and renovation expenditures, projects expenditures; by coordinating projects with purchasing, by analyzing variances, by initiating corrective action and anticipating long-term issues. Ensures proper environment for the educational process by determining project priorities. 1 P age Supports educational environmental development and improvement by reviewing new products, equipment, and systems; by discussing equipment/systems needs and modifications with engineers/vendors; by coordinating activities of technicians, workers and contractors fabricating or modifying machines, equipment or systems
2 DUTIES AND RESPONSIBILITIES (CONT.): Provides drafting services by directing drafting staff and coordinating services of vendors. Supervises office and data base support operations by directing staff and conferring with management, supervisors, technicians and other staff. Supervises inventory control operations by directing staff and conferring with management, supervisors, technicians and other staff. Coordinates all maintenance staff training by conferring with management, supervisors, technicians and local, state, and federal officials. Protects district staff, students, and visitors by maintaining a safe, clean educational environment. Prepares routine and special reports by collecting, analyzing and summarizing information and trends. Directs planning of projects to include studying customer requirements and needs, identifying and analyzing trends in technology and conferring and collaborating with other members of management. Maintains the maintenance support staff by recruiting, selecting, orienting and training employees. Maintains maintenance support staff job results by coaching, counseling, and disciplining employees; by planning, monitoring, and appraising job results. Complies with federal, state, and local legal requirements by studying existing and new legislation; by enforcing adherence to requirements and advising administration on needed actions. Assists in overseeing capital improvement and renovation projects; recommends project specifications; analyzes design, district requirements and performance standards; ensures district goals are met by performing preliminary and final "punch lists" for designated projects. 2 P age
3 DUTIES AND RESPONSIBILITIES (CONT.): Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks and participating in professional societies. Contributes to the team effort by accomplishing related results as needed; assists in energy management, indoor air quality and other areas, as required by administration and other staff members. Maintain records and prepare reports. Compile and verify data and prepare reports. Prioritize and schedule work. Maintain current knowledge of program rules, regulations, requirements and restrictions. Maintain current knowledge of technological advances in the field. Analyze situations accurately and adopt an effective course of action. Meet schedules and time lines. Plan and organize work. Perform other duties as assigned. Maintain regular attendance. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Subject matter in area of assignment. Short and long-range planning techniques applicable to area of specialty. Laws, rules and regulations related to assigned activities. Policies and objectives of assigned program and activities. Interpersonal skills using tact, patience and courtesy. Principles of training and providing work direction. Technical aspects of field of specialty. ABILITY TO: Provide leadership to an activity with significant district impact routinely affecting more than one unit or department and involving diversified problem solving with significant outside contacts involving problem resolution while working under general supervision. Provide technical assistance to district and school personnel in area of proper specialty. Oversee the work of committees and task forces. Communicate effectively both orally and in writing. Prepare and deliver oral presentations. Establish and maintain cooperative and effective working relationships with others. PHYSICAL DEMANDS: Work is performed while standing, sitting and/or walking. Requires the ability to communicate effectively using speech, vision and hearing. Requires the use of hands for simple grasping and fine manipulations. Requires bending, squatting, crawling, climbing, reaching. Requires the ability to lift, carry, push or pull light weights, up to 30 pounds. EDUCATION AND EXPERIENCE: Bachelor's Degree and at least four years experience, preferably five years experience, in area of assignment or equivalent experience. 4 P age
