3 Introduction This policy and the processes supporting it are in place to ensure that if you re required to move on a temporary basis for work purposes within the UK, you re treated fairly and consistently. It s important that you know that this policy supersedes any previous relocation policy and it is non-contractual, therefore it can be amended at any time at Tesco s discretion. This policy should be used in conjunction with your secondment agreement, employment contract and the Secondment Policy. 1. Who s this policy for? This policy applies to you if you ve been asked by the business to work temporarily on a full time basis in a different location (for two to eighteen months), which is more than 50 miles away from where you currently work and you are therefore relocating your main residence for the duration of your secondment. All secondment assistance is provided at the discretion of Tesco. Your secondment package will be specific to you, so we can tailor it to individual circumstances and the details will be available in your secondment agreement. Your secondment agreement should remain confidential. 2. Can my family move with me? Yes, this policy covers you, your spouse (or eligible domestic partner) and any dependent who falls into any one of the following categories: Unmarried children under the age of 18 Unmarried children up to the age of 22 in full time education attending an accredited college or university An immediate family member who you are the legally nominated carer for. 3. Can I take time off to move? Yes. You can take two days in addition to your normal annual leave. Entitlement must be used within 12 months of the start date of your secondment agreement. 4. Will Tesco pay for my travel? Yes. We will pay for you and your dependents but only for your initial trip to your new work location If you re using your own vehicle you can expense any fuel costs via our relocation assistance provider, if you re using any other mode of transport, this must be booked via HRG in line with the UK Travel and Expenses Policy. 5. Will Tesco pay for my accommodation while I m on secondment? Yes. When you first move to your new secondment role we will pay up to 4 weeks accommodation for you and your dependents. This will either be in a Tesco nominated hotel (bookable via HRG), or a Tesco leased apartment. While in temporary accommodation, we will also pay for your utilities (gas, electricity, water and council tax). After this, we will pay for your rental property (including utilities gas, electricity, water and council tax). The amount of rent we pay is based on your family size; your budget will be confirmed in your Secondment Agreement. 6. Will I get help to find my longer term accommodation? Yes. You'll be contacted by the Tesco-appointed home search provider who will go through your requirements and help you in your search. They'll send you a list of properties which you can choose to view privately. 7. Can I claim for my travel when I m viewing properties? No, we expect you to pay for this using your disturbance allowance. 8. Where does my temporary rental need to be? You need to move within 20 miles of your secondment work location. 9. 4 Yes. We will pay up to 2 weeks accommodation for you and your dependents, near to your home location. While in temporary accommodation, we will also pay for your utilities (gas, electricity, water and council tax). 10. Will Tesco cover any rental agreement fees? Yes, if applicable. This is the administration fee charged by letting agents for creating tenancy agreements. It is charged at the commencement of the tenancy. 11. Will I receive removal and storage services and associated insurance? Yes. If you're single or married, we'll cover the cost for up to a maximum of a 20ft container, if you have a family this will increase this to a 40ft container. You will need to complete the insurance documentation provided by the Tesco appointed removals vendor. Tesco does not provide insurance coverage on household contents or personal effects, our appointed removals vendor does. You are entitled to 4 weeks storage, we'll cover the cost for up to a maximum capacity of a 20ft container or if you have a family this will increase this to the capacity of a 40ft container. What else do I need to know about removal and storage? The Tesco-appointed removals vendor will get in touch with you. You ll need to ensure that a physical survey of the items that are to be moved is arranged with the removals vendor. You should discuss the following points with the representative charged with providing an estimate when the physical survey is being performed: All the items to be moved An estimate of the replacement value of all goods to be moved Expected dates for packing, loading and delivery All articles that need special attention and those of exceptional value. There are items for which Tesco will not bear the cost of removing. These include, but are not limited to: Motor or motorised vehicles including, but not limited to, cars, motorbikes, mowers, trailers Antiques Valuable paintings and papers Furs, gems, precious stones and valuable jewellery Guns Alcohol, wine, beer Pianos/organs Currency Any other items that will require special handling or storage. In addition the following costs are not covered by Tesco: The removal or installation of carpeting, curtain rods and other permanent fixtures House cleaning service to pack, unpack, clean and put away personal effects Transportation of personal goods into/out of long term storage or to another location Transportation of goods from temporary to permanent accommodation in the Destination location The costs associated with the disposal or any personal goods that are not to be moved to the Destination location Assembly of newly purchased items of furniture. You are allowed to use your disturbance allowance to pay for anything that Tesco s doesn t cover. See below for information regarding your disturbance allowance. 12. Am I entitled to a disturbance allowance? Yes. We know there are often hidden costs when you're moving so you ll receive 10% of your salary up to a maximum of 3,500 (gross amount) if you're single or married, or up to a maximum of 5,000 (gross amount) if you're moving your family. This payment counts towards your taxable income and any statutory benefits you receive. We expect you to use your disturbance allowance for costs such as cancelling subscriptions, memberships, contents insurance, broadband, line rental, additional shipping, additional storage, additional accommodation or specialist packing. 5 13. How do I claim expenses? We anticipate that you will incur costs for subsistence if you re in a hotel for the first four weeks (i.e. your temporary accommodation) this should be claimed through our relocation assistance provider. For any other business travel and expenses outside of this arrangement, please see the Travel and Expenses Policy. 14. What other help might I be eligible for? The business may consider offering you additional support dependent on your situation, you will be informed of whether you re eligible by your manager and it will be stated in your Relocation offer letter. Any additional support you are offered is at the sole discretion of Tesco. Additional support could include the following: Area orientation We have a Tesco appointed supplier who could support you in getting to know the local area and amenities so that you are better equipped in making decisions on schooling, home location etc. More in-depth home search In addition to receiving a list of potential properties, you may also ask our Tesco appointed home search provider to accompany you on one day s viewings. School search You may be provided with assistance in searching for an appropriate school in your new location. Any fees or costs associated with the application process will neither be paid nor reimbursed by Tesco. Tesco will not subsidise any lump-sum deposits required to enroll your child/ren in your school of choice.
