3 1. Introduction Portfolio Management system is a dashboard application that provides a platform to Program Managers as well as Project Managers to manage the Programs and Projects respectively under their scope. It is a role based application that provides multiple users a platform to manage the Finances, Resources, Risks, Issues and Releases as per the role and access permissions given to them in the application from Admin Panel. PMS allows data to be presented graphically for better understanding. The PMS application maintains three levels of hierarchy- Portfolio, Program and Project. At Portfolio Level, we have list of Programs and under each Program, we have multiple Projects. Each Program and Project has its weekly status report, milestones, associated Finance, Resources, Risks, Issues and Releases. The users can enter the information related to their program/projects using the different modules. The information is rolled up from project to program and from program to portfolio level so that the manager at higher level of hierarchy is able to view the consolidated information. The different Modules of our application are explained below. 2. Login Page As soon as we type the url we are redirected to the first page of our application,.i.e., the Login page. When the user enters valid credentials and click on the Login button, the user is redirected to the Home Page as shown below. Page 3 of 20
4 3. Home Page Home Page for Portfolio Manager In the Portfolio Dashboard, the top six tiles provide links to different modules of the application. The left navigation bar displays list of Programs. With respect to each program milestone timeline graph, Weekly status Report, Critical Issues, Risks and Comments are displayed. Home Page for Project Manager Page 4 of 20
5 Home Page for Project Manager who is in charge of two or more Projects under different Programs To access the projects of which the user is in charge, the user needs to click on the arrow in the left navigation bar. 4. Home Page Components 4.1 Left Navigation Bar In the left navigation bar, there is a list of programs along with the RYG status (Red, Green, Blue) based on the program/project health as well as the count of resources, risks and issues. The arrow helps the user to drill down from Program Level to Project Level. Page 5 of 20
6 4.2 Milestone It displays milestones coming in the next three months as well as the milestones for the previous one month. It provides two icons, one for edit and the other for viewing milestone in a large window. On click of edit button icon, edit model window appears as shown below. 4.3 Milestone Edit Model Window Milestone Edit model window allows users to insert a new milestone and its details, edit the existing milestone data, search the required milestone and delete the milestone if not required. 7 4.4 Weekly Status Report On the right side of the Home page, there is an accordion to display and add the weekly status report that comprises of current week s key accomplishments, next step and also the previous week s achievements. In order to add the weekly status report of the current week, the user should click on the edit button icon. As the user clicks on the edit icon the weekly status report edit model window will open up as displayed in the above screenshot. The upper key accomplishment and next step are current week s and the below ones are for the previous week. We can select the previous month and week from the drop down as per our requirement. 4.5 Comments In the bottom right corner is the Comments section, on clicking the arrow present at the bottom right corner of comments section edit window will open up where the user can enter the comments. 8 4.6 Top Tiles At the top of the Index page we have six tiles depicting our six modules which are as under. 1. Program 2. Finance 3. Persons 4. Risks 5. Issues 6. Release Program Tile The first tile that is the Program tile displays number of programs as well as the percentage of programs having red, yellow, green status. Finance Tile The tile displays financial amount in dollars as well as the percentage of the amount spent as compared to the total amount. On click of this tile user is redirected to Finance dashboard. Persons Tile The tile displays the total count of resources allocated to any program/project. On click of this tile user is redirected to Resource dashboard. Page 8 of 20
9 Risks Tile The tile displays total count of risks (open and closed risks). On click of this tile user is redirected to Risks dashboard. Issues Tile The tile displays total count of Issues (open and closed issues). On click of this tile user is redirected to Issues dashboard. Release Tile The tile displays total count of upcoming releases. On click of this tile user is redirected to release dashboard. 4.7 Critical Issues Section If the user has added the issues from the top tile then the issues will be listed on home page in the Critical Issues section available in the bottom. Note: - Only high and medium issues are listed in this section on home page. Each listed issue will be a link that will open the detail related to that issue as shown in the above screenshot. The user will be allowed to edit the details related to that issue by simply clicking on the edit button icon present in the top right corner of the Issue Details model window. Page 9 of 20
10 4.8 Risks Section If the user has added the risks from the top tile then the risks will be listed on home page in the Risks section available in the bottom. Note: - Only high and medium risks are listed in this section on home page. Each listed risk will be a link that will open the detail related to that risk as shown in the above screenshot. The user will be allowed to edit the details related to that risk by simply clicking on the edit button icon present in the top right corner of the Risk Details model window. 4.9 Top Right Corner Icons In the top right corner, user can see three icons which are- 1. Home 2. Settings 3. Logout Home Icon On click of this icon, page will refresh. Settings Icon If the user is an admin, then on click of this icon two selectable options will be visible, one for going to the Admin Panel and the other to change the password. If the user is not an admin then on click of this icon only Change Password option will be visible. Page 10 of 20
11 On click of Change Password option following screen will be visible. Logout Icon On click of this icon, user will be logged out of the application Arrow in Left Navigation Bar The arrow provides the drill-down functionality. On click of this arrow, user is drilled-down from portfolio level to program level and the user can see the list of projects under the selected program in the left navigation bar. Also, all the modules such as Finance, Resources, Risks, and Issues (except Releases) will be according to the selected program Breadcrumb Page 11 of 20
12 On every page, user can see the breadcrumb to show the flow of selection. The above screenshot displays that the user is at Project Level, i.e., the user has clicked on the arrow adjacent to CSG program and has landed to project dashboard where by default first project ACS is selected and Milestone, Weekly Status Report, Comments, Issues and Risks are according to the selected project. On clicking the Portfolio keyboard from the breadcrumb, user will be redirected to the Home page. Module wise permissions Different users can be provided with different module permissions and the user can view only those modules (out of 6 modules) of which the permission is provided by the Admin. 5. Finance Dashboard The above screenshot is the Finance Dashboard. In the left side user can see the Budget Analysis bar graph that depicts Program wise financial details. On clicking any particular program, it provides feature to drill down to project level. On click of Budget Distribution tab adjacent to Budget Analysis, pie-chart appears displaying planned budget distribution. The pie-chart also supports drill-down functionality as on click of any program from the pie-chart, the corresponding projects under it are displayed. Page 12 of 20
13 The right grid displays Program/Project wise finance details. It comprises of Program Name, Planned Budget, Revised Budget and Actual Spent. This grid is editable, on click of the Edit icon button Finance Edit Model window opens which is as shown in the screenshot. In the Finance Edit Model Window, user can search, insert a new detail, update the planned budget, revised budget and actual spent. Page 13 of 20
14 6. Resource Dashboard The above screenshot is the Portfolio Resource Dashboard. In the left side user can see the bar charts displaying the Resource Designation, Resource Utilization, Resource Location and Resource Type according to the year and month selected from the top. User has the facility to select all those designations for which the data needs to be displayed. Resource Utilization bar chart represents the planned hours and Utilized hours of resources. Resource Location bar chart displays location of resources as Onsite or Offshore. Resource Type bar chart displays resources as full time employee (FTE) or contractor. The bar chart can be drilled down by clicking on the particular program from the bar chart. When the user clicks on a particular program from the bar chart, the bar chart at the project appears showing all the projects under the selected program. The right grid displays the program name (in case of Portfolio dashboard) or project name (in case of project dashboard), total resources, total planned hours, total utilized hours. The grid is the editable grid. On click of the edit button icon following screenshot appears on the screen. Page 14 of 20
15 The resource model window allows user to update the resource s type, location, planned hours, utilized hours. Also the user can search and delete the detail of a particular resource. Note: - User cannot insert a new resource from resource edit model, inserting a new resource can only be done by Admin through admin panel. User can only update resource type, resource location, planned hours, utilized hours. 7. Risk Dashboard Page 15 of 20
16 The above screenshot is the Risk Dashboard. In the left side user can see different graphs such as Open Risks by Track, Open Risks by Type, and Open Risks by Impact. As per the need user can click on the tabs and view the graphs respectively. The right grid displays Program Name, Risk Title, Impact and Risk type. The right grid is an editable grid. By clicking on the edit icon button, risk edit model window will open as shown in the screenshot. In the Risk edit Model, user can search, insert, update and delete any particular risk. Also the user can click on any individual Risk from the right grid to edit that particular risk. On clicking the risk from the Risk title column, edit model window opens up just like the one that opens up from the bottom tile of Home Page. Page 16 of 20
17 8. Issues Dashboard The above screenshot is the Issues Dashboard. In the left side user can see different graphs such as Open Issues by Track, Open Issues by Type, and Open Issues by Aging. As per the need user can click on the tabs and view the graphs respectively.the right grid displays Program Name, Issue Title, Age and Issue type. The right grid is an editable grid. By clicking on the edit icon button, risk edit model window will open as shown in the screenshot. In the Issues edit Model, user can search, insert, update and delete any particular issue. 18 Also the user can click on any individual Risk from the right grid to edit that particular risk. On clicking the risk from the Risk title column, edit model window opens up just like the one that opens up from the bottom tile of Home Page. 9. Release Module The top Release tile displays the count of upcoming releases. On the left side of the page, user can see the previous releases according to the month and year selected on top and on the right side of the page; user can see the list of Upcoming Releases and their detail. 19 Every previous or upcoming release is a hyperlink. On click of a particular release list of documents such as QA Approvals, Release Notes, Implementation Plan, Database Scripts, Release Change Evidences appear just as shown in the screenshot. The documents appear as tabs. When user clicks a particular tab then the list of related documents appears along with its details like uploaded date, uploaded by and there is an option to delete that particular document. In the bottom right corner there is an option to upload the documents as well as download all the documents. As soon as user clicks on Download All button, a zip folder gets downloaded containing all the files of a particular document type. The folder by default gets stored under downloads. In the top centre of the page, user is provided with the option to View Calendar if exists and also let the user to manage the Calendar. On clicking the View Calendar button user is redirected to another page containing the calendar for the selected month. On clicking the Manage Calendar button, a popup opens as shown below. 20 User can view the details (Year and Month) of the available calendars as well as delete a particular calendar in case not required. To edit and view complete information of the Upcoming Releases user is provided with the edit model window which appears when the user clicks on the edit icon button available adjacent to Upcoming Release Information. The Release Edit model window appears as shown in the screenshot. In the Release Edit Model, user can search, insert, update and delete any particular release. Page 20 of 20
