1 Instructional Manual Jericho Schools System Outlook Web Access Quick Reference Guide: 1. Open your browser and go to and click on the e- mail link. 2. In the first field enter your Jericho network userid (this is the userid you use when logging onto a computer at work). 3. Press Tab, moving the insertion point to the second field. 4. In the second field enter your network password and press enter. 5. Enter Jericho in the domain field. 6. A Web version of your mailbox will appear in your browser window. 7. There are icons for directory, new messages, reply, etc. If you hold the browser hand pointer over an icon, a small box will appear, describing the function of that icon. User interface The toolbar on top allows you to compose new , reply to and forward messages, delete items, etc.

Click on Forward icon to forward your to a different recipient Sending 1. Click on the New Tool (or File menu, New, Mail Message) 2. In a New message, click on the To button
3 Type in the recipient's first and/or last name and click Find. 1. If the recipient s name is on our network, or in your personal address book, his/her name will appear. Click on it to highlight it and then click Add recipient to To to send it to the To-> box. If you want the recipient in the Cc-> or Bcc-> box, click on the name and then click on the Cc and/or Bcc tool. 2. Click Close. 3. If you are ing someone outside the district you may type in the address manually. If you are sending to more than one person, be sure to use a semicolon (;) between addresses. (To add personal contacts to your address book, see Contacts below) 4. Type a subject 5. Type the message 6. Click on the Send tool
4 Attachments To attach files to 1. In a new message, click on the Insert file tool (looks like paperclip) 2. Choose one or more files to attach and click on OK 3. To choose more than one file, hold down the Ctrl key while selecting file names Opening and Saving Attached Files 1. With the message opened, click on the attachment 2. A file download dialogue window will prompt you to either save it or open file. Choose Save this file to disk, and save to your h: drive
5 Contacts Contacts is Outlook's address book. To create a Contact: 1. Click on the Contacts icon in the Outlook Bar 2. Click on the New tool 3. Fill in the blanks 4. Click on the Save and Close tool Notes: Click on the drop-down arrow next to Business in the Address area to enter more addresses for the contact. You can enter up to three addresses per contact. Click on the drop-down arrow next to Business in the Phone area to enter more options for the contact such as car, pager, etc.
6 Distribution Lists Distribution Lists allow you to send to a group of people. To create a Distribution List: 1. Click on the drop-down arrow on the New tool and choose Distribution List. 2. Type a name for the list 3. Click on the Find Names button and enter information about your intended recipient and click Find. (Or, if your recipient is outside the district or you know their address, simply enter their address and click Add.) 4. Click on the row of information listed for your list member and click on Add to Distribution List. After you have selected all of the members, click on Save and Close.
7 Calendaring Calendar Screen Scheduling an Appointment or Meeting To schedule an appointment, simply double-click on the date and time desired, or 3. Click on the Calendar icon in the Outlook bar to display the calendar 4. Pull down the File menu, choose New, Appointment 5. Fill in the blanks 6. If you choose All Day Event, the Event is displayed at the top of the day of the calendar 7. If it is a Meeting, click Invite Attendees to invite others to your meeting.
8 8. You can click on Required to select required attendees or Optional for those who are not required. 9. Click on the Availability tab to check that your meeting time fits in the schedules of all your attendees. 10. You can click on Recurrence if this meeting will be a regular event. 11. When you have finished setting up your meeting and attendees, click Send and the invitation will be sent to all recipients. Viewing Several Days at a Time To view several days or non-adjacent days, hold the Ctrl key while clicking on the desired days. Responding to a Meeting Request 1. When you receive a meeting request, open the by double-clicking on it. 2. Click on the Accept, Tentative, or Decline button. 3. Choose to send a response with or without a message and click on OK
