3 RDC Receiving Standards Introduction This guide provides Suppliers with the necessary information for making deliveries to the Myer Regional Distribution Centres It includes: Packaging / Loading Standards Carrier Bookings / Appointments Multiple deliveries Rejections The following receiving standards are part of the framework upon which Myer builds its strategic partnerships with suppliers. The standards are based on the assumptions that: An electronic order will be provided to the supplier The supplier will provide a valid Advance Ship Note (ASN) that details the Serial Shipping Container Code (SSCCs) and GTIN (EAN/UPC/APN) contents scan packed against the allocated purchase order The cartons/hangbags/bulky items will be labelled with Myer standardised Logistics (SSCC) labels as above. The ASNs are received / validated by Myer prior to the delivery of the merchandise to the Myer Regional Distribution Centre or store. The supplier will provide a single, timely, accurate delivery against the ASN. 4 Packaging / Loading Standards General The following packaging and loading standards are designed to: Protect the health and safety of supplier, transport, Myer Regional Distribution Centre and Store staff Protect merchandise during transit and handling Aid efficient materials handling at all stages of the supply chain, and Contribute to a reduction in the total weight of industrial waste created from transit packaging Outer-Carton Materials Outer cartons must be of a suitable standard and quality that ensures cartons remain intact through the supply chain channels Outer cartons must be of a suitable standard and quality to protect merchandise from damage under typical conditions of transport and handling For soft goods, where damage of merchandise through dropping and falling is unlikely (e.g. apparel) a 5-layered / 2-core-corrugated cardboard is the expected minimum standard For merchandise where damage of merchandise through dropping and falling is more likely (e.g. ceramic dinnerware) a 7-layered / 3-core-corrugated cardboard is the expected minimum standard Carton quality Second hand cartons create a potential hazard for team members handling the carton and for the contents of the carton. All deliveries to a store or a distribution centre must be made in new cartons. RDC Receiving Standards Page 4 of 13
5 Packaging / Loading Standards (cont d) Carton Size and Weight All carton measurements should be designed for efficient, safe and stable stacking/handling. Carton width and length should be a multiple of the width and length of a standard pallet. To protect our staff from injury wherever possible carton weights should be kept below 16 kilos. Unless a carton only contains a single unit, deliveries in cartons will be rejected if they exceed the following maximum limits detailed below. If the unit weight is in excess of 16 kg the cartons must be labelled with the weight. To ensure that manual handling is kept to a minimum cartons/packages suppliers are requested to ensure that cartons/packages are above the minimum carton specifications detailed below. Carton size and weight specifications Minimum Maximum Weight 0.5kg 16kg Height 10cm 55cm Width 15cm 55cm Depth 22.5cm 120cm Package Labels Each carton/hangwear bag/bulky item in the delivery is to be identified with the following package labels: A valid Logistics (SSCC) label meeting the compliance standards detailed on the Myer Supplier website (address below). The Logistics (SSCC) label details amongst other information - the Order Number, the DC and Store the delivery is for and has a unique SSCC (Serial Shipping Container Code) number that identifies what is within the carton, hangwear bag or bulky item Weight, if over 16 kg. Outer-Carton marking and labelling - Myer s standards for marking and labelling of outer cartons forms part of the E-Commerce standards and is overseen by the Supply Chain team. For more detailed information on carton marking, ASNs, other e-commerce requirements or the Myer Standard for Managing Heavy and Bulky Items refer to the Myer Supplier website: myersupplier.myer.com.au RDC Receiving Standards Page 5 of 13
6 Packaging / Loading Standards (cont d) Strapping/Staples Metal strapping and large metal staples in any form must not be used on deliveries to Myer Regional Distribution Centres or Myer Stores. Consignments Over 1 Cubic Metre Other than furniture and hanging fashion, any delivery for a single order that is greater than 1 cubic metre, or 10 cartons, or 100kg, must be formed into a unit-load capable of being handled by fork lift truck or delivered on pallets, unless they are suitable for unloading with fork lift clamps (such as white goods). Where more than one order is packed on a single pallet, each order is to be grouped together. Truck/container loads of loose cartons will not be accepted at Myer Regional Distribution centres unless by prior arrangement. Pallets Chep and Loscam pallets will be exchanged at Myer Regional Distribution Centres (RDC) by prior arrangement with the RDC. Pallet transfer can also be arranged for Chep pallets. Other pallets will be accepted, unloaded and made available for collection within seven days however; no transfer of hire or hire charges will be accepted for pallets other than Chep. Pallets must be stabilised by shrink/stretch wrapping. Maximum acceptable pallet height is 1.8 metres. Pallets must be stable and safe to ensure that they can be unloaded safely. Hangwear bags The bags must be sturdy and robust enough to withstand the normal rigors of transport and handling. Bags of hanging fashion are not to exceed 7 kg in weight The bag is to allow garments to hang to their full length to avoid crushing. No longer than 170cm and no wider than 70cm so that goods may be processed on slip rails without dragging or being caught When tieing hangers together at the neck of the bag use lightweight cable ties, the use of wire and heavy-duty cable ties is not acceptable. Bags must have no more than a maximum of ten units per bag RDC Receiving Standards Page 6 of 13
7 Carrier Bookings / Appointments Myer Regional Distribution Centres will only accept deliveries: By prior arrangement via the Myer carrier booking process (InFAST being introduced late 2008) Where there is a valid electronic Advance Shipping Note (ASN) existing in the Myer systems. To avoid significant delays for supplier/carrier vehicles, ensure that the following is adhered to: A valid electronic Advance Shipping Note (ASN) has been sent for the order That a carrier booking is processed in the Myer InFAST application Or (by exception and where directed to by the Regional Distribution Centre) an Advanced Receiving Booking Sheet is completed and sent by or fax to the Regional Distribution Centre. Supplier/carriers will be provided with a copy of the Advanced Receiving Booking Sheet on request to the Myer Regional Distribution Centre. A booking applies to a single vehicle and the following information must be provided via the Myer carrier booking process when the booking is requested: Carrier name Carrier contact name, telephone and fax numbers Vehicle type and Load type (side or rear) Suppliers name and Order number Details of load (Number of pallets/cartons/bags) Should a vehicle miss the appointment time by more than 15 minutes, the appointment will be cancelled and the vehicle will be turned away. A new booking will need to be made. Vehicles arriving without a booking will be turned away. Appointment times offered will vary by Myer Regional Distribution Centre. Contact the relevant Myer Regional Distribution Centre for the span of times offered. Booking requests for the following day must be made no later than 2pm of the day prior. If a carrier is not able to meet a pre-arranged booking time the carrier should contact the Myer Regional Distribution Centre to cancel and re-book. RDC Receiving Standards Page 7 of 13
8 Carrier Bookings / Appointments (cont d) Acceptance of Bookings The Booking information and order numbers will be validated prior to confirming the booking with the supplier/carrier. When the booking has been validated the Myer Regional Distribution Centre will confirm the booking date and time and provide a booking number to the supplier/carrier. The confirmation will be made by either or fax depending on how the booking was sent to the Myer Regional Distribution Centre. The driver must quote the booking number when the vehicle arrives for the delivery. If a booking does not meet the validation criteria all or part of the booking will be rejected. In that case the Myer Regional Distribution Centre will advise the supplier/carrier of non-acceptance of the booking and the reasons. The supplier must then contact the relevant buying area to resolve the issue with the orders. Split Delivery A split delivery is one where the total quantity on the ASN does not arrive at the Myer Regional Distribution Centre at the same time. The split delivery may be planned (because of the size of the delivery, more than one truck load), or unplanned (accidental separation during transit). Split deliveries will be accepted subject to the balance of the delivery being completed as agreed with the receiving Myer Regional Distribution Centre and the final delivery being made before the not after date. Details of planned split deliveries need to be advised to the Myer Regional Distribution Centre to enable them to plan the receipt. All parts of the split delivery should be delivered within 24 hours of the initial delivery, unless prior agreements are made with the receiving Myer Regional Distribution Centre. Consignment Notes Fully completed consignment notes must accompany all deliveries, clearly printed showing the purchase order number and the quantity of pallets, units/cartons/bags Acceptance of Delivery Each delivery, which meets the Myer receiving disciplines, will be accepted and signed for. The acknowledgment of receipt will be for the outers only (eg pallets) and signed as Subject to Check of the inners. This indicates that the full delivery of inners (eg cartons) against the ASN will be checked as part of the SSCC scan processing. RDC Receiving Standards Page 8 of 13
9 Carrier Bookings / Appointments (cont d) Rejection of Delivery A delivery may be rejected at the point of receipt for any of the following reasons: Advanced Ship Note not valid in the Myer systems Late delivery after the not after date when the ASN is not available or the order has closed Exceeds acceptable number of deliveries against the order i.e. split deliveries unless by prior arrangement with the RDC Duplicate delivery or cancelled order. Late orders are cancelled. Significant damage to outer packaging Packaging or loading specifications not met Loads are unsafe or unstable Where a delivery is rejected by the destination Myer Regional Distribution Centre/store, there is no prior consultation with, or advice to, the supplier. The consignment note will not be signed by the destination Myer Regional Distribution Centre or Myer store. As the delivery has not been accepted, a claim is not raised and the Myer Regional Distribution Centre or Myer store does not raise a returns consignment note. Control of the return is the responsibility of the carrier and supplier. All freight costs for rejected deliveries are the responsibility of the supplier. RDC Receiving Standards Page 9 of 13
10 Returns Departure from Order Conditions A consignment may be accepted at the point of delivery, but all or part of the consignment may subsequently be returned to the supplier for any reasons listed for rejection of delivery if the reason was not obvious at point of receipt. In addition merchandise may be returned to the supplier after initial acceptance by the Myer Regional Distribution Centre/store for any of the following reasons: Goods received after order closed Advanced Ship Note not valid in the Myer systems Cartons/ hangwear bags received not covered by the ASN Cartons without identification labels (Myer standardised Logistics (SSCC) labels) Goods not of acceptable quality/ not to sample quality. Substitutions (size, colour, style), or oversupply. Incorrect store packing (store allocation does not match the order, or incorrect price or keycode ticketing. Care labels or mandatory markings not correct Lack of specified apparel hanger or incorrect apparel hanger specified. (Hanger differs to that specified on the purchase order.) As the reasons listed above for return of merchandise are a departure from the order terms and conditions, a return for these reasons will be made without prior consultation, at the supplier s expense. All returns to suppliers after initial acceptance at point of receipt will be covered by a claim. Returns due to a departure from the order terms and conditions will be made with the carrier of Myer s choice. Freight costs for merchandise returned because it did not meet the terms and conditions of the order are the responsibility of the supplier, regardless of carrier employed. Other Returns to Suppliers Where the reason for the return of merchandise to the supplier does not involve a departure from order conditions, (eg return of sale or return merchandise, or other negotiated returns) the return will be negotiated with the supplier. The method of transport to be used, and who pays will be established during these negotiations. RDC Receiving Standards Page 10 of 13
11 Carriers It is the supplier s responsibility to ensure that your selected carrier understands and abides by the Myer delivery policy and procedures. Occupational Health and Safety Suppliers and their carriers are to ensure compliance at all times with the relevant occupational health and safety regulations and codes of practice. Dangerous/Hazardous Goods Suppliers and their carriers are to ensure compliance at all times with the relevant legislation, regulations and codes of practice relating to the marking, loading, unloading, transportation and storage of defined dangerous/hazardous goods. Delivery Compliance checklist Packing - external Carton / hangwear bag dimension within MYER specifications Carton / hangwear bag weight within MYER specifications, additional OH&S labelling as specified Carton / hangwear bags are new and in good condition Carton / hangwear bags labels visible, scannable and correct Carton / hangwear bags taped securely Cartons without straps, metal clips or staples Packing - internal Refer to relevant sections of the Supply Chain and E-Commerce information documents. In particular, for Apparel, refer to the Merchandise Packing and Presentation Standards for Apparel and the Hanger Policy documents. Carton stacking - pallets Pallet shrink wrapped Cartons contained within the perimeter of pallet Standard number of cartons within pallet Pallet stacked no higher than 1.8 metres RDC Receiving Standards Page 12 of 13
