During the contracting stages you will receive full details on the payment plan and when you can expect correspondence in respect of the full arrangements and fine details of the day Wedding host The wedding host looking after you on your wedding day will be introduced to you prior to the date by the wedding coordinator Recommended suppliers The hotel has built up a good relationship with associate suppliers over time for all aspects of the day. The suppliers range from wedding cakes to wedding cars, hair and beauty to highland pipers. 10 Wedding booking terms and conditions Price guarantee Prices quoted in this brochure are guaranteed until the 31 st of December All prices include VAT at prevailing rate Confirmation To confirm your wedding, the person responsible for the payment of the final account should sign the terms and conditions then return along with the non refundable and non transferable 500 deposit within 14 days of the provisional booking being made. If the booking remains unconfirmed after 14 days the date held will automatically be released Additional deposits and final payment A further 500 non refundable and non transferable deposit will be requested 9 months prior to your wedding day. Final numbers are required 28 days prior (4 weeks) to the wedding day. A pro forma invoice for the estimated cost of your wedding, based on your final numbers, will be prepared and sent out 21 days (3 weeks) in advance. The full 100% of the estimated wedding balance is payable 14 days (2 weeks) prior to your wedding based on the final numbers. This will be the minimum number of guests charged for. Any additional costs will be calculated on the day of your wedding and the additional account is payable within 3 days by cash, debit or credit card (cheques will not be accepted for this payment). Interest on overdue accounts will accrue at the rate of 3% above the Bank of Scotland base rate from the date the account is due Minimum Numbers Weddings can take place the Edinburgh Capital Hotel on any day of the week. On certain days throughout the year there is a restriction on minimum numbers attending the wedding meal and this number is based on adult guests and excludes children. If your adult guests fall below the specified minimum numbers set, then a flat surcharge of per adult below the minimum numbers is charged Day Season Minimum numbers Saturday June and July 50 day guests Cancellations or major alterations made by you In the unfortunate event of your wedding cancelling, you must tell us by telephone and confirm the cancellation in writing. The following cancellation charges will apply: More than 6 months prior: Loss of deposits 3 to 6 months prior: Loss of deposits or 50% of total estimated value, whichever is greater Less than 3 months prior: 100% of total estimated value

11 Wedding booking terms and conditions Cancellations by the hotel If we have to cancel or alter your booking we will do our best to offer you a reasonable alternative choice of facilities either at the Edinburgh Capital Hotel or another hotel in Edinburgh. If we cannot offer you a reasonable alternative choice of facilities at the Edinburgh Capital Hotel or at another hotel in Edinburgh, we will refund to you all payments which you have made to us, and we will have no further liability to you We will be entitled to cancel your booking without any liability to you at any time if: Your booking might, in our reasonable opinion, damage our reputation; or you are more than 30 days late in making any payments Complimentary Extras All complimentary extras detailed on page 1 are only valid when booking a minimum of 50 day and evening adult guests Gifts The Edinburgh Capital is not responsible for any loss, damage or storing of wedding gifts. The client is responsible for the movement and storage of any gifts and ensuring that they are taken with you at the end of the wedding. The Edinburgh Capital Hotel is not responsible for any gifts which are stored in hotel bedrooms or changing rooms Damage The client is responsible for any loss or damage to the Edinburgh Capital Hotel which is caused by client/guests Beverage and Food No wine, spirits or food products may be brought onto the premises and consumed by clients/guests without the agreement of the hotel Client name: Signature:..
