1 Bethesda Green Business Environmental Policy Manual (A) Mission statement, values, and strategic goals Bethesda Green, through the collaborative efforts of businesses, government and residents, serves as a catalyst and trusted resource in building a healthy economy and sustainable community. Bethesda Green does this by: Supporting the local economy by partnering with businesses, government and others to enhance efficiencies, profitability and environmental responsibility. Creating a healthier community by initiating programs and promoting sustainable practices that improve quality of life. Providing information to educate businesses and citizens about innovative sustainable business and living solutions. Bethesda Green achieves its goals through the efforts of volunteers organized into working groups recycling, energy efficiency, sustainable food & agriculture, transportation, green schools, and more. Bethesda Green invites local businesses, government employees, and members of the larger community to get involved. The redesigned office space is an educational community center showcasing green products and services. Building on existing networks, Bethesda Green creates a "multiplier" effect to achieve greater results and help make Bethesda a leader in environmental sustainability. With Bethesda Green's organizational mission having an overall focus on environmental sustainability and leadership, we, Bethesda Green employees and volunteers, are committed to reducing our environmental footprint and promoting environmental stewardship at all levels of our organization. Our goal is to minimize our organization s impact and educate members within the organization and the community on reducing their footprint, thus maximizing future generations ability to live, work, and play in our shared natural environment, with equal access to clean air, clean water, and natural resources. We will not make any purchases for the organization without first identifying the environmentally preferable supplies and services for all our daily operational needs and for organization events where economically feasible. Wherever possible we will strive to set an example for the community by minimizing pollution and waste, conserve energy and water, protect habitat, Page 1 of 10
2 support renewable energy resources, buy environmentally friendly products, and encourage environmentally preferable transportation. These efforts will extend to contractor and supplier relationships. We will work with contractors and suppliers serving or otherwise acting on behalf of the organization to meet our standards of environmental performance. Employee understanding and involvement are essential to the implementation of this environmental policy and the overall organizational mission. Two printed copies of this policy manual will be accessible at Bethesda Green at all times. New employees will be obliged to read the policy manual and sign a form confirming that they have read and understand Bethesda Green's environmental policy. Additionally, the policy manual will be posted publicly on the Bethesda Green website. Employees at all levels of the company will be involved in supporting our goals. Creating and maintaining a healthy environment is an indefinite goal for Bethesda Green. Bethesda Green will set up a green team to monitor the organization's commitment to sustainability. Over the course of one year, the team will perform a quarterly walk through to review and analyze operating procedures according to sections B through G of the Montgomery County Business Certification Program. The team will then offer helpful tips and suggestions for best practices. Page 2 of 10
3 (B) Waste reduction and recycling policies This waste reduction and recycling policy for Bethesda Green has been developed to ensure that Bethesda Green produces a minimal amount of waste and is consistently recycling at Bethesda Green offices and events. Bethesda Green will encourage employees and visitors to reduce their use of bottled water, non-reusable dishes and utensils, and cups and mugs by providing reusable plates, utensils, cups, mugs, condiments, and filtered hot and cold water through an IMC water. All of these reusable materials will also used in office meetings and events whenever possible. Additionally, a coffeemaker will be available to reduce the need for carry-out coffee and a common refrigerator will be available to reduce the amount of packet condiments and encourage no waste meals. Employees will only print documents when necessary. Bethesda Green employees will use Google and other online share methods to share documents in order to reduce the number of printed copies. When printing, the double-sided default should be used to reduce paper use. For drafts and internal documents, employees and volunteers are expected to print on previously printed paper. Used office paper is also expected to be reused as scratch paper. Trays are to be placed next to each printer for used paper that can be reused as printer or scratch paper. Forms that are printed, such as handouts, are to be designed in such a way to use less paper. For example, the main marketing material for Bethesda Green is a double sided postcard with a link to the website for more information, which is printed four to a piece of paper made from postconsumer content. All newsletters and as much marketing materials as possible are sent through . Copies of newspapers, magazines and journals are limited in printed format. In bathrooms, paper towel usage is reduced through dispensers that regulate sheet length. Materials that are difficult to reuse or recycle are avoided in regards to packaging materials. The volunteer room and incubator have designated areas for shared and reuse materials such as binders, folders and staplers. All employees are expected to properly recycle: mixed paper (white paper, colored paper, corrugated cardboard, boxboard, newspapers, inserts, magazines, catalogs, telephone directories, paperback books, unwanted , and all other clean, dry paper) Page 3 of 10
4 commingled materials (aluminum cans and foil products, bi-metal (steel/tin) cans, glass bottles and jars, and plastic narrow neck bottles) scrap metal (ferrous and non-ferrous items) printer cartridges electronics construction and demolition material Recycling bins for mixed paper and commingled materials shall be placed in the Bethesda Green offices, incubator, conference room and the kitchen. A scrap metal recycling bin is also provided in the common workspace. Each bin shall be clearly marked with appropriate materials for that recycling bin. If bins are missing, employees are encouraged to bring this to the director's attention so that a bin can be added. Bethesda Green uses a laser printer with re-fillable soy ink cartridges, but employees and visitors are encouraged to bring printer cartridges back and refilled at local vendors. Electronics to be recycled, noy thrown away. They are to be recorded and held until an electronics recycling day, which is co-hosted by Bethesda Green every six months, or brought to the Montgomery County Transfer Station. Additionally, Montgomery County recycling brochures are accessible for all employees and visitors to take for their own. These resources can also be found online through the Bethesda Green website. Christmas trees and yard trim are not applicable to the Bethesda Green office space, however employees are encouraged to recycle these materials appropriately at their individual homes based on the Montgomery County recycling brochures provided by Bethesda Green. Bethesda Green's green team will perform a solid waste assesment to identify ways to reduce waste and increase recycling. This will be done by continually monitoring paper and commingled materials through a form, logging the date and number of full recycling bins have been emptied. Compost will continually be measured by Envirelations, who tracks the compost as it is removed from the office. Trash will be measured for one week each quarter. Page 4 of 10
5 (C) Environmentally Responsible Purchasing Using local vendors is strongly encouraged for purchasing products and services for Bethesda Green unless there is no local vendor option that meets a high environmental criteria. An ongoing list of local vendors and their green products and services is maintained within the Bethesda Green database currently being built. Locally produced items are also preferred. Bethesda Green only uses copier and printer paper made from 100% postconsumer recycled content, as well as reused ink and toner cartridges. Toilet paper purchased by Bethesda Green staff for office or event use is to be % post-consumer content. Letterheads and envelopes are purchased from Green Paper Studio and are made from 30%-100% post-consumer recycled content. File folders and notepads bought for the organization are either second hand or made from recycled paper, as well as business cards which are printed using soy-based ink from EcoPrint. Bethesda Green t-shirts made by T.S. Designs are printed on 100% organic cotton using soy-based ink. Non-toxic, energy efficient, reusable materials that are reused or made from recycled content will be purchased where ever possible. Employees are discouraged from using plastic bags and provided with alternative options, such as reusable bags and paper bags provided by Green Paper Studio. Customers who purchase any products with Bethesda Green are encouraged to use reusable bags or are provided a paper bag. When ordering catered food, Bethesda Green uses "green" caterers that provide reusable or compostable kitchenware and use locally grown and/or organic food. When remodeling the office space, Bethesda Green used low or no VOC paint. Lamps being purchased by or for Bethesda Green are CFL, LED or T8 with electric ballasts. Preferred carpet flooring consists of sustainable materials such as cork flooring and carpet squares. Appliances and electronics purchased for Bethesda Green are either ENERGY STAR labeled or second-hand. Bethesda Green's green team will measure the waste and cost reduction resulting from the use of using a laser printer that uses re-fillable soy ink cartridges rather than disposable ink cartridges. 6 (D) Pollution Prevention Bethesda Green avoids using hazardous products. However, any chemicals or harmful products that must be used are stored inside under cover in their original containers or properly labeled secondary containers with tight fitting lids. These products are stored in secure, controlled areas, away from ignition sources, food storage areas, and sewer and storm drains. Employees will be provided information from Montgomery County on how to reduce air pollution. In addition to interior recycling receptacles, Bethesda Green has placed a recycling receptacle outside of the Bethesda Green/Chevy Chase Bank Building, which Bethesda Urban Partnership empties regularly and properly disposes of at the Montgomery County Transfer Station. Not only does Bethesda Green participate in e-cycling events for the collection of electronic waste from the business and employees' homes, but also takes part in organizing, promoting and running the events. Staff is encouraged to use public transportation, walk and/or bike to work. Of the current two staff members, one drives a hybrid to work and the other walks. Volunteers are also encouraged and provided directions on how to walk, bike or use public transportation to get to Bethesda Green. When replacing standard fluorescent bulbs, compact fluorescent light bulbs, LED, or low mercury fluorescent bulbs are used. If Bethesda Green has any use for batteries, rechargeable batteries will be used. Currently nothing runs on batteries. All markers used in the office are non-toxic. Bethesda Green's documents, promotional fliers, brochures, t-shirts and bags, as well as business cards and display signs are printed with soy-based ink, produced by EcoPrint, Green Paper Studio and T.S. Designs. Natural or low emission building materials were recently used to remodel Bethesda Green and will continue to be selected when purchasing building materials and furniture. It has been discussed with the landlord that harmful cleaning products and practices will be replaced with safer alternatives, and the cleaning staff will be informed. Page 6 of 10
7 Bethesda Green will track the volume of e-waste collected for recycling in order to provide a performance measurement. A log will record the e-waste being sent to the semi-annual e-cycling events. Page 7 of 10
8 (E) Energy Efficiency & Renewable Energy Bethesda Green will purchase only ENERGYSTAR office appliances which will be labeled with their energy saving features. Currently, Green Switch has installed products to turn off all electronics connected to specific outlets when shutting off the designated light switch, as well as light sensors to turn off the lights when no motion is sensed in the room for a specified period of time. Work spaces have also been arranged to take advantage of natural light. Lights and electronics are turned off when not being used. Signs above light switches remind staff and volunteers to turn off light switches. The refrigerator will be set between F and the freezer between 0 and 5 F. An IMC water cooler with a water distiller and filter is used to ensure clean, healthy water. The model used has a sensor to adjust power needed for operation and is placed away from direct sunlight. Elevator access is available for deliveries and handicapped, but otherwise employees and visitors are expected to use the stairs to access Bethesda Green. As a tenant, Bethesda Green recommended to its landlord that T12 fluorescent lamps be replaced with energy efficient T8 or T5 lamps with electronic ballasts. The Landlord complied in Incandescent light bulbs have been replaced with compact fluorescent light bulbs or LED lights where appropriate. Additionally, LED, electroluminescent, or photoluminescent exit signs are used. The landlord, Capital One Bank, manages regularly scheduled maintenance on the HVAC and refrigeration systems are conducted. Bethesda Green's green team will continue to estimate the energy and financial savings from converting to more efficient fluorescent lamps of efficient lighting fixtures as the conversions take place. 9 (F) Stormwater Management & Efficient Water Use If Bethesda Green has outdoor areas, a broom or equipment that collects dirty water will be used to clean this space. Bethesda Green does not have company vehicles, but if any are acquired then a spill kit will be kept handy to catch/collect spills from the vehicles. These vehicles would not be washed outside where run-off water flows straight to the storm drain. The outdoor Bethesda Green recycling bins are kept covered and have tight fitting lids. Bethesda Green hosts and/or promotes programs that educate staff, volunteers and members of the community on the benefits of reducing runoff. The facility is regularly checked for water leaks to repair. The dishwasher is only run when full and signs are posted to remind employees, incubators and volunteers of this. Page 9 of 10
10 (G) Transportation & Travel Information on public transportation and car/van pooling is constantly on display at Bethesda Green for staff, volunteers and visitors. The County's Guarenteed Ride Home and Regional Ride Sharing programs also promoted. Members of the Sustainable Transportation working group regularly interact with Montgomery County Commuter Services and provide information to distribute and display about commuting alternatives and transit services. Bethesda Green has installed a bike rack in front of the Bethesda Green and Chevy Chase Bank building to encourage bike riding. Bethesda Green has a no-idling policy. This means vehicles being used for Bethesda Green business, activities and events are to be turned off when loading and unloading. Bethesda Green is enrolled in the County's Fare Share or Super Share program that provides employees taking public transit. The organization is also enrolled in the Maryland Commuter Tax Credit Program which provides employers with a 50% tax credit up to $50/month for each employee receiving transit benefits. While on business travel, Bethesda Green employees will be encouraged to take train, bus, or subway when feasible instead of a rental car. If a rental car is necessary, use a fuel efficient vehicle. Bethesda Green will track the forms of transportation to and from Bethesda Green by adding this question to the visitor sign-in sheet as a performance measurement. Page 10 of 10
