5 Kofax Front Office Server Administrator s Guide for Canon MFPs Preface This guide describes how to prepare a Canon multifunction peripheral (MFP) to work with Kofax Front Office Server. After performing this procedure, you can create device profiles with shortcuts from Kofax Front Office Server Administration Console whenever needed. Before continuing, refer to the Kofax Web site at for supported models and application versions. For more information about your product, visit the Kofax Support pages at for: Product information and release news Access to the Kofax Knowledgebase Access to the online Case Management System (for eligible customers) Downloadable product documentation Before contacting your Kofax application support provider, please gather the following information where applicable: Product name, version, and serial number Log files Product license Exact error message(s) Reproduction scenario Overview The following Kofax Front Office Server features are available with the Canon MFP. Management Through Kofax Front Office Server Administration Console MFPs are able to self-register with the Administration Console and automatically activate licenses (This feature is an optional setting. See the Kofax Front Office Server Administration Console Help for more information.) You can also manually activate, deactivate, or remove MFPs from Kofax Front Office Server whenever needed. The number of MFPs you can use with Kofax Front Office Server depends on your Kofax product license. Custom Kofax Front Office Server Front Panel When an MFP connects with Kofax Front Office Server, a Kofax button is added to the front panel to provide access to Kofax Front Office Server features. The appearance of the front panel depends on the MFP model. Log On This feature enables you to log on to the MFP as a Kofax Front Office Server user. Logging on may provide additional options, such as Send to Me and personal shortcuts. Send to Me If you are logged on as a Kofax Front Office Server user, this feature enables you to scan and send documents to your Thin Client Inbox. This feature is available only if set up for a device profile associated with the device. KFS Inbox This feature enables you to scan and send documents to a Thin Client Inbox you specify. When entering the Inbox information, use the format domain\username. This feature is available only if set up for a device profile associated with the device. 6 Kofax, Inc.

7 Kofax Front Office Server Administrator s Guide for Canon MFPs Shortcuts This feature facilitates the sending of documents. Use the Administration Console to create global, group, or direct shortcuts, assign the shortcuts to device profiles, and assign the profiles to the MFP to display on the MFP touch panel. Users can also create their own personal shortcuts with the Thin Client. When users log on to the MFP, any personal shortcuts appear. Language Support At the MFP, you can specify the language for the front panel. If the language specified is not supported by Kofax Front Office Server, the default language English is used. Batch and/or Index Fields You can enter values for batch and/or index fields at the MFP. When you define shortcuts in the Administration Console, you can enter default values into fields for these shortcuts. Any text entered is validated for an appropriate data type and data length. You can also customize the validation and field lookup options. For information, see the Kofax Front Office Server Administrator s Guide. Coversheet This feature enables you to add a coversheet generated by Kofax Front Office Server to the documents you want to send. This feature is available only if set up for a device profile associated with the device. Enhanced Lookup If the index fields are configured correctly in Kofax Capture, lookup is possible for fax number and address fields. Kofax Front Office Server retrieves fax number and address lists from Active Directory, LDAP, personal address books, as well as from the database table custom faxlookup. For information about the various data sources and necessary configuration steps, refer to the Kofax Front Office Server Administrator s Guide. Help Help is available at the MFP touch screen. Users can press the question mark or Help button on the touch screen to view information about the screen. Installing the Kofax Front Office Server Application on the MFP Use the following procedures whenever you need to install an upgraded version of the Kofax Front Office Server application. Important If you are using SSL, your certificate must use the RSA algorithm. Preparing for the Installation Before installing the Kofax Front Office Server application on the MFP, do the following: Install Kofax Front Office Server. Make sure there is an open port for communication between Kofax Front Office Server and the MFP. If you scan at 400 dpi color or grayscale (this is configurable in the shortcut settings associated with the device profile in the Administration Console), scanning may fail for Kofax, Inc. 7

8 Kofax Front Office Server Administrator s Guide for Canon MFPs some MFP models that do not have expanded memory capacity. Check your MFP manual for memory requirements. Installing the Kofax Front Office Server Application Use the Canon Service Management Service (SMS) to install the Kofax Front Office Server application. To install the Kofax Front Office Server application on the MFP 1 From your browser, launch the SMS at address of the Canon MFP>:8000/ sms/ and login as a user with MEAP installation rights. 2 Go to the SMS installation page (directions may vary depending on the version of SMS on the MFP). 3 Browse and select the application (.jar) and license (.lic) files that correspond the the location where your Canon MFP was purchased: either North America or EMEA. The files are located in the Kofax Front Office Server installation path in \Resources\extensions\mfp\canon\client: \NorthAmerica\Kofax Front Office Server_ NA.jar \NorthAmerica\Kofax Front Office Server_ NA.lic \EMEA\Kofax Front Office Server_ EMEA.jar \EMEA\Kofax Front Office Server_ EMEA.lic 4 Follow the SMS instructions to complete the installation. 5 When the installation is done, start the Kofax Front Office Server application. After the application is started, the Kofax button is added to the MFP screen. 6 On the MFP, press the Kofax button and then the Settings button. The Settings page appears. 7 On the Settings page, enter the host name or IP address of the Kofax Front Office Server. Configure any of the other settings and then Click OK. The MFP is now ready to use with Kofax Front Office Server. Use Kofax Front Office Server Administration Console to make sure the MFP is added to the Devices list, and to create shortcuts and associate a device profile for the MFP to retrieve. 8 Kofax, Inc.
