2 About Youth Square Youth Square is an innovative complex devoted to youth development activities in Hong Kong. It serves as a focal point for territory-wide youth-related activities in Hong Kong with the provision of facilities and venues for youth activities including local and overseas exchange programmes, leadership development, cultural and arts performance, multi-media production training etc. Location Located at 238 Chai Wan Road three minutes walk from Chai Wan MTR station. For location map, please refer to Annex 1. Facilities Hire Concession Policy 30% discount is available for all bookings of any facility in Multi-purpose Area with the booking application forms submitted in the following periods. Non-prime time discount is still applicable. (i) application forms submitted from 5 Jul 2010 to 30 Sept 2013 for ordinary booking. (ii) application forms submitted from 5 Jul 2010 to 30 Sept 2013 for late booking. (iii) application forms submitted from 5 Jul 2010 to 30 Sept 2013 for special booking. 20% discount is available for booking from Non-profit making / Charity organizations. 50% discount is available for booking of 4 hours or more of the same facility in the Multi-purpose Area in the same day during non-prime time period. 2/10

3 Major Facilities Y-Theatre Y-Theatre is located in the lowest two floors of the Main Block, with a total capacity of 643 persons for both stall and balcony floor. Versatility is the main focus in designing the stage. With its Flexible space design, the stage can be adjusted to suit each performance s needs. The fully extended stage can accommodate a full orchestra, opening Y-Theatre to a much wider variety of possibilities. The fully equipped stage lighting, sound system and Audio/Video facilities can maximize the full potential in youth s drama, musical and orchestral performances, and even motion picture display. (Please refer to Annex 2 Y-Theatre Seating Plan) Y-Theatre s facilities include: Sound / Lighting Control Room Projection Room Dressing Room Recording Studio Orchestra Pit & Gala Rental charges include the following basic equipments Stage Facilities: Dance floor mat (applied for dance performance only), proscenium Sound Facilities: 8 Wireless Mic, 8 Cable Mic (Additional Mic subject to extra charges), playback, 6 x 8 / 10.5 x 14 Projection screen (Projector subject to extra charges), cyclorama Lighting Facilities: 2 follow-spots, all pre-rigged 4 color lights, cyclorama lights, 2 smoke machines (Max. 2, extra charge required if more than 2) Facilities Provision: 2 dressing rooms for persons and 1 VIP/press room. Music Instrument: Upright piano Optional Facilities: Modular platform 4 (W) x 6 (L) x 8 (H) (Max. 12, extra charge required if more than 12) Podium, judge table, music stand, musicians chair, choir risers, conductor s podium 3/10

4 Y-Platform Y-Platform has a total area of 1,000m² and headroom of 8m. Neighbouring shopping mall is linked to the Platform making it the perfect venue for youth to share their work with the public. All floors are connected through a gently inclined walk way, where visitors can enjoy the full view of the exhibition to explore more interesting events on the upper floors. In addition, the platform is equipped with hanging glass panels that can serve as projection screens, making the exhibition more versatile and colourful during public promotion. (Please refer to Annex 3 - Y-Platform Floor Plan) Y-Studio The Y-Studio on 2/F is particularly spacious and versatile: it measures 26m long, 17m wide and 6m tall, and can fully accommodate different stage set-ups or scene settings. The hall can be transformed into a black box theatre that holds 224 persons, or a fully opened space that holds about 500 persons, or can be used for rehearsals, exhibitions, etc. at anytime as well. The size of the venue can be adjusted by using operable partition walls. (Please refer to Annex 4 - Y-Studio Floor Plan and Annex 5 - Y-Studio Seat Plan) Mode A (One big room) = Room1 + Room2 + Room3 : 325 m 2 Mode B (One big room + One small room) = Room1 + Room2 : 213 m 2, Room3 : 112 m 2 Room2 + Room3 : 209 m 2, Room1 : 116 m 2 Mode C (Three small rooms) = Room1 : 116 m 2, Room2 : 97 m 2, Room3 : 112 m 2 Remark: Lighting Control Room is located in Room 1 which should be hired if stage light is needed. Rental charges include the following basic equipments Stage Facilities: Preset proscenium (black curtain) Modular platform 4 (W) x 6 (L) x 16/24 (H) (Max. 12, extra charge required if more than 12 pieces) Sound Facilities: 4 Wireless Mic, 5 Cable Mic (Additional Mic subject to extra charges), playback, 6 x 8 / 10.5 x 14 Projection screen Lighting Facilities: Stage lighting (Free of charge for the first 4 hour set up. Extra charge is required for set up exceeding 4 hours) 2 smoke machines (Max. 2, extra charge required if more than 2) Facilities Provision: 2 dressing rooms for persons Exhibition panels (Max.2 for registration ; Max.80 for Exhibition) Retractable seat (Max. 2 sets, 112 seats per set) Audience area lighting system Music Instrument: Upright piano 4/10

5 Plaza Located next to the Y-Theatre, 525 m 2. The Plaza is appreciated for exhibitions and other functions considered appropriate by the Manager of Youth Square. Multi-purpose Area (Please refer to Annex 6, 7 & 8 -- Multi-purpose Area Floor Plan) 5, 6/F Piano Rooms Total 3 rooms area from 7.4 m 2 to 8.3 m 2 each, upright piano is provided, suitable for piano practice and classes. Interest Group Room 14 m 2, is suitable for art activities and workshops for around 8 persons. Recording Studio 73.3 m 2, is equipped with soundproof recording room, control room and basic recording facilities, suitable for music recording and production. Photographic Room 63.9m 2, is equipped with tripod, soft box, background holder & paper, flash light, dressing area, suitable for photographic activities. Multi-purpose Rooms Total 4 rooms areas from 25.7m 2 to 64.8m 2, are suitable for interest courses, musical training, sport training and other activities for around 18 to 60 persons. Dance Studio Located at 6/F, 190 m 2, is fitted with dance bars, sprung floor, mirrored walls (one side of the driving walls), upright piano and dressing rooms, suitable for practice, rehearsal and small-scale performance. The audience seating area can serve audiences. Dance Room 110 m 2, is fitted with mirrored walls and dance bars, suitable for dance practice, rehearsal and classes for 60 persons. 5/10

6 Band Room 91.2 m 2, included with lead guitar, bass guitar, electronic piano, drum set, amplifiers and fitted with soundproof wall panels, can accommodate around 30 persons. Fashion and Design Studio 33.4 m 2, included with electric sewing machine, iron, clothes hangers and table for fashions design activities. 8/F Conference Room 160 m 2, is equipped with conference facilities for 53 persons, audience zone for 22 persons and simultaneous interpretation room. (Simultaneous interpretation system is subject to additional charge) Exhibition Area 4 exhibition areas in 2/F, 5/F & 6/F are of 18m 2, 19.5m 2 & 82m 2, for interest group art work and fashion & design work displays. Remark: Audio system is not recommended 6/10

7 Notes: (1) Rental charges cover basic equipments and services; extra charges will be required for additional equipments. Please complete and return the Event Requirement Checklist at least 14 days prior to the event date. (2) Fixed equipment and property cannot be moved or removed from the designated locations. (3) Minimum 2 consecutive hours is required for booking of any facility in Multi-purpose Area. (4) 30% discount is available for all bookings of any facility in Multi-purpose Area with the booking application forms submitted in the following periods. Non-prime time discount is still applicable. (5) 20% discount is available for booking from Non-profit making / Charity organizations. (6) 50% discount is available for booking of 4 hours or more of the same facility in the Multi-purpose Area, except exhibition area, in the same day during 9am-6pm from Monday to Friday, except prime time period. Prime time period includes Saturday and Sunday, summer holiday (1 July to 31 August), public holidays and eve. (7) All discounts are only applicable to basic hire charges. No discount will be offered for miscellaneous equipments and services. (8) Extension of booking hours is subject to availability of facilities and manpower and should be approved by the Manager of Youth Square. (9) Special arrangement for consecutive screenings available subject to availability of venue, equipment, staff resources and the discretion of the Manager. (10) Hirers can enjoy priority and free use of the Interest Group Art Work Display Area to display their finished works made in the interest group rooms and the multi-purpose rooms in 5/F or 6/F for a maximum of 7 days. The manager of Youth Square reserves the rights for final decision. (11) Hirers can enjoy priority and free use of the Fashion Display Area to display their finished works made in the Fashion & Design Studio for a maximum of 7 days. The manager of Youth Square reserves the rights for final decision.. 7/10

8 Short-lease Facilities Hire Application and Procedures To book, interested parties should complete the Application Form (Annex 10) and submit by mail, , fax or in person to Youth Square Operations Department. The applications will be processed upon receipt of the Application Form by Youth Square. An acknowledgement will be provided to applicants within three working days by . The request will go through the following approval procedure in accordance to the nature of event and organization. Successful applicants will be required to complete and submit the Confirmed Form in order to secure the booking. For details, please refer to the Arrangements (Annex 9) Major Facilities Application Form (Annex 10) Apply months in advance of the month of hire, along with supporting documents Apply 7-12 months in advance of the month of hire, along with supporting documents Apply 6 months or less prior to the month of hire, along with supporting documents Special processed collectively monthly according to the nature of the events and the organizations Ordinary processed collectively monthly according to the nature of the events and the organizations Late processed collectively weekly according to the nature of the events and the organizations Application accepted Youth Square s Approval Application declined Confirmed Form and Terms and Conditions of Hire 8/10
