Thank you for ensuring students across our community have access to the materials they need to succeed in school, and ultimately in life. 3 About Classroom Central At Classroom Central, we do more than provide school supplies. We help create a world of endless possibilities for our students. Remember the excitement of the first day of school? With your new notebooks, pencils and backpack, anything seemed possible. Now imagine the embarrassment of going to school empty-handed simply because your family couldn t afford even the basic supplies. This is the reality for tens of thousands of students in our community. Shouldn t every child deserve an equal chance to learn? Classroom Central s vision is to ensure that all children receive the tools they need to not only learn, but to succeed. When equipped with the proper supplies, we believe there s no limit to what children can achieve. Our Mission Classroom Central equips students living in poverty to effectively learn by collecting and distributing free school supplies. Our Vision Classroom Central exists so that every child, regardless of their economic status, will have the essential tools like pencils, paper, scissors, markers and other basic materials they need to learn. Our Programs Classroom Central serves high-poverty schools in Charlotte-Mecklenburg and five surrounding school districts. Teachers and other school personnel in qualifying schools shop for free supplies throughout the academic year, either in our Free Store on Wilkinson Boulevard or via our mobile programs. All materials distributed are used to create inviting learning environments and to support students academic and personal growth. 4 About the Drive Classroom Central, Communities In Schools and WSOC-TV Channel 9 are partnering for the 20th annual School Tools Campaign. School Tools is a drive to collect and distribute school supplies to children in need. All supplies collected will be distributed through Classroom Central and Communities In Schools Site Coordinators. School Tools Goal: 1.8 Million Items Time frame: July - September 2016 This year s goal is to provide every area student in need with the essentials needed at back to school. Using the past year s registration data per grade level, we ll need the following to make sure EVERY student is equipped School Supply Goal: 247,090 Packs of Filler Paper 148,254 Glue Sticks 494,180 Pencils 494,180 Composition Books 1.8 Million Items 49,418 Scissors 26,611 Packs of Crayons (Elementary) 22,808 Packs of Colored Pencils (Middle/High) 296,508 Pocket Folders 22,808 Packs of Markers (Middle/High)
5 Ways to Help This year, there are several ways to help students have the supplies they need: HOST A SUPPLY DRIVE This tool kit contains tips for hosting a product drive HOST A VIRTUAL DRIVE ON AMAZON.COM Our Amazon Wishlist ( is a quick and easy way to help kids this Summer. The supplies will be shipped directly to Classroom Central. To receive a receipt or to credit your donation to your company s efforts, make sure that when Amazon prompts you to verify / enter text into the gift receipts, please put your and company name. Otherwise, we will just receive it anonymously. DONATE TO CLASSROOM CENTRAL Your financial support helps cover the facility costs, transportation and staff hours to maximize product donations. This helps us make sure the supplies donated from the public most efficiently end up in the hands of students in need. Credit card donations may be made on-line here: To ensure that online financial donations are credited to your organization s supply drive total, make sure the School Tools drop down designation is selected and indicate your group name in the Company/Organization Name box (see below) Checks can be made payable to Classroom Central and mailed to 2116 Wilkinson Blvd - Charlotte, NC Include organization name in the memo line. Classroom Central will issue a tax receipt for all checks and credit card transactions. Take advantage of matching gifts. If your company has a matching gift program - make sure to remind your employees to complete the necessary paperwork!
6 How to Organize a Supply Drive To help you get started, we have put together some tips and tools to run a successful school supply drive. Please contact Aubrye Carr (aubrye@classroomcentral.org or ext. 414) for any questions. Set up a committee to assist you with the drive. Depending on the size of your supply drive, you may want to consider recruiting others to help with the following: Promoting the drive Sorting and counting the supplies Delivering the supplies Determine when and where to hold the drive. Make it accessible! School supplies should be collected in a well-marked, secure, high traffic area such as a lobby or any other place employees / members regularly pass by or congregate. Remember to identify a storage location to house the supplies before you deliver them to Classroom Central. Determine what type of supplies will be collected. Below are our nine most-needed items (as requested by our teacher shoppers): Folders Composition Books Glue Sticks Pencils Ruled Paper Colored pencils Markers Scissors Crayons Determine the length of the supply drive. Classroom Central accepts School Tools donations July - September. The best deals and school supply sales are most prevalent from mid-july to mid-august. However, a successful drive usually lasts no longer than two weeks. Donors need time to receive the information, go shopping and get the supplies to your drop site. Determine a goal for the drive - chose a number that is meaningful to your organization. Remember to be optimistic, yet realistic. Establishing a goal will not only help you develop an action plan for collection, but it can also be an effective tool to use when promoting your supply drive. For example, you can give daily or weekly updates that can serve as a motivator. Assign each floor a goal (have it be a portion of the overall goal for the item you are collecting). Ask for mid-week and end of week updates from your floor champions and send out s showcasing the total collected for that week and what department/floor is leading the challenge. At the end of the drive reward the winning department, floor, etc. with a jeans day, pizza party, restaurant gift certificate, etc. Even reward the highest contributor with a front row parking spot for a month!
7 6 7 Promote the supply drive. Begin with a bang by kicking off the supply drive at a meeting or event. Use the event to explain the drive and encourage participation. Spread the word through posters, flyers and blasts. Include something in your signature promoting the drive. Create some excitement by holding a competition between different floors, groups, etc. Maybe you have a sister organization that you can challenge to a supply drive? Create a theme, examples: Marker Mondays Color me Monday Crayon Casual Fridays [Insert name of company/group] Rules (collecting rulers) Send periodic updates to your employees to inform them of goal and the number of supplies/monies still needed to reach that goal. Posting daily/weekly updates at the site is very helpful. A School Tools Collection thermometer or some type of visible measurement works great! Sell jeans days or leave early Friday days. All employees/patrons/members etc. donating supplies can wear jeans on a specified day or leave early on a Friday. Try a last day push - make a big deal about the last day and really encourage people to make one last donation. Encourage your employees to buy two give one. While they are out shopping for their children s back to school supplies, pick up an extra set to support School Tools. Get your children involved by having them write and send a letter to all their friends asking them to support the drive. Engage your neighborhood association and ask them to collect supplies at the neighborhood swim party or ice cream social. Share the news via the neighborhood Facebook page. Utilize social media to promote your activites and share with the world! If you use Facebook, Instagram or Twitter, make sure to include #9SchoolTools and tag Classroom Central. Deliver the supplies to Classroom Central Counting the supplies is extremely helpful to us and is a great team-building activity. In order to enter the competition, you ll need to turn in a tally sheet with your donation so that we are able to have counts of the product donated. Included in this packet is an inventory sheet for you to use. Supplies should be packed in manageable boxes or sturdy bags and delivered to Classroom Central during donation hours: Monday-Thursday, 8 a.m. - 2 p.m.. Please contact Aubrye Carr (aubrye@classroomcentral.org or ext. 414) to schedule your delivery day. 8 Thank all those that participated. Upon completion of your drive, think of a creative way to thank all those that participated. Make sure to include the total number of supplies collected!
8 Attend a Show & Tell! School Tools 2016 We ll give a quick tour of Classroom Central, review best practices for supply drives and provide collection barrels and signage for your drive. Please contact Aubrye Carr (aubrye@classroomcentral.org or ext. 414) to sign up!
9 1 2 3 Tips from the Show & Tell Events #1 TIP: MAKE IT EASY, MAKE IT FUN! Below are some tips that were shared at our Show & Tell trainings. Please feel free to call or us ( ext. 414, aubrye@classroomcentral.org) to discuss any ideas and ask as many questions as you need. Focus on collecting ONE specific item when running your drive. Make it easy for people to give. It s much easier to remember one item vs an entire list but always have that asterisk saying any donation of new school supplies is appreciated. By focusing on one of the nine items listed in the tool-kit it, it helps us collect the most-needed supplies. Share the weekly sales we send out and let your folks know where the items you are collecting are the least expensive. Run your drive for TWO (2) weeks, unless you are a public establishment. People respond to crisis so create a sense of urgency. Start early - don t wait for school to start. Sales start in mid-july and run until mid-august. It will also take Classroom Central several weeks to sort the supplies and get them into the hands of kids who need them most. Holding the drive for longer than two weeks does not make it seem urgent and people tend to push it off until the next week and then the next week until they completely forget about it. However, if you are a public drop site then you probably need to hold your drive the entire month as you don t see the same people every day. Get people excited! Provide an incentive to give! Unless people are already connected to the mission, people want to know what is in it for them for them to give a donation so tell them! Create opportunities for donations enter you to win... a jeans week, day off, ipad, gift card/certificate to somewhere, a parking spot right out front. Sell jeans days. If you are accepting $$ donations so you can purchase the items or so we can purchase the items for you, a great way to help you convert $$ into items collected is $1 = one item. If your business has a summer picnic or company-wide event, tie in a school supply donation as the way to gain entrance to the event or in a raffle Public locations if a customer makes a donation give them a coupon to use for something the next time they come in. Helps you bring customers back and also helps the kids! People thrive on competition - so use it to your advantage! Divide people up into groups, departments, floors, sides of the building and have them create team names: The #2 s, The Pencilteers, The Lead Leaders, Marker Maniacs and award the group with the best name by giving them a bump in the collection competition.
10 4 5 Communicate, communicate, communicate. Share the stories and kid thank you notes you ll receive each week from us. These can also be found on our website: Share the weekly sales and let your folks know where the items you are collecting are the least expensive. Get your execs involved have them send an initial communication announcing the campaign and soliciting support. If your exec is a good sport maybe get them to be part of a competition the winning dept/group/floor gets to pick what color the exec dyes their hair, help shave their head, etc.. Make sure School Tools is promoted as much as possible just placing a donation box in a visible area is not enough. Remember, we have a huge goal! Remind your employees daily and weekly keep the campaign in front of them, remind them of the goals, keep them posted with how much has been collected - use your intranet and . Create a visual a pencilometer or something where you can track your progress Have employees bring in school pictures or even baby pictures and have employees guess who everyone is. Have the supplies build something ex) pencil skyscraper. Use Social Media Let us know what you are doing by posting it on our social media sites or on your site tagging us: Facebook: Twitter: (@classrmcentral) Instagram: (@classroomcentral) LinkedIn: Post pictures and videos of your staff having fun with the supplies. Tip: don t be so serious have fun with social media! People standing around a conference room table stacked with supplies isn t as fun, but if you are dressing up like markers for Color Me Monday or tying it into a new product promotion, post a picture of that. Also, if you re building something or have a pencilometer, post things like that remember have fun with it! Video people and ask them why they are donating. When you post it on our Facebook page, your fans and our fans see it so you get much more exposure that way! Tweet about it and include the hashtag #9SchoolTools and

12 Sample Timeline School Tools 2016 This is just a suggestion for how to plan your drive and time your s. We also offer s you can copy/paste (see our Communication Resources on the previous page). Week 1 - July 11 Recruit your committee members Planning - goal, supplies to collect, duration, location Marketing - promotions, communications, etc. Logistics & delivery - where to store, when to deliver, recruit volunteers to tally Week 2 - July 18 Attend a Show & Tell event at Classroom Central Announce the drive and share the mission of Classroom Central, using stories and resources from our website: Week 3 - July 25 Roll out the details, logistics, promotions to follow to your organization to get them excited, potentially sharing another story. You can use the templates we have here: Week 4 - August 1 Launch drive! Share the 3 Ways to Help and School Supply Sales. You can use the templates we have and sales links here: Take photos and share on your social media sites Week 5 - August 8 Provide updates to your organization, either daily or weekly. Advertise incentives and encourage everyone to participate.
