NJ Registry Frequently Asked Questions About The NJ Registry CDA Assessment Fee Financial Assistance Program ($425 CDA Scholarship) Enrolling in Training Using the NJ Registry The NJ Registry is an online database which records and recognizes a person s education, training and work experience in the field of early childhood education, afterschool, and primary education. Its goal is to help participants track their annual professional development hours while collecting data about the NJ early childhood workforce. Participants will be assigned a level on the NJ Registry Career Lattice. What are the benefits of joining? Because you are a professional, you will find that the NJ Registry provides many useful tools! One benefit is the ability to print your Education and Training Report, which provides a summary of any degrees, certifications, and credentials you have, as well as trainings you have attended. For a better understanding of the benefits of the NJ Registry, visit our homepage ( and in the Welcome to the NJ Registry! section (middle of page) click the link in the last sentence of the paragraph; or hold the control key on your computer keyboard and click here. What documentation do I need to submit? New members: Proof of education (REQUIRED): High school diploma (if you don t have any college credits) Copy of CDA Credential Copy of NJ Family Development Credential Copy of Family Child Care Registration Certificate (for family child care providers only) OFFICIAL college transcripts from a regionally accredited institution for the highest degree obtained, and unofficial transcripts for prior degrees or college credits earned (COPIES OF DEGREES/DIPLOMAS ARE NOT ACCEPTABLE) Copies of Department of Education teaching certifications (if applicable; if you submit this, you do not need to submit college transcripts) Note: You do NOT have to submit a copy of your high school diploma if you are submitting official transcripts. Training Certificates: o Applicants who do not have a credential or degree should submit copies of any certificates for workshops you have attended in the past three years. o If you have a credential or degree, you may submit copies of any certificates for workshops you have taken within the last year. 1

2 Renewals: Submit proof that you have completed seven, ten, or twenty hours of professional development (depending on your job title, see NJ Registry Career Lattice at since the last time you applied. You do NOT have to submit proof of education as described above if you already submitted it upon enrollment. How do I submit documentation to the NJ Registry? You may your documentation to questions@pinj.org. College transcripts must be ed DIRECTLY FROM THE COLLEGE/UNIVERSITY AND SHOULD BE PROTECTED BY A PASSCODE in order to be considered official. You may mail your documentation to: Kean University PINJ/NJ Registry, 1000 Morris Ave. Willis Hall Room 300 Union, NJ Official college transcripts may be mailed to the above address and should be unopened, in the original, sealed envelope from the college/university. How will I know the status of my account? All correspondence is conducted through . You will be notified via about the status of your account. Check your frequently. I submitted documentation to the NJ Registry but it has not been entered into my profile, or my account status is still Pending. How long does it take to process an application or update my profile? Documentation and applications are processed in the order in which they are received; processing takes up to 30 business days. What If I forgot my username and password? Your username is always your full address (ex: minniemouse@hotmail.com). You will create a password when you create your account. If you forgot your password, you can click the Forgot My Password link underneath the Log-In button. You will be prompted to enter your full address, and your password will be ed to you. As a security measure, NJ Registry staff cannot see your password. I created my profile, but I don t see my NJ Registry ID number? Only members with an Active account status may view their NJ Registry ID number online. ( Active means you have submitted your required documentation and a NJ Registry staff member has reviewed and entered it into your profile). You may call our office to obtain your NJ Registry ID number if your NJ Registry status is Processing, which means our office has received your documentation but it has not yet been entered into your profile. When will I receive my NJ Registry Certificate or proof of membership? NJ Registry Certificates are no longer mailed. You may print your NJ Registry Certificate and your Membership Card at any time by logging into your Active account and clicking on the My Tools and Settings tab. Then click 2

3 on My Lattice Level Achievement Certificate and/or Membership Card. You may also print a copy of your Education and Training Report. Why do I need to validate my account? When you set up a NJ Registry account using your address or change your address, the system needs to verify that the address is valid, since it also functions as your username. So when you set up your NJ Registry account or any time you change your address, you will be required to validate your address as a security precaution. My account information is out-dated, can I update my information? As long as your account is Active, you can edit your personal information (ex: address, phone number), change your address, reset your password, and edit your work history (ex: if you change jobs), simply by clicking the Edit button above the section that says, Personal Information or Employment Information. CDA Assessment Fee Financial Assistance Program ($425 CDA Scholarship) Questions What documents are needed to apply for the CDA Scholarship? Copy of paper Direct Assessment Application to be sent to the Council for Professional Recognition OR Your CDA Credential Review cover page of your Direct Assessment Application IF YOU APPLIED FOR YOUR CDA ASSESSMENT ONLINE AND Copy of High School Diploma Proof of completing 120-hour CDA training at a PINJ-approved Sponsoring Agency Copy of Family Child Care Registration Certificate (for family child care providers only) Note: All documentation must be submitted within sixty (60) days of submitting your Scholarship application, or your application will be denied. When should I apply for the CDA Scholarship? Applicants should apply AFTER they have: Completed 120 hours of CDA training from a PINJ-approved Sponsoring Agency. Completed their CDA Direct Assessment Application on paper or online. How will I know if the agency offering the CDA training is an approved PINJ Sponsoring Agency? To verify if an agency is an approved PINJ Sponsoring Agency, click on the My Scholarships tab. Then click on CDA Scholarship Assistance Program. The fifth (5 th ) bullet under the eligibility guidelines says, See the list of approved sponsoring agencies. Click this link. You may also hold the CTRL button on your computer keyboard and click the link provided above. How will I know the status of my CDA Scholarship Application? All correspondence is done through . You will be notified via about the status of your application. Check your frequently. 3

4 I am applying for the scholarship and joined the NJ Registry, but have not received a response? Applying for the CDA Assessment Fee Financial Assistance Program is a two step process: 1. Potential recipients must first apply to become a member of the NJ Registry and submit the required documentation and become Active (see the What documentation do I need to submit? section for a list of required documentation). 2. Second, apply for the CDA Assessment Fee Financial Assistance Program by clicking on the My Scholarships tab. Then click where it says, CDA Scholarship Assistance Program, read the eligibility criteria, and click Next to complete the online application. Be sure to submit the required documentation (see What documents are needed to apply for the CDA Assessment Fee Financial Assistance Program section). My CDA Scholarship Application was denied, why? Although there are several reasons an application can be denied, the most common reasons are: The applicant did not submit the required documentation within sixty (60) days of applying for the scholarship. The applicant did not complete the CDA training at an approved PINJ Sponsoring Agency. My CDA Scholarship Application was awarded, now what? Print the award letter and two copies of the voucher. Mail one copy of the voucher, along with your original CDA Direct Assessment Application to: The Council for Professional Recognition th St. NW Washington, DC Keep a copy of your CDA Direct Assessment Application, award letter and a copy of the voucher from the NJ Registry for your personal records. Note: If you completed the CDA Direct Assessment Application online, just mail the voucher to The Council for Professional Recognition. Questions About Using the NJ Registry to Enroll in Training Why do I have to join the NJ Registry to register for a workshop? Many sponsoring agencies have entered into collaboration with Professional Impact NJ (PINJ). Collaborating agencies, along with PINJ, use the NJ Registry database to conduct registration for their agencies trainings. Doing so will enable both the sponsoring agency and PINJ to better understand and plan for the training needs of their enrollees. Therefore, participants who wish to take a workshop hosted by collaborating agencies must first become a member of or renew their membership with the NJ Registry. For instructions on how to become a member of or renew your NJ Registry membership, please refer to the How to Join the NJ Registry and Renew Your Account document on our home page at 4

5 Why do I need to submit proof of education to register for a workshop? Participants are not being asked to submit proof of education to take the workshop, but to become a member of the NJ Registry. Please refer the Why do I have to join the NJ Registry to register for a workshop? section for further explanation. How do I register for a workshop? Log-in to your NJ Registry account using your full address and the password you created. Scroll down to the bottom of the page and select, Find Training in the left-hand sidebar. Select the Search Category, such as Sponsor Name, County, or Date Range. Then select the Search Criteria from the drop-down menu that appears. Click Search. Select a training and click View Training to see the Course Details. To enroll, click Enroll Now. Complete the empty fields in the registration form that appears. Click Confirm and Continue Registration. Review the information and place a check mark in the I agree box and click Enroll Now. You will receive an Enrollment Confirmation which will also be ed to you. How do I withdraw from a workshop? Log-in to your NJ Registry account using your full address and the password you created. Click on the My Tools and Settings tab on the left-hand side of the page. Then click on My Training Registrations. Find the training from which you want to withdraw and click on Withdraw. Depending on the Sponsoring Agency s withdrawl policy, you will receive a message instructing you to call the Sponsoring Agency to withdraw or confirming that you withdrew from that workshop. I am trying to register for a workshop but my account status says, On-Hold, Pending, or Processing. What does this mean? And can I still register for a workshop? The account status describes your NJ Registry membership; it does not affect your ability to register for a workshop. You can register for a workshop if your account status is Active, On-Hold, Pending, or Processing. Only those with a status of Expired or Denied are unable to register for a workshop. Whom should I contact if I have questions after registering for a workshop through the NJ Registry? If you have a specific question about a workshop posted on the NJ Registry website, contact the Sponsoring agency hosting the workshop. If you need assistance creating a NJ Registry profile or have questions about the NJ Registry, contact the NJ Registry at Only NJ Registry staff can answer questions about your NJ Registry account. How will I know if I am enrolled in a workshop? When you register for a workshop, you will receive an confirmation. You may also confirm if you are registered for a workshop by clicking the My Tools and Settings tab on the left-hand side of the page. Then click on My Training Registrations. Why can t I register for a workshop? You must make sure you have validated your NJ Registry account. To do this, log-in to your account, open the from the NJ Registry (the subject line will say: Log-In Support ) and click the validation link provided in the . 5
