4 Request for Proposal (RFP) Overview This Request for Proposal (RFP) is intended to establish a relationship with a vendor who can design and develop the following company websites; 1) Fountain Technologies Ltd 2) Fountain Credit Services Ltd 3) Fountain Schools 4) Fountain Safaris 5) Kisima Real Estate 6) Nobel Insurance Agency 7) Suntec Supermarkets 8) Fountain Microfinance Bank Sasahost will host the websites where FEP Holdings has a reseller- hosting package for its companies and subsidiaries. Overall Goals To best meet FEP Holdings needs of its companies and subsidiaries, it is expected that the completed website includes each of the following components: Ø Professional, attractive design utilizing the latest multimedia Ø Finished and fully functional state- of- the- art website and a back- end authoring tool that is accessed via the Web that allows personnel to manage 100 percent of the website content. Integration with social networking websites, allowing users to repost links to our site and allowing us to selectively update our Facebook, Instagram, Twitter and LinkedIn pages with the content management system as staff updates the website. Ø Expertise with mobile user experiences and responsive sites. Ø A search function that allows the user to search the whole site or subsections within the site Ø A site map Ø The option to have multiple navigation menus. Ø The ability to navigate to pages from multiple areas of the website and from the FEP Holdings main site ( group.com) Ø The ability to track website visitor statistics, navigation and develop reports Ø Create a compelling design that leads people quickly and easily to key information. Ø The ability to download applications necessary to view information (ex: Adobe Acrobat Reader) Ø The ability for users to complete various forms online and submit Ø Functional on all platforms, browsers and smartphones and tablets Ø Add a contact page for direct inquiries or comments that includes the sender s address and location Ø Any additional features the respondent feels would improve the websites FEP Holdings expects that the selected partner will become an extension of the FEP Holdings team to plan and organize FEP Holdings Website Development RFP 4

5 Ø The infrastructure, content and strategy. Ø A user interface design that delivers universal usability Ø Must follow design and branding guidelines and offer seamless navigation from the main site ( group.com) Site Functionality The selected vendor will collaborate with FEP Holdings to create new Wordpress powered website for the various companies listed above with the following features: 1) Ability to generate print and electronic invoices based on user input information 2) Simplified site maintenance, which allows easy updating by non- technical staff and members. 3) The site must adhere to the WCAG 2.0 level AA standards 4) The site must be developed in the latest version of WordPress using only contributed modules with no additional customized code to the core or modules 5) Any contributed modules or plug- in must be actively maintained and widely used 6) The site must be optimized for access by mobile devices; a responsive web design is preferred 7) The site must incorporate Google Analytics 8) Integrate links to Facebook, Twitter, and LinkedIn profiles. Potentially include counters for Facebook Like and Twitter Follow buttons. Budget and Deliverables Budget Please provide a cost proposal to accomplish the scope outlined in this proposal. The budget must encompass all design, production, and any software acquisitions necessary for development and maintenance of the web site. Hosting will be addressed separately and costs for hosting are not included in the budget for this project. Discussions during the discovery phase and your input and advice will help us make a decision in this regard. Project Deliverables include but are not limited to: Ø Detailed production schedule with listed milestones Ø Clearly defined web redesign strategy Ø Method of communication for tracking project deliverables, status, and reporting bugs. Information Design and Site Architecture Ø Analyze and recommend improvements as to how information is currently organized, updated, and maintained. FEP Holdings Website Development RFP 5

6 Ø Develop a strategy for integrating key administrative functions Ø Develop an strategy for improving functionality, usability and accessibility of site Graphic Design and Branding Ø Ensure a cohesive, extensible visual graphic design and identity system for the site Ø Create and deliver detailed wireframe depicting all elements to be included on key pages, and site navigation. Ø Develop and deliver a comprehensive, usable, and forward- looking visual design Project Management Ø Provide dedicated Project Manager to help lead requirements gathering activities and track project milestones and deliverables and be accessible to the FEP Holdings working group Ø Provide robust Q/A protocols that will assure quality control over all deliverables, including code and print. Expected Process Order Ø Discovery/Planning Further define the goals, audiences, objectives, look and feel, and technical requirements for the project, resulting in a comprehensive project brief. Ø Information Architecture and Design Extend the basic site map described above through all child levels, present at least two mockups of the home page and an interior page, and accept up to four rounds of feedback/changes from the client Ø Development Develop the approved design and site structure and implement the CMS Ø Testing All functional deliverables must be tested on major browsers, and mobility platforms and device sizes. All content must be displaying cleanly. Ø Training Vendor must train two to four members of the client staff to maintain and operate the website. Ø Delivery Deliver and upload the site to the host server (sasahost) Proposal Evaluation Proposals will be evaluated using the following criteria: FEP Holdings Website Development RFP 6

7 Ø Experience on similar, small scale sites. The selected vendor will demonstrate past success in developing extensible design/identity systems and optimizing information design across a site. Ø Strength of work plan. The selected vendor will submit a concise, articulated work plan that addresses the above scope and includes descriptions regarding account management, project management, and creative processes. Ø The selected vendor will possess outstanding credentials in the areas of visual design, information architecture and technical considerations. The selected vendor will also have a strong grounding in customer experience and delivering user- centric design. Ø Reasonable and realistic cost projections Ø The selected vendor will submit a competitive Financial Proposal, the proposal should include itemized list costs for site architecture, redesign, software customization and systems testing, project management, etc. Ø Credentials of staff to be assigned to the project. The selected vendor will submit staff bios outlining the credentials and accomplishments of those staff who will manage and participate in this project Ø Ability to meet timing requirements to complete the project. The selected vendor will submit a high- level estimate of time- to- completion, from concept to successful delivery of all desired project deliverables. Ø Overall creativity in bringing out the best design, features, and social media integrations Proposed Project Timeline and Milestones We are aiming for the launch of the new sites in October 30 th Key Milestones Selection of Website Development Partner (September 12 th 2015) RFP request posted September 1 st 2015 Proposals due by COB on September 11 th 2015 Proposal review and selection: clarification with design partners Review by website subcommittee and selection of recommended vendor Present recommendation to Management Committee Approval (September 2015) Discovery period (September 14 th 18 th 2015) Meetings to discuss requirements and architecture Design partner project management Design and branding materials Technical Plan Review /Start of Preliminary Development (September 18 th 25 th 2015) Final review of Technical plan on October 2 nd FEP Holdings Website Development RFP 7

8 Alpha site (October 9 th 2015) Beta site (October 12 th 2015) Launch: (October 30 th 2015) Format for Proposals Please use the following as a guideline to format your proposal: Length and Font Size Please use fonts no smaller than 12 point. Maximum proposal length including title page, cover letter, proposal, qualifications and budget should not exceed 12 pages. Title Page FEP Holdings Web Site Development Proposal, your company name, address, web site address, telephone number, e- mail address and primary contact person. Cover Letter Signed by person or persons authorized to sign on behalf of the company. Proposal Discuss your proposed solution, including the features, benefits and uniqueness of your solution as delineated in the Scope and Guidelines and timeline sections. Budget List budgets as requested above. Proposal Submission Attach/enclose in your submission a copy of your company Certificate of Incorporation, KRA PIN Certificate and VAT Certificate.
