9 Section 1 Getting Started This section provides the following information to get you started with the Desktop Manager: A brief description of this document s purpose, audience, and prerequisites A general introduction to the Desktop Manager software and its capabilities Descriptions of the basic InfoImage parameters you must define before designing and creating a desktop Instructions on installing the sample desktop application and using the Wizard to assist you in customizing an application appropriate to your environment

10 Getting Started About This Document Purpose The purpose of this system overview is to act as an information resource for the administrator of the Desktop Manager (DTM) software, and the View Client, which enables a user to access documents from InfoImage for viewing purposes only. It includes the following information: General information about installing, configuring, and using DTM Features that are new with this release of the product Changes to the system from previous releases InfoImage prerequisites and system administration functions Examples to illustrate the setup required to create a new desktop This guide is not intended to provide instructions for the Microsoft Windows NT operating system, Windows95, Windows 3.1, or for any underlying Database Management System (DBMS). For information on these products, see the appropriate users guides. Audience The primary audiences for this document are those personnel responsible for designing, developing, and implementing DTM desktops that respond to specific client or training requirements. Prerequisites We advise a prerequisite reading of the Technical Overview Guide for InfoImage Folder. We recommended that you receive initial training on how to use the system. Users of this guide should be familiar with the Windows NT operating system, LAN architecture, the Windows environment, the DBMS used in their implementation, and their computer hardware. Because a number of other hardware and software products may be integrated with the system, you should use this book in conjunction with the documentation for those products

11 Getting Started Introduction to Desktop Manager The InfoImage Desktop Manager (DTM) is a software toolkit that enables you to create a customized workstation application to handle all the routine information management tasks of a particular type of business. You can: Choose and arrange functions with no programming Select the words and pictures on the screen to describe your environment Even customize the help Desktop Manager combines the power of InfoImage Folder on NT with features that might be found in a personal information manager (PIM) and a mail system. In addition to the main program, Desktop Manager includes an image viewer program, View Client that allows you to run Desktop Manager using View Server for a view-only desktop. Alternately, you can run DTM by logging in to a fully configured InfoImage system. Note: To use Desktop Manager with InfoImage, refer to the appropriate documentation for information on setting up InfoImage

12 Getting Started Before You Begin Define InfoImage Prerequisites Before installing DTM, you must install the client APIs from InfoImage and any related patches. To begin designing your desktop, you must have defined the following information in InfoImage: At least one document class Index form (.frm file) associated with the document class One user to access the document class If you will be using linking, the Doc_type2 field is required in the database. Install and Customize the Sample Application Installing the sample application when first installing DTM creates a generic desktop.ini file that you can customize. To initiate the customization process, DTM provides a Desktop Manager Setup Wizard that enables you to identify the document classes that you have created for your DTM design. 1. From the initial screen of the wizard, identify the number of document classes to configure based on the document class or classes you created in InfoImage. 2. The system creates a follow-up screen for each document class that you identify, which enables you to customize the application as follows: Display the main task buttons as a toolbar menu across the top of the desktop by selecting the Show Task Buttons as a Toolbar check box. Note: If you do not select this check box, the system uses the large main task button format displayed vertically along the left side of the desktop. Connect to your mail system by selecting the Show Mail Inbox check box. 3. Click Next> to continue

Define your task frames by entering the following information: Name of the document class you created in InfoImage (one per screen based on the number entered on the first screen of this wizard) Name of the related InfoImage form Note: If you are unsure of the name, you can browse the associated directory by clicking the Browse for Form button. Name of the query definition to create Text to display under the main task button Icon to display for this main task button Note: To select a different icon, click Browse for Icon button, then click the desired graphic. Clicking on any data entry field provides instructional information in the Hint section, defining what data is required. 5. Click Next> to display the last screen of the wizard. 6. Click Finish to run your customized sample desktop

14 Section 2 New Features This section discusses the new features included in this release of Desktop Manager (DTM)

15 New Features Implementation of View Server Development Kit Folder Query and Retrieval Through View Server This feature enables the user to run queries and retrievals of folders, in addition to documents, against selected View Servers while being logged into a standard Desktop Manager or View Client desktop. Query Definition Form Folder Query is a new option in the creation of query definition files in View Client. Desktop The VS Item Indicator status icon applies to folders as well as documents retrieved from View Server. There are Shortcut Menu options for folders retrieved from View Server, including Download All Pages, Send To: Mail Recipient, DeskDelete, and Print. File Cabinet Query Form In View Client and in Desktop Manager (using the View Server query option), folders can be retrieved from View Server and displayed on the Desktop. Note: View Server is a suite of Visual Basic applications, which can login to InfoImage servers on Unix or NT, accept query specifications, perform queries, return results, retrieve workitems and their contents and process FTP requests for transfer of the workitem contents to a user s workstation. For additional information on View Server configuration, refer to the View Server Installation and Configuration Guide. Restrictions for Command Level 4 Keyword Parameters By default, Desktop Manager (DTM) and View Client rely on the View Server configuration to provide values for any parameters not included in the Desktop configuration files. The only keyword parameters that DTM manipulates are the following: InfoOnly This parameter is based on the setting of the RetrievePagesonDemand parameter in the DTM Configuration file. RecursionDepth This parameter is set in code to ensure information and/or data is returned for all children of the selected folder and subfolders

16 New Features For a description of these parameters, refer to View Server Installation and Configuration Guide, Section 2 New Features: Selective Support for the Command Level 4 Keyword Parameters. Log File Debug information, enabled by the Debug parameter in the Desktop configuration file, is placed in the VsDevKit.log file in the application installation directory, instead of lobtool.dbg. DoQueryDisplay Retrieve Reserved The DoQueryDisplay function now enables users to enable retrieve workitems reserved for changes. If the ActiveX interface user chooses to display the Query Results List, an additional Retrieve Reserved command button displays. ActiveX interface users who choose not to display the Query Results List can use a new named parameter, RETRIEVE_RESERVED. This parameter has been added to implement the feature that reserves workitems when the workitems are automatically retrieved. ActiveX Interface Error Reporting Error reporting is now available to application developers using the ActiveX Interface into Desktop manager and View Client, enabling them to determine whether or not an operation has been successful. This alleviates the developer from having to explicitly seek out information by viewing desktop contents or querying the system database

17 New Features Enhanced Page Viewer Desktop Manager s enhanced Client API Page Viewer includes the following features: A toolbar that provides a single-click operation of common Page Viewer functions A Goto Page menu function An interactive system menu Close option Workitems Remain Reserved Across Sessions Using InfoImage APIs, DTM s logout behavior allows all documents and folders left on the desktop to remain reserved when a user logs off

19 Section 3 Implementation Considerations When Moving from DDE to API This section highlights information that you need to consider when installing the API version of DTM, including: Information that no longer needs to be defined in the API version Information on features not available with the API version Logout behavior Conversion consideration

20 Implementation Considerations When Moving from DDE to API Information No Longer Required User Menu Files The API release of DTM does not require you to complete the User Menu Files section of the desktop.ini file. All the information is now contained in the User Function Defs section, and the user menu files are no longer used. Query Forms To use the API version of DTM, you only need to define your index form or forms in InfoImage. Defining a query form is no longer mandatory, which means that OBJECT_ID is not a required field for a query form. DTM can use an index form as input to a query definition. ODBC Access ODBC access is no longer required since the client APIs provide faster query responses

21 Implementation Considerations When Moving from DDE to API Features Not Implemented Index Form The following InfoImage indexing functions are not part of this release: Column fields are not displayed in table format. There is no terminal emulation interface. Zone magnify cannot be performed. Formulas are not supported. Query User Exits The query user exits are not implemented in this release and are not currently planned for a future release

22 Implementation Considerations When Moving from DDE to API Logout Behavior The InfoImage APIs allow all reserved documents and folders left on the desktop to remain reserved when a user logs off. Since DTM now uses the InfoImage APIs, this is the behavior of DTM as well

23 Implementation Considerations When Moving from DDE to API Conversion Considerations Query Definitions If you are currently using the DDE version of DTM and plan to migrate to the client API version of DTM, you must resave all of your query definitions. This requirement is due to additional query definition features provided in this release. User Menu Files Since user menu files are no longer required, you should delete those you created for the DDE DTM as a way of cleaning your application directory. Message File If you have an existing message file (lobtool.msg) that you modified, you must make those changes to the new message file that is installed by the setup program

25 Section 4 Planning a Complete Implementation This section outlines the planning requirements for implementing DTM in a production environment, and discusses the importance of completing a detailed design for InfoImage, taking into consideration the requirements of DTM. Both InfoImage and DTM must be well planned; one cannot be implemented without considering the other. This section also presents the relationship between those elements defined in InfoImage and where in DTM they also need to be identified

26 Planning a Complete Implementation Defining Your Audience Requirements It is important to define the users of InfoImage and what their tasks will be. An audience and task analysis is a useful tool in identifying the audience and the specific tasks that each will do. The end result will be a table that identifies the common tasks among the various audiences as well as the unique tasks that each performs. This table provides you with the users that you need to create in InfoImage and DTM, and begins to give you a picture of the tasks and workflow processes that will be identified by the main task, task menu, and menu item buttons on the desktop

27 Planning a Complete Implementation Describing How Work Is Processed Once the audience and its related tasks are identified, the flow of work becomes clearer. From this workflow, you can begin to define the following: Relevant document classes, their audience, and their required security Documents or folders that are created and how they are processed Workflow queue or queues required by each user Workflow steps required between these queues to process the documents or folders Queries required to retrieve the workitems Additional functions performed outside of InfoImage, such as Word or Excel Although all of the InfoImage design is important, DTM uses the following portions to set up the data grid and define the necessary desktop parameters: A. Users To create user function definition files -.mdb files (desktop buttons) B. Index form To create query definitions To create the document outline display To identify icons for specific field values C. Document classes To associate with query definitions To identify with document types D. Workflow queues (inboxes) E. User mailboxes

28 Planning a Complete Implementation Relating Your InfoImage Design to DTM Information that you designed for InfoImage can be incorporated into DTM by the following methods: Identifying the tasks required by defining the main task, task menu, and menu item buttons. Creating your query definitions based on the index form or forms developed. Using the DTM configuration tool to define the required desktop parameters. Defining the DTM Task Buttons Identifying the tasks performed by each audience and the workflow processes for each document or folder assists you in defining the processes that can be used to name the desktop buttons. Button Hierarchy Define buttons according to the following general hierarchy: Button Type Description Maximum Main Task Buttons The main or first-level tasks that a user performs. up to 10 Task Menu Buttons Menu Item Buttons Those tasks that support each of the main processes (represented by the Main Task Buttons). The lowest level of tasks related to the task menu buttons. up to 6 up to 10 For example, a main task button could be Processing Claims, a related task menu button could be Query, and a supporting menu item button for Query could be Medical Report. Edit Button Options Screen The Edit Button Options screen in DTM enables you to identify the various tasks by naming the appropriate level of button and associating an icon or bitmap with the button task. Once the button has been identified, you can

29 Planning a Complete Implementation assign, if necessary, a Do-it function so that the button can perform a process or display information in a particular way. Note: A Do-it is a predefined function in Desktop Manager, which can be assigned to a TaskButton, TaskMenu or MenuItem command button, accepts various parameters, and performs predetermined actions based on the function selected and the parameters included. As you identify each main task button that displays work, you need to design how that information appears on the grid when the user clicks that button. For those main task buttons, you would use the DoTaskFrame Do-it function, and identify the query definition that would be used to create the information display. These query definitions are based on the index form(s) you created in InfoImage. Designing Query Definitions The query definition created in DTM defines how the data grid displays items, the fields required to complete a query, and the fields that can be used to display pertinent information in the document outline. Clicking the Define Query button on the Edit Button Options screen displays the Query Definition screen, enabling you to create a query definition and define its fields. Once your query definitions are created, you can use the DTM configuration tool to define parameters based on these query definitions. Note: Refer to the sections Creating Query Definitions and Revisions to the Query Definition Setup for a detailed explanation of the fields. Completing the DTM Configuration Tool Tabs The configuration tool provides tabs that you can use to set general parameters, define the appearance of the desktop, and define information specific to the desktop that you are designing. Based on the audience analysis you performed initially, you would access the following configuration tool tabs: General Tab Layout The General tab enables you to define the basic structure of the desktop and identify where the relevant directories or files will reside. Tab Layout enables you to define how the tabs display on the grid whenever the user clicks on a main

30 Planning a Complete Implementation Users User Interface Login/Logout task button. The Users tab enables you to enter the users you defined in InfoImage and associate them with their user function definition file. The User Interface tab defines how to present the main task buttons, the data grid, and the DTM menu bar. It also defines functions that a user can perform, which again should have been identified in your audience analysis. The Login/Logout tab sets up how a user logs into DTM, what options he or she receives when logging out, and whether the installation uses the View Server. Misc The Misc tab defines display options, start-up functions, and miscellaneous defaults. The other tabs in the configuration tool relate to specific information that you designed in InfoImage that can also be entered here to define the parameters required by the desktop. Those tabs are the following: Outline Naming Doc Class InBox Icons In addition to the grid display, you also need to define what document information displays in the document outline. To accomplish this task, click the Outline Naming tab to enter each relevant query definition and identify the fields from that query definition that you want to display in the outline The Doc Class tab enables you to enter the document classes you defined in InfoImage and relate each to a particular query definition you created. The InBox tab relates to query definitions also since you can define specific views for the workflow and mail inboxes that you assign a user. The Icons tab displays a document class with its defined fields and values for each field. You can then assign an icon to a value to display as part of the data grid. 31 Planning a Complete Implementation Completing the Desktop Design Designing a desktop is an iterative process that should be tested at each phase to ensure that the functions are properly working before creating additional elements. There is no order to the steps required to create a desktop. However, as stated in this section, there is prerequisite information that must be created in InfoImage before you can define certain DTM elements; for example, index forms must be defined before you can create query definitions. It is also important to note what DTM provides to complete your design: Query Definition screen to create your query definitions DTM configuration tool to establish and maintain the required desktop parameters Edit Button Options screen to design your button definitions

32 Section 5 Changes to DTM's User Interface This section discusses functionality we have added or revised since the 2.3 release of Desktop Manager, which includes the following: View-only access to multiple domains View Client s use of form data from View Server Additional faxing and printing features Named Parameters for ActiveX Interface Enhancements to the desktop display Additional functions on the Edit Button Options screen Supported InfoImage functions

33 Changes to DTM's User Interface View-Only Access to Multiple Domains This feature enables the user to run queries and retrievals of folders, in addition to documents, against selected View Servers while being logged into a standard Desktop Manager or View Client desktop. The user can execute a query to a View Server specified in a DoFileCabQuery button definition, and retrieve read-only copies of workitems from the Query Results list to the desktop. The information for these workitems is stored in the local database as if the user was using View Client. Note: Configuration View Server is a suite of Visual Basic applications that can login to InfoImage servers on Unix or NT, accept query specifications, perform queries, return results, retrieve workitems and their contents, and process FTP requests for transfer of the workitem contents to a user s workstation. There is a parameter to implement this feature using the DoFileCabQuery function. Parameter eight is an optional string parameter containing the server name of a View Server to query. If the parameter is left blank the query is a standard Desktop Manager or View Client query sent to the server specified during login. If the parameter contains a value the application will attempt to perform a View Server query against the server name specified. The user name and password supplied during login to the Primary domain are used for FTP access to the View Server system. Therefore, the user must have been given FTP access to the View Server system or anonymous FTP access must be enabled on the View Server system. In addition users must fill out the user name and password on the login screen even if Unified Login is being used. The Desktop workstation must have network access to the View Server system. The server system aliases may need to be included in the desktop workstation hosts file. View Server configuration is determined by the parameters specified in the [ViewServer] section of the configuration file. These parameters are located on the Login Tab of the Desktop Manager Configuration Tool. If more than one View Server is being used the configuration parameters apply to all View Servers. A configuration parameter, VSItemIndicator, is available in the [General] section of the configuration file. The parameter value is a character or string,

34 Changes to DTM's User Interface used in the outline, to indicate a workitem that has been retrieved from a View Server. The value of this parameter can be set by entering text into the View Server Item field located on the User Interface Tab of the Desktop Manager Configuration Tool. If the ShowObjectStatusIconsInGrid parameter is enabled, by checking the box labeled Show Status Icons located on the User Interface tab of the Desktop Manager Configuration Tool, View Server workitems are identified by an icon representing a pair of eyeglasses in the first column of the task frame grid. Note: Restrictions Additional information on View Server configuration is provided in the View Server documentation. Functionality for View Server workitems is restricted to the set of operations that can be performed on View Client workitems. These workitems, and their contents, can be retrieved, viewed, attached to , printed locally and desk deleted. If an unsupported function is executed with a View Server workitem as the selected object a message box will be displayed indicating that the function is not available for View Server workitems. View Server levels less than 3.2 do not support the Retrieve Pages on Demand option and will cause an error on attempted retrievals of individual page or note items. When working with InfoImage on Unix, View Server does not provide the ability to retrieve notes

35 Changes to DTM's User Interface View Client Form Data The View Client application takes advantage of a feature available in View Server, form field data. View Client requests all form data associated with a workitem when querying or retrieving from View Server. The form data is stored in the local database and is only available after a workitem has been retrieved to the Desktop. The data can be viewed in any task frame grid based on the settings in the Query Definition file used as the source of the workitems in the grid. For this feature to function properly, the desired form fields must be included in a Query Definition file, and that Query Definition file must be assigned to a DoTaskFrame button definition included in the user s desktop configuration

36 Changes to DTM's User Interface Faxing and Printing Enhancements Fax Cover Sheet DTM enables a user to include a cover sheet with a faxed or printed document. The fax cover sheet contains the following: Information about the intended recipient The name of the recipient s company Information about the sender of the fax Any additional comments from the sender The Send Cover Sheet check box appears on the Options tab of the Fax Workitem screen

37 Changes to DTM's User Interface Selecting the check box displays the Cover Sheet tab. This tab contains four fields for user input to the fax cover sheet. The From field is initially filled with the user s login name unless overridden by a value in the parameter string. These parameters are also available during button definition so they can be set in advance or entered by the user during the fax process

38 Changes to DTM's User Interface Print/Fax Multiple Linked Workitems or Folder Contents This feature allows the user to select multiple workitems from the list provided to be printed or faxed simultaneously. If a Folder is selected in the grid and Print or Fax is chosen, the contents of the folder is displayed on the Select tab of the Print/Fax form. This enables the user to chose one or more items from the folder contents to be Printed or Faxed. Each selected document will be printed or faxed as a separate job using the same set of selected parameters. If more than one workitem is selected, the page range option is disabled and the All pages option is selected automatically

41 Changes to DTM's User Interface Desktop Display Enhancements Shortcut Menus for Workitems Shortcut menus are a standard feature of Microsoft, providing pop-up menus whenever the right button of the mouse is clicked over a workitem. These shortcut menus are also displayed if the workitem is selected and you press the shortcut menu key on your keyboard. DTM provides shortcut menus for the most commonly used functions at the document and folder level as well as the object (for example, page, note, index form) level. Each function on the pop-up menu has a letter underlined, indicating a shortcut to that function. Those functions that are followed with a dialog when selected have three periods (...) after them. Any one of these menus may be hidden using the DTM Configuration Tool. Documents and folders have the following shortcut menu functions: Function Action Close View Page Icons (documents only) Reserve Unreserve Save Send To User or Specific Queue Default Workflow Return to Queue Mail Recipient Desk Delete Closes all viewers for pages and notes, but not imported objects. Displays page icons for documents. Locks the document or folder for changes. Unlocks the document or folder. Saves any changes made to the document or folder. Routes the selected document or folder, using one of four possible options: Displays the queues assigned to the user and the InfoImage user mailboxes. Sends the document or folder to the next queue defined in the workflow. Returns the document or folder to the queue from which it was retrieved. Enables the user to send the selected object through . Displays the Desk Delete screen, asking the user to confirm the removal from the desktop of the document or folder selected. continued

Provides the option to remove the object from the desktop or display it as a separate grid line. Displays the Rename dialog prefilled with the existing name of the document or folder. The user can overwrite the object name and click on the Ok button. Enables the user to insert a file into an existing document or folder or create a new note, attaching it to a document or a folder. Accesses the File dialog, enabling the user to select the file to insert into the document or folder highlighted on the data grid (import). Accesses the Note dialog, enabling the user to name the note, then enter informational text. Displays the history of the workitem in workflow. Displays the location of the workitem in workflow. Displays the Print dialog, enabling the user to print the document or folder to a local printer or a remote printer. Displays the Fax dialog, enabling the user to fax the document or folder to a user-defined fax location. Index forms have the following shortcut menu functions:: Open Close Export Function Send To (Mail Recipient option only) Action Displays the index form. The user can tab to the fields that he or she can modify based on the form view that you created and assigned to that user. Closes the index form. Enables the user to export the index form as a.txt file. Enables the user to send the index form through

43 Changes to DTM's User Interface Page, notes, and so forth have the following shortcut menu functions: Function Action Open Close Export Send To (Mail Recipient option only) Delete Rename Print Fax Displays the object. Closes the page or notes viewer. Enables the user to export the object as the related file type. For example, an image is exported as a.tif file, a note as a.txt file, and so forth. Enables the user to send the object through . Permanently deletes the object from the workitem. The system displays this function based on the setting of the option, Hide Delete command in the Context Menu, in the configuration tool under the User Interface tab. Displays the Rename dialog prefilled with the existing name of the object. The user can overwrite the object name and click on the Ok button. Displays the Print dialog, enabling the user to print the page to a local printer or a remote printer (not an option for a note). Displays the Fax dialog, enabling the user to fax the page to a userdefined fax location (not an option for a note). Checking InBox and Closing the Grid The status bar at the bottom of the display contains icons in order to check the InBox. To close the grid display, click any one of the main task buttons once. To redisplay the grid, click a main task button again

44 Changes to DTM's User Interface Displaying Information in the Status Bar A status bar on the desktop displays the following information: Displays server information. For DTM, the system displays the following information: On the View Client desktop, the system displays the following information: Accesses the InfoImage Inbox. When the user places the cursor over this icon, the system displays the message, Click here to check InfoImage Inbox. This icon does not display in View Client mode since no inboxes are accessed. If there is a new item in the InfoImage Inbox, the system displays a pair of eyeglasses over the icon. Clicking the inbox tab removes the eyeglass display. Accesses . When the user places the cursor over this icon, the system displays the message, Click here to check Mail Inbox. The system only displays this icon when is turned on. If there is a new item in the mail inbox, the system displays a pair of eyeglasses over the icon. Clicking the Mail InBox tab removes the eyeglass display. Displaying Information in the Outline Area Note that the outline display on the grid has been sized based on its contents. For example, a document with one page would have a display area smaller than a document containing five pages, an index form, and a note. The imported objects that appear on the grid also have the following feature. When you click and hold down the left button of the mouse while over an imported object, the system displays the viewer icon for that import in the grid outline area. For example, if your document contains an Excel spreadsheet and you click and hold down the left mouse button while over that object, the system displays the standard Excel icon. Using Form Data Another addition to the data grid is the ability to display form data, that is, nonindex fields, along with index information for an object

45 Changes to DTM's User Interface The Number of Possible Tasks The number of possible menu item buttons that you can define for each task menu button is 10. The desktop provides you with up to 10 main task buttons and up to 6 task menu buttons. Resizing and Positioning the Query Results When a user performs a query and receives a query results hit list, the results portion of the query screen can be resized to display more items for retrieval. The size and position of the Query window is maintained for the next query. Using the Workitem Menu The menu bar contains the Workitem menu with the following commands: Menu Command Close All Open Workitems Set Workitem Options Set Outline Sort Order Action Closes all open objects, such as documents, notes, index forms, and so forth. Imports are not closed. Allows the user to select when to automatically close a workitem and also the automatic page viewing option. Allows the user to change the sort order of the fields in the outline area. Query Results Shortcut Menu The following Shortcut Menu is available from the Query Results List: Function Select All Deselect All Find in Workflow File into Folder Action Selects (highlights) all items in the list. Clears the current selection in the list. Displays the location of the workitem in workflow Files the selected workitems into the selected Folder on the Desktop

46 Changes to DTM's User Interface Select All/Deselect All Shortcut Menu A shortcut menu is available from the following lists: Queue Contents list workitem list in the Send To dialog Query Results list Shortcut menu commands are as follows: Command Select All Deselect All Action Selects (highlights) all items in the list. Clears the current selection in the list. Functions on the Edit Button Options Screen The Edit Button Options screen contains the following functions: Cut, copy, and paste functions to each edit button definition Display the icon of the selected button when the Change Icon window is open Clear the icon in the edit buttons Define inbox settings through a new dialog. Copying and Moving Definitions Among Buttons There are cut, copy, and paste icons in the Main Task Button, Task Menu Button, and Menu Item Button sections. You can cut or copy an entire button definition from one button and paste that definition to any other button or buttons. This includes the button caption, icon, Do-it name and function. Note: A Do-it is a predefined function in Desktop Manager, which can be assigned to a TaskButton, TaskMenu or MenuItem command button, accepts various parameters, and performs predetermined actions based on the function selected and the parameters included

47 Changes to DTM's User Interface Displaying the Icon of a Selected Button Under the Main Task Button, Task Menu Button, or Menu Item Button section, you can click on the Change Icon... button to select an icon or a bitmap image to display for the button. If a button has an icon defined and you click on the Change Icon... button, the system displays the Change Icon screen and lists the icon files with the icon highlighted that is currently defined for the selected button. Clearing the Icon Selected You can remove an icon that you defined for a particular button. 1. Click the Change Icon... button under the Main Task Button, Task Menu Button, or Menu Item Button section. 2. The system displays the Desktop - Change Icon screen that lists the icons or bitmap images that DTM provides as a graphic representation of the button. You can perform the following functions: Select an icon or a bitmap and click Ok. The system places that icon or bitmap on the button you selected. Click Clear to remove the icon or bitmap you defined for the button selected. You can perform this function for a newly defined button or an existing button. Click Cancel to close the Desktop - Change Icon screen without making or retaining a selection. Defining Inbox Settings On the Edit Button Options screen, by clicking on the InBox Settings... button, the InBox Settings screen is displayed. This screen enables you to define the InfoImage and mail inboxes. In the InfoImage Inbox section, you can do the following: Select the Show Icon in Status Bar check box to display the InfoImage Inbox Icon in the DTM Status bar. There is a field titled, Check the following Inboxes. Enter all the InfoImage inboxes that the system checks and display for this user. Note that if you do not make an entry in this field, the system displays a dialog which allows the user to select the queue to check

48 Changes to DTM's User Interface The Max workitems to display field enables you to enter the number of items to display in an InfoImage inbox. If you select the Display Icons check box, the system displays an icon in the grid outline of the inbox tab for a field that is associated with the icon you defined using the DTM configuration tool. In the Mail Inbox section, you can Select the Show Mail Inbox check box to display the Mail InBox tab. If you do not select this check box, the system does not display the tab or the related Mail Inbox icon in the status bar on the desktop. Select the way the system displays the mail by selecting the Oldest first or Newest first radio button under the Sort Mail Order heading. Selecting the Oldest first button displays the objects in ascending order by date received; selecting the Newest first button displays the objects in descending order by date received. The Undo Changes button enables you to undo all changes that you entered for the inbox settings during one session. Find in Workflow The Find in Workflow shortcut menu is available to the context menus in the Task Frame grid and outline and Query Results grid. If the user right-clicks his or her mouse in the grid or outline with a single workitem selected, a context sensitive pop-up menu appears that contains the new functionality. Selecting the Find in Workflow menu command generates a query to the Image Server for workflow location information regarding the selected workitem. If the workitem is not currently in workflow, a message box displays informing the user. If the workitem is in workflow, a form displays indicating the workstep where the workitem resides, the user (if any) who has the workitem locked and the time (if any) the workitem was locked. If the workitem is not locked, the Lock Owner and Lock Time fields are blank

49 Changes to DTM's User Interface The information in the form can be copied to the Clipboard using the Copy button. The form and the grid columns are sizable. Changes to the form size, position and grid column widths are stored in the configuration file and reused when the form is loaded. Note: Workflow information is not available for documents which attain a WIP status because they are filed in a folder that is in workflow, and are assigned to a WIP in WIP Folder document class. File into Folder from Query Results A shortcut menu command, File into Folder, is available to the Query Results context menu, enabling users to retrieve objects selected from the Query Results grid directly into folders on the desktop. The menu command is available whenever one or more workitems has been selected in the Query Results grid. If no reserved folders are present on the user s desktop the menu command will have a submenu describing the situation. When the user chooses a folder name from the menu commands provided, each of the selected workitems will be filed into the selected folder. After filing is completed, the folder contents will be reloaded to add the new workitems to the client list. The status bar at the bottom of the form will be updated periodically to indicate the progress of the operation

50 Changes to DTM's User Interface Supported InfoImage Functions The desktop supports the following InfoImage-specific functions: Assignment of form views Form field validation Form field attributes Functional security Assigning Form Views As previously stated, the API version of DTM does not display the index form as it was created in Forms Creator. Instead, the system displays a list of the index fields defined on that form. If you define a form view and assign it to a user through InfoImage, DTM displays this list of index fields, enabling the user to tab only to the fields that are accessible in the related form view. The fields that can be tabbed to and edited appear in black type; those that cannot be modified appear grayed out. Validating Certain Form Fields DTM supports the following form field validations: Required field Date Range check
