3 VICE CHANCELLOR S LETTER Dear Graduands, Everyone here at Newman University joins me in congratulating you on the successful completion of your studies. I am sure that you, your family and your friends are now looking forward to celebrating your graduation in October. The Awards Ceremony is always a happy occasion where your friends, family and fellow students come together to mark this important moment in your life. You will be most welcome and we all look forward to meeting you and your guests at Symphony Hall in Birmingham. This guide is intended to cover most of the key points relating to Graduation, but if there are other questions that you have, please do not hesitate to contact the Graduation Manager, Rose Pardo Roques. Your questions will help us to ensure that we have everything in place in order to make this day a memorable experience for you. If there is any reason why you cannot attend the Awards Ceremony, such as an appeal in process or outstanding debt, please notify us. We will do our best to help you to resolve the problem to enable you to take part in this ceremony or, if we cannot, we will be able to help you to find out how best to reach your goal of achieving the award for which you have studied. 4 IMPORTANT THINGS TO KNOW Information specific to you (e.g. the timing of your ceremony and gowning details) can be found in your Graduation invitation, on mynewman. Graduation will take place on Thursday 27 October 2016 at Symphony Hall, Birmingham. There are two ceremonies taking place on the day, at 11.00am and 3.00pm. The deadline for confirming whether you wish to attend, graduate in absentia or defer your Graduation is Thursday 6 October IMPORTANT THINGS TO DO Confirmation - regardless of whether you wish to attend, graduate in absentia or defer your graduation, you must confirm by the deadline given (above). Guest tickets (if required) tickets are available to purchase on a first-come, first-served, before the deadline. After this date, any remaining tickets will be released for general sale. Academic Dress should be ordered from Ede & Ravenscroft at least 21 days before the ceremony. Details of which gown you need to order is available in your specific Graduation information on mynewman. Pre-order any photographs and/or frames from Ede & Ravenscroft at least 10 days before the ceremony. Collect any marked hard copy coursework from the Registry desk by December following Graduation, after which, it will be destroyed. Electronic submissions will need to be downloaded before Graduation, as this is when you lose access. If you do not confirm your intentions (attend, graduate in absentia etc.), it will be assumed that you do not wish to attend Graduation and your award will be conferred in your absence. You will be removed from the attendance listing and cannot be included after the deadline. You will not receive your award certificate, as confirmation is required to release it from the University. 5 CONFIRMATION To complete Graduation Confirmation, you should go to the task on the mynewman home page. This will lead you through all the steps required, including confirming your name and current address, regardless of whether you wish to attend, graduate in absentia or defer your graduation. If you do not have access to mynewman, you will be sent a link to allow you to log-in. You must complete Graduation Confirmation by the deadline 6 October Attending Confirming your attendance means coming to the Graduation ceremony, where you will cross the stage and receive your award certificate. You will be required to wear academic dress if you attend Graduation. You can purchase guest tickets for family and friends. If you are unable to attend the ceremony after you have confirmed your attendance, you must inform the Graduation team immediately. Graduating in Absentia Confirming that you wish to graduate in absentia means that you will not attend the Graduation ceremony. Your award certificate will be sent by Recorded Delivery after the date of the ceremonies. Once you have confirmed that you are graduating in absentia, you will be removed from further Graduation correspondence. If you have not received your award certificate by 25 November 2016, please contact the Graduation team. Deferring Graduation By confirming your intention to defer your Graduation to next year s ceremonies, you acknowledge that the production of your award certificate will be delayed. This means that the date on your award certificate will not be the date of the Board at which it was agreed, or this year s Graduation, but will be the date of next year s Graduation (Thursday 26 October 2017). After confirming your intention on mynewman, you must send a formal request in writing, outlining the reason for your deferral. Requests will be considered by the Graduation Manager and a formal confirmation will be sent, after which you will receive no further Graduation correspondence for the current year. Requests for deferrals received after the deadline will not be considered. Graduation Handbook

6 GUEST TICKETS As the Graduand, your ticket is free. ALL guests are required to have a ticket; each for adults, each for children (12 years and under) plus booking fee (see below). All ticket prices include VAT. For health & safety reasons and Symphony Hall requirements, all children, regardless of age, must be allocated a seat and therefore require a ticket. Graduands can purchase tickets through the Symphony Hall booking office by following the link at the end of the Graduation Confirmation task on mynewman. Booking fees are 2.50 per ticket for online booking and 3 per ticket for telephone and counter bookings. For tickets required to be posted, an additional 1.50 will be added. There is an initial limit of 4 guest tickets (adult or child) per Graduand. allocated on a first-come, first-served basis, by purchase. Guest tickets are If further tickets are available, they will be released for sale after the confirmation deadline, on a firstcome, first-served basis. This will be advertised on the Graduation website. Additional ticket(s) are not guaranteed to be in the same area or seating level as initial tickets purchased. Income generated by guest tickets sales assist in covering the costs associated with holding our Graduation Ceremonies at Symphony Hall. No profit is made by the University. Guests will be allocated a specific seat (Graduands do not sit with their guests) on a first-come, firstserved basis. You cannot specify where you would like your guests to be seated. Individual requirements (i.e. mobility issues, sight or hearing problems) should be stated at the time of booking. Seating is available for guests in wheelchairs and a companion. As this area is limited, only one companion can be seated in the box and any additional guests will be seated as close as is available. If any of your guests are unable to attend, please inform the Symphony Hall booking office. Requests for refunds on guest tickets must be made by Friday 21 October Any requests received after this date may not be refunded. Graduation Handbook

7 ELIGIBILITY TO ATTEND If you have successfully completed your programme of study, you are eligible to attend Graduation and can proceed with Graduation Confirmation, purchasing guest tickets and hiring your gown. Final Year Resit Students* If you expect to complete all outstanding Resit(s) in August (including QTS skills tests, where applicable) you will be eligible to graduate at this year s ceremonies (subject to formal confirmation of your award). Current Masters Students* If you expect to complete all elements of your programme by the Masters Assessment Board, you will be eligible to graduate at this year s ceremonies (subject to formal confirmation of your award). A formal letter confirming your eligibility to attend will be sent to you, after the relevant Programme Assessment Board; ITE Finalists 25 th August 2016, all other Undergraduate Programmes 7/8 th September 2016, Masters 12 th September *If you expect to complete your programme of study by the date of your relevant Assessment Board, you can complete the Graduation Confirmation task on mynewman, before the deadline, regardless of whether you wish to attend, graduate in absentia or defer your graduation. Refunds can be requested through Symphony Hall for Resit or Masters Students that purchase guest tickets, but are not eligible to attend this year s Ceremonies following the Assessment Boards. You will be able to order academic dress after receiving formal confirmation of your eligibility to attend this year s Ceremonies, but if you wish to order before this, please check Ede & Ravenscroft s Terms & Conditions of Hire policy ( as refunds may not be possible. If you do not complete all elements of your programme at the first available Resit opportunity in August, you will not be eligible to attend this year s Graduation Ceremonies, even if you then decide to accept the lesser award. Outstanding Debts/Appeals/Disputes - to be eligible to graduate at this year s ceremonies, any outstanding appeals or disputes must be resolved by the end of August and all outstanding debts must be cleared by the Confirmation deadline. It is your responsibility to ensure that outstanding debts, including Library fines, are cleared. If outstanding debts are not resolved, your certificate will be conferred in your absence and held at the University. If you have any concerns, please contact the Finance Office. Graduation Handbook

8 Academic Dress Academic dress is the name for the gown, hood and mortarboard (or cap ) worn. Academic dress must be worn by all Graduands receiving an undergraduate or postgraduate degree and must be worn at all times during the ceremony (excluding the mortarboard, which should be carried when in the main hall) and should be returned to the Gowning Return Desk following the ceremony, unless you have requested and paid for extended hire through Ede & Ravenscroft. Traditionally, the mortarboard (and sometimes the hood) was not presented to a Graduand until the graduation ceremony itself. In honour of this tradition and to acknowledge your Graduand status, Graduands must carry their mortarboards when in the main hall. On the day, you will receive your mortarboard, gown and hood before the ceremony to make the process run more smoothly and to allow Graduands to commemorate the day with photographs in full academic dress. The colour hood you wear depends on your completed programme of study. To ensure you have the correct colour hood, you will need to ensure you provide the full title of your award (i.e. Bachelor of Arts) and validating institution when ordering your academic dress. This information can be found on the Graduation Confirmation task on mynewman. Please be aware that some Students will be exiting with University of Leicester validated awards, which require different academic dress to Newman University. As photographs will last a lifetime we recommend that you wear a white blouse or shirt and dark trousers or skirt, rather than anything that will quickly look out of date. We strongly recommend wearing a blouse/shirt, so that the hood you will wear can be attached to a button to keep it in place. Ede & Ravenscroft do not use or issue safety pins for Health & Safety reasons. Graduands that choose not to wear a shirt or blouse will need to bring safety pins with them so that the hood can be attached to the clothing being worn. The hood is heavy, so attaching it to lightweight fabrics may cause damage. Although your shoes do not appear in any formal photography, please consider the length of gown and (unless alternative access is requested) the steps to the stage, when choosing your footwear. Formal dress may be worn by members of uniformed professions or services and religious orders. Formal national dress is also permitted. Graduation Handbook

9 Graduate Teacher Programme (GTP) As Newman University does not have academic dress for the Graduands of the GTP, you are asked to wear the academic dress of the institution that conferred your undergraduate degree. If your undergraduate degree was not conferred by Newman University or University of Leicester, you are required to complete a separate order form for Ede & Ravenscroft. Do not order your academic dress online or by phone Level 4 Certificate in Counselling Skills, Graduate Certificate in Integrative Counselling and QTS only awards Graduands of these programme are not required to wear academic dress. You are asked to dress smartly, preferably in white shirt and black trousers or skirt. Ordering Your Academic Dress Ede & Ravenscroft is the only approved supplier of academic dress for Newman University awards. The cost for academic dress hire is approximately Newman University is not responsible for ordering, supplying or paying for your academic dress. Any queries on your order should be made to Ede & Ravenscroft directly. When ordering your academic dress (gown, hood and hat/cap) you will need to confirm the following: Award achieved (i.e. MA, BSc, PGCE) Validating institution (Newman University or University of Leicester) Height Hat size (circumference of your head from an inch above your eyebrows to the nape of your neck) Chest measurement Your academic dress will be available for you to collect on Graduation day from the robing area at Symphony Hall, which will be open 8.30am pm. Please ensure that you bring confirmation of your order with you. Only Graduands will be permitted to enter the robing hall. Please ask your guests to wait outside the robing hall. 10 HIRE YOU GRADUATION OUTFIT ONLINE AND SAVE 5 Before you start, make sure you know your head circumference, chest and height measurements and have your credit/debit card details available. If you do not have access to a computer, you can hire or buy your outfit from our call centre on Open from 9am 5pm Monday to Friday. PLEASE NOTE: you will not receive the online discount if you order via the call centre. Calls may be monitored for staff training. Facilities for the deaf & hard of hearing or those with a speech impairment are available using your Textphone dial to access the RNID Typetalk system. Print out the order confirmation and take it with you when you collect your outfit on the day of your ceremony so we can process your order quickly Book early to be sure of your order! We cannot guarantee to supply you with an outfit if you leave your booking later than 21 days before your ceremony. However, you can still try to place your order through our website or call centre after this date. We take limited spare stock to the ceremony, but this is charged at a premium rate on a first come first served basis. Terms & conditions including cancellation policy are available online or from our call centre. Ede and Ravenscroft, Unit A, Denny Industrial Centre, Waterbeach, Cambridge, CB25 9QD Photography Ede & Ravenscroft Photography will be present at the ceremonies to provide you and your guests with the opportunity to have professional photographs taken. Pre-ordering photographs from Ede & Ravenscroft Photography at least 10 days before the date of the ceremony, is advised. You can order by phone or online edeandravenscroft.com. Please ensure that you bring the order confirmation for pre-ordered photographs. Photographs can be purchased on the day, however these will be charged at a higher rate than if you pre-order and pay in advance. For full details and prices, check Ede & Ravenscroft s website. 11 Useful Information for Graduation Day Due to the number of Graduands attending each Ceremony, you are strongly advised to arrive at Symphony Hall as early as possible (at least 2 hours before your ceremony). The Registration Desks will open at 9.00am for the morning ceremony and 1.00pm for the afternoon ceremony, with the robing hall and photography studios open 8.30am pm. Don t forget to bring: Your Graduand number, which will be sent to you in October Order confirmation(s) from Ede & Ravenscroft for academic dress hire and/or photographs Safety pins (if not wearing a shirt or blouse, as recommended) Each Graduand will receive one free Graduation Programme when they register. Further programmes will be available for sale from the Information Desk. The programme includes the names of all Graduands and the order in which the awards are conferred at each ceremony, as well as indicating when the congregation is required to stand and sit during the ceremony. Prior to the Ceremony 1. Register and collect your Graduation pack, which includes your Graduand ticket, any guest tickets and your Graduation Programme. When you arrive, go to the Registration Desks, which are located by the main entrance to the Symphony Hall auditorium. You will be asked to register using Graduand number provided on your Graduation letter, which will be sent to you in October. You will be given your Graduand seating ticket, which confirms the number of your designated seat in the auditorium. You must retain your Graduand seating ticket. If you lose your seating ticket before entering the auditorium, please inform a member of Staff at the Registration Desks, so that you can be given a replacement. 2 & 3. Collect your pre-ordered academic dress/have your photographs taken After registering, you will be directed to the robing hall, where you will be fitted with your preordered academic dress. Please ensure that you bring your order confirmation. Once you have collected your academic dress, you can proceed to the photography studios. Graduation Handbook

12 The robing and photography queues will close 30 minutes before your ceremony is due to begin. If you are not able to have your photograph taken before the ceremony, you can return after your ceremony has finished. Graduands returning for photographs after the morning ceremony are advised to return at 3.00pm, when the afternoon ceremony begins. 4. Take your designated seat in the auditorium Once you have been fitted with your academic dress and had photographs taken, you and your guests should take your seats in the Symphony Hall auditorium. Graduands must not wear their mortarboard in the main hall. You are only permitted to wear your mortarboard once the ceremony has ended. Doors will open at 9.45am for the morning ceremony and 1.45pm for the afternoon ceremony. Guests are not allocated specific seats so we advise that they arrive early to choose their seats on their designated seating level as soon as possible once the doors to the auditorium have opened. Graduands and guests must be seated at least 15 minutes before the ceremony commences. The doors to the auditorium will close at 10.45am and 2.45pm respectively and will not be re-opened until the ceremony has ended. If you, or any of your guests, are not seated by the time the doors close, you will not be permitted to enter the auditorium to take part in the ceremony. Please ensure that you leave personal belongings with your guests, or in the ICC Cloakroom (charge of 1 per item). Do not take any personal belongings with you into the main hall. Please turn off all mobile phones, before you and your guests enter the auditorium. Symphony Hall and Newman University Staff will ask to see your Graduand seating ticket and direct you to your designated seat. You must sit in your allocated seat as this corresponds to the order in which you will be taken onto the stage. The Ceremony The ceremony will begin when the procession (comprised of VIPs, Honorary Graduands, Governors and representatives of Newman University) enters the auditorium. Graduands will be called to the stage in a specific order, according to their programme of study. An usher will indicate when it is your time to make your way on stage. You must take your seating ticket with you to the stage and ensure that you stay in order. Graduation Handbook

13 You will wait at the side of the stage until directed forward to present your seating ticket (to ensure that the correct name is announced as you cross the stage) to your Programme Leader or Head of Subject, at the podium. When your name is announced you will make your way across the stage, before continuing across and offstage, where you will receive your award certificate. You must return quickly and quietly to your seat as directed by the usher. If you feel that you may have difficulty in making your way up to, across, or from the stage, clearly indicate this during Confirmation, so that alternative arrangements can be made. If you should have a temporary disability at the time of the ceremony (e.g. broken leg), please ensure that you inform the Graduation team, as soon as possible prior to the day of the ceremony. After the Ceremony Once the ceremony has been declared closed, the congregation is asked to stand as the procession leaves the auditorium. Graduands follow the procession out of the auditorium, followed by their guests. Please ensure that you wait until all members of the procession have left the auditorium before you begin to leave. Once you have left the auditorium, you should go to the Gowning Return Desk, located outside the robing hall, to return your academic dress, unless you have requested and paid for extended hire with Ede & Ravenscroft. Once you have returned your academic dress, you are free to continue your celebrations! Graduation Handbook

14 FREQUENTLY ASKED QUESTIONS What is a Graduand? A Graduand is the name traditionally given to a student who has finished their programme of study, but has not yet graduated. Once your award has been conferred at the Ceremonies you are then be formally referred to as a Graduate. What if I want to attend Graduation but I cannot afford it? The University is aware that some Graduands may be experiencing severe financial hardship. Together with Ede & Ravenscroft Ltd, Newman offers a small number of bursaries for those Graduands unable to attend due to severe financial hardship. If you wish to apply for one of the bursaries, please contact Assessment & Graduation by Thursday 6 October What name/date will appear on my award certificate? The name that appears on your award certificate will be the full name on your student record (including any middle names) at the time of printing. If you wish to make any amendments to your name, you must provide evidence (i.e. marriage certificate). Original documentation is required, as photocopies cannot be accepted. Your name (first and surname only) will be announced as you cross the stage to receive your award, will be listed in the programme provided on the day and in that day s edition of the Birmingham Mail. The date that appears on the award certificate will be the date of this year's Graduation Ceremonies, rather than the date your award was confirmed by the Programme Assessment Boards (i.e. the date that appears on your final academic transcript). The date of Graduation is the date your award is formally conferred by the institution and you officially become a 'Graduate' of Newman University. What happens if I misplace my certificate and/or final academic transcript following the Graduation Ceremonies? If you require a duplicate certificate, or have misplaced your original, contact the Graduation team: graduation@newman.ac.uk. If you require a duplicate transcript or have misplaced the original, contact Assessments: assessments@newman.ac.uk. Duplicate certificates are 30 and duplicate Transcripts are 10. If your programme is validated by the University of Leicester and you misplace your award certificate, you will need to contact the University of Leicester to request a replacement: transcripts@le.ac.uk. When will I receive a copy of my HEAR? As well as your award certificate, you will also receive a hard copy of your Higher Education Achievement Report (HEAR) at Graduation. This is designed to provide greater detail on your programme of study and all the modules you have taken (including the type of assessment and individual element marks), to that provided on your final academic transcript. 15 Graduands of the Certificate in Counselling Skills, Graduate Teacher Programme, QTS only will not receive a HEAR. Check Section 6 carefully to ensure all details of your additional activities are recorded accurately. If you believe there is information missing in Section 6, please write with full details of what should be recorded to Assessment and Graduation. No changes can be made to any other section of your HEAR. If you do not contact Assessment and Graduation by December, we shall assume that you are happy with the information provided in your HEAR. Can children attend the ceremony? Yes. For younger children it is worth considering how long the ceremony will last. We advise Graduands and guests to arrive as early as possible. The ceremony itself will last approximately 2 hours. Therefore, children under the age of 10 years may find the ceremony long. As this is a special day, we ask that any restless children are taken out of the auditorium during the ceremony and that children are not left unaccompanied at any time. For health and safety reasons and Symphony Hall requirements, all children (regardless of age) must be allocated a seat. Will there be any formal record of the event? Ede & Ravenscroft Photography have studios on the day for professional photographs. These should be pre-ordered in advance of the Ceremonies. Your guests are permitted to film and take photographs, however they are asked to remain seated throughout the ceremony unless otherwise indicated in the programme. Please take due care and consideration when filming or taking photographs, as this is a special day for everyone. Mobile phones must be turned off before entering the auditorium and cannot be used during the ceremony. Newman University photographers may be present at each ceremony, taking photographs that may be used in future University publications and on the institution s website. The names of all Graduates will appear in the day s edition of the Birmingham Mail, with copies available to purchase from the news stand located outside the main entrance to auditorium. Alumni is the Latin plural term for a former student of a school, college or university ( alumnus being the singular). Newman Graduates can access* a range of exclusive alumni benefits including discounts at Merlin entertainment attractions such as Sea Life centres, Warwick Castle, LegoLand and Alton Towers and many more. You will also receive further discounts on campus services, invitations to events, news and updates. Our alumni association is also a great way to keep in touch with the friends you have made during your time at Newman and to network with like-minded professionals. 18 Research and Higher Degrees Did you know that Newman University offers an impressive range of Research opportunities and Higher Degrees? Scholarly work is being undertaken across a wide range of academic and professional disciplines and is attracting external funding from many sources. 19 Symphony Hall Symphony Hall is located in the International Convention Centre (ICC), off Centenary Square on Broad Street (B1 2EA) in Birmingham City Centre - for maps and directions, please see to the Graduation website. There are a number of Pay & Display car parks near to Symphony Hall and the International Convention Centre (ICC). Blue Badge holders are exempt from all charges, provided both parts of the badge are clearly displayed. A limited number of disabled parking spaces are available at Symphony Hall, outside the ICC and must be booked in advance through the Box Office. These spaces will be allocated on a first-come, first-served basis. The National Indoor Arena (NIA) has 4 Pay & Display car parks, which are approximately 10 minutes walk from Symphony Hall and the ICC. These are North, South (Upper & Lower) and The NIA Community Hall and are all multi-storey car parks. Additional spaces are available in Brindley Drive, Brindley Place and Cambridge Street car parks.
