1 UNVRSTY OF LNCOLN JOB SCRPTON JOB TTL: Project Manager PARTMNT: CT Services ( Business Solutions) LOCATON: Brayford Campus RPORTS TO: Principal Business Anaylst/ eveloper GRA: 7 POST NUMBR: CS4013 AT: March 2013 Context The Project Services Team provides expert project management capability and advice across the University and is responsible for implementing or directing the implementation of the University s portfolio of CT initiatives. The estimated value of this portfolio of projects is circa 2.5m. This is a key role in the delivery of excellent customer focussed CT solutions and services and progressing the CT Strategy implementation. Job Purpose To plan, schedule and manage an CT project or projects to agreed requirements, delivering to timescales, budget, acceptance criteria, quality criteria and contractual commitments. KY RSPONSBLTS Project Management Takes responsibility for the successful completion of major projects and programmes of work, establishing and maintaining the correct structures to control and monitor the deliverables to the business. nsures that comprehensive project, quality, and risk plans for projects of a complex nature are prepared and maintained. Monitors and controls team performance against plans. xceed customer and corporate expectations and project acceptance criteria in respect of delivery to timescales, budget and being fit for purpose. Planning & Organising

2 Leads one or more project teams, developing and maintaining human and material resource plans and monitoring the deployment of individuals to ensure that they are contributing effectively whilst developing skills and experience. Maintains effective financial and project progress forecasting, planning and reporting processes. Agree project plans and estimated resource requirements with Senior Management of functional areas and CT department. Monitor actual project performance and progress against the plans, taking any necessary action to correct variances in quality, time scales or cost. Financial Management stimate capital and revenue expenditure for new solutions or amendments to solutions with regard to hardware, software and human resources. To be accountable for the financial control and management of all elements of the project and the delivery of the agreed financial targets. Staff Supervision Allocate work and responsibilities to project team members. Monitors productivity and quality of work, of the team members, taking any necessary action to ensure adherence to deadlines and a high quality product. Achieve results through management of project teams which may comprise business resource as well as third party supplier resource. Relationship Management Co-ordinates relationships with and between key stakeholders, during the design, management and implementation of business change. evelops and manages one or more defined communication channels and/or stakeholder groups, proactively seeking to identify potential benefits, and assisting in the creation of project mandates and business cases. Creates, identifies and responds to opportunities for providing products and services to the customer department / faculty, liaising with those responsible in CT services. Promotes products and services at a high level, both internally and externally. ncourages the development of new products to meet future needs.

3 Takes full responsibility for the level of customer satisfaction, at regular intervals or after each significant delivery of product or service. Responds to customers queries and complaints. nsures that corrective action is taken by own organisation and by the customer organisation. Facilitates customers involvement in the continuous improvement of the products and services supplied to them. Solutions Management valuate and make recommendations / decisions on technical options as appropriate. Actively contributing to UL s technical strategies. Participates in the implementation of the CT infrastructure, including standards, methods, guidelines, techniques, tools and control structures. Manage the various stages of solutions development from project board meeting to handover for production, i.e. strategy, analysis, design, build, document, transition and handover. For example, from an initial requirement for a new application or major change, through the various stages of specification of requirements, specification of design, through to implementing all software, hardware and training that may be required. Prepare the invitation to tender, where a solution is to be based upon the purchase of packaged system software and carry out the technical, contractual and financial evaluation of the proposed solutions and provide technical advice to clients. Manage the supply, installation, commission, testing, staff training, converting, integrating with other systems and ensuring support thereafter, when the implementation of a solution involves the purchase of hardware or software. Liaison & Networking Liaises with other managers within CT Services and within the university; manages expectations for projects. Gather information from, pass information to, and maintain good relations with Senior Managers of functional areas, various teams within CT Services, external suppliers of software/hardware/consultancy services, staff of other Service Groupings and any other groups as required. Communication Prepare project status reports reflecting the status of the project, and analysis of resource and cost usage. Negotiate and agree short, medium and long term service schedules and timetables with clients, both for development of new systems and support of existing systems.

4 Report and escalate in an appropriate and timely fashion to both the customer, line management and all service suppliers and initiate timely, corrective action where required. n addition, undertake such duties as may reasonably be requested and that are commensurate with the nature and grade of the post. Contributes extensively to the annual planning and budgetary process for CT services and to the business strategy of the university as a whole, including strategies governing the direction and conduct of project management.
