1 MaPS Employees: Performance Management Complete the Annual Assessment Reference Guide MaPS Employees: Performance Management Complete the Annual Assessment Purpose: Audience: Prerequisites: QuickLinks At the end of the performance year, MaPS employees and their manager complete the following steps: The manager initiates the annual assessment by approving goals. The employee completes a self-assessment. The manager completes an assessment, submits the document for approval, and shares the approved document with the employee. The employee acknowledges the final document to close out the process. This reference guide shows you how to complete a self-assessment and acknowledge the final document to move it into history. Note that acknowledging the final document does not necessarily indicate you agree with it only that you have reviewed it. Once the manager clicks the Approve button to initiate the final assessment, goals, achievements, and development plan cannot be changed. University of Calgary MaPS employees Prior to an employee starting the end of year process, your manager needs to initiate the annual review by approving your goals. Once approved, goals cannot be changed. Click a link below to navigate directly to that section of the document. Complete Self-Assessment Final Review and Acknowledge Using this Guide The Pause button indicates when you need to wait for your manager to complete a step before you can proceed. The Go button indicates when you can proceed. 2 Complete Self-Assessment Go: Once your manager has initiated the annual review by approving your goals, you can enter your selfassessment. Step 1: Open a Performance Document On the Current Performance Documents page, click in the Document Type column to select the performance document in which you want to complete your selfassessment. The Document Status is: Evaluation in Progress. Step 2: Enter Rating and Comments in Employee Goals section Click the Employee Goals tab. Click to expand a goal. (Or click Expand to see all the goal details.) Enter a rating using the drop down menu. Click the icon next to the drop down for details on the different ratings. Enter comments to explain the selected rating. For example, you may highlight specific examples of how the goal was met, exceeded, or was not successful. 5. Repeat for each goal listed. Note: When adding information to your document, remember to save your work often and before navigating from one tab to the next, leaving a page, or signing out. Questions? 3 Step 3: Enter Comments in the Development Plan Section Click the Development Plan tab. In the Development Plan Summary section, enter comments as needed. Click the Save button in the top right Step 4: Enter Comments in the Other Achievements Section Click the Other Achievements tab. In the Other Achievements Summary section, enter comments as needed. Click the Save button in the top right Step 5: Enter Comments in the Competencies Section Click the Competencies tab. Click to expand a competency. (Or click Expand to see all the competency details.) Enter comments as needed. For example, you may choose to highlight examples of when you demonstrated this competency, as well as your strengths and opportunities for improvement as related to the competency. 4 Step 6: Enter Comments in the Year End Summary Section Click the Year End Summary tab. Expand the Overall Summary. Enter Employee Comments. For example, you may detail specific successes, your strengths, areas for improvement, and overall contribution and impact to your team, faculty, or unit. Click the Save button in the top right Step 7: Mark Self-Evaluation as Complete Once you have completed all the ratings and comments, click the Complete button, located in the top right corner of the page. The Complete Self-Assessment dialog box appears. Click the Confirm button. The status displays, indicating you have completed the employee evaluation. Pause: Your manager must now access the document to complete a manager assessment, submit the document for approval, and share the approved document with you. Questions? Contact us: hr@ucalgary.ca 4
5 Final Review and Acknowledge Go: Once your manager shares the approved document with you, complete your final review and acknowledgement. You will receive an notification indicating the document is ready for final review and acknowledgement. Note that acknowledging the final document does not necessarily indicate you agree with it only that you have reviewed it. To Review Manager Comments and Ratings: Step 1: Open a Performance Document On the Current Performance Documents page, click in the Document Type column to select the performance document in which you want to review and acknowledge manager comments and ratings. The Document Status is: Pending Acknowledgement. Click through the Employee Goals, Development Plan, and Additional Accomplishments tabs and review the manager comments. Click the Year End Summary tab. In Section 8, review the Overall Summary. 5. In Section 9, enter any final employee comments. 6. 6 In the Confirm Review Action dialog box, click Confirm. The confirmation displays. Note the Steps and Tasks are all now complete. Next Steps Now that you have entered final comments in your performance document and acknowledged it, the performance review process for this year is complete.
