1 1 Exhibition Area The exhibition will be throughout the foyer area of the 2 nd Floor of the Hotel Nikko Kuala Lumpur**. Teas & coffees will be served in this area throughout the duration of the Workshop with the main meeting being held within the Junior Ballroom. All exhibits must be free standing. The access doors to the hotel and exhibition areas are of a good size however if you have large or heavy equipment then please liaise directly with the hotel. 4 Exhibitor Packages Available Two exhibitor packages are available: (1) Exhibitor Package + (including accommodation): 3990 Pounds Sterling which incorporates: Exhibition space area of 3x2m 1 x table (3x6ft), 2 x chairs and 220V power (optional) 1 x delegate place at the Workshop technical sessions 1 x copy electronic copy of Workshop proceedings Dinner, bed & breakfast accommodation for the nights of 8 th, 9 th & 10 th March including complimentary broadband within delegate bedroom Lunch and refreshments for the three Workshop days + WIFI/Internet Access in the exhibition area is not included within this package this is an additional cost and should be booked directly with the hotel. However complimentary broadband is available within delegate bedroom. 2

3 2) Exhibitor Package** (excluding accommodation): 3412 Pounds Sterling which incorporates: Exhibition space area of 3x2m 1 x table (3x6ft), 2 x chairs and 220V power (optional) 1 x delegate place at the Workshop technical sessions 1 x electronic copy of Workshop proceedings Lunch and refreshments for the three Workshop days + WIFI/Internet Access in the exhibition area is not included within this package this is an additional cost and should be booked directly with the hotel. Open Exhibition: The 2011 Workshop will have a two hour open exhibition period from hrs on Wednesday 9 th March. Local companies in who would not normally attend the Workshop but would be interested in new and innovative technologies will be invited to freely attend the exhibition to meet with vendors. 5 Equipment Requirements You will be expected to provide all necessary equipment for your stand (i.e. exhibition boards or table covers, power cables, extension leads etc) and will be responsible for setting up and dismantling your own exhibit. A shell scheme is not provided. The hotel can provide tables (3x6ft), chairs on request, but advance notice of this is required. The Exhibition Area has 220V (50 Hz) power supply sockets that require a square 3 pin plug (please ensure that you bring with you the relevant adaptor plugs). It is also advisable to bring an extension lead with you as the sockets may be some distance from your stand area. The power supply is directly compatible with UK equipment. WIFI/Internet Access: Pre paid WIFI Internet Cards for the exhibition area can be purchased directly from the Hotel Nikko Kuala Lumpur: hours access at MYR150 nett per card/user If you require this facility, please contact the hotel directly (Emmerline Leong, emmerline.leong@hotelnikko.com.my). 4 6 Assembling & Dismantling Times You will be able to gain access to your exhibition area from 0830 hrs on Tuesday, 8 th March Any delivery of equipment before this time must be arranged directly with the hotel. If you have valuable mobile equipment then it would be advisable to make security arrangements directly with the hotel. The organisers accept no responsibility for damage or loss of your equipment. Exhibition equipment must be able to be moved by your own staff and it is your responsibility to check access within the hotel. Hotel Storage and Equipment List Requirement: Due to severe storage restrictions, equipment should not arrive at the hotel before Tuesday, 8 th March The hotel has informed us that if equipment is delivered before the above date advance notice is required. If storage is possible, charges will apply and billed to your company. Important Note: Before shipment, the hotel requires a list of the items, size of the boxes and weight. Please ensure that all custom and excise fees are paid before delivery of equipment. TUV NEL and the Hotel Nikko Kuala Lumpur are not responsible for these fees. Dismantling: Your stand should be dismantled immediately after the close of the Workshop, at approximately 1700 hrs on Thursday 10 th March. If your equipment is being uplifted by a courier on 8 th March, all equipment should be packaged/boxed, labelled and taken to the hotel loading bay to be uplifted. However, if equipment is being uplifted on Friday 11 th March, a storage area will be made available. 4

5 7 Marketing A copy of your company logo within the Exhibitor List will included within the electronic copies of the Workshop Proceedings and handed out to delegates during Worksop Registration. This information is required by 7 th February 2010 at the latest to meet printing deadlines. 8 Stand Allocations and How to Book Exhibitors are offered the option to choose their preferred stand location. Stand allocations are booked on a first come first served bases upon booking. If your preferred stand allocation has been taken, your 2 nd and/or 3 rd preferences, depending upon availability, will be allocated to you.
