2 1. Introduction & Key Concepts The University of Sussex use a software system called TurnitinUK to manage the marking process of esubmission and efeedback. Originality Reporting is one of the key features within the TurnitinUK toolset. Reports will highlight sources of unoriginal text within a submitted document to both marker and student. This provides a useful indicator which can be used to help improve and inform students of best practice on citation of others work What is an Originality Report? Each time a student uploads a document for submission to TurnitinUK, the text within the submitted document will automatically go through an originality checking process. This process compares the text within the submitted document with a vast database of online sources. Including: Billions of web pages from current and archived websites. Millions of online publications, including periodicals and professional journals. Previous submissions from TurnitinUK users, including assignments from University of Sussex. Text matches identified as a result of the check are then presented as an online summary, or Originality Report. This includes the submitted document with highlighted text matches which are then compiled into a reference list of original sources What is the Similarity Index? The Similarity Index represents the volume of matched text in the Originality Report as a percentage of the total. For example, the Similarity Index will appear as '50%' if half of the text within a submitted document has been matched against text found in other sources. Additionally, each individual source will have its own similarity percentage to indicate the contribution each unique source has made towards the Similarity Index Is this a plagiarism detection tool? No. Neither the Similarity Index nor the Originality Report should ever be interpreted as a direct indication of plagiarism. TurnitinUK will match all text identified from the sources in its database regardless of whether or not it has been quoted or cited correctly, purely due to the fact that it has been identified as being unoriginal. Commonly used phrases, titles of publications, use of templates and group work may also be presented as unoriginal text. Also note that whilst TurnitinUK checks against a vast number of sources, it will not check against everything. It will always be up to the assignment marker to use their judgement, after careful examination of the Originality Report, to decide whether it presents any potential instances of plagiarism. 2

3 2. Originality Report availability Each Originality Report can be accessed by the submitting student and any member of staff with access to the module containing the assignment in StudyDirect during different phases of the esubmission and efeedback process. See the table below for an overview of who has access to the report during each phase of the process: Phase Who has access 1. Submission: before the assignment due date. Student 2. Marking: once the due date has passed, until the grade release date. 3. Feedback: after the grades and feedback have been released by the Module Convenor. Staff Staff and student Originality checks begin straight after the student submits their assignment. However, reports do not generate immediately. TurnitinUK state that Originality Reports for an average paper of 1000 words will be generated in approximately 10 minutes but may take longer for larger files and at peak times may take up 24 hours. The Similarity Index will display as pending whilst the originality check is still in progress Students can resubmit documents to an assignment as many times as they like up until the submission due date Resubmitted documents can take up to twenty four hours to generate a new report in order to avoid matching against previous drafts. 3

5 2.2. Viewing an accessible version of the Originality Report TurnitinUK provides a function to generate a text-only version of an Originality Report. This will produce a copy of the report which is stripped down in functionality and appearance but provides the same information. This is particularly useful for those who are using screen-reader software or a slow internet connection. Clicking the Text-Only Report button will immediately switch to the accessibility view of the report. You can find the button (as displayed above) in the bottom right-hand corner of the Document Viewer. 5

6 3. Interpreting an Originality Report 3.1. Match Overview The Originality Report will highlight sections of text in the submitted document which are word-forword text matches from sources in the TurnitinUK database. You will be presented with an overview of all text-matches each time you open an Originality Report. This view displays text-matches within the submitted document and references them by number and colour to a list of sources with the highest Similarity Index percentages displayed in the Match Overview panel. The report will often match a single section of highlighted text within the submitted document to multiple sources. This is common as articles (or sections) of text are often published, quoted, cited or copied to multiple places on the web. In order to present a more readable overview of the report, TurnitinUK will only list a single source per text-match in the Match Overview panel. This will always be one of the sources with the highest Similarity Index percentage. Tip Whilst the majority of common image file types can be rendered and displayed in the Document Viewer, any text which has been included in the submitted file as a graphic will be excluded from the originality check. For example, this may include text from scanned documents, annotations of diagrams or images. TurnitinUK will only check the contents of a document which it can identify as formatted text. 6

7 See the screenshot below for an overview of the features and information available on the Match Overview panel. The Match Overview panel in this example tells us that the section of text in the submitted document which is highlighted in red by the Originality Report is matched to a section of text which also appears in an internet source at;es.cyclopaedia.net. Matches from this source make up 11% of the overall text in the submitted document. Key: Text-match reference as indicated by the number and colour of the text. Title or web-address of the original source. Type of source of the text-match, for example internet source or student paper Similarity Score percentage of the submitted text that matches the score. View Match Breakdown button appears when you move the mouse cursor over a similarity score. These two icons switch the document view between Match Overview and All Sources view. 7

8 3.2. Navigating text-matches on the Originality Report. The Match Overview panel presents a list of sources which relate to each individual text match (area of highlighted text) in the submitted document displayed on the left side of the Document Viewer. This acts as an index which can be used to navigate between areas of the document where each textmatch is located. To navigate through the text matches; choose a source from the Match Overview panel on the righthand side of the Document Viewer. Then click on the title or web-address of the source to make the Document Viewer automatically move to the location of the matched text. 8

9 You can use the arrow buttons on the Match Overview panel to navigate between points where multiple areas of matched text exist in the submitted document for an individual source in the list Viewing All Sources on the Originality Report Whilst the Match Overview places emphasis on displaying text matches against a single source, the All Sources viewing mode will display a complete list of all sources associated with a single textmatch. Whilst this viewing mode allows for more in-depth study of each source of unoriginal text, the presentation is usually more difficult to read compared to the Match Overview. To switch the viewing mode displayed in the Originality Report, click on the All Sources icon. 9

10 This will switch to a view which displays all sources, and allows you to select an individual source from the list to display a single text-match at a time. 11 3.4. Further investigation of text-matches You may occasionally want to find out more details about a specific text-match. For example: Alternative sources of a reference. Full context of a text-match within the original source. Authenticity or credibility of a source or text. Popularity or usage of a specific text-match. You can access the Match Breakdown View by moving your mouse cursor over the similarity percentage of a source listed in the Match Overview panel to make the button appear. Click on the button to present the Match Breakdown view within the Originality Report settings menu. Key: Displaying match breakdown source selected from the Match Overview panel. 12 The breakdown will present a list of all sources, often with varying Similarity Index percentages. Sources with lower percentages may for example be from articles which include shorter quotes or citations referenced from a listed source with higher Similarity Index. Some of the listed sources might include additional URLs. This occurs when the matched text has been repeated, either fully or partially on multiple web pages on the same website. 12

13 3.5. Viewing text-matches within context TurnitinUK will allow you to view the original text from each source of the highlighted text-matches on the Originality Report. This is useful if you wish to review the original context of a quote in a submitted document. You will have the option to view the original text in one of three ways: A preview of the text-match within a short segment of surrounding text from the original source. A full text-only copy of the original source with highlighted text-matches displayed in the TurnitinUK Document Viewer. A direct link to open web pages for internet sources. The pop-up box displaying the preview of the original text will appear when you click on the referenced number of a text-match in the submitted document whilst in the Match Overview. If you are looking at the All Sources or Match Breakdown view in the Document Viewer, then the pop-up box will appear when you select a source from the Originality Report settings menu on the right-hand side. Tip The Full Source View provides quick and full access to an original text without taking you away from the Document Viewer window. Text-matches are highlighted which makes it easy to spot the relevant sections of text. All graphic content and formatting is removed in this view which makes it quicker to load but often more difficult to read than when displayed on the website. 13

14 3.6. Requesting access to student papers Because submitted papers remain the intellectual property of their authors, instructors, and respective institutions, TurnitinUK are unable to show you the content of sources which are listed as student papers without prior consent. You can request access to view student papers, by clicking on the institution name via the textpreview pop-up window to submit a permission request to the author's instructor. Other institutions have the right to reject or ignore any requests to view student papers. Requests to other institutions will automatically be sent through the University of Sussex account for TurnitinUK, which means any corresponding communication will be sent to the Technology Enhanced Learning team. 14

15 4. Filtering reports Originality Reports can be filtered to automatically remove small text-matches, bibliographic content and text encapsulated by quotation marks. This feature is useful for making reports instantly more readable by excluding commonly found text-matches which may be of little relevance. The filter settings can be adjusted for each individual submission by both staff and student. Filter settings which have been applied by a member of staff will be saved to the system and available each time the report is loaded. However, filters applied by students will only be available to the student for the duration of their session. Filtering and removing the amount of text-matches on an Originality Report will lower the Similarity Index to display a smaller percentage. Sources which have been removed by the filter will be added to the Excluded Sources list and can be restored to the report later on. By default, the filter has been set to exclude text-matches which are less than 4 words and bibliography sections. The Filter & Settings menu is accessed and displayed via the Originality Report settings menu - see 2.1. Originality Report overview. Instructions: Click on the filter icon to access the Filter and Settings menu. Select the filter criteria to exclude/include text-matches from the report. Click on the Apply Changes button to filter and update the report. Final reports are generated on the assignment due date, or at the point of submission for late entries. The New Report button can be used to provide a more up to date originality check, however this can take anything up to 24 hours for a new report to generate, current/old reports will be unavailable after clicking the New Report button. 15

16 4.1. How to exclude sources from the report You will see an Exclude Sources button at the bottom of the Originality Report settings menu (righthand side of the Document Viewer) whilst in the All Sources or Match Breakdown View see the screenshot in section 3.2. Further investigation of text-matches. Clicking on the Exclude Sources will display the list of sources from the previous view which will now allow you to select sources for exclusion by selecting them using the associated tick boxes. Click on the red Exclude button to confirm your choices. Excluding sources from the report will lower the Similarity Index percentage. Tip You may find it useful to manually exclude sources from the report which you have checked. 16

17 4.2. How to restore previously excluded sources to the report A list of all excluded sources is produced by the Originality Report and available via the settings menu by clicking the View/Edit Excluded Sources button. Clicking this button will present a list of excluded sources which can be individually selected using tick boxes and then restored to the report via the blue Restore button at the bottom of the Excluded Sources menu.
