As f this release Medical Directins will be published in electrnic frmat and circulated via t custmers. Custmers have indicated that they d nt receive the printed versin f this newsletter which is psted t practices with every release r update. We trust that yu find value in this newsletter and that it reaches mre custmers in the electrnic frmat. HCN Autmatic Update The release f Medical Directr intrduces the secnd phase implementatin f HCN Autmatic Update. HCN Autmatic Update allws users f HCN prducts Medical Directr, PracSft and Blue Chip t quickly and easily update t the latest versins f the sftware via an active Internet cnnectin. HCN Autmatic Update is installed autmatically with Medical Directr / PracSft 3.10 (r higher), r Blue Chip 2.6 (r higher). HCN Autmatic Update uses the practice s active internet cnnectin t 'listen' fr new updates released by HCN. When an update becmes available, users are ntified via a prmpt, which appears in the Windws System Tray. 1

2 Fr thse instances where nt all wrkstatins r cmputers are cnnected t an active internet cnnectin, a facility is prvided that allws wrkstatins t brwse the server cmputer (where the HCN database is stred) and manually lcate and install the latest HCN updates. The autmatic dwnlad functinality has been designed t allw the practice t chse their preferred wrkflw fr upgrades, yu can chse t: Dwnlad and install the update immediately. Dwnlad the update immediately, but install it later. Brwse the wrkstatin cmputer fr updates that yu dwnladed earlier but did nt install. Brwse the server cmputer fr updates that were dwnladed t it, that yu have nt yet cpied t yur wrkstatin and installed. Yu can als chse t nt take actin, hwever the prmpt will cntinue t appear until sme actin has been taken. Once an update has been selected fr dwnlad and/r install yu will be given an pprtunity t check the details f the dwnlad, including its size and estimated time t dwnlad, as shwn belw. Sme cnfiguratin is required fr thse practices that run a firewall. Please cnsult the Help Files n HCN Autmatic Update fr further infrmatin, r call Technical Supprt n fr further infrmatin. 3 QCOMP Update The Queensland Wrkers Cmpensatin Certificate has been updated and sme changes have been made t the QCOMP wizard in Medical Directr. These changes were implemented as a result f significant user feedback and input frm Wrkcver Queensland. The user feedback was received via an nline survey cnducted by HCN, details f which are included belw: Of the survey invitatins sent, 17% f recipients respnded by cmpleting the survey. What has changed in the updated versin? The frm has been updated t accmmdate changes in the Certificate. The N further treatment required ptin has been remved as this ptin des nt appear n the certificate. A print preview ptin is nw available t allw viewing f the entire certificate prir t printing. When the print ptin is selected the wizard defaults t printing 3 cpies hwever the user has the ptin t adjust this number manually. The certificate nw prints n ne page in landscape. Users can nw access a previusly saved certificate and amend the infrmatin, instead f reentering the infrmatin frm scratch. This feature is available via MDMbility. The prvider number is nw recrded autmatically n the frm. 5 Tips & Tricks fr Medical Directr Tip 1: REACTIVATING A PATIENT If yu have deleted r made a patient inactive yu can reactivate them by simply ging t HCN Maintenance, clicking n the cmmn menu in the database tasks sectin, pening up Patient Reviver, scrlling thrugh the patient list and clicking Restre. Tip 2: MAIL MERGE When yu mail merge yu may be prmpted t enter a descriptin fr the mail merge. This descriptin can be used in mail merge utility t help identify which mail merge print runs need t be resumed, e.g. in the case f a failed print run. The mail merge utility is part f the HCN Maintenance suite. Fr the mail Merge Descriptin bx t appear yu must enable it via Mail Merge Print Optins. Tip 3: ENDING A PREGNANCY Under the bstetrics tab in the patients file is an End Pregnancy buttn. Clicking this buttn ends the current pregnancy. Yu are prmpted t enter the details f the birth. Tip 4: OUTSTANDING REQUESTS Outstanding Requests in the Investigatins menu in the Medical Directr main screen can be printed and then cmpared t results t crss-check. These need t be checked manually. Tip 5: SAVE TIME WITH SHORTCUT KEYS T add a shrtcut key cmbinatin fr frequently used text within prgress ntes, simply click the Cmments buttn in the prgress ntes and add yur shrtcut text. Shrtcut text can be shared with ther dctrs n yur netwrk. E.g. Typing PND and SPACE BAR will aut type Pst Nasal Drip in the prgress ntes. Tips & Tricks fr PracSft Tip 1: EDIT FAILED CLAIMS Yu can edit claims that have failed t prepare in Step 2 f the Medicare Australia Online Claiming windw by clicking the Edit buttn at the bttm f the windw. Tip 2: REJECTED VOUCHERS Yu can edit and resubmit vuchers that have been rejected by Medicare Australia in ne step frm the Reslve Exceptins windw by chsing the Resubmit/Edit buttn. Tip 3: PAYMENT REPORTS T ensure payment reprts are cmplete and finalised by Medicare Australia, request yur previus day s reprt after 5pm. This allws plenty f time fr all claims sent, t be prcessed by Medicare Australia frm the previus day. Tip 4: SMS REMINDER SET UP Click n the Drs Tab in the PracSft Waiting Rm, select the relevant dctr, and tick the bx labeled Send scheduled SMS reminders. Tip 5: MULTIPLE PATIENTS PER VISIT Yu can issue an accunt where mre than ne patient's visit is recrded n the same accunt. This facility is available fr patients wh share the same payer and wh are visiting the surgery at the same time - typically used fr family visits. Simply tick the Multiple Patients checkbx and then tick each patient yu wish t recrd a visit fr and include n the multi-patient invice. Nte als that this prcess is nly available t private accunts (where a patient is billed), and cannt be used fr bulk billing, r billing t ther institutins. 5

6 Setting up SMS Appintment Reminders SMS Appintment Reminders is easy t use, secure and simple t set up. It allws yur practice t minimise n-shws and prvide a value added service fr yur custmers. 1. Set-up yur message template Have a practice wide message, r specific t each practitiner. Yu can even review messages befre sending. 2. Enable scheduled reminders Custmise yur settings t suit yur practice e.g. send appintment reminders 24 hurs in advance. 3. Purchase credit securely and cnveniently Purchase credit bundles either by paying fr it with yur credit card as yu need it r select the Aut Tp Up fr the nminated amunt t be debited autmatically when the credit starts t runs lw.
