At Home / on private notebook >> Outlook Anywhere For changing your program at home or on the private notebook you have to install MS Outlook 2010 (or the full MS Office 2010) or MS Outlook 2007 (not Outlook 2003). Your profile will not be loaded automatically. For loading your IHS- address in MS Outlook 2010 you have to complete the following steps (Windows Vista, Windows 7, Windows 8): 1. Press Start Control Panel 2. Click User Accounts, then Mail 3. Click Accounts 4. Click New Author: IHS-IT 3

4 5. Select Account and press Next 6. Click Account. Enter the short form of your -address (without your first name, e.g. instead of and your password (twice). Note: You need to add vienna to the domain of the -address (e.g. ONLY during the course of this setup routine. Afterwards, your regular -address (e.g. stays the same! Author: IHS-IT 4

5 7. Click Next 8. Setup Finished! If this window shows up your configuration is finished. 9. Click Finish. Author: IHS-IT 5

6 10. Open MS Outlook 2010 (2007) for the first use (this may take a little time). 2. Cached Mode work offline Outlook can also work from the copy of your mailbox that is cached locally on your computer. This mode is called Cached Exchange Mode and will be configured automatically. The copy of the mailbox provides quick access to your data and is frequently updated with the mail server. With this mode, you don t need to worry about the online and offline version, Outlook detects when the server is available and updates your locally cached copy automatically. Warning: This can use significantly more disc space and take some time for initial sync. For enabling or disabling the Cached Exchange Mode go to File Account Settings Account Settings and select your account with a Double-Click. If you work offline, whether by choice or due to a connection problem, your data is still available to you instantly wherever you are. If a connection from your computer to the IHS mailserver isn't available, Outlook switches to Trying to connect or Disconnected. If the connection is restored, Microsoft Outlook automatically switches back to Connected or Connected (Headers). Any changes you make while a connection to the server isn't available are synchronized automatically when a connection is available. You can continue to work while changes are synchronized. Migration from Thunderbird to Outlook 2010 If you change your program at private computers we would like to remind you - the folder _Spam is now called Junk in Outlook - the folder Trash is now called Deleted Items in Outlook - the folder Sent is now called Sent Items in Outlook - _SpamError and _SpamNotDetected are the same as in Thunderbird - if you have a signature >> Open Thunderbird open a new copy your signature open Outlook 2010 go to File Options Tab Signature => create a new signature and paste the copied signature from Thunderbird (for more information go to and download the documentation for Outlook 2010) - if you want to export your contacts from Thunderbird to Outlook 2010 => open Thunderbird go into your Address book click Tools Export Save your address book (e.g. on your desktop) as Comma Separated file Open Outlook 2010 go to File Open Import Select Import from another program or file and press Next. 8 Select Comma Separated Values (Windows) and press Next. Browse for the file you have exported from Thunderbird and press Next. Now you have to select the folder where you want to import the contacts. Then press Next. Author: IHS-IT 8

9 Press Finish and your contacts from Thunderbird will be imported to Outlook See section and Calendar, for further documentation on using Outlook 2010 and Outlook Web Access (OWA). 4. 10 Change to Server Settings and fill in the following information: Server Name: imap.ihs.ac.at Port: 993 User Name: <your username> Connection Security: SSL (or SSL/TLS, depending what your program supports) Don t enable Use secure authentication! Author: IHS-IT 10

11 4.2. SMTP Settings Eg. Thunderbird: navigate to Tools Account Settings - Outgoing Server (SMTP) select your account and fill in the following information, after you have pressed Edit. Server Name: mail.ihs.ac.at Port: 587 Check Use name and password User Name: <your username> Connection Security: TLS (or STARTTLS, depending what your program supports) Note: SSL/TLS is different from TLS and won t work! 12 Note: You have to change the following folders in Thunderbird (always click on Other, select the IHS address and then the folder): - Sent into Sent Items - Drafts into Drafts Author: IHS-IT 12
