1 Overview Through our viaone suite of web-based services, Sedgwick offers medical providers access to their frequently asked questions regarding payments. ViaOne express for providers offers a number of search options to assist medical providers in quickly and easily locating bills submitted for payment, along with the status of those bills. The following topics are covered in this document: New User Registration Logging in to viaone express Search Options Search Results For more comprehensive documentation, please refer to the viaone express for providers online help feature, available by clicking the Help link from any viaone express for providers page. New User Registration When accessing the viaone express for providers for the first time, click the Create New User link on the viaone express for providers Welcome page. You will be required to enter a Tax Identification Number (TIN), Claim Number, and ICN from a recent EOR, along with other information. Once the TIN is validated, submit your registration to receive an with a link and verification code; to complete registration, click the link and enter the Verification Code to again access the viaone express for providers Welcome page, where you can login with the User ID and password you selected during registration. Logging In to viaone express for providers After registration is complete, you can login immediately or you can login at anytime in the future by typing in the following web address: The following page appears: viaone express for providers Welcome Page 1 of 5
2 Enter your User ID and Password, and then select Login. viaone express for providers You are required to re-enter your password after 20 minutes of inactivity so that no one else can access the site from your idle work station. If you do not perform an action for 20 minutes, your session will time out. If this happens, re-enter your login and password on the Welcome page. If you cannot remember your User ID or Password, click the Forgot login or password link and enter your address in the field provided for Forgot your User Name?, or enter your User ID in the field provided for Forgot your Password?. Your User ID will be sent to the address entered. For a password, you will be required to answer a security question from the New User Registration, and you will receive a Password Reset . Search Options Once you have logged into viaone express for providers, the Search tab appears as shown below (figure 1). viaone express for providers Search Page 2 of 5
3 You must select a working Tax ID to perform a search. The TIN to which you have access displays in the upper right of the top menu. If you have access to more than one TIN, All TAX IDs displays. Click All TAX IDs to open the Choose a Tax ID page. viaone express for providers Choose a Tax ID Click Display to show a drop-down menu of TINs to which you have access, select one and click Select to choose it as the working Tax ID, which will now display in the upper right. To select criteria for your search, first select what type of search criteria by choosing from the appropriate radio button; options are: Payments issued to you in the last (XX) day(s), Bills processed in the last (XX) days, In- Process bills received in the last (XX) day(s), Claim Number Search, State Claim Number Search, Claim Search, and Payment/Bill Search. Enter the search criteria you want to use in the appropriate field(s) and click the Submit button to activate your search. To begin a new search, click the Clear Search button. Common Search Section Criteria Payments issued to you in the last (XX) day(s) Designate a number of days in the field provided to search for issued payments (up to 99 days). Bills processed in the last (XX) day(s) - Designate a number of days in the field provided to search for billed services (up to 99 days). In-Process bills received in the last (XX) day(s) Designate a number of days in the field provided to search for in-process bills. Claim Number Enter the claim number associated with the payment. State Claim Number Enter the state claim number associated with the payment. Claim Search Section Criteria SSN - Enter the claimant s full Social Security Number or last four digits to search for all claims of a claimant with the same Social Security Number. Last Name/First Name - Enter a last or first name to search for all claims of claimants with the same name. Phonetic Search checkbox - If you entered a Last Name as search criteria, check the Phonetic Search check box to search for all claims of claimants with a last name that sounds like the Last Name you entered (Ex. If you enter "Jonson" as a Last Name and check the Phonetic Search check box, the search will also display claims from claimants with the last name of "Johnson" or "Johnsen" [because they sound alike].) Date of Loss From/To - Enter the range of dates of loss to search for all claims with a date of loss within the specified date range. Service Dates From/To - Enter the range of service dates to search for all claims with a service date within the specified date range. 3 of 5
4 Payment/Bill Search Section Criteria viaone express for providers Check Number - Enter a check number to search for all payments with the same check number. Note: If you enter a check number as search criteria, you must also enter the Check Amount. ICN (Internal Control Number) - Enter an ICN to search for all payments with the same ICN. Service Dates From/To - Enter the range of service dates to search for all payments with a service date within the specified date range. Process Dates From/To (can only be used for payment or accepted bill searches) - Enter the range of process dates to search for all payments with a process date within the specified date range. Billed Amount From/To - Enter a billed amount to search for all payments with a billed amount within the specified currency range. Check Amount From/To (can only be used for payment searches) - Enter a check amount to search for all payments with a check amount within the specified currency range. Search Results Claim Search Results - Claim search results are displayed in this section and sorted by the claimant s name. Each claimant has a separate collapsible section that displays all claims for the claimant. The claimant s name and Social Security Number (SSN) appear in the title bar of the collapsible section as does a View all claimant bills link that allows you to view all bills for that claimant. The first five digits of the claimant s SSN are masked for enhanced security. Claim details include Claim Number, Loss Date, and Examiner Name. Click the Examiner Name link to view the examiner s detail information. Click the Bills link to view all bills for the claim. Payments Results - Payment results are displayed in this section. From here you can review information for payments, paid bills, accepted bills, and in-process bills. Payment information includes Check Amount, Check Issue Date, and Check Number. Paid and Accepted bill information includes Claimant Name, SSN, Check Number, Amount Billed, Check Issue Date, and EFT. In-Process bill information includes ICN, Claimant Name, Claim Number, SSN, Received by Sedgwick, Client Name, Account Name, Unit Name, Proc Office, and an Examiner link which allows you to communicate directly with the examiner assigned to the claim. Click the Detail link to view additional information. Payment and Allocation Detail - Payment and allocation details are displayed in this section and are accessed from the Detail link on the search results. Payment detail includes Date Processed, Total Check Amount, Check Number, and Check Sent To. Allocation detail includes Invoice Number, Claimant Name, SSN, Billed Paid, Internal Control Number, and Description. 4 of 5
5 Click the Reviewer link to view information about the bill reviewing company, including its name and the name, phone number, and fax number of the contact at the company. Click the Bill link to view the bill detail. Bill and Allocation Detail Bill and allocation details are displayed in this section and are accessed from the Detail link on the search results. Bill detail includes Bill Status, Control Number, Primary ICD Code, Payor, Employer Name, Claim Number, Claimant Name, Claimant SSN, Patient Account Number, Date of Injury, Check Number, and Check Amount. If a bill includes allocation(s) for another claimant(s), a View Allocations link is displayed, allowing you to view the payment detail for all allocations tied to the payment. Allocation detail includes Service Date(s), Code/Description, Billed Amount, Recommended Reduction, Preferred Provider Organization Savings, Recommended Allowance and Code. Click the Reviewer link to view information about the bill reviewing company including its name and the name, phone number, and fax number of the contact at the company. Manage Tax IDs You can view or add Tax IDs to your user ID from the Manage Tax IDs tab. Click Manage Tax IDs from the left menu to open the Manage Tax IDs tab, which displays the Tax ID and name for each TIN for this user under Current Active TINs. viaone express for providers Manage Tax IDs Add a new TIN by entering a combination of Tax ID, Claim Number, and ICN from a recent EOR, and click Add. To remove a TIN, click the Tax ID and name in Current Active TINs, then click Delete. 5 of 5
