Each data center serves as the primary location for daily workflow volumes for specific clients as well as the active backup for other locations. Beyond the inherent physical security, back-up generators and redundant infrastructure at each site, ongoing capacity balancing and site scaling, including phone line availability, database storage and processing capabilities are closely monitored and managed to ensure the ability to seamlessly migrate daily operations between sites in the event of a substantial natural disaster that would incapacitate any individual location. Real-time database synchronization between primary and back-up servers is managed through SmartSyn Pro and all fresh (yet-to-be-transcribed) dictations are automatically copied to backup servers in real time. Additional daily database and system configuration backups are generated for each client and transferred to sister data centers for further redundancy. 7 Optional Modules For Extended Functions. Specific features of the WebEHR platform may be supported by other installed HIM systems or simply not used within particular workflow schemes for a variety of reasons. Accordingly,the following modules are available for those who wish to use them but are completely transparent from the rest of the platform when not in use. Speech Recognition The key for cost effective deployment of speech recognition is accurately identifying physicians who will produce accurately recognized voice files, then seamlessly routing qualified files back into the normal editing and distribution workflow. With thewebehr platform, qualified voice files are routed from the manual transcription process into the speech recognition engine the same way jobs are routed to specific transcriptionists or work pools. Electronically generated drafts are then presented to the speech recognition editing team according to the same workflow management options available for manual transcription. Edited documents route back into the standard distribution module in a way that is indistinguishable to the physicians for which production method was used to generate the reports. FutureNet utilizes leading third party speech recognition applications for the voice to text conversion process. Pricing for this option is by processed volume, with no upfront expenses, volume requirements, hardware, software, or maintenance fees. Electronic Signature Upon online acceptance of the document by the physician, the WebEHR electronic signature module will insert a line of text in the signature block declaring the document has been electronically signed, or alternatively, a scanned image of the signature along with the electronic signature designating text can be inserted. In either case, once the document is signed, it is automatically locked from future edits in accordance with JCAHO regulations. Editing is allowed prior to signature by the physician or authorized transcription production staff members in a simple Microsoft Word editor. All access, editing, signature and distribution activities are controlled by security levels and reflected in the audit trails. Document Distribution Although some hospitals manage document distribution through integrated Electronic Medical Records system, the WebEHR distribution module is also capable of routing documents to a variety of destinations both inside and outside of the healthcare provider s network, functions required for ARRA funding qualification. When supported by a live ADT feed, documents can literally follow the patient through the hospital and print at the nurses station closest to the patient s room (and/ or any other IP addressable printer on the network). Documents can also be faxed or ed (often the preferred method for cc s) and interfaced with multiple HIM, radiology PACS, or other health data repository systems. 8 Transcription Tools Designed as a shell around Microsoft Word, the WebEHR typing platform is compatible with all word expanders and medical dictionary programs that work with Word. Editing functions, including those for speech recognized documents, are also completed within the Microsoft Word program. While typing all traditional transcription support functions, such as patient or physician searches, can be initiated with function key combinations, virtually eliminating mouse use. Report information screens (automatically pre-populated with all of the received voice file and ADT data) display when opening and closing jobs, providing the transcriptionists the opportunity to review, validate and/or update system data as necessary based on the dictation. To effectively control transcription efforts, your platform needs to easily manage, accurately measure and be capable of independently verifying the cost, quality and turn around time details of your workflow. FutureNet s WebEHR management and reporting tools do that and more through a common integrated database that manages jobs from digital voice capture through electronic distribution of the completed report. Compatible with Windows 98 or newer operating systems (including Windows VISTA), the WebEHR typing module utilizes a standard nine pin or USB foot pedal supported by virtually any sound card connected to speakers or headphones. Workflow Dashboard The WebEHR operation monitor provides a real-time dashboard view of your transcription workflow for exceptional volume visibility and process control. The top level view displays a break down by department (or by accounts for MTSO s) for the number of pending dictations, jobs currently being transcribed, jobs assigned to speech recognition, reports awaiting QA, reports currently being reviewed in QA, and completed jobs queued to upload into the assigned HIM system or other distribution channel. Tallies of jobs displayed on the top level view which are out of turn around time are highlighted and link to detailed lists that identify the specific job numbers, work types, associated dictator ID s and current workflow stage of each job. This single click access to problem job details enables administrators to efficiently monitor their overall workflow volumes and reassign production efforts to trouble areas as needed. Dictation Management The WebEHR digital dictation module displays either pending or completed voice files sorted by job number, work type, medical record number, dictator ID or name. Pending voice files are color coded to reflect remaining available time by work type TAT and can be reprioritized or reassigned to different work pools or MT s with the click of the mouse. Historical voice files are stored for six to twelve months, depending on volume. Transcription Management Transcribed reports, including those awaiting editing, electronic signature and/or distribution, are accessible through an easy to use search function that can be customized by user to reflect the typical report data available to them when conducting searches (such as date range, patient name, dictator, medical record number, etc.). Those with appropriate security levels can review, edit (prior to signature) or distribute documents as necessary, including the release of jobs awaiting QA to satisfy the requests of the dictators. Administrative Support Tools Beyond the basic user, physician, security level, work type, and pooling list maintenance administrative functions, the WebEHR platform has an easy to use doctor s normal template generator and distribution logic module that allows you to customize completed report routing by physician and work type. Designated administrators are able to define and manage multi-layered signature, fax, , print and distribution schemes such as those required by many teaching hospitals. Cost Control Independent volume calculation and pay rate assignment tools for transcriptionists and editors (and account billing rates for MTSO s) enable system managers to straightforwardly compensate team members according to their differing roles and calibrate production measurements. Configurable for Visual Black Character, 65Character Net (or other line length), gross line, page, or by report, measurements can include or exclude headers and footers or limit their credit to first page only. And since the WebEHR typing platform is based on Microsoft Word, calculations can be verified under Word s Tools menu bar. Quality Control A random sampling of each transcriptionist s reports can be directed into the editing pool based on a variable percentage of their overall production volume or transcriptionists can manually direct reports for editing along with notes to the editor for what needs attention. In editing mode, file markers sync the cursor position with the voice file location so editors can efficiently jump between defined trouble areas. Unique reporting functions also enable authorized users to review quality based on overall workflow sorting variables (date range, dictator ID, transcriptionist or editor, etc.) and directly compare the before and after iterations of the edited documents at the detail level. Turn Around Time Control Beyond the standard turn around time settings, tracking and reporting by work types, the WebEHR platform includes distinctive controls that, for example, can exclude specific documents from overall TAT statistics. These exclusions can be for extremely difficult dictators or jobs that are miscoded during dictation, necessitating extra steps that transcriptionists have no control over. Additionally, screens and/or reports with tallies of out of time jobs all link to detailed listing views for further analysis and efficient follow through.
