1 Cambridge Judge Business School Further particulars JOB TITLE: REPORTS TO: ALUMNI RELATIONS COORDINATOR (STUDENT AND ALUMNI ENGAGEMENT) HEAD OF ALUMNI RELATIONS Background The Alumni Relations Coordinator, Student and Alumni Engagement is a part of the External Affairs Team within Cambridge Judge Business School (CJBS), and specifically the Alumni Relations Team. This team is responsible for keeping a diverse network of around 7000 alumni (including those who have completed programmes with Executive Education and associate members from the University of Cambridge) connected with both each other, and with the School. The role The Alumni Relations Coordinator (Student and Alumni Engagement), reports to the Head of Alumni Relations and is responsible amongst other duties, for liaising with key student and alumni volunteers, including Cambridge Business School Club (CBSC) SIG Coordinator and Alumni Reps, Alumni Group contacts and the Alumni Advisory Council. The role holder will proactively work to build affinity and deliver services to CJBS students and alumni and external stakeholders. The role holder will work with colleagues from across the School, including academics and programme teams, to maintain a joined up School-wide approach to student and alumni engagement. MAIN RESPONSIBILITIES Student engagement Liaising with key stakeholders, ensure annual programme of engagement is created and adhered to. Engagement activities include; attendance at inductions and final year classes, educating students about the benefits of connecting with alumni and promoting the use of the online directory, and regular meetings with the Cambridge Business School Club (CBSC) SIG Coordinator and Alumni Reps. Maintain contact with CBSC contacts throughout the academic year and connect SIGs with their alumni counterparts. Monitor student activity on social media groups and maintain engagement with students through these channels. Work with the Events team to plan at least one networking event for students annually. This includes liaising with programmes to find suitable dates, securing speakers where relevant and promotion of the event to key stakeholders. Help manage student conferences such as those organised by the Cambridge Africa Business Network (CABN). 1

2 Liaise with programmes regarding graduation events and ensure, where possible, that the Alumni Relations Team have a presence. Work with the Corporate Communications and Marketing Team to create and distribute graduation gifts. Alumni Advisory Council Liaise with Council members and key staff members to create a schedule of quarterly meetings (planned at least 12 months in advance). Ensure venues are booked in advance and work with the Head of Alumni Relations, and the Council Chair to create agendas that are circulated to members at least a week in advance of the meeting. Communicate regularly with members and working groups in between meetings, supporting them with their tasks and prompting them to meet deadlines. Write minutes and following approval from the Head of Alumni and Council Chair, circulate to members no longer than two weeks after a meeting. Work with the Head of Alumni Relations and Events Team to plan the annual Away Day and AGM. Work with the Alumni Relations Manager, Communications and Marketing to identify new members for the Council and liaise with the Nominations Committee to ensure they have all relevant documents prior to meetings. Alumni Groups Ensure Alumni Group (geographical and SIG) details are up to date on the website and liaise with CUDAR to ensure the inclusion of CJBS Groups in the CUDAR Groups Directory. Manage a timetable of Alumni Group events and liaise with the Alumni Relations Manager, Communications and Marketing to ensure they are promoted on the website, social media and e-newsletter. Work with the Alumni Relations Manager, Communications and Marketing to schedule regular targeted recruitment and event s on behalf of Groups. Visit at least two Groups a year. Help set up new Alumni Groups by supporting alumni contacts in creating a group on LinkedIn or Facebook, sending out recruitment s to local alumni, advising on and promotion of events, and connecting them with local University of Cambridge Groups where relevant. Liaise with SIGs to ensure contact is made with student counterparts. Liaise with the Head of Alumni Relations and Faculty members to ensure to connect them to local Groups or alumni when travelling overseas. Work with the Alumni Relations Manager, Communications and Marketing to ensure appropriate communications are sent out. Support Groups in setting up a social media presence when required and maintain engagement with Group contacts and members through these channels. Careers/ mentoring schemes Liaise with the MBA Careers Team as well as the University Careers Service to coordinate schedule of events for students and alumni. 2

3 Manage queries related to the MPhil in Management Mentoring Scheme. Alumni events Working with the Head of Alumni Relations and the Events Team, assist in planning for: The annual thank you event for key alumni volunteers, including Alumni Advisory Council members, mentors and programme ambassadors. The Alumni Reunion, our flagship event with up to 250 attendees. CJBS Celebrates: Worldwide, a global alumni celebration which involves coordinating a number of events across the world. Ad hoc alumni events throughout the year. The person The ideal candidate should have the following qualities, skills and attributes. You are asked to demonstrate how your own experience meets these requirements in the 'suitability for the role' section of the online application form: Relevant degree (or equivalent) or appropriate job experience ideally in a customer facing role. Experienced administrator with significant relevant experience of alumni, student or membership relations. Experience of minute taking. An understanding and affinity for event management principles. An understanding of volunteer management principles is highly desirable. An understanding of the Higher Education environment. Knowledge of communication principles. Excellent written and oral communication skills with the ability to adapt communication style depending on audience and situation. Ability to use tact, discretion and diplomacy. Evidence of team working skills. Highly developed customer care and relationship management skills with the ability to deal with a wide range of people from different backgrounds and network at all levels. Computer literate with experience of MS Office products and knowledge of database and information management. High level of attention to detail with good planning and time-management skills. Good initiative and creative thinking skills. Strong team player, with flexibility, determination and creativity; capable of fitting into a small, hardworking team. Willingness on limited occasions to work outside standard hours and in different locations. Benefits This is a full-time position working 36.5 hours per week. Holiday entitlement is 28 days per annum plus eight days of public holidays. The salary will be in the range 27,057-32,277 per annum. 3

4 This is a fixed-term post for three years in the first instance. The full incremental salary range for the position is advertised in order to demonstrate the progression for the Grade. In the majority of cases appointments will be made at the Grade minimum; only in very specific exceptional circumstances can a higher salary be offered.
