2 CONSTITUTION OF THE FLORIDA INTERNATIONAL UNIVERSITY STUDENT ALUMNI ASSOCIATION ARTICLE I. Section I NAME ARTICLE II. DEFINITION ARTICLE III. MEMBERSHIP Section III. The name of the organization shall be the Student Alumni Association (SAA) at Florida International University, Miami, Florida. SAA shall be an organization housed under the Office of Alumni Relations. The purpose of the Student Alumni Association shall be to enforce and embrace Florida International University traditions for the students of the FIU community and to provide support to the FIU Alumni Association with special emphasis placed on the stimulation of interests and participation of students. The Student Alumni Association fosters panther pride and traditions, facilitates an active relationship between students and alumni, develops future alumni leadership amongst the current student population, and enhances the overall experience at Florida International University. Membership in the Student Alumni Association shall be open to any and all currently enrolled undergraduate and graduate students. Members are not required to participate in activities to remain in the Student Alumni Association; however, membership must be renewed annualy or pre- purchased.
3 Section IV. Membership to the Student Alumni Association will be determined by submission of application and application fee on a yearly basis unless previously purchased. Application fee options for the Student Alumni Association will be: $10.00 Renewable Annual Student Membership $ year Student Membership $ Parent/1 Student Membership $ Parents/1 Student Membership $ Student Lifetime Membership (transfers to a membership in the Alumni Association post- graduation) ARTICLE IV. SELECTION OF MEMBERSHIP FOR THE SAA Application for membership is available throughout the year in the Office of Alumni Relations, during tabling and SAA events. The application is readily accessible online at the FIU Alumni Association website. ARTICLE V. SELECTION OF EXECUTIVE BOARD Section III. The executive board positions of the Student Alumni Association shall be comprised of the President and the following Vice- Presidents: Ambassadors, BBC Traditions, Communications, Membership, Programming, Records and Finances. The executive board shall assume duties at the beginning of the summer C semester until the end of the following spring term.
4 Section IV. Section V. Section VI. The executive board members must be SAA members, have completed a year as a Student Ambassador, and in good academic and disciplinary standing. If not enough returning Ambassadors apply, then it will be open to those who have been involved with the Student Ambassador Program for at least one semester. Any exceptions are to be decided by the executive board and the advisor. Applications for Executive Board shall be made available by the advisor during the spring semester. Candidates for executive board positions must submit an application with platform to the advisor, who verifies that all requirements are met. Prior to being placed on the candidacy ballot, the candidates must be reviewed by the advisor and the current executive board The candidates will then be elected by a majority vote of Student Ambassadors present at the election meeting. At the election meeting, each candidate will be given 3 minutes to explain his or her platform and 5 minutes to answer any questions from those present. Robert s Rules of Order shall be adhered to during this time period. Then voting will commence via secret ballot. The advisor will count the votes with one impartial member of the Executive Board. The new Executive Board will be announced at the Student Ambassador Banquet at the end of the Spring Semester. ARTICLE VI. DUTIES OF THE EXECUTIVE BOARD The following positions are laid out in succession order.
5 Section III. President a. Serves as officer in command of the Student Alumni Association b. Organizes and runs all executive board meetings c. Sets clear goals for all Vice- Presidents d. Provides constructive performance feedback to all members of the executive board e. Acts as primary liaison between the Student Alumni Association & Alumni Relations office, Student Government Association, and Advisor f. Works with the advisor on any necessary administrative tasks g. Acts as the contact for state and region CASE ASAP Conferences h. Focuses on funding, awards, and presentations for conferences Vice President of Communications a. Publicizes Student Alumni Association and Student Ambassador image on campus b. Works with the VP of Ambassadors, Directors of each campus, and VP of Membership to promote Student Ambassador recruitment c. Works with both campus VPs of Traditions and the Directors of each tradition to promote all Student Alumni Association events d. Oversees and monitors all social media pages (Facebook, Twitter, etc.)
6 e. Builds personal relationships with campus groups including, but not limited to, CSO clubs, Greek organizations, and other student groups f. Creates innovative marketing ideas for the Student Alumni Association and all programs under it Section IV. Section V. Vice- President of Programming a. Plans and coordinates all trips within the Student Alumni Association and Student Ambassador Program b. Coordinates with the VP of Ambassadors to prepare annual retreat c. Implements new ideas for potential traditional events d. Creates and updates calendar regularly e. Reports directly to the President and advisor Vice President of Ambassadors a. Oversees the Student Ambassador program and the Ambassador Committee b. Screens Student Ambassador requests and puts up polls c. Organizes Student Ambassador training with the Director of Training d. Coordinates with the Director of Recruitment to formulate Recruitment Process e. Coordinates with the VP of Communications to promote Student Ambassador Recruitment Selection f. Coordinates with the Director of Training to execute the New Member Process and Workshops
7 g. Collaborates with the Director of Points to oversee that all Student Ambassadors are meeting attendance requirement h. Coordinates with the VP of Programming to plan the Student Ambassador Retreat Section VI. Section VII. Vice President of Membership a. Trains Student Ambassadors on sales points for Student Alumni Association member recruitment b. Plans and executes membership appreciation days and SAA Membership Recruitment Events c. Sets the standards for the SAA Membership Quota Section VIII. Vice President of MMC Traditions a. Oversees the directors of all traditions at MMC through regular meetings b. Advises directors in all major decisions including, but not limited to, allocated budget, marketing material, and event logistics c. Coordinates with directors of all traditions and the President to create new traditions and evaluate current traditions Vice- President of Records and Finances a. Keeps minutes for all meetings i. Must send a proxy if unable to attend b. Balances budget c. Informs everyone of available funds for events
8 Section IX d. Reports directly to the President and advisor Vice President of BBC Traditions a. Oversees the directors of all traditions at BBC through regular meetings b. Advises directors in all major decisions including, but not limited to, allocated budget, marketing material, and event logistics c. Works with directors of all traditions and the President to create new traditions and evaluate current traditions ARTICLE VII. EXECUTIVE BOARD MEETINGS Section III. Executive board meetings will be held bi- weekly and lead by the President of SAA. Attendance is mandatory for all executive board members. The president and advisor must be notified of any absences at least 48 hours before the scheduled meeting. Any major decisions regarding budget, events, etc, must be voted upon by the executive board. Voting will be done via verbal confirmation or opposition. A simple majority is necessary for any decision to be made. ARTICLE VIII. TRADITION COMMITTEES Each tradition will have a committee to oversee all logistics for the event that is chaired by the director of that tradition.

Directors of tradition committees must have completed a semester of the Student Ambassador program and shall be selected by the VP of MMC/BBC Traditions through an application and shall have the following duties: a. Act as heads of the respective traditions committees b. Work with the VP of Traditions and VP of Finance to finalize budget and logistics c. Work with VP of Communications on marketing of events All Executive Board Members and Directors will receive points for hours contributed to serving the Student Alumni Association. AMBASSADOR PROGRAM Student Ambassadors serve as the liaison between students, faculty, and alumni at Florida International University. In addition, Student Ambassadors serve as the leaders for the Student Alumni Association. Student Ambassadors shall be selected through an application and interview process with current ambassadors and/or the advisor. Applicants must have a 2.75 cumulative GPA, maintain a 2.5 semester GPA, and have no standing disciplinary action against them. If a Student Ambassador fails to meet these requirements a meeting with standards will be mandated. Section III. Applications for the Student Ambassador Program shall be available in the Fall Semester. The exact date of application opening and closing deadlines is to be determined by the Executive Board. The interview process shall follow two weeks after closing of application deadline.
10 Section IV. Each Student Ambassador is required to meet at least 5 hours of service per month to the Student Alumni Association. If a Student Ambassador fails to meet this requirement they shall be called to standards. Upon being called to Standards Board, the student has one week to meet with Executive Board. If Executive Board does not appeal misconduct or failure to meet requirements of program or Student Ambassador fails to meet with Executive Board the student will be removed from the Student Ambassador Program. Section V. ARTICLE IX. ARTICLE X. The Ambassador Program shall be overseen by the Vice- President of Ambassadors and Ambassador Directors who will have the following duties: a. Support Vice President in screening requests and putting up polls b. Assist in the organization of Student Ambassador training c. Keep track of points related to their respective campus events AMENDMENTS AND CONSTITUTION REVIEW The constitution may be amended by a two- third vote of the executive board providing there is a two week notice to the executive board regarding the date of SAA Constitution Revisions. Annually, the executive board will review the constitution and make any recommendations for amendments deemed necessary. FINANCES
11 ARTICLE XI. ARTICLE XII. Section III. Membership dues of $10.00 per year will be required by each member. The money is due by the expiration date of their previous membership. An exception is awarded to lifetime members or members that have opted for the 4- year membership. Monies collected from SAA fundraising projects shall be used for general expenses not covered by the regular operating budget and for officer/advisor/delegate convention and conference expenses. ADVISOR The Student Alumni Association at Florida International University will have an advisor who will be a staff member in the Alumni Relations office. The advisor is appointed by the department head(s). RESIGNATION AND IMPEACHMENT In the event that an executive board member should resign prior to the end of his/her term, he or she should provide a minimum of 2 weeks notice if possible. During this time, a successor will be elected by the standing executive board and trained by the resigning officer. The basis for impeachment of an SAA executive board member shall be malfeasance, misfeasance, and/or nonfeasance. Examples include missing meetings without excuse and failing to perform job duties. A motion for impeachment can be brought before the executive board at any regularly scheduled meeting. A 2/3 vote of the executive board is needed to impeach any officer. After the vote, the impeached officer will be notified of the
12 Section IV. Section V. ARTICLE XIII. decision and have 5 working days to appeal the decision to the executive board and/or the advisor. If the impeached is unable to provide valid reasons to their behavior within those 5 days, they will be removed from office. An executive board member shall be dismissed immediately should they incur disciplinary action or fail to maintain a 2.8 GPA or above on a 4.0 scale. The replacement for any impeached or dismissed officer shall be selected by a majority vote of the executive board at the meeting following the removal. DISSOLUTION CLAUSE Should the Florida International University Student Alumni Association dissolve, all assets shall be managed by the Office of Alumni Relations.
