1 JOB DESCRIPTION 1. JOB TITLE: Receptionist/Clerical Assistant Apprentice (Intermediate Apprenticeship NVQ 2) 2. DEPARTMENT: Faculty of Science and Engineering (working across all departments) 3. JOB PURPOSE: To operate as a member of the Faculty to support the reception and clerical work for the departments and programmes of study. To ensure the provision of a full range of reception and clerical duties. To undertake any other relevant duties as requested by their line manager and mentor(s). The post is based in a busy office environment at Thornton Science Park (CH2 4NU). 4. BACKGROUND INFORMATION: The Faculty of Science and Engineering is the newest Faculty in the University of Chester and is based on the Thornton Science Park. The Faculty consists of the Departments of Computer Science, Mathematics, Natural Sciences, Chemical Engineering, Electronic & Electrical Engineering, and Mechanical Engineering. The first students will start on these courses in September WORK PERFORMED AND/OR KEY RESULT AREAS: Greeting visitors and students into the Faculty (in person or by phone), ascertaining their needs and providing information or referring to colleagues as appropriate. Dealing with Faculty enquiries by , post, or fax and responding directly or referring on to colleagues as appropriate. Helping with the organising of Faculty events and conferences. General reception and clerical duties such as the booking in of assignments, processing of post, ordering of catering, room bookings, photocopying, scanning, filing and archiving. Page 1 of 5

2 Using IT skills to input data and maintain databases and spread sheets and to help with production of basic business documents such as letters. 3 PERSON SPECIFICATION Job Title & Department: Receptionist/Clerical Assistant Apprentice (Intermediate Apprenticeship NVQ 2) Criteria OR Desirable Method of identification (i.e. application form, interview, test) Selection Panel use this section to match your skills and abilities to the criteria outlined Qualifications: 5 GCSEs or equivalent / certificates Proven Experience: Previous work experience in an administrative environment Knowledge, skills and abilities: Good oral and written communication skills including the ability to communicate effectively by phone Desirable The ability to work effectively with others as a competent team member. Computer literacy skills, able to use Microsoft Office programmes including Word, Outlook, Excel and Access Accuracy and attention to detail Strong organisational skills Other Attributes: A flexible approach to work with the ability to work effectively under pressure and to deadlines. Well-developed interpersonal skills, tact, discretion and confidentiality /interview /interview Requirements are those, without which, a candidate would not be able to do the job. 4 UNIVERSITY OF CHESTER ADDITIONAL DETAILS FOR ENGAGING AN APPRENTICE PLACEMENT The University of Chester will act as a placement for an apprentice for up to 12 months organised through the North West Apprentice Training Company. The Apprentice Training Company will hold the terms and conditions of employment for the Apprentice and as such will be responsible for salary and other statutory payments. The apprentice will be employed by the Training Company but placed with the University in a specific location. The Apprentice will have a mentor at the University to coach them through the day to day elements of their role and liaise with the representative of the ATC to ensure training needs are met. TRAINING The apprentice will work towards the achievement of an NVQ at Intermediate or Advanced level, a key skills, and in some cases, a technical certificate. This is expected to take on average ½ - 1 day per week but may include on the job training. The Apprentice will be assessed on a regular basis by a representative from the Apprentice Training Company. Apprentices will be monitored during their placement to ensure that they are making satisfactory progress towards the achievement of their qualifications. SALARY In accordance with National Minimum Wage rates, currently: Age Between Between over 21 NMW 3.72 per hour 5.03 per hour 6.31 per hour HOURS OF WORK 36.5 hours per week inclusive of study/development/training time to be worked as follows: Monday to Thursday Friday 9:00am 5.30pm 9:00am 4:30pm (less one hour lunch break each day) A flexible approach to work will be required as there will be occasions when it would be necessary for you to work additional hours as dictated by the workload. This will include evening and weekend working. HOLIDAY ENTITLEMENT 22 days plus Bank Holidays, and two extra statutory days per annum during the Christmas period. Page 4 of 5

5 PENSION SCHEME Apprentices are not entitled to join the University scheme, as their employer is the Apprentice Training Agency. STANDARD OF DRESS During the placement, the Apprentice is expected to have a reasonable standard of dress, and may be required to wear a uniform depending upon the placement. ABSENCE & LATENESS As placement provider, the University will monitor attendance and timekeeping. Apprentices will be expected to contact their line manager at the University within 1 hour of any absence. FUTURE EMPLOYMENT PROSPECTS The Apprenticeship is likely to last for 12 months. There is no guarantee of employment beyond this period, however towards the end of the Apprenticeship, Apprentices may apply for jobs advertised by the University, including those advertised internally, subject to successful progress during their Apprenticeship.
