4 1. Introduction Welcome to the User Manual of Onvelop! This manual will walk you through the features of Onvelop mobile client by explaining how the basic operations can be performed for collaborating and communicating with your Enterprise colleagues. Also this manual will give you a detailed insight about the various functionalities Onvelop offers. Before you start reading this guide, it is important to know an overview about Onvelop, the intended audience, and the benefits Onvelop offers. 1.1 Onvelop Mobile Productivity Suite for Enterprises Onvelop offers a complete productivity suite of collaboration and communication tools that empowers enterprise employees, managers, and teams to always be at the upfront when it s about work, irrespective of where they are. All this is offered ensuring the security and credibility of the enterprise data in a most advanced way. Onvelop is currently available for the mobile devices of Android and ios. 1.2 Onvelop Benefits Below are the series of advantages Onvelop brings to you 1. Seamless access to your enterprise SharePoint and Lync/OCS 2. Single Sign-On 3. Connect to your enterprise computer and its applications directly 4. Print to MS Print or CUPS 5. Review documents and files with your dispersed colleagues/team via conference call or chat 6. Check-out documents, do the updates, and load it back to your enterprise SharePoint 7. Download documents and files to your device and access them all, right from Onvelop 8. Access all of the Lists and Sub-sites available on your enterprise SharePoint 9. Stay updated to all of your enterprise events, announcements, and SharePoint activities 10. Create calendar events, announcements, and schedule review meetings 11. Share documents and files with your team before the meetings 12. Add SharePoint sites to your favourites list Page 4

5 2. Getting Onvelop Client Onvelop mobile client setup can be obtained from: 1. Samsung Apps 2. Google Play Enterprises willing to do bulk licensing deployments or a pilot deployment are requested get in touch with our Sales Team which will help you out with the buying and deployment process. Also please visit our website: for various other insights on Onvelop. A complete 30-days free trial of Onvelop is available to explore the solution and to get familiar with it. 3. Onvelop Installation After downloading Onvelop on the tablet device, an application icon will appear (as indicated in the snap below). Click on the icon to start the Onvelop installation process. 6 3.1 Splash Screen and Setup Steps After you click on the app icon, you will see a splash screen (as shown in the following snap) for a few seconds Figure 2 Onvelop Splash Screen The splash screen will be followed by an app listing page, as shown below, which will list the apps to be installed to finish the Onvelop installation process. 7 These 3 apps constitute Onvelop setup Click on the Install button to proceed Figure 3 Onvelop Suite of Apps to Be Installed Installation of all the three apps is important and mandatory for successfully setting up of Onvelop on your device. The following sub-sections briefs about each of the app installations. Page 7

8 3.2 Onvelop Core This is the base setup of Onvelop used to stage the remaining three apps. The user authentication is handled by Onvelop Core. Installation of this app asks for the permissions shown in the following snap. Click here to install Onvelop Core Clicking on Cancel will exit from installation Figure 4 Permissions Listing for Onvelop Core Installation 3.3 Lync 3.4 PDF Viewer Lync is Microsoft s real time communication or IM tool used by enterprises for in-house communications. Lync can be accessed from within Onvelop. To do so installation of Lync app is essential. A permission page similar to the one shown for Onvelop Core appears before the Lync installation. Onvelop comes along with a PDF Viewer application that allows you to access and read.pdf files from your SharePoint portals which you can access from within Onvelop. A permission page similar to the one shown for Onvelop Core appears before the installation of PDF Viewer. Please note that Onvelop with ability to connect to a remote a computer i.e. RDP feature is offered as an add-on function and can be delivered to the enterprise, going for On-Premise deployment, upon request. 9 4. Registration/ Sign In After successful installation of Onvelop client on your device, you will see a page, as shown in the following snap, from where you can started with Onvelop. Figure 5 Opening screen for Register/ Sign In Figure 6. Registration Screen Page 9

10 4.1 Registration on activation server Fill in your details by following the instructions/guidelines indicated and click on Register once you are done. Figure 7. Confirming of Registration Screen You will receive an Onvelop Registration Confirmation Mail on your registered id. This will contain all the details that you filled in while signing up. 12 Figure 10 Sign In screen Click on the Sign In button, a popup to enter/edit your SharePoint Online URL, as shown in the following snapshot, will come up. Figure 11 Checking URL for your SharePoint Online Page 12

13 Following are the steps to ensure whether the SharePoint Online URL entered into the popup field (seen in the snap above) is correct or not: 1. From the web browser, login into your Office 365 account i.e. into Office 365 web mail portal for your enterprise 2. After logging in, go to your Team Site (which is nothing but your SharePoint Online portal) 3. Notice the URL of your Team Site (SharePoint Online) in the address field of the browser. It will be something like as shown in the following example: Figure12 SharePoint Online URL as seen in Web Browser 4. Make sure that the URL portion indicted in the above snap is entered correctly into the text field of the popup shown in Figure 11 above. After entering the correct URL for SharePoint Online, click on the Done button, seen on the popup shown in Figure 11 above. On success, you will be logged into Onvelop with the Landing Page coming up. From Onvelop mobile application, you will be able to access all the documents and files available on SharePoint. Once you login into Onvelop, you will see the landing page (described in Section 5 of this document) In the trial usage, initially, there won t be any data available that you can access from Onvelop. You will have to upload some documents to the trial SharePoint server either from Onvelop mobile application itself or by logging into the trial SharePoint page of Onvelop using the details in the that you received after successful sign up for the trial. Please refer Section 12 of this document to know how you can create folders or add files to the SharePoint server using Onvelop. Page 13

14 5. Onvelop Landing Page Once you successfully login into the Onvelop mobile application either by Office 365 login or by Onvelop ID login you will see Landing Page as shown in the following snap. This will be the main page that would come up whenever you login into Onvelop from your device. It will be very similar when you log in using Onvelop. The Landing page of Onvelop is like a dashboard providing an aggregated access and navigation ability to the different features from a single interface. The current date is displayed at the top-left side of the page. Page 14

15 Here is a brief overview of each element seen on the landing page of Onvelop: 1. Activities Feeds from your enterprise SharePoint indicating what activities your colleagues have performed on the SharePoint 2. Calendar Event feeds from your enterprise s SharePoint Calendar where you and your colleagues can create events and get informed 3. Links User defined shortcuts for frequently used sites 4. Announcements Feed of announcements happening on your enterprise s SharePoint 5. Lync, personal, all Instant Messaging (IM) showing contacts from your Lync and device 6. This option will allow you to configure various accounts on your device 7. List List of Collaboration items (SharePoint List) like Documents, Wiki etc 8. Documents Documents available on enterprise s SharePoint 9. Local Folder Documents downloaded from SharePoint are stored in encrypted format Each of these features is described in detail in the following sections of this user manual. Page 15

16 6. Activities Activities is a feature in Onvelop that gives you the feed updates of the activities happening on the SharePoint portal with which you are connected. For example, if one of your enterprise colleagues shares/upload a document on the SharePoint portal then such an activity is displayed as an update under the activities section on the Home page of Onvelop. The details include 1. Activity title and description 2. Who did the activity 3. When was the activity done 4. If a file has been shared/uploaded, the path of the file is displayed along with the file icon Clicking on the details will navigate to the file location in the Documents. Page 16

17 7. Events The events area on the landing page of Onvelop shows the list of events added/created in the SharePoint Calendar. Onvelop provides the ability to create event(s) in your SharePoint, from List > Calendar (described later in this user manual). Details of selected event Figure 15 SharePoint Events accessed from Landing Page When you click on an event in the calendar list, the details about that event are shown in the centre portion of the Home page as shown in the snap above. 8. Links The links section on the landing page of Onvelop shows the list of enterprise s SharePoint Portals with which Onvelop can be linked to. The links can belong to different departments in an enterprise like HR, Finance & Accounts, Materials, and Maintenance etc. The links can be managed from the Settings page (described later in this manual) of Onvelop client. Clicking on a link will link-up Onvelop with that particular portal and thus Onvelop will show the activities, events, announcements etc. from that link. Page 17

18 9. Announcements Announcements section on the landing page of Onvelop is similar to activities and calendar. The announcements made on the enterprise SharePoint are listed in this section. The details of an announcement are shown at the centre of the Home page. 19 10. Microsoft Lync Onvelop provides the ability to access the enterprise real-time communication tool Lync. All of your Lync contacts are accessible in Onvelop and you can make use of the IM features provided by Lync. The extreme right portion of Onvelop will show your Lync contact list and groups. You can search your enterprise colleagues, them, chat with them, conference etc. Onvelop also provides the ability to view the contacts stored in your device s address book as well as the option to view the Lync and personal contacts together. The following snaps illustrate the different functionalities offered in Lync within Onvelop mobile client. 20 10.1 Call With Onvelop, you can do Lync-to-Lync calling by clicking the Call icon for the selected contact. You will see a calling indication as below on your device: Figure 18 Long Press on Lync Contact Page 20

21 10.2 Chat Clicking on the Chat icon for a contact in the list, you will see the chat window and functions as illustrated in the snap below. [Grab your reader s attention with a great quote from the document or use this space to emphasize a key point. 22 10.3 Long Press Action over a Contact in the List At any point of time while accessing the contact list, if you feel that a particular contact needs to be moved to a different group or needs to be deleted from the list then simply do a long press over the contact in the list and you the controls to delete or move the contact will appear as shown below: Figure 20 Deleting or Moving Contacts A confirmation will be asked for before deleting a contact. 23 10.4 Conference Call Selecting option to do a conference call will bring up a popup, listing the contacts you would like to do a conference call with. This is as shown below: Figure 24 Select contacts for Conference Call Checkmark the users with whom you would like to have a conference call and click on the Call button to start the call. Page 23

24 10.5 Searching and Adding a New Contact to Lync Onvelop allows you to search and add new contacts to your list from your enterprise s Lync server as shown in the following snaps: Key-in a few letters or entire name of the contact you are looking for and all the matching results will be returned on performing the search Figure 27 Searching a contact to add to Lync Figure 27 Searching a contact to add to Lync Page 24

25 Figure 28 Selecting contact to be added to Lync list Select the contact from the searched result(s) and click on Done button to add the contact to your Lync list. This process of searching and adding an Onvelop invitee to Lync contact will have to be performed even when you invite a colleague using the process described in section 5.1 of this manual. Page 25

26 10.6 Video Call Lync provides with an option of video chat where you can see the user at other and review the document. Figure 29. Video Call Page 26

27 11. List List can be can be accessed from the shortcut available on the landing page of Onvelop client. The List is a feature in Onvelop from where you can access the sites of your enterprise, documents, wikis, announcements, calendars and so on. Also under the List section, the SharePoint sub-sites can be accessed. By default, the List page shows the list of activities for today, as shown in the following snap. Figure 30 SharePoint List of Sites and Sub-Sites You can check the activities of this week, last week or earlier from the tabs seen at the top-right of the page. The Lists page is divided into two frames as can be seen in the above snap. The frame to the left lists the different List applications and the frame to the right displays the corresponding details of the selected List application on the left Documents These are the same list of documents and folder structure that you can access from the landing page of Onvelop. Documents are described in detail in the later sections of this user manual. Page 27

28 11.2 Managing Announcements Announcements are the updates posted on your enterprise s SharePoint. From Onvelop you can view all such announcements, edit, delete, and add in a new announcement. The announcements are categorized as Recent, Last week, and Last two weeks. Files shared as attachments in announcement Figure 31 Announcements from SharePoint Page 28

29 To add a new announcement, click on + button as shown in the snapshot above. It brings up the page as below to add various details about announcements. Figure 32 Adding an Announcement Page 29

30 11.3 Managing Calendar You can manage and access events created on your enterprise s SharePoint from Onvelop. Below is the page that you will see when you click on the Calendar in the list. Figure 33 SharePoint Calendar By default, the calendar shows today s date and the Day view. You can switch the calendar to Week or Month view by clicking on the respective tabs seen in the right panel. To view the details of an event, click on that particular event and you will see the details as shown in the following snapshot: The following snapshot shows the various details that you can specify while adding an event. 32 11.4 Managing Contacts You can view and manage your native, SharePoint, and Lync contacts from Onvelop. So when you click on contacts in the list, you will see the page as shown in the snapshot below: Click here to add contacts Figure 35(a) SharePoint Contact Management Page 32

34 11.5 Managing Tasks Onvelop allows you to manage the tasks created on the SharePoint List. The list of available tasks and their associated details are shown under the Task option of the list. Figure 36 Accessing Tasks on SharePoint Page 34

35 You can sort the tasks based on priority, see the status, and how much percent of it has been completed and other details if added. The following snap shows the different details that you can specify while adding a task. These details can also be edited at a later stage if required. Figure 37 Adding a Task 12 Documents 12.1 Listing Page Onvelop pulls up the documents available on your enterprise SharePoint and makes them accessible to you in a very easy and simple to use way. To access your SharePoint documents and files, you need to click on the Documents shortcut on the Landing page of Onvelop. You will then see a page as shown in the following snap Page 35

36 Button to add new file or folder Folder structure as on SharePoint Figure 38 Accessing SharePoint Documents 12.2 Adding Files and Folders You can also add a new file or folder to the SharePoint from Onvelop. To do so, click on + button at the top-right side of the page shown above. A popup as shown in the next snap will come up. Figure 39 Creating Folders or Adding Files on SharePoint Page 36

37 12.3 Manipulating documents/files Within the folders, you will find sub-folders and files. The files can be documents, images, video files, audio files, spreadsheets and so on. Using Onvelop, you can perform the following operations over a file 1. View the file 2. Delete 3. Print 4. Review Now 5. Review Later 6. Check-in/Check-out To view a file, all you have to do is click on the file that you want to view. You will be prompted to download or not to download the file to your device. If you opt for download, the file will be downloaded to your device and then you will be prompted whether to open or not to open the downloaded file. If you opt to open it, then the file will be opened in the supported application for that file. To access rest of the listed file operations, do a longer press over the file of interest and a menu as shown in the snap below will appear. Figure 40 Various File Operations Page 37

38 REVIEW NOW Review Now is an Onvelop feature by which you can collaborate with your colleagues, partners, stakeholders and walkthrough the document/file of interest collectively, make updates to the file and then maybe share the file with other people. So when you click on Review Now button, you will be provided with two choices for the way in which you would like to review the file. These are 1. Chat 2. Audio Call Figure 41 Call or IM option for Document Review Both the choices require that you either download the file to be reviewed on your device or checkout the file from SharePoint so that it cannot be updated by anyone else until you check-in the file back into the SharePoint. 39 Figure 42 Options to Download or Checkout a SharePoint File Suppose that you select Chat as the option to collaborate and review the document. So after that once you checkout or download a copy of the document, the next step is to select the contacts with whom the document is to be reviewed and start the review process. This can be done from the page as shown below which comes up after you download or checkout the document. Page 39

40 Figure 43 Inviting People before Staring the Document Review The contacts to be collaborated with can be selected from the list shown on the left panel of the page above. The panel to right shows the location of document on Site and on the device on which it is downloaded or checked out. You can also add in the comments describing what the agenda of the review is prior to starting the review. Activities like these checking out the documents, reviewing etc. are published under the activities area on the Landing page of Onvelop. So when you click on Start Review button, you will see a page with the IM window and the document to be reviewed appears behind the IM window as shown in the next snapshot. The document will get open in the supported application, if any, available on your device. In the IM window, you will see the different tabs for the multiple contacts selected for the document review. Page 40

41 You can add more people to the conference by clicking on this button File to be reviewed appears in the background. You can tap on the document area to bring it up for review Figure 44 Simultaneous IM and Document Access during Review To edit or view the document simply tap on the greyed out document area as seen in the snapshot above and you will be able to operate open the document easily. So when you do this and bring up the document to review/edit, you may also need to access the IM window in between as you review the document with your colleagues. This can be done by clicking on the IM icon that appears at the bottom of your device s screen. Please see the snapshot below. Page 41

42 Click on this icon to access the IMs Figure 45 Switching between Document and IM Access CHECK-IN If you have checked out the document for review and have done with making the changes in the document then you would like to check-in the document so that other people can access it and know the updates that you have done to the document. To check-in a document, you will have to go to the document location in Documents, do a longer press on the document to be checked-in. A menu will appear on the right-hand side as shown in the snapshot below. Page 42

44 REVIEW LATER You also have an option to review a particular file later by specifying to your colleagues at what date and time the file will be reviewed and some more information if required. To do so you need to do a longer press on the file in the list so that a menu appears on the right-hand side on the screen. Click on Review Later option. You will then see a page as shown in the snapshot below: Figure 47 Scheduling Review Later Meeting After specifying the review info and the participants, click on Done button and you will see a popup as shown below. A Lync online meeting is also setup when this option is selected. You can send the document to be reviewed later via Bluetooth or to your colleagues. Page 44

46 13. Local Folder You can access Local Folder from the shortcut available on the landing page of Onvelop. Local Folder shows the documents that you downloaded from your enterprise SharePoint to your device. The folder structure as on the SharePoint is replicated locally also. The files are stored in encrypted format for security reasons and cannot be ported to other devices. You can browse through the folders and access the files and documents just like you can do it in Documents. 47 14. RDP For selected license of Office 365 and On-Premise deployment, Onvelop gives the ability to connect to a remote computer by using Microsoft s Remote Desktop Protocol. You can access the RDP feature by clicking on the shortcut available on the landing page of Onvelop. The following page will come up when you click on the RDP shortcut on landing page. 49 14. Settings Settings of Onvelop can be reached by tapping on this icon located at top-right of the landing page Figure 52 Accessing Onvelop Settings You will see the Settings page as below. The different settings options are available on the left side of the page. The options in Settings include info about Onvelop version, License Agreement and Logout option to sign-out of Onvelop client. 15. 50 By tapping on the global search button in above snapshot, you will come to the screen below where in you could search for any specific item you want. This global search feature enables the user to search for any particular keyword throughout the SharePoint setup and isn t restricted to any subsite that one is currently logged in. 51 16. Favourites Management Figure 55 Favourite Page You can manage your sub site by tagging them as favourite, by doing so you can open these frequently visited sub site much faster. From the list of sub site first you need to select the sub site which you want to make as favourite and when the sub site is open as shown in snapshot below. Page 51
