1 Planned maintenance Repair and improvement
2 This leaflet provides you with information about the Planned Maintenance Service that will be carried out in your home. Around every five years we will visit your home and undertake the service. This involves a consultation meeting followed by a surveyor visiting your home and looking at what work needs to be done both inside and outside the property.
3 What to expect All residents will be invited to a consultation meeting to discuss the planned maintenance process and to discuss any future improvement works. At that consultation meeting, the surveyor will arrange a convenient time to visit your home, so they can complete a survey. If you are unable to attend the consultation event, the surveyor will contact you afterwards by phone or letter to arrange a convenient time to visit. When the survey takes place the surveyor will need access to all the rooms in the property and access to all external areas. This is so we can look at the condition of the property to ensure that we do not miss any repairs that are required. The survey may take up to an hour to complete, and in some cases it may take slightly longer. Once the survey has been completed the surveyor will discuss with you all the repair and improvement work that has been identified, and give you an estimated timescale when work will start at your home.
4 The survey While the surveyor completes a survey of your home they will also collect stock condition information for the property, which helps us plan for future improvements in your home. You can expect our surveyor to look at the following things: Inside Kitchen Bathroom Ceilings in all the rooms Loft or attic Floors Stairs Heating system Hot water system Electrics Doors Outside The roof Walls Garden Paths Boundary fences Gutters Doors If you have any concerns, please make the surveyor aware of them at the time of the visit. Planned maintenance
5 Bathroom improvements As part of the planned maintenance process, we will also inspect the condition of your bathroom to see if it requires improving in anyway. The surveyor will agree if anything is going to be done to the bathroom at the time of the survey. If your bathroom is to be improved, it may be partially or fully upgraded depending on its age and condition. The surveyor will discuss this with you at the time of the visit. The work covered may include: flooring; bath; bath panel; toilet seat; toilet cistern; shower curtain; shower rail; wall tiles; and wash hand basin.
6 Can I choose how my bathroom will look? You will be able to choose from a range of tiles, bath panels, toilet seats, paint and floor tiles. This will be agreed with you at the time of the survey. What if I don t think a shower over my bath is suitable for me. If you think that you or any member of your family will find it difficult to use an over-bath shower, please contact us for advice (details back cover). What will happen? There are four stages to the work, and different tradesman will need to work at different times. STAGE ONE We will: Prepare the bathroom (for example, if we need to change the layout of the room) and start any electrical work STAGE TWO We will: Carry out any plastering work required Carry out any wiring work Fit a new pan / cistern, wash hand basin and bath if required Planned maintenance
7 STAGE THREE We will: Tile the walls Finish electrical work Fit the shower Put down the flooring Fit the bath panel and toilet seat STAGE FOUR We will: Paint walls and ceiling Fit the shower curtain and rail Finish any other work Clean the bathroom Check the work to make sure everything is finished This is a guide to what will happen, but the way we do the work will depend on when tradesmen are available. We will tell you if anything is going to be different.
8 Kitchen improvements As part of the planned maintenance process, we will also inspect the condition of your kitchen to see if it requires improving in anyway. The surveyor will agree if anything is going to be done to the kitchen at the time of the survey. If your kitchen is to be improved, it may be partially or fully upgraded depending on its age and condition. The surveyor will discuss this with you at the time of the visit. What will happen if my kitchen is upgraded? PARTIAL UPGRADE Planned maintenance
9 We will: Replace the doors to the units Replace the draw fronts to the units Replace the worktop Decorate the kitchen We will not: Replace the kitchen sink if it s in a reasonable condition Replace the kitchen units Replace floor coverings Replace wall tiles However, if the surveyor decides that any of the above items need to be improved then they will discuss this with you at the time of the survey, and include it in the schedule of work. FULL UPGRADE We will: Replace kitchen units Replace the doors to the units Replace the draw fronts to the units Replace the wall tiles Replace the existing kitchen sink Replace the floor coverings Re-decorate the ceilings, walls and woodwork
10 Can I choose how my kitchen will look? When a full upgrade takes place, we will confirm the layout of the new kitchen with you before we start work in your kitchen. We will also give you a selection of different colours for you to choose from. If we are only completing a partial upgrade, we will give you a selection of different colours to choose from. The contractor will discuss this with you before the work starts on the kitchen. General repairs and improvements While the surveyor is completing a survey of your house, they will also look to see if there are any defects to the building that may need to be repaired or improved at the same time. This may be things like: Doors close correctly There are no condensation problems No leaking taps Windows close correctly Floor tiles are safe Roof tiling waterproof Gutters not leaking Boundary fencing intact Paths free of trip hazards No structural movement to the property Loft insulation is the correct depth Planned maintenance
11 The surveyor will let you know if any of the above repairs or improvements need doing when they complete the survey of you home. If you have any concerns with the property then please let the surveyor know at the time of the visit, if you forget at the time of the survey please contact us (details back cover). Health and safety While every effort is made to ensure that no harm comes to you or your family when the work is being carried out, could you please help us to help you by: Ensuring all children and pets are not left unattended, especially in any areas that we are working in both internally and externally. Refraining from smoking while the contractor is working in your home, and up to an hour before they arrive at your home. Ensuring you notify the surveyor or the tradesperson of any disabilities that may have implications to the work that we are going to carry out as we may need to allow for this or look at different ways of working. In addition: Noise and dust will be kept to a minimum but on some occasions this might be excessive, if this is going to be the case the tradesperson will try to ensure dust is kept to the area they are working in and
12 the noise is reduced as much as possible. The tradesperson will notify you before any works start if this is going to be the case. If any member of the household suffers with any allergies that could worsen by the work we carry out, please make sure the surveyor or the tradesperson is aware of this before any work is carried out, for example (dust allergies, solvent allergies etc). Please follow any health and safety advise that the survey or tradesperson gives you. If you have any health and safety concerns before, during, or after the work is completed, then please contact us immediately (details back cover). Asbestos Before work is carried out in the property, we may carry out an asbestos survey so we can check to see if the property contains any asbestos, which will alter the way in which we work. This will be carried out by one of our surveyors and they will discuss any concerns / questions you may have relating to asbestos. If you have any concerns that cannot wait until we survey the property, then please contact us (details back cover). It is important that you give access to the surveyors so that they can complete the Planned maintenance
13 asbestos survey. If you do not, then we will not be able to complete the works within your property until this is done. Frequently asked questions Will the contractor need access to my home everyday while the works are going on? The contractor will inform you when they intend to work in your property, and will arrange an appointment with you before the works commence. While the works are going on, the contractor may not be in your property on consecutive days, because they may need to let things dry out before they can carry on with the next job. The contractor will notify you if this is going to happen. Do I need to be in the property when the contractor is working in the property? No, you can leave a key with the contractor so they can lock the property if they need to leave, to collect materials for example. How long will the work take? Unfortunately it is not always possible to put an exact time on this because it depends on how much work there is to complete. The surveyor will be able to give you an idea when they complete the survey of your home.
14 Can I supply my own paint for the bathroom? Yes, providing this is a mid sheen paint of a normal type. What about the noise and mess? We use dust sheets to protect your carpets and belongings, and we will clean up at the end of each working day and after we have finished the work. We will try to make as little noise as possible.
