2 Displaying the Open or Save Dialog When you open or save a document in Microsoft Word 2013, the Backstage Screen appears. To view the old Open and Save dialogs when you open or save a document, follow the instructions below. 3. Choose the Save option on the left hand side of the screen. 4. Enable the Don't Show Backstage when opening or saving files field. 5. Click on the Browse button to set your default file location. 6. Click on the OK button. 7. Close Word and re-open it. 8. Now, when you open or save a document, you will see the old Open or Save dialogs. Note: This only works when you have added the Open and Save icons to the Quick Access Toolbar. Instructions for doing so are listed on the next page. Note 2: If you don't want to disable the Backstage Screen, but want to remove SkyDrive option, disable the Show additional places for saving, even if sign-in may be required field. The SkyDrive option will be removed from file open and save pages. Note 3: You can also set your local computer as the default file save location by enabling the Save to Computer by default field. 3 Customizing the Quick Access Toolbar The Quick Access Toolbar is located immediately above the Ribbon, in the upper left-hand corner of the screen. You can add icons to the Quick Access Toolbar, the benefit of which is that they will be constantly visible, no matter which Ribbon tab you are using. 1. Click on the small downward arrow located to the immediate right of the Quick Access Toolbar. 2. The Customize Quick Access Toolbar menu will appear. The More Commands option 3. Click on one of the commands listed to have the icon appear your Quick Access Toolbar. 4. You can also click on the More Commands option. 5. The Word Options - Customize the Quick Access Toolbar window will open. 6. To view all available commands, click on the downward pointing arrow to the right of the Choose Commands From section and choose the option All Commands. Use the scroll bar the browse through the commands, which are listed in alphabetical order. 7. Select the command you want from the Choose Commands From section, located on the left-hand side of the window, and click on the Add button. 8. The command will be displayed in the Customize Quick Access Toolbar section, located on the right-hand side of the window. You can add as many commands as you want. 9. You can re-arrange the order of your commands by using the Up and Down arrows to the right of the Customize Quick Access Toolbar section. 10. Click on the OK button and the new icons will display in the Quick Access Toolbar. 11. If you want to reset the Quick Access Toolbar to its default, click on the Reset button, located within the Word Options - Customize the Quick Access Toolbar window. Page 3

4 Changing the Background Color of the Ribbon The default ribbon color is white, which does not have much contrast. To change the background color, follow the instructions below. 3. Choose the General option on the left hand side of the screen. 4. Using the downward pointing arrow to the right of the Office Theme field, choose the Dark Gray option. 5. Click on the OK button. Note: You can also change your user name within the Word Options window. Changes in the File Tab Commands have changed location within the File tab in Microsoft Word They changes are listed below. 1. The new Info option is where you can password protect your document, remove metadata, and find the file s location and properties. 2. The Save As option now includes the OneDrive, which is Microsoft s online storage option. You can use the Add a Place option to browse to other online storage applications. 3. The new Share option is where you can find the option, which lets you your document from within Micrsoft Word. 4. The new Export option is where you can save your Word document as a PDF. 5. The new Account option is another area where you can change your ribbon s color. You can also check which version of Word you have. Page 4

5 Opening Documents from within s Disabling the Reading Mode The Reading Mode View is back as the default option for opening documents from within an . To disable it, follow the instructions below. 3. Choose the General option on the left hand side of the screen. 4. Disable (remove the checkmark from) the Open attachments and other uneditable files in reading view field. 5. Click on the OK button. Page 5

6 Disabling the Protected Mode The Protected View is another default option when opening documents from within an . To disable it, follow the instructions below. 3. Choose the Trust Center option on the left hand side of the screen. 4. Click on the Trust Center Settings icon, located on the right-hand side of the window. 5. The Trust Center window will appear. 6. Select the Protected View command. 7. Disable (remove the checkmark from) all of the fields. 8. Click on the OK button twice. The New Design Tab Although the Styles gallery is still visible in the Home tab, the advanced options for formatting pages are now found on the new Design tab. The Design tab incorporates formatting and page background tools, as well as new themes (designs) and templates. Page 6

7 Making Your Track Changes Visible Word's new Simple Markup feature hides track changes, marking them with only a subtle vertical line in the margins. To view your changes, click on the drop-down arrow to the right of the Simple Markup field and choose the option All Markup. You can also enable a setting that will warn you when you save a document that contains track changes. To do so, follow, the instructions below. 3. Choose the Trust Center option on the left hand side of the screen. 4. Click on the Trust Center Settings icon, located on the right-hand side of the window. 5. The Trust Center window will appear. 6. Select the Privacy Options command. 7. Enable (add a checkmark) to the Warn before printing, saving or sending a file that contains tracked changes or comments field. 8. Click on the OK button twice. Page 7

8 Opening and Editing PDFs Microsoft Word 2013 lets you open PDF files, edit them from within Word, and then save them as a PDF. However, please be advised that this feature works best when making basic edits (text) to a PDF. Fonts can change, charts can lose their formatting and forms can stop functioning appropriately when making more complex edits within Word. For complex edits, your best bet is to use Adobe Pro. Note: If you want to restrict others from editing the PDFs that you send them, you must use the Restrict Editing with Password tool in Adobe Acrobat XI. For more information, see Adobe's tutorial on Restrict Editing, which can be found at Downloading Dictionaries Microsoft Word 2013 does not have a built-in dictionary. Before you can look up a word from within a Word 2013 document, you have to download and install a dictionary available from the Microsoft Office Store. To do so, follow the instructions below. 1. Click on the Insert tab. 2. Click on the My Apps icon 3. The Apps for Office dialog will appear. 4. Click on the Office Store icon. 5. Another Apps for Office dialog will appear. 6. Click on the Reference option located in the category section and then click on the Merriam-Webster Dictionary icon (it s a free download). 7. Click on the Trust It button. 8. The dictionary will load. Note: The dictionary will only be available when you are connected to the Internet. Page 8
