1 Daycare Rules and regulations School year The contents of this document can be modified and changes can apply during the school year according to the orientations or decisions of the various ministries or CSVDC school board. A letter will be send home to inform the parents if it happens. 1. Our mission In keeping with Sutton School s Educational Project and in association with all of the members of the school s team, in a climate of harmony, we promote the stimulation and development of the child s potential, in a healthy, safe and inspiring environment. 3. Ministry Objectives School daycare services are designed to meet the following objectives: to ensure the safety and general well-being of the children served; to contribute to the achievement of the objectives of the school s educational project; to set up activities and recreational projects that contribute to the children s overall development; to encourage the development of social skills such as respect, cooperation and openness to others; to offer homework support after school by providing students with an appropriate place in which to work and the time and materials they require. Activities The Activity Program must offer to the user child games, activities and interventions allowing its development. It has to join the educational project and the school success plan. A quality activity programming is planned and contains various types of activities. This program is known of the school staff, the parents and the children. Ratio Globally, the number of children per School Daycare staff member should not be over 20 children. 6. Registration Form Every year, all parents must fill in the registration form for each child using the Daycare services. This registration form must be completed and signed before the first day of attendance. The official date of the registration corresponds to the date on returning the completed document to Daycare. If your child is shared-custody, every user parent has to fill a registration form unless all the information is identical, including the days of attendance, a single registration form can be filled.. Every parent will have to make sure to pay the share which returns to him(her). When a parent proceeds to the registration of his child in one of the CSVDC School Daycare, he has to make sure to have paid all the previous custodian fees before being able to have again access to the service. Confirmation of the Basic Reservation During for the August Pedagogical days, we will ask you to confirm your basic reservation that was made in May or June. You will have to complete this section on your Registration File. If you forget to confirm your reservation, we will apply the initial reservation as you gave it to us. Modifications of the Basic Reservation Any temporary modification of the attendance schedule (Daycare contract) has to be made in writing (modification of the basic reservation form) at least two weeks before the effective date of this modification. The modification has to be for a minimal duration of 15 consecutive working days. Should the opposite occur, we shall charge you days registered initially on the contract. 1

2 For any modification in the increase of the attendance schedule, the pricing applies immediately. Any termination of contract has to be made in writing at least two weeks before the effective date of this termination. Otherwise, we shall charge you weeks, thus usual expenses planned in your basic reservation. Only exceptional circumstances with documented justification could justify the non-respect of these rules. All agreement must be approved by the School Principal (Ex: job loss, medical reason ) 7. Daycare Child Status Les périodes fréquentées au cours de la semaine de déclaration de la clientèle (habituellement la semaine incluant le 30 septembre) déterminent le statut et la tarification pour l année scolaire. The periods frequented during the clientele declaration week (usually the week including September 30th) determine the status and the pricing for the school year. Clientele with REGULAR status: These are children who were officially declared on September 30 th. These children use the school Daycare for no less than 2 periods (partial or complete) a day (morning, lunch time and after school), AND for a minimum of 3 days per week. A child with a «regular status» at the attestation of attendance will keep his status for the rest of the year. A child in joint custody will be considered regular when one of the two parents meets the criteria of the Ministry. The school has to make a declaration to the ministry of all the children frequenting its school daycares. The status of declared service is the status of used service, in real presence, during the taking of the presences in the week of declaration. If your child meets the criteria of the regular status during the statement of the clientele, we shall be obliged to attribute him(her) this status. Clientele with SPORADIC status: These are children who are in the school Daycare for less periods or days than the minimum criteria for the regular clientele as defined by the Ministry. 8. Opening Hours The school daycare is open from August 26 th, 2016 to June 29 th, 2017 following this schedule: School Day Schedule P.P. Days Schedule Morning: closed From 7:30 A.M. to 6:00 P.M. Kindergarten period: Lunch time supervision: Afterschool period: from 2:19 to 2:40 P.M. from 11:36 to 12:36 A.M. from 2:40 to 6:00 P.M. Preparation and planning days (P.P.D.) A few weeks prior to the P.P.D., the daycare will send a letter to the families ( or paper) indicating the activities of the day, the daycare fee, the activity cost and the deadline date to register. If interested, the parent must register his/her child using the INTERNET FORM before the deadline date. It is possible to register at school with a daycare staff member. The registered children must participate to the activities. The daycare has the right to refuse a child if the deadline date is exceeded. If the number of registration is not sufficient, the Principal may decide to close the daycare. If Daycare is not offered, the families will be informed 5 days prior to the concerned date. March Break The Governing Board determine if Daycare should be open during March Break. If needed, the Governing Board could ask for a survey (end of December/beginning of January) to verify the needs. In February, families will be informed if daycare is open or closed during March Break. Winter storm When the School is closed during winter storm, the Daycare is also closed. The regular schedule and P.P.D. fees will be apply if the Daycare is open. Official Holidays: The Daycare is closed and there are no charges. Please refer on the School Calendar for the dates. 2

3 9. Arrival and departure Absence When your child is absent, it is important to advise the school AND the Daycare at (450) #4 OR written/dated message OR to Daycare BEFORE 11 A.M. If we have not received any other notice, we will keep your child at Daycare according to the information on your registration form. Last-minute changes will be refused. Occasional requests Occasional requests will be accepted only if there is available space. The Daycare Technician must receive the request before 11 A.M., by phone or by . Arrival and departure The authorized people must come to the Daycare service (morning)* and when they pick their child up in the evening (to fill in the time of departure and signature). *In Sutton, morning applies only to P.P. days. For other arrangements, parents must complete a document and outline their individual arrangements. To register a new person (not mentioned on the registration form) to pick up your child, you must inform the Daycare. If any adult is considered unable to leave with the child (under the effects of alcohol or drugs ) the educator will apply the School Board s policy. Safe door and tokens Where this service is offered, to benefit from it, please contact the Daycare Technician. 10. Health A child who is feverish or contagious must not come to Daycare. If a child becomes ill during the time he/she is at the Daycare, the respondents will be notified and invited to pick up the child or make other transportation arrangements as soon as possible. Medication The Daycare will give a medication to a child if it is a prescription and is ready to administer. An authorization form signed by the parents must accompany the medication. The medication must be in its original container and the child s name clearly identified. The pharmacy label must be with the medication and dosage clearly indicated. Pharmacists will always give a duplicate of the prescription if asked. IMPORTANT: The authorization form must be signed, dated and must indicate: Name of child The exact dosage. The proper name of the medication Injuries or major malaise The Daycare personnel : Administers first-aid; Request ambulance service; Advise the parent of the situation and the measures taken; If possible, accompany the child to the hospital (in another vehicle); Complete an accident report describing the incident. If the Daycare personnel does not manage to contact a parent, they will then try to reach the next person indicated on the registration form as emergency contacts for them to meet child at hospital. For ambulance transportation, the parents will be charged the fees accordingly. Allergies Certain children and School staff members have major allergies to nuts, peanuts, sesame and fish. We care about welfare and health and we want to be conform to medical recommendations to insure a safe environment to all. We ask you to avoid food containing nuts, peanuts, sesame and fish in your child s snack and meals. 3

4 11. Homework period Homework periods are provided for under the Regulation respecting childcare services provided at school. They give students the opportunity to do their homework in a quiet atmosphere that promotes concentration. You must understand that the staff member is there to supervise this period. It is the parents responsibility to follow up on the school work which the students have been assigned. The homework period is on Tuesdays, from 3 P.M. to 4 P.M. and reserved for children in Grades 2 to 6. N.B.: Children that want to benefit from extra periods to do their homework will be able to do it from Monday to Thursday, during the free time period UPON THE CHILD S REQUEST. 12. Rules and Safety measures Each Governing Board must approve the Rules & Regulations and Security Measures proposed by the Principal of the school (LIP, art. 76) All the Rules & Regulations of the school are also applied during the Daycare hours. 13. Unacceptable behaviour In the case of unacceptable behaviour, the Daycare staff will inform the parents of the child concerned and will apply the sanctions as indicated in the School Rules and Regulations. Agreement for good behaviour A pupil whose behaviour is unacceptable will be part of a behavioural contract, which will be signed jointly by student and parents. If the contract is not respected, the child can be suspended immediately by the Principal for the amount of time estimated necessary regarding the circumstances. Please note that all behaviour that endangers the safety and well-being of any student or staff member will be just cause to suspend Daycare services immediately by the Principal. It will be up to the Principal to determine how and when the re-integration will take place, if at all. 14. Fees REGULAR status clientele Maximum 8.10$ per day* Morning: closed Lunch time supervision: 2,00$ Afterschool period: 6.10$ Kindergarten period: 2,00$ * The reduced amount is determined according to Ministry agreements. It may be subject to change during the school year. Occasional clientele: Charged upon reserved periods (time slots add together) Morning: closed Lunch time supervision: 4,00$ Afterschool period: 14,00$ Kindergarten period: 2,00$ Sporadic invoicing as proposed by CSVDC School Board for all School Daycare. Third child from the same family: Half-price for the 3 rd child, when the three children are present in daycare. You will be charged for all of your reserved days (according to the daycare registration form). Preparation & Planning day (P.P.D.): The fee is $16.00* per child for all children registered plus activity fees. (Maximum $20.00 in activity fees per P.P.DAY) *According to the Ministry parameters. May change during the School year. It is only possible to cancel a P.P.D. reservation if you are within 5 business days before said Day. After this deadline, you will be charged full price, which includes Daycare fee, loss of gov t subsidy fee (presently set at $8 but subject to change) and any other incurring fees. This rule also applies to a child registered on a regular Daycare day. To be able to use Daycare during a P.P.D., the family must have completed the Basic Registration Form and have paid all amounts due. We reserve the right to refuse a child for P.P.D. if a parent has not paid his(her) entire Daycare bill. You must register your child for the P.P. DAY using the internet form before the deadline. After this date, the registration will be refused if there are no spaces available. The only exceptions for non-respect of these rules is with proof justifying the reason. All changes must be approved by the school Principal (ex: due to job loss, medical note, etc.) Reserved day = paid day 4

5 15. Extra fees Penalty for N.S.F. checks Parents are responsible for financial institution charges resulting from a bounced check. Late Arrival Any parent arriving late will have to pay $5 per 5 minutes after 6 P.M. (end of the Daycare service). This penalty will be added onto the next monthly statement. Extra fees for outings or special activities Fees may be charged (real cost) for outing or special activities even if the child is absent for the activity if the reservation has not been cancelled within the deadline date. 16. Billing and Payment An account statement is distributed at the beginning of every month. The bill must be paid on reception of the invoice or at the latest, before the deadline on the statement. When the parents sign the Daycare registration form, they agree together to pay their child/ren Daycare fees in the prescribed delay. Absences for holidays and/or sickness For all children having a basic reservation on their Daycare contract, the fees will be maintained for vacations other than those on the school calendar. No fees are charged if the parent can provide a written doctor s note. Only exceptional circumstances (with documentation) could justify the cancellation of Daycare fees. All agreements must be approved by the School Principal. Payment It is now possible for you to make your payment through the internet. It s a safety payment mode, without fees and it is always available. If you want to know the procedure, ask the Daycare technician. Fees can also be paid by cash or cheque. The cash payment must be given to the person responsible at Daycare (signature required). A check must be given to the person responsible at Daycare or put in the designated payment box. Checks should be made out to École de Sutton. Income Tax Receipts The Relevé 24 and the Federal Income Tax Receipt is made out to the person who paid the Daycare fees, and sent on February 28 th at the latest. 17. Unpaid fees In the case of a delay in payment, the daycare procedures are: 1. Verbal notice (step 1) will be given the day after the deadline date. 2. Written notice (step 2) will be given if no payment arrangement agreement. It is possible to complete a payment arrangement agreement (written and signed) through the School Principal and the Daycare Technician. 3. Formal written notice (step 3) and Daycare services removed two days after the written notice if the agreement is not respected. 4. Legal measures (step 4) will be taken for payment recovery at this point. Unpaid fees in another Daycare If a family leaves the School with unpaid fees in Daycare, the child or children will not be accepted in another School Daycare until the complete amount due is paid. 5

6 18. Other information Daycare Parents committee The Governing Board may form a user parents committee. If necessary, the Governing Board will send an invitation to the Daycare users. (In reference to the Education Act, article 18). After-school activities The parent must inform the Daycare Technician if his/her child participates in an after-school activity. (Example: tutoring in school, after class hours, sports with the physical education teacher, painting with Lisa Charbonneau...) Parents who want to keep their child s space must pay the Daycare fee for this day according to their Daycare contract. Following a request from the person responsible for the activity, the daycare may accept a child in the Daycare (even if they are not registered) if the parent is late picking the child up from an after-school activity. The resulting Daycare fees are the parent s responsibility. FIXED RATE: 5.00$ Photos The authorization as to whether or not children can have their pictures taken or be in videos is controlled through the school office. Whatever decision parents chose on their registration papers, it is the same that is used for the Daycare. However, at times, it is possible that your child is filmed or photographed for the only purpose of showing off some of the Daycare activities. These photos are for internal use only. Meals and Snacks In order to respect our healthy eating policy, we ask that students eat a healthy and balanced lunch. You must also provide utensils for your children. The snacks accepted at the Daycare are the same ones accepted during the regular school day. Only microwavable containers will be authorized to be used in the Daycare microwaves. Outside activities We go outside every day excepted in case of heavy rain, excessive cold or very bad weather condition in the playground. Children must always wear suitable garment according to the weather. Be sure that all garment are well identified.
