3 Section 1 - The SMART Board, SMART Notebook, and SMART Exchange The SMART Board interactive whiteboard pen tray ready light SMART Board Components There are four necessary components to use a SMART Board. 1. A SMART Board 1 2. A computer 2 3. A projector 3 4. Notebook software 1 The SMART Board may be portable on a cart or mounted on a wall. 2 The computer may be connected to the board via cable or Bluetooth. 3 The projector may be affixed to the top of the Board, or mounted on the ceiling. The Ready Light The ready light, located on the frame at the bottom right corner of the Board, is an indicator of the Board s power and connection status. If the ready light is green, the Board is working properly. If the ready light is off, there is no power to the Board. Check the power supply connections. If the ready light is red, the Board is unable to communicate with the computer. Check the cable or Bluetooth connection. The Pen Tray The pen tray, affixed to the bottom frame of the Board, has three primary functions: 1. SMART pen(s) and eraser 1 2. On Screen Keyboard button 3. Right-Click button ( 4. Projector/Board Power button 2 ) 1 Pens will vary by Board; some have four pens (black, red, green, and blue), and others have one or two pens with (black, red, green, and blue) buttons to change the color. 2 The power button for the projector/board is sometimes also located on the pen tray. SMARTtip! If a pen/eraser is missing, use a post-it note to cover the sensor of the missing pen/eraser. Orientation Orientation is a quick fix to realign a SMART Board. A Board needs realignment when where you press/write on the board is slightly off. To orient the board, press both the On Screen Keyboard and Right-Click pen tray buttons. Follow the on-screen instructions to complete orientation. SMART Notebook SMART Notebook software allows you to create, teach, and manage interactive SMART Board lessons. This software is available on your campus on the computers connected to SMART Boards. 3

4 To open Notebook: 1. Click the Start button. 2. Point to All Programs. 3. Point to SMART Technologies. 4. Point to SMART Notebook. 5. Click on SMART Notebook. Downloading SMART Notebook You can download a free 30-day trial of Notebook software. 1. Go to 2. Click Support. 3. Click Downloads. 4. Under the first item, SMART Notebook collaborative learning software, click Choose a Version and select the newest version for Windows. 5. Click Download. 6. Enter the required information, and then click Start Download. SMART Notebook Express SMART Notebook Express is available for download or online use at Use SMART Notebook Express to view, save, and interact with Notebook files. Importing/Exporting PowerPoint presentations can be imported into Notebook and Notebook files can be exported 1 as a Web file, image, PDF or PowerPoint. SMARTtip! Importing a PowerPoint file converts it to a Notebook file. You can still insert images, screen shots, documents, etc. using the Insert menu. To Import a PowerPoint Presentation to Notebook: 1. Click File on the Menu Bar. 2. Click Import. 3. Navigate to the file, and click Open. To Export a Notebook file: 1. Click File on the Menu Bar. 2. Click Export. 3. Select the file type (web file, image, PDF, or PowerPoint). 4. Navigate to the location where you wish to save the file and click Save. 1 Some Notebook-specific features will be lost in the process, but exporting still makes the Notebook file accessible for students/instructors to view via PowerPoint, Adobe, etc. The SMART Exchange The SMART Exchange is the official SMART Tech Web site with over 40,000 resources! To navigate to and search in the SMART Exchange: 1. Open a browser, either Internet Explorer or Mozilla Firefox. 2. Type in the address bar and press Enter or click Go. 3. Type what you wish to search for in the text box or browse by subject, grade, or file type. 4. Click the thumbnail to preview the file or Download to open the file in Notebook. To save a SMART Exchange file: 1. With the file open in Notebook, click File on the Menu Bar. 2. Select Save As. 3. Navigate to the location you wish to save the file, rename the file (if desired), and then click Save. 4

5 Section 2 - The Menu Bar, Toolbar, and Sidebar The Menu Bar The Menu Bar, located at the top of the screen, contains the File, Edit, View, Insert, Format, Draw, and Help menus. Many of the tasks found in the menus can also be completed using the Toolbar and drop-down menus. The Toolbar The Toolbar, located at the top of the screen, is the quickest (and easiest) way to perform many tasks. To add/remove tools from the Toolbar: 1. Right-click the Toolbar to display the Customize Toolbar window. 2. Click and drag tools to/from the Toolbar. 3. Click the Done button. SMARTtip! Point (not click) on a tool to display a Screen Tip with the tool s name. A list of commonly used tools (in alphabetical order): Add Page Insert a blank page immediately after the active page. Clear Page Delete all inserted and drawn objects on the active page. Clone Page Insert a clone of the active page immediately after the active page. Customize Display the Customize Toolbar window to add/remove tools from the Toolbar. Creative Pens Displays the Creative Pens Toolbar to draw with unique pens. Delete Delete an inserted or drawn object. Select the object(s) first with the Select tool. Dual/Single Page Display Display two pages at the same time. Click again to view a single page. Click the Pin Page button to secure one of the two pages. Eraser Erase pen-drawn objects. Inserted shapes, text, pictures, etc. cannot be erased; select the inserted object and use the Delete tool or select Cut from the object s drop-down menu. SMARTtip! To erase a large area, draw a circle around the area, then press in the center. Fill Fill an inserted object with one color, two colors, a pattern, or image. Pen-drawn objects, only inserted objects like shapes, text boxes, tables, etc. cannot be filled. Select the object(s) first with the Select tool. Full Screen Show page in full screen (like Slide Show view in PowerPoint). 5

6 Insert Table Insert a table up to 8 x 8. Use the table s drop-down menu to add/delete rows/columns after it is inserted. Lines Display the Lines Toolbar to draw a variety of lines. Magic Pen Write/draw with disappearing ink. A circle spotlights an area, and a square magnifies an area. Measurement Tools Display the Measurement Tools Toolbar to insert ruler, protractor, geodreieck ruler, or compass. Select the tool, then press the Delete key to remove the tool from the page. Move Toolbar Move Toolbar to/from the top/bottom of the screen. Next Page Display the next page. Open Open an existing Notebook file. Paste Paste a copied object from the clipboard onto the active page. Pens Display the Pens Toolbar to write with a variety of pens. Pin Page Secure of two pages in dual page display. Click again to unsecure page. Previous Page Display the previous page. Properties Display the Properties tab of the Sidebar and modify object properties. Redo Redo the last action. Save Save the Notebook file. Screen Capture Display the Screen Capture Toolbar to capture the entire (or part of the) screen to a new Notebook page. Capture a square or rectangle of the screen. Capture the active window. Capture the entire screen. Freehand capture an area of the screen. 6

7 Select Select an object or multiple objects to move, edit, group, copy, etc. objects. Use the select tool anytime you would click with a mouse. SMARTtip! Select object(s) by clicking and dragging a diagonal line from the top left to the bottom right through the object(s). Shape Recognition Pen Turn a pen-drawn shape into a shape object. Shapes Draw a shape object. Show/Hide Screen Shade Show/hide the active page with a screen shade to be pulled from the top, bottom, left, or right. SMART Recorder Record page activity. Text Type text into a text box. Transparent Background Make the page transparent to view the desktop, open windows, and other applications. Undo Undo the last action. The Side Bar The Side Bar, usually located on the left side of the screen, contains four tabs: Page Sorter, Gallery, Attachments, and Properties. Page Sorter The page sorter shows thumbnails of the pages in the Notebook file. Click the page Sorter tab on the Sidebar to navigate between pages, group pages, rename pages, etc. SMARTtip! Click the Groups button to organize your pages into named groups! groups page number active page (blue border) page thumbnail page name (double-click to rename page) 7

8 The Gallery The Gallery has over 6000 pictures, interactive and multimedia, Notebook files and pages, and backgrounds and themes. To insert Gallery content: 1. Click the Gallery tab on the Sidebar. 2. Browse by content or type what you wish to search for in the text box. 3. To add the content to the active page, double-click the icon or click the down arrow in the top right-hand corner of the object to display the drop-down menu and select Insert in Notebook. search textbox search results (Browse search results by type here) Attachments Files (Word documents, PowerPoint presentations, Excel spreadsheets, images, media, etc.) can be attached to the Notebook file for quick access. To attach a file: 1. Click the Attachments tab on the Sidebar. 2. Click the Insert button. 3. Click one of the following: a. Insert Copy of File - attach a copy of the file attached the full file to the Notebook file. b. Insert Hyperlink - attach a Web site. c. Insert Shortcut - attaches short cut to file, but does not attach the full file to the Notebook file. Properties The Properties tab varies based on the object(s) selected, and can also be accessed by clicking the Properties tool on the Toolbar. The following common properties can be modified with the following object(s) selected: Fill Effects - shapes, text boxes, page Line Style - pens, creative pens, lines, shapes Text Style - text Page Recording - page Object Animation - shapes, text boxes. 8

9 Section 3 - Ink Aware and the Floating Tools Toolbar Ink Aware Ink Aware is a Notebook feature that allows you to write/draw in Microsoft Word documents, PowerPoint presentations, and Excel workbooks. To activate Ink Aware: 1. Open a Word document, PowerPoint presentation, or Excel Workbook. 2. Pick up a pen, or click the semi-transparent tab on the left of the screen to display the Floating Tools Toolbar, and select one of the pens. When Ink Aware is activated, the Aware Tools Toolbar displays. Insert as Image Insert drawing as an image into the document, presentation, or workbook. Insert as Text Insert drawing as text at the location of the insertion point. In Excel, text is inserted in the selected cell (select the cell first). Screen Capture Capture entire screen to a new Notebook page Undo Undo last action. Ink Aware must be inactivated when you are done drawing and/or when you would click with a mouse. To inactivate Ink Aware: 1. Place the pen in the pen tray or select the Select Tool from the Floating Tools Toolbar. SMARTtip! The window to the right briefly appears when Ink Aware is inactivated if the pen was placed in the pen tray or the Select Tool was selected. Click the window to restore the drawing. Ink Aware and PowerPoint in Slide Show View When you are in Slide Show View in PowerPoint, the SMART PowerPoint Slide Show Toolbar displays. Use the Toolbar to navigate through slides and perform other tasks. To navigate to the next slide: 1. Double click OR click the right arrow in the SMART Power Point Slide Show Toolbar. When Slide Show View is closed, a window displays asking Do you want to add your drawing to...? Click Yes to add the drawings as images to the PowerPoint presentation. Click No to erase the drawings. The drawings will remain until the pen is placed in the pen tray or the Select Tool is selected on the Floating Tools Toolbar. When PowerPoint is closed, a window displays asking Do you want to save the changes? Click Yes to save the presentation with the Ink Aware images. Note: This will not save Ink Aware images that were not added, i.e. No was selected and the drawings were erased. Click No to close PowerPoint without saving the presentation with the Ink Aware images. 9

10 The Floating Tools Toolbar The Floating Tools Toolbar automatically takes over when you click outside of the document, presentation, or workbook, and allows you to write/draw from your computer. Click the semi-transparent tab on the left side of the screen to write/draw on the desktop, in Internet browsers, and other programs. If the Floating Tools Toolbar tab is not visible: 1. Click the Start button. 2. Point to All Programs. 3. Point to SMART Technologies. 4. Point to SMART Product Drivers. 5. Click SMART Board Tools. The Floating Tools Toolbar tab will appear on the left side of the screen, and the SMART Board Tools icon will appear in the notification area of the taskbar. select tool black pen red pen highlighter eraser right-click open Notebook on-screen keyboard undo customize toolbar When the Floating Tools Toolbar is in use, a border displays around the edge of the screen like the picture shown below. clear drawings capture the screen to a new Notebook page 10

11 Section 4 - SMART Tips and Resources SMART Tips This section contains some SMART Tips to enhance your Notebook files. SMART Tips include grouping, ordering, locking, cloning, infinite cloner, inserting images, text recognition, and reveal text. Grouping Two or more objects can be grouped together as one object. Objects can be grouped with an existing group of objects. Objects can be grouped for moving, cloning, etc. To group objects: 1. Draw a diagonal line from the top left through the bottom right of the objects to select them all at once. 2. Press the down arrow in the top right-hand corner of one of the objects or press the Right-click button on the pen tray and then select one of the objects to display a drop-down menu. 3. Point to Grouping. 4. Click Group. SMARTtip! If you are at the computer, you can select objects one at a time while holding the CTRL key. To ungroup objects: 1. Select one of the grouped objects. 2. Click the down arrow in the top right-hand corner of the object to display the drop-down menu. 3. Point to Grouping. 4. Click Ungroup. Ordering Objects are layered in the order in which they are drawn/inserted. To reorder objects: 1. Select the object you wish to reorder. 2. Click the down arrow in the top right-hand corner of the object to display the drop-down menu. 3. Point to Order. 4. Click on one of the following: Bring to Front, Send to Back, Bring Forward, or Send Backward. the square is in front the circle is in front Locking Objects can be locked to avoid accidental editing, deletion, or moving. Locked objects no longer have a dropdown menu, and cannot be edited, deleted, or moved. To edit, delete, or move the object, unlock the object. To lock an object: 1. Select the object you wish to lock into place. 2. Click the down arrow in the top right-hand corner of the object to display the drop-down menu. 3. Point to Lock. 4. Click Lock in Place. A lock icon will replace the down arrow in the top right-hand corner of the object. To unlock an object: 1. Select the object you wish to unlock. 2. Click the lock icon in the top right-hand corner of the object. 3. Click Unlock. 11

12 Cloning Cloning is different thank copying an object, which merely copies the object/page to the clipboard, and then must be pasted. Cloned objects are inserted on the active page, and cloned pages are inserted immediately after the active page. To clone an object: 1. Select the object you wish to clone. 2. Click the down arrow in the top right-hand corner of the object to display the drop-down menu. 3. Click Clone. To clone a page: 1. Click the Page Sorter tab on the Sidebar. 2. Click the page you wish to clone. 3. Click the down arrow in the top right-hand corner of the page to display the page s drop-down menu. 4. Click Clone Page. Infinite Cloner The infinite cloner provides unlimited clones of an object. Infinite cloners no longer have a drop-down menu, and cannot be edited, deleted, or moved. To edit, delete, or move the object, undesignate the object as an infinite cloner. To designate an object as an infinite cloner: 1. Select the object you wish to clone. 2. Click the down arrow in the top right-hand corner of the object to display the drop-down menu. 3. Select Infinite Cloner. An infinity symbol will replace the down arrow in the top right-hand corner of the object. To undesignate an object as an infinite cloner: 1. Select the object you wish to undesignate as an infinite cloner. 2. Click the object to display the infinity symbol. 3. Click the infinity symbol. 4. Click Infinite Cloner. Inserting Images Images can be inserted from Web sites or drives (computer, flash drive, CD, etc.). To insert an image from a drive: 1. Click Insert on the Menu Bar. 2. Click Picture File. 3. Navigate to the file and click Open. To insert an image from a Web site: 1. Right-click the image. 2. Click Copy. 3. Click the Paste tool on the Toolbar to paste the image onto the page. Text Recognition Pen-drawn text can be changed to text. To change pen-drawn text to text: 1. Click the pen-drawn text to be recognized. 2. Click the down arrow in the top right-hand corner of the object to display the drop-down menu. 3. Click Recognize desired text. 12

13 Reveal Text Shapes, images, etc. can be placed in front of hidden text to be revealed. To create reveal text with a shape: 1. Click the Text tool on the Toolbar and type the text you wish to be revealed. 2. Click the Shapes tool on the Toolbar to draw a shape to hide the text. 3. With the shape selected, click the Properties tool on the Toolbar or the Properties tab on the Sidebar. 4. Click the Fill tool on the Toolbar to fill the shape so that it will hide the text. 5. Click Object Animation. 6. For type, click Fade Out. 7. Adjust the speed, if necessary. SMART Resources To download this Resource Guide: 1. Go to 2. Point to Faculty & Staff. 3.
