1 Reports To: FLSA Status: Recruitment & Retention Specialist II Non-Exempt POSITION SUMMARY The Inside Recruitment & Retention Specialist is responsible for successfully culminating recruitment efforts by assisting potential members and volunteers through the conversion process required to become a member in assigned areas. Responsibilities include reregistration of existing members, customer follow-up, and data management, analysis of statistical information, creating and implementing long and short range goals aligned with the council s strategic plan. The Inside Recruitment & Retention Specialist is also responsible for ensuring that all volunteer leads complete all aspects of the screening process required for the position. She/he must be able to demonstrate comfort in presenting the value behind solutions in a way that resonates with what is most important to the potential members/customers of the organization. All functions are performed collaboratively with recruitment staff. ESSENTIAL FUNCTIONS Management Systems Assist in the design and achievement of the council s goals for girl and adult membership through effective management of all data for girl and adult members Manage all data for prospective new volunteers and assure a rapid, accurate and smooth path to becoming an approved volunteer Supports external recruitment efforts Follows up on new leads and referrals resulting from field activity in a timely fashion Serve as content expert on Girl Scout process, procedures, rules and forms relating to becoming a member and/or becoming a volunteer. Monitors membership data and reports statistical information to identify specific market share gaps. Prepares a variety of status reports, including activity, follow-up, and area needs assessment for externally facing recruitment staff Manage the yearly council re-registration campaign in assigned areas Secure community partnerships needed to implement Girl Scouting in assigned areas Answer calls from the customer care line and document customer solutions Volunteer Management Assist potential volunteers in finding a role appropriate to their skills, interests and time constraints and guide them through the onboarding process Provide for high quality communication, customer service and follow-up to meet the needs of volunteers until they are fully approved and placed in a role Management of Data Enter and maintain accurate data and records related to member onboarding, volunteer approval and customer engagement

2 Facilitation of Regional Council Efforts Collaborate with all departments within the organization and with members of assigned areas to achieve, expand, and/or exceed the geographic goals and objectives of the Girl Scout council Work cross functionally with other departments to determine and develop innovative techniques for member and volunteer lead generation Work closely with other staff to coordinate consistent and timely customer service with lead generation and conversion. Work as part of a team to advance council initiatives QUALIFICATIONS Bachelor s degree preferred plus 2-3 years of equivalent professional experience or 5-7 years of equivalent professional experience Experience with and understanding of volunteer management is beneficial but not required Must be able to recruit, train, retain and supervise multiple volunteers Demonstrated ability to maintain confidentiality with work related information Must be able to read documents, write reports and correspondence Able to speak effectively before individuals and groups Excellent interpersonal skills required Bi-lingual English/Spanish preferred Ability to manage a multi-project workload in multiple locations; exercise initiative and meet deadlines Basic experience with Microsoft Office Suite software (Excel, MSWord, PowerPoint, Access), Outlook and Internet. Must be able to work a flexible schedule including evenings and weekends on a continual basis Must be able to travel within the Reno/Sparks area on a consistent basis Must have reliable transportation and insurance for necessary travel to meetings and events Behavior consistent with the mission: Girl Scouting builds girls of courage, confidence, and character, who make the world a better place Required to learn and have full understanding of Girl Scout Leadership Experience Obtain and maintain membership in the Girl Scouts of the USA COMPETENCIES To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill and/or ability required. Individual must meet minimum membership goals set annually and reported monthly. Employee must have the confidence and skill set in order to provide information, grow volunteer recruitment, and the overall Girl Scout mission. Employee must maintain a high level of knowledge of the organization on a continual basis through staff, team and departmental meetings; or through research, print or online materials; and other avenues available within the organization. Authority and Accountability

3 Accountable to Recruitment and Retention Specialist II. Employee has the authority to carry out work performance objectives agreed upon with their supervisor. Objectives are outlined annually and reported/reviewed at least quarterly. The primary duty will be the performance of office or non-manual work directly related to the management or general business operations of the employer and includes the exercise of discretion and independent judgment with respect to matters of significance. Self-management and Confidence Assesses own skills and abilities and identifies areas for improvement; willingly accepts constructive feedback; seeks developmental opportunities; sets and achieves goals; works independently. Demonstrated confidence to prepare for conversations with potential members/customers by gathering key information and setting strong objectives to achieve successful outcome. Required Training GSUSA/GSSN training modules on the Girl Scout organization and leadership. Language Skills - Oral and Written Communication abilities Must be able to use active listening skills or the ability to skillfully use a variety of questions and other active listening techniques to promote a robust discussion with potential members/customers and identify needs. Ability to read documents, to write reports and correspondence, and speak effectively on the phone. Expresses ideas and facts in a clear and understandable manner appropriate for the individual; listens to and comprehends what others are saying; prepares organized and structured phone and presentations; has demonstrated ability to work with a wide range of sensitive and confidential issues and communicate effectively with a diverse group of girls, volunteers, and staff. Candidate must possess the ability to project a warm, inviting, and trustworthy telephone image. Bi-lingual English/Spanish preferred. Recognizes opportunities to close and has demonstrated ability to ask for the business/customer transaction. A self-starter who can work independently with minimal oversight and take initiative; is flexible, adaptable, selfmanaged, organized, and has a strong attention to detail. Marketing Skills Has demonstrated knowledge of the basic principles of marketing (for example, market identification and segmentation, interpretation and use of market data).demonstrates comfort in presenting the value behind solutions in a way that resonates with what is most important to the potential members/customers of the organization. Mathematical Skills

4 Must be able to understand and perform math skills needed for the position (addition, subtraction, multiplication, division, percentages, ratios, fractions, and proportions to practical solutions) either with or without a calculator. Be able to create and maintain budgets, balance accounts, calculate demographic data, statistical data and interpret how it relates to membership. Reasoning Ability Must possess ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form and carry them out. Employee must possess the ability to apply conflict resolution skills in a variety of situations between staff, volunteers and girl members. Computer Skills To perform this job successfully an individual should have knowledge of Microsoft Office Suite software (MSWord, Excel, Access, PowerPoint, etc.), Outlook and Internet, Salesforce preferred. The individual will be trained on and be responsible for mastering Personify. Certificates, Licenses, Registrations Current driver s license not required. The main duties are performed inside an office or building but on occasion may be held outside. While performing the duties of this job, the employee is occasionally exposed to dirt, dust, heat, cold, wind, noise, rain, snow. Mental Requirements

The employee is required to coordinate eyes, hands, and fingers rapidly and accurately in order to type, operate a vehicle, and write. The employee is required to have the ability to understand the meaning of words and respond effectively. The employee is required to have the ability to perform basic arithmetic accurately and quickly as defined in the qualifications.
