2 EFI Logistics 01/05/2015 Shipping Instructions Tank Storage Asia 2015 Singapore Introduction The organisers have appointed EFI Logistics as official freight forwarder, customs agent and on site materials handling company for the Tank Storage Asia 2015 event. We are here to help you move materials into and out of the show. Please read these instructions carefully and if you have any questions at any time do contact out customer service team. Please note EFI will send full shipping instructions to all registered exhibitors via . If you are working with stand sharers, stand building contractors or other supplies sending materials the show please pass copies of these instructions to them. ARRIVAL DEADLINES SEA freight shipments to Singapore Port no later than: Wednesday 16 th September 2015 AIR freight shipments to Singapore no later than: Sunday 20 th September 2015 Films /DVDs for censorship by courier no later than: Wednesday 16 th September 2015 Arrival after these dates will incur additional costs. Whilst every effort is made to ensure the timely arrival of materials to the show, EFI do not guarantee delivery to the event of any late arrival shipments. SHIPPING DOCUMENTATION AND PRE-ADVICE For all shipments, copies of documents including air or ocean bills of ladings, airwaybills, invoices and packing lists and other required documentation must be faxed / ed to EFI Logistics SEVEN WORKING DAYS prior to arrival of goods in Singapore. 4 EFI Logistics 01/05/2015 DOCUMENTATION Commercial invoice & Packing List EFI can supply a Combined Commercial Invoice and Packing List for your usage. While filling in the Combined Commercial Invoice and Packing List form, please take special attention to the followings: - All entries must be in English Language. - A full description of the item must be given. Brand name, model number, serial number and country of origin must be given of machinery, computer /electrical equipment. - All value declared on the shipping documents must be reasonable. Unit and total value must be indicated in Singapore or US Dollars and in CIF Terms. Problems in customs clearance may occur if the customs officer judges the declared price to be unreasonably low. No Commercial Value is not acceptable by the Customs. - Exhibitors are requested to show whether items are for temporary import, sale or free distribution on the form in columns A, B or C PACKING Exhibitors are advised to use strong, sturdy, reusable packing cases for the transportation of the exhibits which can withstand the rigors of international transport and unpacking and repacking operations. For main exhibits, we recommend bolted returnable type of cases and crates where exhibits can be unpacked and re-packed safely. Cardboard cartons are not recommended; especially for goods requiring return to origin /onward shipping. If cardboard cartons are used for one way shipment we advise lining the boxes with plastic wrapping or securing and wrapping onto a pallet. All cargo will be opened, inspected and the contents matched against the items listed on your combined commercial invoice and packing list. Discrepancies in paperwork and actual contents will cause delays and possible additional costs and fines and may lead to confiscation. CASE MARKING For easy identification of exhibits, all packages must be marked as follows: Exhibition Name : Tank Storage Asia 2015 c/o EFI /Rogers Expo Services (Singapore) Pte Ltd Exhibitor Name : Stand No. : Case No. : Dimensions : Weight : IF YOUR CASES ARE LOCKED it is imperative that we have a set of keys or the lock combination to allow Customs to inspect the contents. 3

5 EFI Logistics 0129/05/2015 WOOD PACKING REGULATIONS Wood packing controls apply to all wood packaging and material used in the packing of containers, including Wooden pallets, Wooden packing cases, Crates, Dunnage (packaging used to secure loads in containers) All imported wood packaging materials should be treated by Heat Treatment (HT) or Methyl Bromide (MB) fumigation at the origin, and bear the Mark of the IPPC on two opposite sides of the wooden packaging material. The Mark should contain the valid symbol approved by IPPC, country code, unique number of producer / treatment designated by the National Plant Protection Organization (NPPO) of exporting countries and treatment methods (HT, MB). Where wood packing material arrives without the approved mark or with approved mark but is found to contain live harmful pests the cargo will be disposed of or returned to origin at the cost of the shipper. FILMS, VIDEOS CENSORSHIP All and films videos (including video CDs and laser discs) are subject to the censorship clearance of the Media Development Authority (MDA) before they are allowed for public viewing. It will take approximately 2-3 weeks for approval to be granted. Therefore films / videos / discs must be sent by courier services to arrive with Rogers Expo Services (Singapore) Pte Ltd, Singapore at least 2 weeks before the start of the exhibition. To apply for exemption from censorship of video tapes / discs, please complete C Form, available from EFI and to susan.barton@efilogistics.com seven days prior to arrival with your pre-alert. The application is subject to approval by Media Development Authority (MDA). HAND CARRIED EXHIBITS It is an offence under Singapore Customs regulations not to declare personal belongings or exhibits with a total value of S$ or above. All goods imported into Singapore are subject to Goods and Service Tax (GST), which must be paid at the time of import at the various entry points. Exhibitors who hand-carry their exhibits are required to declare their goods at the Customs checkpoints and make necessary tax payment before they are granted entry. 4

6 EFI Logistics 01/05/2015 PERMANENT IMPORATATION All goods imported into Singapore are subject to Goods and Service Tax (GST) when sold, consumed, distributed, disposed, donated or given away in Singapore. The GST (currently 7%) is based on the CIF value indicated on the invoice and is subject to Customs and Excise final appraisal of the imported goods value. Brochures, pamphlets, newsletters, advertising material and give-aways of any kind will automatically be imported for local consumption with GST paid upon import. GST is non refundable. TEMPORARY IMPORATATION There are two options available to exhibitors in obtaining GST and duty exemption for those exhibits entering for display and export. ATA Carnet Singapore Customs are a signatory to the ATA Carnet system and exhibitors may use this document when shipping their goods. Shipments covered by ATA Carnets are exempt from payment of any tax or duties for the period of temporary importation. However goods indicated in the ATA Carnet must be re-exported after the show. You are therefore reminded not to include any goods, which are NOT intended to be re-exported in the ATA Carnet. Temporary Import Bond raised by EFI /Rogers Expo Services EFI / Rogers Expo Services (Singapore) Pte Ltd can provide a Bank Guarantee on your behalf for exhibition goods under temporary import. This procedure involves raising a bank guarantee to customs to cover the potential (Goods and Services Tax) GST/Duty liability. For import bond fees please contact EFI Logistics. The maximum term for temporary importation under guarantee is six weeks (3 weeks prior to exhibition show opening date and 3 weeks from the show closing date). It is possible for the Temporary Import period to be extended beyond the granted six week providing that: GST is paid at 7% of the customs assessed value, allowing the first term of import to be cancelled. A letter is supplied by the exhibitor giving valid reasons for keeping their exhibits in Singapore. This request will be presented to customs and, if approved, a further period may be granted prior to final clearance instructions relating to sale, re-export or transfer to another exhibition. Any extensions granted are strictly at Customs discretion and additional charges will be applicable for such cases. We can supply you with an all inclusive door to stand return quotation suited to your requirements. 5

7 EFI Logistics 0129/05/2015 PROHIBITED /RESTRICTED /CONTROLLED GOODS PLEASE DO NOT SHIP WITHOUT PRIOR APPROVAL The following categories of materials are prohibited, restricted or controlled and require special documentation; please contact EFI prior to shipping any of the following items. Cross bow (prohibited) Arms and explosives, fireworks, military equipment, toy guns / arms Chewing gum (prohibited) Foodstuff Alcoholic beverages Telecommunication /transmitting equipment Radiographic equipment Vehicles Foodstuff & beverage products Cigarettes & tobacco products Medical / pharmaceutical / chemical products Live animals and any products made of animal parts It is the exhibitor s responsibility to ensure that their materials conform to all existing regulations regarding the import of items regulated by the various government agencies in Singapore. The list above is not exhaustive and subject to change at any time by operation of law. Therefore we urge all participants to contact us for specific instructions regarding these and any other category of materials. Additional costs may be associated with these clearances, permits or licences. COURIER SHIPMENTS We do not recommend using normal courier services for shipping exhibition materials. If you do we strongly advise that you follow these instructions and consign your shipments to our customs broker (see consignee details above). EFI can only help you with shipments consigned according to these instructions. If you do not ship to our customs broker we will be unable to assist you should your shipment become delayed or stuck in customs. Charges apply to clearance and handling of courier shipments INSURANCE We recommend that you have your goods fully insured against loss or damage for transit and the duration of the show. EFI can provide insurance for your shipment if required. Please contact the customer service team for further information OUTBOUND/RETURN SHIPMENTS All materials returning to their country of origin will be subject to Singapore export clearance. Return transit times are affected by mode of transport, customs status, security and congestion on services selected. 6

8 EFI Logistics 01/05/2015 HAZARDOUS GOODS Shipments containing hazardous goods require special handling and documentation. Many steamship lines, airlines and trucking companies have strict regulations which dictate that such shipments be moved separately, properly documented and packed in strict accordance with current laws and regulations. If you plan to ship hazardous materials, please notify EFI Logistics. PAYMENT TERMS All charges must be paid prior to final clearance and delivery to the Congress Centre. Charges will be issued and sent out via by EFI as soon as shipping documents have been received and approved. Outbound charges are due in full prior to goods being released for final destination. TERMS AND CONDITIONS All business of whatsoever nature shall solely be conducted in accordance with BIFA 2005A standard trading conditions. These conditions have clauses that may limit or exclude our liability. The terms in full can be downloaded from our website at The following conditions also apply: 1. Shipments must be prepared and documents screened according to these instructions. Shipments arriving without prior document approval will be subject to delay and additional costs. 2. Any and all additional costs incurred during the customs clearance and storage of shipments to this congress are for the account of the exhibitor/ shipper or their nominated agent. EFI will pass these charges to the company placing the order for services. 3. All services must be ordered in advance using the Service Order Form provided. This can be sent via to or faxed to All customs fees, duties and taxes applied to a shipment are for the account of the exhibitor/ shipper or their authorised agent. 5. Customs have the right of refusal for any goods they deem to be unsuitable for import. This includes but is not limited to the restricted items listed in these instructions 6. Any undeclared/ mis-declared/ prohibited/ restricted items found during customs examination will be removed and destroyed by customs. EFI and their agents are not responsible for these materials. 7. All charges must be paid prior to final clearance/ delivery to the congress centre. Charges will be issued and sent out via by EFI as soon as shipping documents have been approved. Outbound handling charges are due in full prior to goods being released for final destination. 8. The credit card section of the order form must be completed even if you plan to settle charges by wire transfer. This is for guarantee purposes only. Your card will only be charged if a) the invoice is not settled before delivery or b) you ask us to do so. 9. Insurance is the responsibility of the exhibitor/ shipper/ owner of the goods. EFI can arrange insurance cover for your shipment. Please indicate this on your Service Order Form, showing the sum and currency to be insured.
