3 STUDENT PROFILE / RECORD OVERVIEW The Profile area of the Tyler Student system facilitates the tracking of a student s profile. A student s profile includes the following areas: Activities Awards Discipline Records Honors A student s record can contain an unlimited number of entries in any of the above areas. Each record contains the following types of information: Dates Nature of the award or infraction Names of involved teachers or sponsors The position held or action taken Comments and memos The Profile records can be included on many documents and reports. Activities and Awards may be included on the student s online transcript and other grade reports. The Profile records are structured around a set of incident and action codes that are created at the district level. Any incident code can be paired with any action code. Profile letters can be created and processed through this area, along with a wide variety of profile reports. THE PROFILE PROCESS 1. Staff, with the appropriate security/permissions, record profile entries (Any member of the staff that is listed in Tyler can be included in a Profile record as a witness, participant or sponsor) 2. Entries may be tracked for both internal and state reporting 3. When these entries are involved with state reporting, the SISk12 automates the data tracking and report processing 4. Profile reports and letters may be generated from the Profile records 3 P age
4 STUDENT PROFILES ADDING * UPDATING * DELETING ACTIVITIES - DEFINITION This area should include all school clubs, athletic or academic teams along with any other school related activities that a student may participate in. Transcripts When printing a transcript, you have the option to include a student s activities. A+ A+ volunteer and mentoring hours are tracked here as individual entries. SISK12 then totals these hours and populates the student s A+ tracking screen with the accumulated hours. ACTIVITIES ADD, EDIT, DELETE Activities View & Add 1. From the Home Screen: Click the View/Maintain Menu > Profile > Activities OR Click the Student Profile Button Then click the Activities Button 4 P age
5 Note: Profile records are viewed one student at a time 2. Enter the last name of the student and click the Search Selected Site or Search District button 3. The search results appear, click the blue arrow next to the student that you wish to work with 5 P age
6 Activities - Sorting The Student Activities screen can be sorted by column header. Columns with the black arrows are available for sorting. Left click one time on the Column Header to sort by that column Use the Site Drop Down Box and choose to view activities by school or district Click the Go Button after your selection is made Use the Year Drop Down Box to choose to view activities for different years Click the Go Button after your selection is made See activities for a specific school or the whole district Column Headers Activities - Edit To edit an existing record 1. Click Edit 2. Click the Pencil Button beside the record 3. Click Done when finished making changes 6 P age
7 Activities - Add 1. Click the Add Button to add a new Activity 2. Fill in the fields a. Incident Code (required) b. Verify the Incident Date c. Assign Faculty/Staff d. 8 Activities Codes Add, Edit, Delete Note: The ability to add, edit or delete codes is dependent upon your level of security within the Tyler system. To access the Code Table you must navigate to the Activities Area and select a student 1. From the Home Screen Click the View/Maintain Menu > Profile > Activities OR 2. Click the Student Profile Button 3. Then click the Activities Button 4. Search for and Select a student 5. Go the Actions Menu and select Code Tables Code Table Activities Codes - Edit 1. Click the Edit button 2. Left click on to the Code you wish to change, it will highlight in blue 3. Type the change 4. Left click on the Description, it will highlight in blue 5. Type the change 6. Click Apply or Done when finished editing 8 P age
9 Activitie Codes - Add 1. Click the Add Button to add a new Code 2. At the bottom of the list a blank line appears highlight, Left click in to it and begin typing 3. When finished typing your additions click Apply or Done Activitie Codes - Delete 1. Left click on the code description of the code that you wish to delete 2. The line highlights 3. Left click on the recycling bin 4. Click OK to the confirmation prompt 9 P age
10 Activities Print There are two choices for printing activities: 1. Print the Screen 2. Print a Report Print SCREEN To print the screen, click the Print icon at the top of the screen 10 P age
11 Print REPORT 1. Left click on the line of the Activity that you want a report for 2. To print a Report, click the Actions Menu > Print Report 3. Select the Options that you are interested in for the report If Letter is selected, the Letter screen will appear. This allows you to choose from existing letters or create a new one. 4. 13 AWARDS, HONORS & SCHOLARSHIPS - DEFINITION Honors and awards records should include any honors, awards, scholarships or special recognition a student has received during their academic career. When printing a transcript, you may choose to include a student s honors, awards & scholarships. AWARDS, HONORS & SCHOLARSHIPS ADD, EDIT, DELETE Awards, Honors & Scholarships View & Add 1.
