2 STUDENT / ALUMNI HANDOUT Hire a Flyer User Guide Fall 2011 Academic Affairs and Learning Initiatives, Office of the Provost Welcome to Career Services at the University of Dayton! This is one of Career Services most important tools: use it to search jobs openings, research employers, view career events like career fairs and other informational sessions, view and schedule a specific time to interview with companies on-campus, and much more! LOG-IN Go to careers.udayton.edu and click student log-in under Hire-a-Flyer. Use your Novell user name and password to log-in. Explore all the tabs available: HOME A brief summary of all the actions you can use in Hire-a-Flyer (HAF) and general instructions. MY ACCOUNT My profile It is critical to keep your profile updated! Especially your: Contact information Applicant type (this allows you to see relevant job postings and on-campus interview schedules) If your major or GPA is incorrect you must contact the Office of the Registrar to change it If you are actively job hunting and your resume in HAF is updated, check yes next to Allow Employers to View my Resume under Additional Information. This will allow employers looking to fill a position to view your resume and contact you if interested. My Documents Resume is the only required document; make sure you keep it updated! We recommend you update it AT LEAST once a year. You should upload a new resume to HAF every time you revise your resume with new work, class projects, or extracurricular experience. You can also upload the following optional documents: Cover letter should not be specific to one company, but rather indicate the type of job or field you are interested in References make sure to tell your references you are posting their information on HAF in case they are contacted. Try to have at least two references, but no more than five (three is a good number to aim for). Letters of Recommendations Unofficial transcripts update regularly if you choose to post this Co-op work reports (if applicable) My Activity Summary of all past activity that has taken place under your account, such as: Referrals: every time an employer views your profile or your resume. You can also see which companies you have already submitted your resume too. Placements: each time you are selected for a job Schedules: any on-campus interview you have been accepted for Events: all RSVPs for events, such as workshops, sponsored lunches, career fairs, PHONE: informational sessions and all other Career Services sponsored events FAX: (Continued on next page)

3 SEARCH EMPLOYERS Employers listed have all had previous contact with UD and Career Services Search employers by Organization name, Location (city, state), employer ID (assigned through HAF), Employer Category, Desired Employer and/or Majors Be careful of limiting yourself to one or two Employer Categories (i.e. Accounting, Financial Services, Real Estate, etc.), because some companies do not assign themselves a category and will not show up if you search just one category. For instance, if you click Accounting, it is possible that some companies with accounting job openings will not show up. Keep your search as broad as possible. By clicking search without specifying any fields, all employers will appear. JOB LISTINGS Allows you to search all job postings in HAF (UD specific) Full-time positions (entry level or experienced), part-time positions, internships (full-time, parttime, or summer), co-ops, and temporary positions Again, make sure to keep your search as broad as possible so you do not accidentally exclude relevant listings Choose multiple employer and job categories (or choose none at all and just search by majors) Take note of Job IDs of jobs that interest you so that you can easily access them later By clicking search without specifying any fields, all job openings will appear ON CAMPUS INTERVIEWS You must have an updated resume and qualify in order to apply for the interview Qualified Schedules on-campus interview schedules that you are eligible for based on your major, applicant type, and other criteria (so again, make sure this information in your Profile is correct) All Schedules allows you to view all interview schedules, even though you may not be eligible to sign up for all of them CAREER EVENTS Tab allows you to view all events registered through Career Services: Career Fairs, Class Presentations, Information Sessions, Workshops, Orientation, etc. To view all events: do not select any search criteria, just click Search ADDITIONAL RESOURCES This will direct you to outside websites that are full of job searching opportunities. Going Global: External website that provides information on international job and internship opportunities to students. Features 34 Country Career Guides and 42 US City Career Guides Can search by company, industry, job title, or city/state Create a personal account to get started LexisNexis Academic: Full range of credible sources for business information, including business and financial news, U.S. and international company financial information from government or private sources, market research, industry reports Access to primary source material such as case law, statutes and regulations Secondary source materials such as legal news or law reviews for background or analysis of a legal topic ReferenceUSA: Premier Source of Business and Residential Information. Search jobs and industries, research companies worldwide, fins articles for business research, and locate out of town companies The International Educator: A third party resource that has information on teaching abroad. They are, Committed to matching the best educators with the best international schools Uniworld: One stop search to find American firms operating in foreign countries & foreign firms operating in the US

4 EMPLOYER HANDOUT Hire a Flyer Quick Steps From posting jobs, to registering for career events, to setting up on-campus interviews, explore all that Hire a Flyer can do for you... Have questions about using our Hire a Flyer system? Contact Career Services at (937) or Search student and alumni resumes* Create a Hire a Flyer account 1. From the Career Services website ( click on Employer Login under the Hire a Flyer logo. 2. Click the link at the bottom of the page - Click here to create a new account! 3. In the Find Your Organization search field, begin typing the name of your organization. As you type, the system will automatically search and display a list of matching organizations below. Note: If your organization s name can be referenced in different ways, please try searching all of them before determining that your organization is not listed. If your organization s name appears, select the box next to the name and click Continue. If your organization s name does not appear, click Can t Find Your Organization? Complete the Employer Information and Contact Information fields. Click Register when finished. 4. You will then see a red message informing you that your profile is now complete. Click Submit Profile for office approval. We will look over your profile and assuming everything is complete, your account will be approved within 1-2 business days. 1. Log in to Hire a Flyer and click on Student Search at the top of the page. 2. Enter your search criteria and click Search. 3. Once your search results appear, follow the directions at the top of the page to sort the list and view or resumes. * Sorry, this feature is not available to third party recruiters or search firms. Post a job 1. Log in to Hire a Flyer. Click on My Job Listings, then select New Job from the drop-down menu. 2. Complete the Position Inf ormation, Contact Information, and Posting Information fields. 3. Click Save to submit your job for approval. You will receive an confirmation when your registration has been approved, usually within 1-2 business days. View your job postings and applicants 1. Once your job has been approved, you can view applicants as they apply. To do so, begin by logging in to Hire a Flyer. Select My Job Listings, then select Job List from the drop-down menu. 2. Follow the directions at the top of the page to view and sort your jobs and applicants. View and register to attend a Career Services event 1. Log in to Hire a Flyer and select Career Events at the top of the page, then click Search from the drop-down menu. 2. To search for a particular event, enter the known search criteria. Otherwise, leave all fields blank and click Search to see all active upcoming Career Services events. 3. To view the event details, click the Career Event Name. To register to attend, click Register under the Action column and complete the required fields. You will receive an confirmation when your registration has been approved, usually within 1-2 days. p. 1

5 EMPLOYER HANDOUT Hire a Flyer Quick Steps (cont.) On-campus interviews: Request an interview date and schedule 1. Log in to Hire a Flyer, select On-Campus Interviews, and then New Schedule Request from the drop-down menu. 2. Review the instructions at the top of the page and enter your Interview Request Preferences. You may select your Schedule Type to be Open (allowing all qualified students to sign up on your schedule) or PRS/Pre-Select (allowing ONLY the students you screen first to sign up on your schedule). Please include more than one Preferred Interview Date. You may also select your First and Last Interview Start Times, as well as the duration of each interview. 3. Click Save & Continue, then proceed to Assign Jobs to your interview schedule. You may click the button to Add a New Job, or select an existing job from the list that appears. 4. Click Submit Request to finish. Your request will be reviewed by our Recruiting Coordinator, and you will be notified once your schedule has been approved (usually within 1-2 business days). On-campus interviews: Managing a pre-select schedule If you have chosen to interview on campus using a Pre-Select Schedule, follow the instructions below to review your applicants and select the students you wish to add to your campus interview schedule. Please be sure to do so after your pre-select period has closed to ensure that all possible candidates are considered. 1. Log in to Hire a Flyer, select On-Campus Interviews, and then Schedule List from the drop-down menu. 2. Click on the Schedule ID for the interview schedule you wish to pre-select candidates for. Please note the colored flags, which indicate the status of your selections for that schedule. 3. On the left-hand page, click Manage Pre-Selects to review the list of students who have requested to be added to your interview schedule. 4. Once you have reviewed the candidates and selected the students you would like to interview, use the buttons next to each name to indicate whether or not they are accepted. Please be sure to make an indication for each candidate. When finished, click Submit Picks. 5. Students will then be automatically notified as to whether or not they have been pre-selected to interview on your schedule. Selected students will then have 2-3 days to sign up for an interview time on your schedule. Request to host an information session 1. Log in to Hire a Flyer and select Career Events, then New Event Request from the drop-down menu. 2. Following the instructions at the top of the page, submit your Event Information, and be sure to select Link to Schedule if your information session is tied to an upcoming on-campus interview schedule. 3. Click Save & Continue after each step, and Submit Request once your information is complete. 4. Your event information will be reviewed, and you will be contacted for approval (usually within two business days). Please contact our Recruiting Coordinator if you require any additional assistance with hosting your information session, such as reserving event space, catering or student registrations. Report a hire 1. We love to know when our students and alumni have been hired! To do so, log in to Hire a Flyer and select I want to, then Report a Hire from the left-hand menu. 2. Search and select the student, and link them to your job posted in Hire a Flyer. Submit your information. Have questions about on-campus interviews and information sessions?
